For most growing teams, Google Workspace Business Standard is the practical default. It is the first Business tier with 2 TB of pooled storage per user, Google Meet recording, 150-person meetings, broader Gemini integration, shared drives, appointment schedules, and eSignature. Choose Business Starter only if you need basic business email and collaboration. Move to Business Plus for Vault, eDiscovery, advanced endpoint management, or 500-person meetings. Choose Enterprise when you have more than 300 users or need advanced controls such as data regions, DLP, context-aware access, or client-side encryption.

This guide uses Google’s standard US-dollar pricing checked on August 10, 2026. Prices can differ by country, currency, tax, reseller, billing channel, promotion, and contract. Google’s live pricing page and checkout are authoritative.

Google Workspace plans at a glance

Google Workspace pricing has three separate decisions: the edition you buy, the payment plan you choose, and the number of licensed users you need. Comparing only the advertised per-user price can hide storage, compliance, seasonal staffing, and cancellation costs.

What should you buy?

  • Choose Business Starter if your main requirements are custom-domain email, Gmail, Docs, Drive, Calendar, Chat, and basic Meet. Confirm that 30 GB of pooled storage per user and no Meet recording are acceptable.
  • Choose Business Standard if your team records meetings, stores substantial files, uses shared drives, needs 2 TB per user, or wants broader Gemini features. This is the best starting point for many growing businesses, although that is an editorial recommendation rather than a Google designation.
  • Choose Business Plus if you need Google Vault, eDiscovery, Meet attendance tracking, 500-person meetings, Secure LDAP, or advanced endpoint management.
  • Choose Enterprise Standard or Enterprise Plus if you exceed 300 users or require enterprise data regions, advanced DLP, context-aware access, client-side encryption, S/MIME, Security Sandbox, or large trusted-domain livestreams.
  • Choose Essentials Starter if your company already has email elsewhere and only wants Drive, Docs, Meet, Chat, and Calendar.
  • Check Education, Nonprofits, Frontline, and Government editions first if your organization may qualify. They can be substantially cheaper or have different limits than normal Business plans.

What exactly is included in the price?

Edition

The edition is the product tier: Business Starter, Standard, Plus, Enterprise Standard, Enterprise Plus, Essentials, Education, Frontline, or Nonprofits. Each edition determines storage, Meet limits, security controls, AI access, support, and administrative features.

Payment plan

The payment plan determines flexibility and commitment. The two main choices are Flexible and Annual/Fixed-Term. Annual/Fixed-Term is not merely a different way to display an annual bill: it is a commitment to a minimum number of licenses for the term.

Users and licenses

Every separate login normally requires a license. Users cannot share one Workspace license. A mailbox alias or Google Group address does not require a new user account, but it also does not create a separate login mailbox. This distinction is covered in Google’s licensing documentation and user and address guidance.

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For example, sales@example.com can be an alias or group address without buying another seat. A new employee who needs an independent Gmail login, Drive files, and Workspace identity needs a licensed user.

Add-ons

The plan price is not necessarily the complete bill. Depending on your requirements, you may also pay for:

  • Additional pooled storage
  • AI Expanded Access
  • Archived User licenses
  • Google Voice
  • AppSheet
  • Assured Controls
  • Support upgrades
  • Hardware, migration, reseller, tax, or implementation costs

Business Starter: the low-cost email and collaboration tier

Business Starter includes custom business email after domain verification, Gmail, Docs, Sheets, Slides, Drive, Calendar, Chat, basic administration, Gemini in Gmail, the Gemini app, and Google Meet for up to 100 participants. Its allowance is 30 GB of pooled organizational storage per user.

It is a sensible choice for a freelancer or small company that mostly sends email, creates office documents, and stores relatively small files. It becomes less attractive when the organization records meetings, stores video or design files, or needs formal retention and eDiscovery.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Starter does not include Meet recording, the broader in-app Gemini experience available at higher tiers, Google Vault, or advanced endpoint management. Google’s edition-selection guide and Business comparison should be checked for feature changes before purchase.

Choose Starter when: email is the priority, storage usage is light, meetings do not need recording, and you do not have formal compliance requirements.

Skip Starter when: your team will quickly exceed its storage allowance, needs recorded meetings, or expects to use Drive as a central file repository.

