The best AI meeting assistant depends on how your meetings are captured and what must happen afterward. Otter is a strong fit when you want live transcripts, speaker recognition, bot-free desktop capture, and integrations with work-management tools. Microsoft Copilot in Teams is the natural choice for organizations already using Teams and Microsoft 365, including a mode that can create notes and tasks without recording or transcription. Zoom AI Companion fits Zoom-centered teams that want in-meeting questions and action-item prompts, while tl;dv emphasizes summaries and CRM follow-up automation. None of the vendor material reviewed is a controlled accuracy benchmark, so you should test transcript and task quality on your own meetings before standardizing on a product.
Which AI meeting assistant should you shortlist first?
Start with the meeting platform your organization already permits, then check whether you need a durable transcript, a live note-taking aid, or automated follow-up in another system. The products overlap on summaries and action items, but their capture methods, post-meeting access, permissions, and retention behavior differ.
| Assistant | Capture style | Transcript | Summary and task output | Integrations or workflow focus | Important access conditions |

Capture determines what the assistant can know later, where the data is stored, and whether people see a bot or recording indicator. There are three practical patterns.

Meeting-bot capture
A service joins the conference as a participant and processes the meeting audio. This is convenient for recurring meetings, but your organization may require participant notice, consent, or a policy decision about external bots. It also makes the assistant visible to everyone in the call.
Native meeting-platform capture
Teams and Zoom can provide assistance inside the platform you already use. Native tools typically inherit meeting roles, tenant settings, and the platform’s retention controls. They can be easier to approve, but they may work only in supported meeting types and licensed accounts.
Local desktop capture
Otter documents a desktop app for bot-free meetings. Local capture can avoid adding a visible participant, which is useful when a meeting host blocks bots, but you still need permission to capture audio and a compliant way to store the resulting transcript.

Is Otter a good choice for transcription and task tracking?
Otter is the most capture-flexible option in this shortlist. Its product information describes live transcription, speaker recognition, automated summaries, decisions, and action items, with a desktop app for bot-free meetings.
What Otter produces
- Live text as the meeting proceeds.
- Speaker-labeled conversation when speaker recognition can identify participants.
- A post-meeting summary that highlights decisions and action items.
- Shareable meeting content for collaboration and follow-up.
Speaker recognition is useful for assigning ownership, but names should be checked before you copy an action into a project system. A mistaken speaker label can attribute a decision or task to the wrong person even when the words themselves are transcribed correctly.
Where Otter fits operationally
The vendor lists connections to Slack, Salesforce, Jira, Notion, Asana, and HubSpot. That makes Otter worth shortlisting when the assistant must hand meeting outcomes to a CRM, issue tracker, knowledge base, or team chat rather than remain in a meeting archive.
Otter plan details to verify
The product page lists a Basic plan as free and Business from $19.99 per month per user. It also lists 6,000 monthly transcription minutes and a four-hour limit per conversation for the Business offering. These are vendor-listed, time-sensitive details, not guaranteed prices or quotas; confirm the current plan page, billing interval, region, and overage rules before committing.

When is Microsoft Copilot in Teams the better fit?
Choose Copilot in Teams when meetings already live in Teams and your administrators want one native policy and licensing framework. Microsoft says Copilot can summarize key discussion points, include who said what, suggest action items, and answer questions during or after a meeting.
What happens during a normal Copilot workflow?
In Microsoft’s documented workflow, you can turn on Copilot without turning on transcription. However, live transcription is needed to ask Copilot about the meeting or see its conversation history after the meeting ends. That distinction matters if your team expects a searchable post-meeting record.
How does the no-recording, no-transcription mode work?
Microsoft also documents a mode that creates notes and tasks during a meeting without recording or transcribing it. Microsoft Support describes the capability this way: “Copilot can generate notes, list tasks, and much more during the live meeting.” In that mode, Copilot is not available in Teams Recap after the meeting unless transcription or recording was enabled.
What can prevent a participant from using Copilot?
- The meeting organizer can control whether Copilot is available.
- Tenant and organizational policy settings can restrict use.
- Licensing determines access to Copilot and some recommended follow-up features.
- A meeting hosted outside your organization may not support Copilot for a participant.
Ask your Teams administrator to confirm the exact license and policy combination for the meeting types you run. A feature that appears in a product description may still be unavailable to guests, external participants, or users without the required Microsoft 365 entitlement.
What does Zoom AI Companion add to a Zoom meeting?
Zoom AI Companion is designed for in-meeting questions based on speech-to-text data while the feature is active. Zoom’s support material gives “Catch me up” and requests for action items as examples of prompts.
Questions during the meeting
Participants can use the assistant to recover context when they join late or to ask what has been decided so far. Because answers rely on speech-to-text data collected while the feature is active, turning it on late means earlier discussion may not be available to the assistant.
Zoom for ChatGPT workflow
The separate Zoom for ChatGPT app can expose eligible meeting summaries, transcripts, recordings, and documents, and can help generate notes or identify action items. Eligibility depends on the account, enabled Zoom AI features, user permissions, and access to the meeting assets. Video-related features require cloud recording with Smart Recording, according to Zoom’s support documentation.

