Clockify can turn tracked billable work into client invoices in three different ways: create and send a PDF invoice inside Clockify, send selected time entries to QuickBooks Online and build the invoice there, or send a Clockify invoice to Xero and receive payment updates back. The right path depends on where you keep your accounting records, which plan you use, and how carefully you control names, projects, rounding and tax totals.

These integrations do not prove that revenue will increase by a specific percentage. Their business value is operational: capturing more billable work, reducing re-keying and making it easier to reconcile what was invoiced and paid.

What does Clockify invoicing integration actually do?

Clockify connects tracked time and expenses to an invoicing workflow. You can use Clockify as the place where an invoice is authored, or use it as the time-tracking source for an accounting application. Those choices are materially different: QuickBooks Online receives time data and the invoice is created in QuickBooks, while Xero receives an invoice created in Clockify and can return payment information.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

In every workflow, the quality of the result starts with the time entries. A project must be billable, the client must be identified consistently, and the rate, tax and rounding rules need to be reviewed before anything is sent. An integration can remove duplicate typing; it cannot decide whether a time entry is legitimate or whether a client should be charged.

How do I create invoices directly in Clockify?

Clockify’s native invoicing is the shortest route when you need a professional invoice but do not need the invoice record authored in a separate accounting system. It can build an invoice from scratch, from existing time entries, or as a recurring invoice.

What the native workflow includes

  • Select tracked billable time and, where applicable, expenses for the client.
  • Apply invoice line descriptions, rates, taxes and discounts.
  • Review the invoice status and record payment information when the client pays.
  • Attach a time report so the client can see how the billed amount was calculated.
  • Export or download the finished invoice as a PDF and send it to the client.

This approach keeps the entire billing trail in Clockify. It is practical for a freelancer or small team that mainly needs accurate invoices and supporting time reports, while the formal books are maintained elsewhere or handled separately.

When are recurring invoices useful?

Recurring invoices fit retainers and other arrangements where the client is billed on a regular schedule. Set the recurrence only after confirming that the service, rate and tax treatment remain stable; recurring billing should not silently reproduce an outdated scope or price.

How does the QuickBooks Online integration work?

The QuickBooks connection is a time-entry handoff, not a complete invoice synchronization. You select entries in a Clockify Detailed Report, send them to an eligible QuickBooks Online account, and then create the invoice in QuickBooks using the transferred lines.

Which QuickBooks accounts are eligible?

Clockify’s documented integration supports eligible QuickBooks Online tiers but not QuickBooks Desktop or Simple Start. It also does not work with a QuickBooks account that has payroll enabled; Clockify directs payroll-enabled customers to a separate QuickBooks Payroll add-on. Confirm the current eligibility in your account before designing a process around it.

What must match before the first transfer?

Users and customers or projects need corresponding records in both systems. Billable entries must belong to a Clockify project, and the project assignment must point to the client you intend to invoice. Resolve spelling differences and duplicate customer records before sending data; otherwise, the transfer can land under the wrong customer or fail validation.

QuickBooks transfer procedure

  1. In Clockify, open the Detailed Report and set the date range, workspace, project and user filters needed for the billing period.
  2. Review each billable line, including its project, customer, description, rate and rounded duration.
  3. Select the entries to transfer and use the QuickBooks action to send them.
  4. Open QuickBooks Online, choose the matching customer and review the received time lines.
  5. Create the invoice in QuickBooks, then apply your normal accounting, tax and payment procedures there.

Clockify marks entries as sent after transfer. A sent entry cannot be resent, and edits made later in Clockify do not synchronize back to QuickBooks. Treat the report review as an approval step, not a preview you can safely correct after the fact.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do rounding and long entries affect QuickBooks?

Clockify sends the rounded time value, so configure and inspect rounding before transmission. The documented maximum duration for one entry is 23 hours 55 minutes; a longer continuous period must be split into multiple entries before it can be transferred. Splitting also makes unusually large lines easier to explain to a client.

How does the Xero integration differ?

Xero is the closer two-way billing workflow. You create or prepare an invoice in Clockify, send it to Xero, and can synchronize payment amounts and status back into Clockify. The invoice must be a draft when it is sent, so final approval and collection remain controlled in the accounting system.

Requirements and permissions

  • The Xero add-on must be installed and invoice sending must be enabled in Clockify settings.
  • The documented requirement is a Clockify Standard plan or higher.
  • The Xero help documentation lists a separate add-on charge of $4.99 per month; verify the current amount and plan terms before purchase.
  • Only a workspace owner or administrator can perform the sending action.

Xero sending procedure

  1. Install and authorize the Xero add-on for the workspace.
  2. Enable invoice sending in the relevant Clockify settings.
  3. Prepare the invoice in Clockify from tracked time and expenses, and confirm the client contact.
  4. Leave the invoice in draft status and send it to Xero.
  5. Open Xero to review the imported draft, complete any accounting checks and approve or send it according to your normal process.
  6. When payment is recorded, allow the integration to return the amount and status to Clockify, then compare the result with your records.

How does client matching work?

Contact matching is case-insensitive. If the client is not present in Xero, the documented behavior is to create the contact automatically. Check the resulting contact before approving the invoice, especially when similar names or multiple legal entities exist.

Why can Xero totals differ from Clockify?

The systems can round tax differently. Xero rounds at the line-item level, while Clockify calculates rounding from the invoice total. A multi-line invoice can therefore show a small discrepancy even when the underlying rates and quantities are correct. Compare the tax totals before approval and make an explicit adjustment when needed instead of assuming the difference will reconcile later.

Which Clockify invoicing path should I choose?