Business Standard: the practical default for growing teams

Business Standard costs twice the Flexible monthly price of Starter, but it is also the first mainstream tier that addresses the storage and meeting limitations that commonly appear after a company starts using Workspace seriously.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

It adds:

  • 2 TB of pooled storage per user
  • Google Meet recording, noise cancellation, and meetings for up to 150 participants
  • Broader Gemini integration across Workspace applications
  • Shared drives for business-email or verified-domain signups
  • Appointment schedules
  • eSignature with Docs and PDFs
  • Mail merge and custom email layouts
  • Google Workspace Migrate

Standard is often the right choice for agencies, startups, consultancies, and internal business teams that collaborate on large documents or need recorded customer and project meetings. It is also a useful migration tier for organizations moving from Microsoft 365 or another email provider because the extra storage and migration capability reduce early operational constraints.

Do not interpret “2 TB per user” as a permanently isolated 2 TB folder for each employee. Workspace uses pooled organizational storage, explained below.

Business Plus: the compliance and larger-meeting tier

Business Plus costs more primarily because it adds governance, storage, device management, and meeting capacity rather than simply making Gmail or Docs faster.

It adds:

  • 5 TB of pooled storage per user
  • Google Meet for up to 500 participants
  • Meet attendance tracking
  • Google Vault for retention, legal holds, search, and eDiscovery
  • Advanced endpoint management
  • Secure LDAP
  • Stronger security and management controls

Business Plus is the first normal Business edition with Vault. That makes it a candidate for organizations with legal discovery or retention obligations, but “regulated” does not automatically mean “Business Plus.” Some organizations may need Enterprise features such as data regions, advanced DLP, context-aware access, or client-side encryption.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Also, Vault is not a backup. It supports governance, retention, legal holds, search, and export; it is not an automated disaster-recovery or point-in-time restoration system. See Google’s Vault FAQ before treating it as a backup replacement.

Enterprise Standard versus Enterprise Plus

Enterprise is not one identical SKU. At minimum, distinguish Enterprise Standard from Enterprise Plus when comparing quotes and security requirements.

Enterprise Standard

Enterprise Standard is designed for organizations that exceed the Business user cap or need enterprise administration and security. It includes:

  • No stated minimum or maximum user limit
  • 5 TB of pooled storage per user, with additional storage potentially available on request
  • Meet for up to 500 participants
  • Data loss prevention, context-aware access, Cloud Identity Premium, and advanced endpoint management
  • Enhanced support and enterprise controls
  • Trusted-domain livestreaming for up to 10,000 people

Enterprise Plus

Enterprise Plus includes the Enterprise foundation and adds or expands capabilities such as:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Client-side encryption
  • Advanced data exports
  • S/MIME
  • Access Transparency
  • Security Sandbox
  • VirusTotal reporting
  • Meet for up to 1,000 participants
  • Trusted-domain livestreaming for up to 100,000 people

Google currently describes Enterprise storage as 5 TB pooled per user, with more potentially available on request for organizations with five or more users. It should not be advertised as unlimited storage by default. Use Google’s storage request process for larger requirements.

Enterprise pricing is quote-based. Contact Google or an authorized reseller for pricing, contract terms, data residency options, and the exact feature set available to your organization.

The four upgrade triggers that matter most

1. Storage

Starter’s 30 GB per user can be enough for email and light documents, but it can disappear quickly when users store video, photographs, large PDFs, design assets, or shared project files. Standard’s 2 TB per user is a major capacity increase, while Plus and Enterprise provide 5 TB per user.

2. Meeting recording and size

Starter supports meetings for up to 100 participants but does not include recording. Standard is the first Business tier with recording and raises the participant limit to 150. Plus raises it to 500 and adds attendance tracking. Enterprise Standard also supports 500 participants, while Enterprise Plus supports 1,000.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

These are meeting participant limits, not employee-seat limits. External attendees can join a meeting, so a 300-user Business organization may host a meeting with more than 300 participants where its edition permits it. Verify the current Meet rules for your particular edition before planning a large event.

3. Compliance and administration

Vault makes Plus the first standard Business option for retention and eDiscovery. Enterprise is the more appropriate direction when your policy requires DLP, context-aware access, enterprise data regions, client-side encryption, S/MIME, or other advanced controls.

4. User count

Business Starter, Standard, and Plus are limited to 300 users. A company approaching that limit should evaluate Enterprise before it must reorganize accounts or licensing.