Access checks before rollout
Confirm that the user has host access or the required role for the meeting assets. An attendee may be able to ask questions in a live meeting but still be unable to retrieve a recording, transcript, or summary afterward. Test the exact host, co-host, and participant roles your organization uses.

What is tl;dv best suited to?
tl;dv’s product page emphasizes AI-generated meeting summaries, customizable notes, and CRM or follow-up automation. That positioning makes it a candidate for sales, customer-success, and recruiting teams whose main goal is turning conversations into structured follow-up.
Its feature descriptions are vendor marketing claims rather than an independent evaluation. Check the current plan, supported meeting platforms, export options, CRM destinations, recording rules, and retention terms before selecting it for a regulated or high-volume workflow.
Can an AI meeting assistant create action items without recording?
Yes, but the capability is platform-specific. Microsoft documents a Teams mode that can generate notes and tasks during the live meeting without recording or transcription. The trade-off is that post-meeting Copilot is unavailable in Recap unless transcription or recording was enabled.
For Zoom, meeting questions depend on speech-to-text data while AI Companion is active, so a no-capture configuration limits what it can answer. Otter’s documented transcription and desktop-capture workflows create meeting content that can be used for summaries and tasks; decide whether that persistent record is acceptable before enabling capture.
How should you compare integrations and task hand-off?
Do not stop at a logo list. Map one real action from the meeting to the system where your team will complete it.
- Identify the destination. Decide whether tasks belong in Jira, Asana, a CRM, Notion, Slack, or a Microsoft or Zoom workspace.
- Define the minimum task fields. Require an owner, verb, due date or timing, and the source decision. If a tool cannot preserve those fields, plan a human review step.
- Check the permission path. Verify whether the assistant can create records, or only suggest text for a person to copy. Test with the role used by ordinary meeting participants.
- Test failure recovery. Determine how to correct a wrong owner, duplicate task, or missed action without losing the original transcript.
- Measure adoption. Count completed, corrected, and ignored tasks for a representative set of meetings instead of counting generated summaries alone.
Otter’s listed integrations make it a practical candidate for cross-tool hand-off. Teams and Zoom may be preferable when keeping content inside the platform is more important than sending it to several external systems.

What privacy, retention, and administration questions must be answered?
Meeting assistants create more than audio or video. They may produce transcripts, prompts, responses, summaries, action items, and copies in connected systems. Treat each artifact as a separate governance decision.
Before enabling capture
- Decide how participants are notified and how consent is handled in each jurisdiction.
- Specify which meeting types may be captured, such as internal reviews, customer calls, interviews, or confidential discussions.
- Set an owner for deleting or correcting erroneous transcripts and tasks.
- Document where exports and integrations store copies.
Microsoft retention behavior
Microsoft states that Purview retention policies may retain Copilot prompts and responses even when recording and transcription are turned off. Therefore, disabling a recording is not the same as guaranteeing that no Copilot-generated content is retained. Ask your compliance administrator how the applicable retention label or policy treats prompts, responses, notes, and tasks.
Organizer and tenant controls
For Teams, meeting-organizer settings and organizational policy can determine whether Copilot is available. For Zoom, enabled AI features, account eligibility, and asset permissions affect both live questions and later access. Include administrators in the pilot rather than treating approval as a final step.
How much do these assistants cost and what limits matter?
Pricing and quotas change frequently, so use the figures below as a starting point for a buying check, not as a promise.
| Product | Documented commercial detail | Limits or dependencies to confirm |
|---|---|---|
| Otter | Basic listed as free; Business listed from $19.99/month per user | Business page lists 6,000 transcription minutes per month and a four-hour per-conversation limit; verify current region, billing term, and plan definitions |
| Microsoft Copilot in Teams | Access is licensing-dependent; no single price is established in the reviewed material | Confirm the required Microsoft 365 license, tenant policy, organizer controls, external-meeting behavior, and which follow-up features are included |
| Zoom AI Companion and Zoom for ChatGPT | Eligibility and enabled Zoom AI features are required; no universal price is established in the reviewed material | Check account tier, host or asset permissions, cloud recording, Smart Recording, and availability of the ChatGPT app for your account |
| tl;dv | Current plan pricing was not established in the reviewed material | Verify supported platforms, recording and transcription quotas, CRM automation, exports, and retention terms |
Calculate total cost using active users, expected minutes, storage, integration seats, and administration time. A free plan can become expensive if staff must manually repair every generated task.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How can you test transcript and task quality fairly?
There is no independent accuracy benchmark in the available material, and vendor claims are not comparative evidence. Run a controlled pilot using meetings that represent your real conditions.
Quick wins for a faster PC:

- Include two or more speakers, interruptions, accents, technical terms, numbers, and decisions.
- Test both short stand-ups and long meetings that approach your plan’s duration limit.
- Include remote participants, poor audio, screen sharing, and people joining late.
- Use a meeting where tasks have explicit owners and deadlines, then another where responsibilities are implied.
Score what matters
- Compare names, numbers, dates, and product terms against the audio or an approved human transcript.
- Check whether every decision is represented and whether uncertainty is labeled rather than presented as fact.
- For each task, score owner, action, deadline, and context separately.
- Record how long a reviewer needs to correct the output.
- Check whether the corrected task reaches the intended project or CRM system without duplication.
Keep the same meetings and scoring rubric when comparing products. Do not treat a polished summary as proof that the underlying transcript is complete.

