To turn off Copilot for one Teams meeting, open that meeting’s Meeting options and set Allow Copilot to Off. Microsoft says this also turns off recording and transcription, so it is not a way to disable AI while keeping those features. To control what remains available afterward, review transcript and recording access, retention settings, existing recap content, and any organization-wide policies separately.
Turn off Copilot for a Teams meeting

Open the meeting’s Meeting options.

Under Copilot and other AI, set Allow Copilot to Off.

Before saving the change, check Recording & transcription if you need either of those features. Microsoft says that turning Copilot off for a meeting or event also turns off recording and transcription.
Available labels and controls can vary with your organization’s settings and license. An administrator can set defaults, but most Copilot policy choices are defaults an organizer may be able to change. Microsoft documents one enforceable Copilot policy setting: On with saved transcript required. If the Off option is unavailable or changes back, ask your Teams administrator which policy applies.

Choose between Copilot off and during-meeting use
Turning Copilot off is different from allowing it during the meeting without keeping a transcript. Microsoft describes a during-only mode that processes speech with speech-to-text but does not save that transcript after the meeting. In commercial cloud environments, Purview retention may still preserve Copilot prompts and responses for compliance even when recording and transcription are off. Therefore, “no saved transcript” does not establish that no related data can be retained.

Limit who can access a recording, transcript, or recap
For supported meetings, use Who has access to the recording and transcript to restrict access to organizers and co-organizers or to selected people. Microsoft says this control also applies to AI recap and Copilot access based on the transcript.
The option is not available for channel or ad hoc meetings. Permissions changed through SharePoint or another method can supersede this meeting control. If access still appears broader than expected, check the underlying file permissions with your administrator.

Stop automatic recording and check separate admin controls
For a meeting where recording is allowed but should not start automatically, inspect Record and transcribe automatically in the meeting options and turn it off if enabled. This controls automatic start; it is not the same as disabling recording for everyone.
Administrators can use recording policies to disable recording for specified users or groups. Transcription and captions have separate admin controls, so a change to one policy should not be assumed to change the others.

Meeting recordings are stored in the organizer’s OneDrive, except recordings of channel meetings, which are stored in the channel’s SharePoint site.

Meeting transcripts are stored with the recordings in OneDrive or SharePoint.

Intelligent Recap can use event transcript, attendance, and PowerPoint Live data for AI-powered features. Its availability and retained content depend on licensing and organization policies; Microsoft’s guidance does not establish one universal expiration period for AI-generated notes and tasks.

Delete an existing Teams recap
Organizers and co-organizers can delete recap content, including supported recording and transcript material. Microsoft describes this deletion as permanent. Files shared in a meeting remain at their original locations, so deleting recap material does not necessarily remove those separate files.

Understand recording and transcript expiration
Microsoft documents 120 days as the default expiration for meeting recordings and transcripts. It is a product default, not a guaranteed retention period for every tenant. An administrator can configure a different policy, and applicable Purview retention requirements or a legal hold may affect what remains. Automatic expiration should not be treated as proof that content has been erased; ask your administrator which retention rules apply to your account and meeting.
Turn off Copilot for Teams calls
Calls use separate calling policies, so changing a meeting’s Copilot option does not establish what happens on calls. Administrators can turn Copilot off for calls. Microsoft also documents a during-call mode without saved transcription. Ask your administrator which calling policy and options apply if you need to control call processing or saved content.

Copilot Chat settings do not control Teams meeting recording or transcript retention. In Copilot Chat settings, turn off Chat history or, on some work or school accounts, Chat history & work insights to stop personalization based on those inferences. Microsoft says the inferences are removed after 30 days. Turning off Saved memories does not delete memories already saved; delete those separately.

For Microsoft 365 Copilot Chat, Microsoft says prompts, retrieved data, and generated responses remain within the Microsoft 365 tenant under its stated commitments. This statement applies to Microsoft 365 Copilot Chat; it should not be generalized to consumer Copilot or to all Teams data.
Check retention for Teams messages and channel data
Teams chat and channel retention is organization-managed, and files shared in messages can be governed by separate policies. Meeting options do not show or override every tenant retention rule. Ask your organization’s administrator for the applicable schedule and whether compliance obligations apply.