How Google Workspace storage really works

Workspace storage is generally pooled across the organization. Gmail, Drive, and Google Photos draw from the same organizational pool. A 10-user Business Standard organization therefore starts with 20 TB of pooled storage, not ten independent silos that can never be shared.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Administrators can set user and shared-drive limits to prevent one account or project from consuming the entire pool. See Google’s storage FAQ and storage-limit instructions.

Important storage details include:

  • Storage is shared across users and includes archived users.
  • Business Starter storage may initially be granted in stages. Google says the full allowance becomes available after a $30 payment, while faster access may require an early payment.
  • Additional organizational storage is listed at approximately $15 per month for 100 GB, $40 per month for 1 TB, and $300 per month for 10 TB.
  • Additional storage is purchased as an Annual/Fixed-Term subscription billed monthly.
  • Google says upgrading from Business Starter, Standard, or Plus may be more cost-effective than purchasing storage separately. Compare the exact checkout totals rather than assuming an add-on is cheaper.

Buy it from Admin console → Billing → Buy or upgrade → Google Workspace Additional Storage → Get started. Only super administrators can purchase organizational storage. Details are in Google’s Additional Storage instructions.

Gemini pricing: included AI versus expanded access

Google announced in January 2025 that core Gemini capabilities would be included in commercial Workspace Business and Enterprise plans instead of requiring the older Gemini Business or Gemini Enterprise add-ons. That does not mean every plan has the same AI capability or usage limits.

  • Business Starter includes basic Gemini access, including Gemini in Gmail and the Gemini app.
  • Business Standard and Plus provide broader in-app Gemini integration and higher app or model access than Starter.
  • Enterprise editions provide broader Workspace AI capabilities subject to the edition and current limits.
  • AI Expanded Access remains a separate add-on for Business Standard, Business Plus, Enterprise Standard, and Enterprise Plus.

AI model access, quotas, feature names, promotional access, and app availability change frequently. Workspace-app limits are also separate from Gemini-app limits. Do not base a multiyear purchase on an undated list of Gemini features; check Google’s AI Expanded Access documentation and current AI limits at the time of purchase.

Flexible versus Annual/Fixed-Term billing

Flexible Plan

  • Month-to-month billing
  • Pay for the users present during the billing period
  • Add or remove users at any time
  • Cancel without an early-termination penalty
  • Higher per-user price
  • Charges are prorated by day; Google uses Pacific Time for billing calculations

Annual/Fixed-Term Plan

  • A one-year-or-longer license commitment
  • Lower standard per-user pricing
  • Ability to add licenses during the term
  • Ability to reduce licenses only at renewal
  • Early cancellation does not eliminate the remaining commitment
  • Monthly billing and annual prepayment have the same standard annual per-user total

Google’s payment-plan comparison explains the distinction. The important question is not whether you pay monthly; it is whether you have committed to the seats for the term.

Plan Flexible annualized Annual commitment Annual saving per user
Business Starter $100.80 $84 $16.80
Business Standard $201.60 $168 $33.60
Business Plus $316.80 $264 $52.80

The simple price break-even is approximately 10 active months per year. That is only a budgeting heuristic. Flexible billing may still be the better choice if your business hires seasonally, has uncertain cash flow, expects frequent downsizing, or places a high value on avoiding a fixed commitment.

Realistic cost examples

For standard US pricing, calculate the core subscription with:

number of seats × per-user rate × 12

10-user organization Flexible annualized Annual/Fixed-Term commitment
Business Starter $1,008 $840
Business Standard $2,016 $1,680
Business Plus $3,168 $2,640

These totals exclude taxes, promotions, reseller pricing, storage add-ons, AI Expanded Access, Voice, AppSheet, Archived User licenses, support upgrades, hardware, migration, and implementation. They also assume all ten users need the same plan and remain licensed for the full year.

Special Google Workspace editions

A normal Business plan is not always the cheapest or most suitable option.

Essentials

Essentials Starter is free for teams of up to 100 users and excludes Gmail and Google Workspace Support. It is intended for teams that keep their existing email system but want Drive, Docs, Meet, Chat, and Calendar.

Paid Enterprise Essentials provides 1 TB of pooled storage, 250-person Meet meetings, recording, advanced controls, and support. Enterprise Essentials Plus provides 5 TB of pooled storage, 1,000-person Meet meetings, and 100,000-person livestreaming. Compare the current options in Google’s Essentials edition documentation.

