Our verdict on Microsoft Exchange Online
Microsoft Exchange Online is a cloud-hosted business email and calendaring service for organizations that need custom-domain email, Outlook access, mailbox administration, filtering, archiving, and compliance features. It suits Microsoft-centric businesses that want Exchange capabilities across web, Windows, macOS, iOS, Android, and API environments. Administrators manage users and mailboxes through the Exchange admin center, while users can access email, calendars, and contacts through Outlook and browsers.
The two paid plans create a clear storage and compliance distinction. Exchange Online (Plan 1) includes a 50 GB mailbox, custom business email, automatic spam and malware filtering, message policy and compliance features, an in-place archive, and Outlook integration. Exchange Online (Plan 2) increases the primary mailbox to 100 GB, adds up to 1.5 TB of archive storage, includes built-in data loss prevention, and supports 150 MB messages. Both plans retain filtering and message policy features, so the choice centers on storage, archiving, and DLP requirements rather than a basic versus premium product split.
Its ecosystem fit is a major strength for organizations already operating around Outlook and Microsoft administration. Exchange Online supports shared mailboxes, migration from Exchange Server, IMAP, PST files, and other email environments, plus Microsoft Graph API access for programmatic mailbox data access. That breadth makes it suitable for organizations consolidating email or building Microsoft-connected workflows. It is less suitable for buyers seeking a free option, a narrowly focused mail host, or advanced archive and DLP capabilities without moving to Plan 2 and configuring the relevant licensing and administration.
