Re-engagement automation works best when it treats inactivity as a set of different behaviors, not one list-wide label. Build segments from recent opens, clicks, purchases, signup age and preferences; give each cohort a short, timed sequence; branch on engagement or conversion; and remove people who remain inactive from ordinary mailings. A complete flow also reconfirms consent, offers an easy preference or unsubscribe path, and suppresses persistent non-responders after a documented final attempt.
There is no universal inactivity cutoff. Ninety days is a practical starting point, but your sending frequency, buying cycle and seasonality should determine the window. The sections below show how to choose cohorts, construct the automation, protect deliverability and judge results by lifecycle stage and mail domain.
What are re-engagement automations and why do they matter?
A re-engagement automation is a behavior-triggered workflow for subscribers who have stopped opening, clicking or buying. Instead of sending the same win-back message to everyone, it identifies the reason and age of inactivity, sends a limited series, and then either restores the contact to eligible marketing or moves the contact to a suppression or sunset state.

First, a smaller active audience gives campaign reports a more accurate picture of demand. Second, removing persistent non-responders reduces unnecessary volume and helps protect sender reputation. Third, a decision-based flow prevents a person who has already purchased or reconfirmed consent from receiving an inappropriate final-warning email.

- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Use re-engagement for permissioned marketing contacts. It is not a way to revive an address that has opted out, bounced permanently or never had a valid basis for marketing communication.
How should I define an inactive subscriber segment?
Set the inactivity window against your normal send cadence and customer buying cycle. Adobe Marketo Engage identifies 90 days without an open or click as a common starting point, while noting that seasonality and business context can require a shorter or longer period. A daily newsletter, a quarterly software update and a seasonal retailer should not use the same definition.
Build cohorts instead of one global list
| Cohort | Typical rule | Useful treatment |
|---|---|---|
| Recently inactive | No open or click in the first window after several delivered messages | One reminder that highlights a new benefit, topic or preference choice |
| Formerly engaged | Opened, clicked or purchased in the past, but not during the current window | Reference the relationship and offer a focused reason to return |
| Long-term inactive | No qualifying activity across successive windows | A short win-back sequence followed by suppression if there is no response |
| Never engaged | Received messages but has never opened or clicked | Confirm interest and frequency preferences before considering a final send |
| Lifecycle or preference cohort | Grouped by signup age, product interest, region or stated frequency | Use content that matches the person’s declared need rather than a generic discount |
Klaviyo’s guidance illustrates an age-based approach with 30-, 60-, 90-, 180- and 275-day tracks. Profiles beyond the longest track that have never opened or clicked can enter a re-engagement or sunset flow. Treat those values as a framework to adapt, not as mandatory industry standards.

Check the size of the problem
Klaviyo defines five reporting buckets: very engaged at 50% or higher open rate, somewhat engaged above 20% and below 50%, barely engaged above 0% and up to 20%, not engaged when emails were received but no opens occurred in 30 days, and received no emails. Its guidance says to consider a re-engagement campaign when more than one-quarter of a list is not engaged. Calculate this by cohort and domain so a single mailbox provider does not conceal a wider problem.
How do I build the automation step by step?
Design the workflow on paper before writing copy. Every path should have a trigger, a timed action, a decision, a conversion exit and a defined end state.
- Create the entry segment. Combine delivered-email history with opens, clicks, purchases, signup date and preferences. Exclude unsubscribed, hard-bounced, suppressed and already enrolled contacts.
- Choose a track for each cohort. A recently inactive customer can receive a lighter sequence than a never-engaged lead. Keep the rule visible in a segment name or tag so later reports identify the intended audience.
- Trigger on segment entry. Start when a profile first satisfies the inactivity rule, not every time a campaign is sent. This prevents repeated enrollment for the same person.
- Send the first message after a controlled delay. Give the contact enough time to receive and act on the message, then evaluate an open, click, purchase or reconfirmation event.
- Branch on behavior. Exit immediately after a qualifying action. Route a click without a purchase to relevant content, and route no activity to the next timed message.
- Apply pressure rules. Exclude enrolled contacts from normal newsletters, promotions and overlapping win-back flows. A contact should not receive a routine campaign and a re-engagement email on the same day.
- Make the final decision explicit. After the last attempt, restore eligible contacts to normal sending only when they have engaged or reconfirmed. Otherwise set an inactive tag, suppress marketing or unsubscribe according to your consent policy.
- Record the outcome. Store the entry cohort, dates sent, branch taken, conversion event and final status. This history is needed to prevent immediate re-enrollment and to compare tracks fairly.
Rejoiner documents this pattern as an inactive-segment trigger followed by an email, an open-or-click check, a conversion exit and an inactive status after 14 days without engagement. That 14-day state change is an implementation example, not a universal deadline.

