Microsoft Teams no longer has a separate task app called Tasks by Planner and To Do. Microsoft renamed that experience Planner in April 2024. In Teams, Planner brings together personal tasks, basic and premium plans, tasks assigned from meeting notes and Loop, shared To Do tasks, and flagged Outlook email.
This guide explains how to add Planner to Teams, create and assign tasks, turn messages into tasks, organize work, manage notifications, and use task publishing for frontline teams. The exact buttons can vary slightly by plan type, license, and Teams rollout.
What happened to Tasks in Microsoft Teams?
If you are following an older tutorial, its instructions may refer to Tasks or Tasks by Planner and To Do. Those names describe the predecessor app. Search for and add Planner instead.
Planner now includes:
- Private personal tasks
- Tasks assigned to you from basic and premium plans
- Shared and personal plans
- Tasks from Teams meeting notes and Loop components
- Flagged Outlook emails
- Task-publishing tools for eligible frontline organizations
Microsoft also retired the separate Project and Roadmap apps in Teams in August 2025. Existing premium plans are available through Planner, and Microsoft says no license migration is required.

How to add Planner to Microsoft Teams
Add Planner to the Teams app bar
- In Teams, select View more apps.
- Search for Planner.
- Select Add.
- To keep it visible, right-click the Planner icon and select Pin.
- To open it in its own window, right-click Planner and select Open in new window.
If Planner does not appear in the search results, your organization may have blocked or restricted the app. A Teams or Microsoft 365 administrator must change that policy; reinstalling Teams will not fix an organization-level restriction.
Add Planner as a channel tab
A channel tab is useful when a team needs to see the same plan beside its conversations and files.
- Select Teams.
- Open the required team and channel.
- At the top of the channel, select Add a tab.
- Select Apps, then choose Planner.
- Select Save.
- Choose Create a new plan or Add an existing plan.
Older Project or Plan tabs created before the 2025 transition may no longer open their associated content. If that happens, add a new Planner tab and select the plan again.

My Day
My Day is a daily focus list, not a separate storage location. It clears each night. Unfinished tasks are not deleted; they stay in their original plan or task list and can be added to another day.
My Tasks
Under Planner > My Tasks, you can use:
- Private tasks: quick personal tasks that do not initially belong to a plan.
- Assigned to me: tasks assigned from basic or premium plans, Teams meeting notes, Loop components, and shared To Do lists.
- Flagged emails: Outlook messages you have flagged.
- All: a combined view of supported task sources.
A private task can later be organized into a plan through its More actions menu.
My Plans
My Plans brings plans into one place. Depending on the account and rollout, its categories include Recent, Shared, Personal, Pinned, My Teams, and Recommended.
How to create a plan
- Open Planner in Teams.
- Select New plan.
- Choose a blank plan or an available template.
- Enter a plan name.
- Optionally select a Microsoft 365 group.
- Create the plan.
Leaving the Microsoft 365 group field blank creates a personal plan. Selecting a group creates a shared plan. Some templates and project-management features require a premium Planner license.
How to create and assign a task
- Open a plan and select its task view.
- Select + Add task or Add a task.
- Enter the task name.
- Select Set due date if the task has a deadline.
- Select Assign and choose one or more plan members.
- Select Add task.

Assign one task to several people
A normal Planner task can be assigned to up to 11 people. Every assignee sees the same task in Assigned to me. If one assignee completes it, the shared task is completed for everyone. It does not create a separate copy for each person.
There is one important exception: a task-publishing list created with For each team member creates an individual copy for every recipient. Each person must complete their own copy.

Removing someone from a basic plan may not immediately remove their access to tasks already assigned to them. They may still be able to view and edit those tasks. To restrict access, unassign the person from each relevant task.
Organize tasks with buckets, filters, and views
Use buckets
Buckets are categories within a plan. In Board view, select Add new bucket, enter a name such as Backlog, In progress, or Ready for review, and then add or move tasks into it.
Group tasks
Use Group by to rearrange the plan by criteria such as:
- Bucket
- Assigned to
- Progress
- Due date
- Priority
- Labels
Filter tasks
- Select Filter.
- Choose criteria such as keyword, due date, label, bucket, assignment, priority, or progress.
- Select Clear or Clear all when you want to restore the full list.
Choose a view
Depending on the plan, license, and current Teams rollout, you may see Grid, Board, Schedule, Charts, or People. Premium plans can add project-oriented views such as timelines, dependencies, workload, and advanced reporting.
How to create a Planner task from a Teams message
You can turn a message in a chat or channel into a task without copying its text manually.

Comments and task chat
For a basic-plan task, open the task and enter a message in the Comments box, then select Send. Basic-plan comments have several limitations:
- Posted comments cannot be edited or deleted.
- Comments are associated with the plan’s Microsoft 365 Group.
- People who have commented may receive later comment notifications.
- @mentions are not supported in the legacy basic-plan comment experience.
Newer Task chat experiences can support @mentions and allow users to edit or delete their own messages. A task’s chat does not move with the task if the task is moved to another plan.
Planner notifications
Planner notifications can appear in the Teams activity feed on desktop and mobile. Examples include:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- A task is assigned to you.
- An urgent task is assigned to you.
- A task assigned to you changes from urgent to non-urgent, or the reverse.
- The progress of one of your assigned tasks changes.
- You are removed from a task’s assignees.
Email and push notifications may also be involved, depending on service and account settings. To manage the available Planner settings, open:

Administrators can disable Planner notifications in Teams by disabling the Planner app for the organization.
Planner, To Do, Outlook, and assigned tasks
Planner is an aggregation point, but it does not turn every Microsoft 365 task into a full Planner plan.
- Planner tasks can appear in Microsoft To Do’s Assigned to me smart list when the Planner connection is enabled in To Do settings.
- Flagged Outlook messages appear under Flagged emails in Planner.
- Tasks assigned through Teams meeting notes and Loop can appear under Assigned to me.
- A user may be able to see or interact with an assigned task without having the license required to create plans or use every editing feature.
Task publishing for frontline teams
Publishing is not automatically available to every Teams user. It requires task publishing to be enabled by the organization, a configured team-targeting hierarchy, and membership in a team included in that hierarchy.
When available, open Planner > My Tasks & Plans > Publishing.
Create a publishable list
- Open the Publishing page.
- Select New list.
- Choose For each team or For each team member.
- Name the list.
- Select the publishing team if prompted.
- Select Create.
- Add tasks under Task title.
These two list types cannot be converted into each other later.
Publish the list
- Under Drafts, select the list.
- Select Publish, or Publish series for a recurring list.
- Choose recipient teams through the hierarchy or a custom list.
- Choose whether to notify recipient teams.
- Select Next.
- Review the publication plan.
- Select Ready, everything looks good here.
- Select Publish.
Large publications may continue in the background. A For each team list creates one copy of each task for each selected team; completing it at that location completes the task for that location. A For each team member list creates an individual copy for every member.
Recipient teams cannot change their published task titles, notes, or checklist fields, and frontline workers and managers cannot delete published tasks. A checklist can contain up to 20 items. Standard lists can be recurring, and organizations can configure required forms or approvals in supported scenarios.

Basic versus premium Planner plans
| Capability | Basic plan | Premium plan |
|---|---|---|
| Standard task cards | Yes | Yes |
| Buckets, assignments, labels, checklists | Yes | Yes |
| Timeline and dependencies | Limited or unavailable | Available in supported subscriptions |
| Goals, sprints, custom fields | Generally unavailable | Available in supported subscriptions |
| Workload and advanced reporting | Generally unavailable | Available in supported subscriptions |
Microsoft 365 users generally receive access to the Planner app and basic-plan capabilities, subject to organizational licensing and app policies. Premium features require a premium Planner subscription, such as Planner Plan 1 or Planner and Project Plan 3. Users without a premium license may still collaborate on a premium plan but cannot necessarily use every feature.

Using Planner on a phone
Planner in Teams mobile is not equivalent to the desktop app. Microsoft documents limited functionality: mobile users see only plans that have been added as tabs in a team channel. Do not assume that the full My Plans hub, every personal plan, every view, or all publishing features are available on mobile.
For plan creation, detailed organization, premium views, and troubleshooting, use Teams desktop, Teams for the web, or Planner for the web.
Common problems and fixes
| Problem | Likely cause and fix |
|---|---|
| Planner is missing from Apps | The organization may have disabled or restricted it. Contact a Teams or Microsoft 365 administrator. |
| A channel’s old Project tab fails | Add a new Planner tab and reconnect the plan. |
| Create Planner task is unavailable on a message | Use the message’s … > More actions menu and check Planner access and destination-plan permissions. |
| A removed member can still open a task | Remove that person from the task’s assignees as well as from the plan. |
| A premium button is missing | Check the user’s Planner license, tenant type, and whether the feature has rolled out to the account. |
| A task disappeared from My Day | My Day resets nightly. Look in the original plan or under My Tasks; the task was not deleted. |
FAQ
What is the Tasks app in Microsoft Teams called now?
It is called Planner. Microsoft renamed Tasks by Planner and To Do to Planner in April 2024.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesCan I create a Planner task from a Teams message?
Yes. Hover over the message, select …, choose More actions, and select Create Planner task. You can save it to Private Tasks or a plan you can access.
Does Teams have a /task or /planner command?
No documented slash command creates a Planner task. Use the message action menu instead.
What is the difference between My Day and My Tasks?
My Day is a daily focus view that resets each night. My Tasks is the broader area containing private tasks, assigned tasks, flagged emails, and an All view.
Can one Planner task be assigned to multiple people?
Yes. A normal Planner task supports up to 11 assignees. Everyone sees the same task, and one person completing it completes it for all assignees.
Recommended Free Tools
Why can a removed plan member still see a task?
Removing a member from a basic plan does not necessarily remove access to tasks already assigned to that person. Unassign them from each relevant task to restrict that access.
Can I use Planner in Teams on mobile?
Only with limitations. Microsoft states that Teams mobile users see plans added as tabs in team channels, not necessarily the full desktop Planner experience.
Do I need a premium license to use Planner?
Basic plans are generally available with eligible Microsoft 365 subscriptions. Premium features such as timelines, dependencies, custom fields, workload tools, and advanced reporting require a supported premium Planner subscription.
The Bottom Line
Use Planner—not the outdated Tasks label—to manage work in Teams. Add it to the app bar for a personal hub, add a plan as a channel tab for team visibility, and use … > More actions > Create Planner task to capture work from conversations. Basic plans cover everyday assignments and tracking; premium plans add project-management features, while task publishing serves organizations distributing standardized work to frontline teams.