Education

Qualifying schools can use Education Fundamentals at no cost with 100 TB of pooled storage. Education Standard and Education Plus are paid upgrades with progressively stronger security, analytics, and teaching features. Eligibility and licensing are specific to educational institutions; review Google’s Education comparison.

Nonprofits

Eligible organizations can receive Google Workspace for Nonprofits at no charge with 100 TB of pooled storage. New accounts can initially add up to 300 users and may request an increase; Google’s current documentation describes capacity up to 2,000 users. Paid Business and Enterprise upgrades may receive nonprofit discounts. Eligibility must be confirmed through Google’s Nonprofits program.

Frontline

Frontline editions are designed for frontline-worker populations and are purchased through Google Sales. They support unlimited users and provide Starter, Standard, and Plus tiers with 5 GB per user. The correct choice depends on who needs full Workspace access and who only needs frontline capabilities. See Google’s Frontline edition information.

Government

Google offers government-specific editions and pricing through sales. Public-sector buyers should request a quote and verify the required compliance, data-location, security, and procurement terms through Google’s edition-selection guidance.

Billing and licensing traps to check before buying

Suspending a user does not stop billing

A suspended user cannot sign in, but suspension does not automatically remove the license. Suspended users are charged like active users. If the person has left permanently, use the appropriate account, data-retention, and license-removal process instead of assuming suspension saves money. Google documents this in its suspended-user guidance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Annual seats cannot be reduced mid-term

Deleting users during an Annual/Fixed-Term subscription does not reduce the committed charge. You can add licenses during the term, but normally reduce the committed license count only at renewal. Review the commitment before signing and use Google’s license-reduction guidance.

Archived User is not the same as deleting or suspending

Archived User is a separate add-on for retaining a former employee’s data without keeping the account fully active. Current listed prices are $2, $3, $4, $5, and $7 per user per month for Business Starter, Business Standard, Business Plus, Enterprise Standard, and Enterprise Plus respectively. Archived data still counts toward pooled storage.

Archiving is therefore useful for controlled offboarding, but it is not free storage and does not remove the need to plan capacity. See Google’s add-on pricing and former-employee account guidance.

Aliases and groups do not provide another login

Use an alias or Google Group for addresses such as info@example.com, support@example.com, or billing@example.com when several people need to receive or send mail. Buy another user license when someone needs an independent sign-in, personal Drive, Gmail mailbox, or Workspace identity.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The free trial is limited to 10 users

A Google Workspace free trial supports up to 10 users. Adding an 11th user requires ending the trial and beginning paid service. Plan a pilot with this limit in mind; do not wait until the trial ends to discover that a larger test group cannot be added. See Google’s trial rules.

Domain verification changes what you can do

For a business deployment, verify your domain. Custom email, broader administrator controls, shared drives, migration features, and some security functions require a business email or verified domain. A consumer Google account is not equivalent to a managed Workspace organization.

Do not assume you can mix Business plans freely

It is tempting to put executives on Business Plus, most employees on Starter, and a few project users on Standard. Multiple subscriptions and Partial Domain Licensing have coexistence restrictions and may require a reseller or sales agreement. Treat mixed-plan licensing as a specialized arrangement, not a normal self-service checkout assumption. Confirm the design with Google or your reseller using the licensing rules and Partial Domain Licensing restrictions.

How to change your payment plan

Change Flexible to Annual/Fixed-Term

  1. Open the Admin console.
  2. Go to Billing → Subscriptions.
  3. Select the Google Workspace subscription.
  4. Choose Change payment plan.
  5. Select Review Pricing Details.
  6. Confirm the committed users and price.
  7. Complete Checkout.

You need billing-management privileges. Google’s current instructions are in Manage your payment plan and renewal.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Schedule Annual/Fixed-Term to Flexible

  1. Go to Admin console → Billing → Subscriptions.
  2. Select the subscription.
  3. Under Plan renewal, find the renewal date.
  4. Choose Change renewal settings.
  5. Select Switch to the flexible payment plan.
  6. Save the change.

The change takes effect at renewal, and the remaining Annual/Fixed-Term commitment remains payable. It is not an immediate escape from the existing term.