Workflow Where the invoice is authored What moves between systems Best fit
Native Clockify invoicing Clockify Tracked time and expenses become a Clockify invoice, with PDF export and payment recording Simple billing where a separate accounting invoice is not required
QuickBooks Online QuickBooks Online Selected Clockify time entries are transferred for invoice creation Businesses that need the invoice and books maintained in QuickBooks
Xero Clockify, then reviewed in Xero Clockify invoices go to Xero; payment amount and status can return Businesses wanting Clockify-based billing with Xero reconciliation

Choose the native route when a PDF invoice and time attachment satisfy your process. Choose QuickBooks when the accounting system must originate the invoice and own the customer ledger. Choose Xero when you want Clockify to create the invoice but still need payment state reflected in the accounting workflow.

What should I check before turning on automation?

A short preflight prevents most failed transfers and incorrect invoices.

  • Client identity: Use one spelling and legal name for each customer across Clockify and the accounting system.
  • Project mapping: Assign every billable entry to the correct Clockify project and confirm that the corresponding customer or project exists in the destination.
  • Rates and permissions: Verify billable rates, workspace access and who is allowed to send or approve invoices.
  • Rounding policy: Decide whether time is rounded and inspect the rounded result before export or transfer.
  • Tax treatment: Confirm tax rates and understand that Xero may calculate line-level tax rounding differently.
  • Period control: Freeze the report range for approval so late edits do not change an invoice you have already sent.
  • Duplicate prevention: Keep a record of which QuickBooks entries were marked sent and avoid attempting to resend them.
  • Evidence for the client: Attach a detailed time report when the customer expects a breakdown of hours, rates or expenses.

What do the plans and add-on costs mean?

Clockify’s subscription information places invoicing and QuickBooks integration in the Standard tier and higher tiers. Plan prices and included features can change, so check the current subscription page in your region before committing. The Xero documentation separately states a $4.99-per-month add-on charge in addition to the required Clockify plan; verify that fee and any current billing conditions at checkout.

Do not evaluate cost only by the invoice feature. Include the time spent correcting customer mappings, reviewing tax differences and reconciling payments. A lower-cost native PDF process can be more efficient for a solo consultant, while a paid accounting connection may be justified when duplicate entry and reconciliation consume staff time.

How do I fix common integration problems?

QuickBooks rejects or cannot find a customer

Stop the transfer and compare the Clockify user, customer and project names with the QuickBooks records. Create or correct the matching record, then rerun the report selection only for entries that were not marked sent. If an entry is already marked sent, correct the invoice in QuickBooks rather than trying to push the same line again.

The QuickBooks invoice amount is not what I expected

Inspect the rounded duration and the billable rate in the Detailed Report. Because the rounded value is what transfers, a rounding rule can change the amount even when the raw timer duration looks different. Also check that the report date range and project filters did not omit or include unintended entries.

An Xero invoice will not send

Confirm that the add-on is installed, invoice sending is enabled, you are a workspace owner or administrator and the invoice is still a draft. Verify the client contact and correct any authorization prompt before trying again.

Xero shows a different tax total

Compare each line’s tax calculation with Clockify’s invoice-total calculation. If the difference comes from rounding rather than an incorrect rate, record a deliberate adjustment in the destination invoice and retain the calculation in your billing notes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A payment status has not appeared in Clockify

Check that the invoice was sent through the Xero add-on and that the payment was recorded against the matching Xero invoice. A payment entered against a duplicate contact or a manually recreated invoice may not map to the original Clockify record.

Can these integrations really grow revenue?

They can support revenue operations, but the available product documentation does not establish a guaranteed increase, a payback period or a reduction in invoice time. The plausible benefit is indirect: fewer unbilled hours, less manual copying and clearer follow-up on unpaid invoices. Measure those outcomes in your own business by comparing billable time captured, invoices issued, corrections required and days to payment before and after adoption.

Start with one client or billing period, document the review checks and expand only after the transferred data matches your accounting records. That controlled rollout protects trust with clients and gives you evidence about whether the integration improves your process.

What other integrations might matter?

Clockify’s broader integration catalog includes automation through Zapier and Peppol e-invoicing. Zapier may be relevant when a workflow needs a trigger or notification outside the accounting connection. Peppol matters only where your jurisdiction or a customer’s procurement rules require network-based e-invoicing; country-specific obligations are not established here, so confirm them with the relevant tax authority or customer.

Which setup is the most dependable for a small service business?

Use native Clockify invoicing when your priority is a fast, traceable PDF built from tracked work. Use QuickBooks Online when accounting ownership and invoice creation must stay in QuickBooks, accepting that the integration is a one-way time handoff with no later edit synchronization. Use Xero when you want Clockify to originate the invoice and need payment status to flow back, while allowing for draft-only sending, administrator permissions and tax-rounding review.

Frequently Asked Questions

Does a Clockify integration collect payment automatically?

No. The documented workflows create or transfer invoices and, in the Xero connection, synchronize payment amounts and status. They do not describe an automatic card charge or collection service, so payment instructions and follow-up remain part of your normal process.

Can Clockify replace my accounting software?

It can handle invoice creation, PDF delivery, status tracking and payment recording for a lightweight billing process. It is not presented as a replacement for a full accounting ledger, tax filing system or payroll platform, so businesses with those requirements should keep an accounting system of record.

When would Peppol e-invoicing be relevant?

Peppol is relevant when a government, large customer or local rule requires invoices to travel through that network. Requirements differ by country and sector, so confirm the mandate and supported document types before relying on it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How can I test an integration without risking a client invoice?

Use a controlled internal client or a non-production billing period, then compare the source report with the destination invoice line by line. Keep the test separate from live entries so sent-status flags and payment mappings do not contaminate a real customer’s history.