What setup should an organization complete before rollout?
- Choose an approved meeting class. Start with low-risk internal meetings, not legal, medical, or highly confidential conversations.
- Set participant expectations. Tell attendees whether a bot, native assistant, or desktop capture is active and how outputs will be used.
- Configure permissions. Verify organizer, host, co-host, guest, and administrator behavior in Teams or Zoom, and confirm who can retrieve assets.
- Define retention. Align transcripts, summaries, prompts, responses, recordings, and connected-system copies with your retention policy.
- Choose a review owner. Require a named person to correct speaker labels, decisions, and tasks before they become operational records.
- Connect one destination first. Prove the hand-off to a single CRM or task system before enabling every integration.
- Publish a correction route. Explain how users report a wrong transcript, missed task, or inappropriate capture.
- Review usage monthly. Examine minutes, failed integrations, corrections, and opt-outs; adjust licenses or meeting rules accordingly.
Which assistant fits common meeting scenarios?
| Scenario | Shortlist | Reason | Watch-out |
|---|---|---|---|
| You need transcripts across different meeting tools | Otter | It documents live transcription, speaker recognition, and bot-free desktop capture | Confirm consent, storage, quotas, and the accuracy of speaker labels |
| Your organization is standardized on Teams | Microsoft Copilot in Teams | Native meeting workflow, summaries, questions, and suggested tasks | Licensing, organizer policy, external meetings, and post-meeting transcription requirements |
| You need to catch up during a Zoom call | Zoom AI Companion | In-meeting prompts include catching up and asking for action items | Answers depend on speech-to-text while the feature is active |
| You need meeting content available to ChatGPT workflows | Zoom for ChatGPT | Can expose eligible Zoom summaries, transcripts, recordings, and documents | Account eligibility, enabled AI features, permissions, and cloud recording requirements |
| You prioritize CRM and follow-up automation | tl;dv or Otter | Both product descriptions emphasize structured notes or integrations for follow-up | Verify current CRM connectors, plan limits, and human review controls |
What commonly goes wrong, and how do you fix it?
The transcript is missing after the meeting
First check whether transcription or recording was enabled, whether the assistant was active for the relevant portion, and whether your role permits access. In Teams, a no-transcription, no-recording Copilot mode does not provide a Recap experience afterward. In Zoom, verify host access and the account’s enabled AI features.
Tasks have no owners or deadlines
Use a meeting convention in which every action is spoken with an owner and due date. Require a reviewer to edit suggested tasks before they are sent to Jira, Asana, a CRM, or another system.
A bot is not allowed in the meeting
Use a native assistant where policy permits, or evaluate Otter’s bot-free desktop capture. Either option still requires participant notice and an approved storage and retention process.
The assistant cannot answer about an earlier discussion
Check when capture started and what data the product uses. Zoom’s meeting questions rely on speech-to-text while AI Companion is active. Microsoft’s post-meeting conversation history in the documented workflow requires live transcription.
A guest cannot use the feature
Confirm who hosts the meeting, which tenant owns it, the participant’s license, and the organizer’s policy. Microsoft notes that meetings hosted outside the organization may not support Copilot for a participant; Zoom similarly depends on account eligibility and asset permissions.
What is the practical verdict?
Shortlist by capture and governance first, then compare output quality in your own meetings. Otter offers the broadest documented capture choices and external workflow connections. Teams users should evaluate Copilot’s native experience and its unusual ability to create live notes and tasks without recording, while understanding the post-meeting limitation. Zoom users should test AI Companion and the Zoom for ChatGPT app against their host and recording permissions. tl;dv is worth a focused CRM-follow-up pilot, with current plan and integration details verified before adoption. No source here supports naming one universal winner.
Frequently Asked Questions
Do meeting assistants need every participant to install an app?
Usually not. Native Teams or Zoom features are controlled by the meeting platform, while a bot-based service joins as a participant; a desktop capture app may run on one authorized computer. The organizer should still confirm notice, consent, and policy requirements.

Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Can I use an AI meeting assistant for confidential customer calls?
Only after your organization’s privacy, security, and retention owners approve the exact capture method and storage locations. Check whether transcripts, summaries, prompts, responses, and integrated tasks create additional copies, and define a deletion or correction process.
What should I do if an AI-generated action item is wrong?
Treat generated tasks as suggestions until a human verifies the owner, action, deadline, and supporting context. Correct the task in the destination system and preserve a route to the original meeting artifact so the error can be investigated.
Is a transcript necessary to get a useful meeting summary?
Not always. Teams documents a live notes-and-tasks mode without recording or transcription, but that output is not available in Recap afterward unless transcription or recording was enabled. Other assistants generally rely on captured speech or meeting assets for their summaries.