Plan recommendations by situation

Situation Likely starting point Why Check before committing
Freelancer or one-person business Business Starter Custom email and core apps at the lowest Business price Whether 30 GB and no recording are sufficient
Five-person startup Starter or Standard Starter minimizes cost; Standard avoids early storage and recording limits Growth rate, file storage, and cash-flow flexibility
25-person agency Business Standard 2 TB pooled storage, recording, shared drives, and broader collaboration features Whether any client or legal requirement needs Vault or Enterprise controls
150-person business Business Standard or Plus Standard may cover collaboration; Plus adds Vault, 500-person meetings, and advanced device controls Compliance policy, endpoint fleet, and meeting attendance needs
More than 300 users Enterprise Standard or Plus Business editions have a 300-user limit Data regions, DLP, encryption, S/MIME, and livestream requirements
Regulated organization Plus or Enterprise Plus introduces Vault; Enterprise provides deeper security and compliance controls The actual regulatory control matrix, not just the word “regulated”
School or university Education edition Qualifying institutions may receive Education Fundamentals at no cost Eligibility and whether paid Education security features are required
Eligible nonprofit Google Workspace for Nonprofits May provide a no-cost edition and discounted paid upgrades Eligibility, user limits, and verification
Existing email provider Essentials Starter or paid Essentials Collaboration tools without replacing the current email system Gmail is excluded from Essentials

A practical buying checklist

  1. Count people who need separate logins. Exclude aliases and group addresses, but include employees, contractors, and administrators who need their own accounts.
  2. Measure current and projected storage. Include Gmail, Drive, Photos, shared drives, and archived users.
  3. List hard Meet requirements. Separate participant count, recording, attendance tracking, and livestreaming.
  4. List governance requirements. Decide whether you need Vault, DLP, data regions, context-aware access, client-side encryption, S/MIME, or advanced endpoint controls.
  5. Decide whether Gemini needs are basic or expanded. Confirm current app coverage, quotas, and whether AI Expanded Access is required.
  6. Model employee turnover. Include seasonal users, suspended users, departing employees, and Archived User costs.
  7. Choose Flexible or Annual/Fixed-Term based on risk. Annual is cheaper when seats are stable; Flexible can be cheaper in practice when the organization may shrink or cancel before roughly ten active months.
  8. Check special eligibility. Education, Nonprofit, Frontline, Government, and Essentials options may change the answer completely.
  9. Confirm the checkout total. Add-ons, taxes, promotions, reseller terms, and regional pricing can change the advertised standard rate.

Frequently Asked Questions

Which Google Workspace plan includes Meet recording?

Business Standard is the first mainstream Business plan with Meet recording. Business Plus and Enterprise editions also include recording. Business Starter does not include it.

Is Google Workspace Enterprise storage unlimited?

No. Google’s current documentation describes 5 TB of pooled storage per user, with additional storage potentially available on request for eligible organizations. Do not assume unlimited storage is included by default.

Can I mix Business Starter, Standard, and Plus users in one organization?

Do not assume this is available through normal self-service checkout. Multiple subscriptions and Partial Domain Licensing have restrictions and may require a reseller or sales agreement. Confirm the exact licensing design with Google before purchase.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I cancel an Annual/Fixed-Term Google Workspace plan early?

You can change renewal settings, but early cancellation does not normally remove the remaining commitment. Annual seats generally cannot be reduced until renewal, so Flexible billing is safer when user counts are uncertain.

Is Google Vault a backup?

No. Vault provides retention, legal holds, search, eDiscovery, and export for governance. It is not an automated backup or disaster-recovery system.

What happens when an employee leaves?

Suspending the account does not stop billing. Depending on your retention needs, transfer the data, delete the user when appropriate, or use Archived User. Archived data still consumes pooled storage and the add-on has a separate monthly price.

Can I use Google Workspace without moving my company email to Gmail?

Yes. Essentials Starter is intended for teams that keep an existing email system while using Drive, Docs, Meet, Chat, and Calendar. Essentials does not include Gmail.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Bottom Line

Start with requirements, not the lowest headline price. Business Starter is economical for basic email and light collaboration; Business Standard is the strongest general-purpose choice because it solves the usual storage and meeting-recording problems; Business Plus is justified by Vault, eDiscovery, advanced management, attendance tracking, or larger meetings; and Enterprise is for scale or advanced security and compliance controls. Then choose Flexible billing unless your seat count is stable enough to accept a one-year commitment. Before checkout, verify regional pricing, current AI limits, storage consumption, archived users, and eligibility for a special edition.

Pricing and feature availability are volatile. This article uses standard US-dollar rates and information checked August 10, 2026. Confirm the final terms on Google’s official pricing page.