What should the message sequence contain?
Keep the series small and make each email perform a different job. The value exchange should be specific: a preference update, a choice of content, a product reminder, a short survey or a clearly bounded offer.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Message one: make the reason to return obvious
State what has changed or what the subscriber can gain now. A former customer might see a relevant product update; a content subscriber might choose topics or frequency. Put the primary action in one clear link and include a preference-center and unsubscribe path.
Message two: reduce uncertainty
Send only to people who did not take the first action. Answer the likely objection with proof, a concise explanation of benefits or a content sample. Do not simply repeat the subject line and offer.
Final message: ask for a durable choice
Invite the recipient to confirm continued interest, select a lower frequency or leave the list. If an incentive is used, define its expiration and eligibility rather than implying a permanent discount.
Mailchimp says its most successful re-engagement emails typically re-engage about 10% of inactive subscribers. That is directional platform guidance, not a guaranteed benchmark for another list or industry. Use it as a reason to set a stop rule, not as a promise of return.

Match delay length to the way your audience normally reads and buys. A rapid sequence can work for a daily publication; a high-consideration purchase may need longer gaps. Use one clock for each track so a person does not jump from a 30-day path into a 180-day path after a minor profile update.

| Track example | Entry condition | Branch and exit guidance |
|---|---|---|
| 30-day | No activity after a frequent-send period | One reminder, then a preference or content-choice branch |
| 60-day | No activity through the first follow-up window | Test a different value proposition before the final decision |
| 90-day | Common starting point for many businesses | Use a short sequence and document the sunset rule |
| 180-day | Longer buying or publication cycle | Lead with relevance and consent confirmation rather than pressure |
| 275-day | Extended inactivity in an age-based program | Reserve for a final re-engagement or sunset path |
beehiiv provides a 90-day re-engagement template with time delays, email steps, evaluation branches, subscription-status updates and tags; its documentation allows up to 73 automation steps. More steps do not automatically improve results. Extra branches are justified only when they change the message, timing or status for a meaningful cohort.
Should I suppress subscribers who never open?
Yes, when they remain inactive after a documented final attempt and your consent policy permits suppression or unsubscribe. Never-openers should not be allowed to receive ordinary campaigns indefinitely just because they have not actively opted out.
Use a reconfirmation branch before the final status change. HubSpot describes re-engagement as a way to confirm the opt-in status of contacts who previously gave verifiable consent. Provide a preference center where people can reduce frequency or change topics, and make the opt-out action as easy as the opt-in.
Keep the suppression result separate from a temporary pause. A suppressed profile should be excluded from all promotional sends until a deliberate, compliant re-subscription occurs. A temporary pause can be used when a person chooses a lower frequency or a specific content category.
How do I protect deliverability during a win-back campaign?
Start with a small percentage of the inactive audience, watch reputation signals, and expand only when the response and complaint profile are acceptable. Adobe Campaign recommends gradual rollout, clear opt-in and opt-out controls, a preference center and pressure rules that exclude re-engagement contacts from other sends.
- Cap the number of re-engagement messages per contact and enforce a minimum gap between them.
- Hold out contacts from routine campaigns while they are in the flow.
- Monitor complaint rate, unsubscribe rate, bounce rate and domain-level delivery rather than relying on one overall average.
- Stop or narrow a track if a particular domain shows materially worse complaints or delivery.
- Do not treat an open alone as proof of renewed interest; a click, purchase or explicit reconfirmation is a stronger restoration event.
- Remove hard bounces and addresses without valid marketing permission before the first send.
Deliverability guidance can recommend safer operating practices, but it cannot guarantee a lift. Mailbox-provider filtering, list quality and message relevance still determine the result.

