There is no single online backup capacity that fits everyone. Estimate the actual files you want to protect across your devices and storage locations, then account for what the service includes, existing quota use, expected growth, and retained versions. A computer’s advertised drive capacity is not the same as the amount of data you need to back up.
How to estimate the storage you need
- Decide what you need to recover. Are you protecting selected documents and photos, or do you need a broader recovery plan for a computer or several devices? The answer affects which data the backup must include.
- Measure the data you want protected. Check the actual storage used by those files on each computer, phone, external drive, and online-only location. Do not count an entire drive’s capacity if only some of its contents need backup.
- Check the service’s coverage and quota. Confirm which folders, devices, and drives it backs up, and look for a usage or pending-backup estimate. If the allowance is shared with email, photos, or drive files, subtract the space those already use.
- Allow for growth and retained versions. Estimate the new files you expect to add and check whether the service keeps earlier versions or deleted files, and for how long. These requirements vary by provider and plan; there is no reliable universal percentage to add.
- Check the practical limits. Compare your estimate with the plan’s storage limit, supported devices and folders, restore options, and the upload connection you have. Verify current terms with the provider before choosing a plan.
This produces a useful estimate, not a guarantee of a product’s exact storage use. No universal capacity recommendation or numeric buffer applies to every user.
Why backup scope changes the calculation
Selected-file backup
A file backup may cover only chosen documents, photos, and folders. Estimate the contents of those locations rather than the full capacity of the computer’s drive.
Broader computer backup
A plan intended for computer recovery may include more operating-system or application data than a selected-file backup. Read the service’s inclusion rules before estimating capacity.

Coverage can be narrower than expected. Dropbox says that, when backing up a computer, files and folders from the drive containing the Dropbox desktop app are included by default; other installed drives are not automatically covered. Users can select folders, while device and external-drive coverage depends on the plan and available storage. Dropbox explains its backup coverage and rules.
Microsoft describes Windows Backup as working in the background to back up files, apps, and settings through a Microsoft account. Its support page lists 5 GB of free cloud storage. That is a product-specific detail, not a benchmark for other providers. See Microsoft’s Windows Backup guidance.

Count photos, videos, and shared account storage
Original-quality photos and especially video can make a backup much larger than a collection of documents. Use actual storage usage or file sizes instead of estimating from a number of photos, since file sizes vary.
Google says Google Account storage is shared across Google Photos, Drive, and Gmail. Existing mail and files can therefore reduce the room available for a photo backup. Google Photos also lists upload limits of 200 MB or 200 MP per photo and 10 GB per video; these are Google Photos constraints, not general cloud-storage limits. Where available, check the service’s overall backup status and the size of backed-up items. A measured usage figure is more useful than a generic storage estimate.
When cloud capacity is not the only consideration
Online storage may be enough for some important files, but storage capacity alone does not determine whether a service suits your backup. The UK National Cyber Security Centre says free cloud storage from major platforms might be sufficient for important files for some users. It also notes that backing up and restoring through the cloud requires a reliable internet connection. For a slow or unreliable connection, a metered plan, or a particularly large backup such as video-heavy files or an entire computer, it advises considering removable media. An external hard drive can serve as a local or removable backup copy, but it does not add online storage. Check that your backup software supports the drive and its file system, along with any plan limits. Dropbox, for example, has plan-dependent external-drive rules and lists supported file systems in its backup guidance.

- Capacity and shared quota: Check the available allowance and whether mail, photos, or other files use the same pool.
- Coverage: Verify supported devices, folders, and external drives rather than assuming every connected location is included.
- Version and deletion recovery: Find out how earlier versions and deleted files are handled and how long they remain recoverable. Dropbox notes that deletion can affect the computer and account, and that recovery windows vary by plan.
- Restore method: Check how you retrieve files or recover a computer, not just how backup runs.
- Connection constraints: Consider whether your internet connection can handle the initial upload and a restore of the amount of data you plan to protect.
A cloud sync service should not be treated as a complete backup unless its deletion behavior and recovery options meet your needs.