Choose the platform that can express your actual entry and exit rules. A tool with attractive templates but no reliable conversion exit or suppression control will create more operational risk than a simpler system with accurate segmentation.
What should I measure after the automation runs?
Report outcomes by entry cohort, lifecycle stage and receiving domain. At minimum, record delivered messages, opens, clicks, conversions, restored eligibility, unsubscribe rate, complaint rate, inactive-list size and domain-level differences.
Use a funnel that distinguishes recovery from fatigue
- Reach: contacts eligible, excluded by suppression, and successfully delivered.
- Engagement: unique opens and clicks by message and by cohort.
- Business result: purchases, renewals, registrations or another predefined conversion.
- Permission result: reconfirmations, preference changes, unsubscribes and suppressions.
- List health: change in inactive-list size and complaint or bounce movement.
Compare each track with a holdout when your platform supports one. A re-engaged contact who would have returned through normal communication should not be counted as incremental recovery without a control group.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How do I test and improve the flow?
Test one meaningful variable at a time within a cohort. Adobe Marketo Engage identifies subject-line framing, incentives and A/B split tests as useful re-engagement variables. Mailchimp recommends relevant content, automated series, polls or surveys, incentives, A/B testing and post-send actions that can unsubscribe or move contacts after the sequence.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →High-value tests
- Benefit-led subject line versus a direct preference-confirmation subject line.
- Content choice or survey versus a bounded incentive.
- Shorter delay versus the current cadence for a recently inactive cohort.
- Purchase-based exit versus click-based exit for ecommerce contacts.
- One final message versus two final messages, measured with complaint and unsubscribe rates as guardrails.
Keep the audience definition, send volume and suppression rules constant while testing copy or timing. A winning open rate that produces no clicks or more complaints is not a successful re-engagement result.

What commonly goes wrong, and how can I fix it?
| Failure mode | Why it happens | Correction |
|---|---|---|
| One 90-day rule for every subscriber | The business has different buying cycles or seasonal demand. | Create lifecycle and cadence-specific tracks. |
| Routine campaigns continue during win-back | No cross-campaign pressure rule exists. | Apply a shared suppression or exclusion flag for the enrollment period. |
| Purchasers receive the final warning | The automation checks engagement but not conversion. | Add purchase or renewal exits before every subsequent send. |
| Never-engaged contacts stay indefinitely | No final status or sunset action is defined. | Require reconfirmation, preference choice or suppression after the final attempt. |
| Open rate looks strong but list health worsens | Domain or complaint differences are hidden in the aggregate. | Report by domain and stop the affected track when complaints rise. |
| Contacts re-enter immediately | The entry segment has no cooldown or historical status. | Store the final outcome and require a new qualifying period before re-entry. |
What is the minimum launch checklist?
- Define each cohort with a documented inactivity window and business rationale.
- Exclude unsubscribed, bounced, suppressed and unpermissioned profiles.
- Write the entry trigger, delay, branch, conversion exit and final status for every path.
- Set a frequency cap and exclude enrolled contacts from ordinary campaigns.
- Include preference-center and unsubscribe controls in every message.
- Choose a small rollout audience and specify complaint, unsubscribe and delivery guardrails.
- Decide which event restores eligibility: click, purchase, reconfirmation or another measurable action.
- Schedule a review of inactive-list size, domain results and re-entry rules after the sequence ends.
What does a complete re-engagement program look like?
A durable program is a controlled lifecycle process, not a single discount email. It begins with behavior-based cohorts, uses a cadence suited to each cohort, exits on meaningful engagement or conversion, and ends with a consent-respecting status change. Reporting by cohort and domain shows whether the program is recovering valuable subscribers or merely adding volume, while suppression of persistent non-responders keeps future campaigns focused on people who still want to hear from you.
Frequently Asked Questions
Can a re-engagement flow run for subscribers in multiple countries?
Yes, but local consent language, sending times and unsubscribe requirements may differ. Use country or legal-entity properties in the entry segment and localize the confirmation and preference pages rather than assuming one global rule.
What should I do when a subscriber clicks but does not purchase?
Keep the contact out of the final-suppression path and route the click to a relevant follow-up, such as product education or a content choice. Define a separate conversion window so a delayed purchase can still count without restarting the entire automation.
How can I prevent a sunset segment from growing again after cleanup?
Add inactivity monitoring to the normal lifecycle program and set a cooldown after suppression or unsubscribe. Review new entries monthly by signup source and acquisition campaign so a problematic source is fixed instead of repeatedly cleaned.
Are incentives required to win back inactive subscribers?
No. A clear preference choice, useful content or a product update can provide the value exchange without discounting. If you test an incentive, measure margin and downstream retention alongside clicks and conversions.
