For a homelab, the right choice depends on whether you want a browser-based server wiki or a personal notes application whose files and synchronization are self-hosted. BookStack is the most natural first evaluation for structured service records because its shelves, books, chapters and pages impose a useful filing system. Wiki.js is a stronger alternative when Git synchronization and editor flexibility matter. Outline fits a genuine team knowledge base, but its extra services and external sign-in dependency add operational work. Joplin and Obsidian are better aligned with personal, local-first notes than with a shared wiki.

No app is objectively best for every homelab. The comparison below treats “self-hosted” as two different operating models, explains the trade-offs, and shows how to choose, organize, secure and back up searchable documentation without claiming installation or performance tests that were not performed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Self-hosted has two meanings here

When people ask, “Which self-hosted wiki should I use for my homelab?” they may mean one of two things:

  • A server-side wiki: you deploy an application on a server, virtual machine, NAS or container host. Every device opens the same web interface, and the server stores the canonical pages and database. BookStack and Wiki.js are examples of this model.
  • A local notes app with self-hosted synchronization: each computer or phone runs a notes application, while a separately operated service synchronizes the files or notebooks. Obsidian fits this pattern in the comparisons reviewed; Joplin can use a self-hosted synchronization backend.

The distinction changes your backup plan, offline behavior, user management and failure modes. A browser wiki is convenient for a household or team that needs one shared source of truth. A local-first vault can remain usable when the homelab is down, but synchronization conflicts and device-specific setup become your responsibility.

The evidence summarized here comes from product documentation and comparison articles dated in 2026: Joplin help accessed October 13, 2026; a self-hosting roundup updated March 15, 2026; a homelab comparison dated August 24, 2026; and another comparison dated October 8, 2026. Current releases, installation files, authentication integrations and backup procedures can change, so check each project’s live documentation before deployment.

Comparison at a glance

Application Best fit Content model Self-hosting pattern Important trade-off
BookStack Structured service documentation and runbooks Shelves → books → chapters → pages Server-side PHP application with a MySQL/MariaDB database; a comparison deployment used two containers Fixed hierarchy is consistent, but less free-form than a file vault
Wiki.js Technical wiki where Git visibility and editor choice matter Flexible wiki tree with several editor formats Server-side wiki with Git synchronization Release and maintenance status, especially the 2.x/3.0 transition, must be checked currently
Outline Multiple people editing a shared knowledge base Collections and collaborative documents Compared deployments include PostgreSQL, Redis and an external authentication provider More services and identity dependencies than a solo operator may need
Joplin Personal notes, offline use and cross-device search Markdown notes in notebooks, with tags and to-dos Desktop and mobile apps with optional self-hosted synchronization Joplin Server is described primarily as a sync backend with a limited web interface, not a team wiki
Obsidian Local-first personal vaults Files in a local vault, linked and organized by the user Desktop/mobile application plus a separately hosted sync approach, such as a CouchDB-based LiveSync plugin or file-sync service The sync layer is an additional operating model; it is not the same as deploying a web wiki

BookStack: a strong starting point for structured homelab records

BookStack’s defining feature is its fixed hierarchy: shelves contain books, books contain chapters, and chapters contain pages. That structure maps cleanly to a homelab in which you want repeatable filing rather than an ever-growing pile of pages.

How the hierarchy maps to a homelab

  • Shelves: broad domains such as Network, Compute, Storage, Security and Services.
  • Books: a device family, site, cluster or major platform inside a domain.
  • Chapters: lifecycle groupings such as Architecture, Installation, Operations, Backups and Incident history.
  • Pages: individual procedures, configuration records, diagrams, checklists or troubleshooting notes.

For example, a Storage shelf could contain a NAS book, with chapters for disk layout, shares, snapshots and recovery. A page can then document one tested procedure, such as replacing a failed disk, without competing with unrelated notes.

Deployment and identity considerations

A 2026 homelab comparison describes BookStack as a PHP application using MySQL or MariaDB and shows a two-container deployment in that comparison. Those observations describe that author’s deployment, not a permanent minimum specification. Confirm the supported PHP, database, container and web-server versions in BookStack’s current installation documentation. The same comparison describes local login, which can be simpler for a solo operator than introducing an external identity provider.

Place the application behind HTTPS, restrict administrative access, and create named accounts rather than sharing one password. Treat the database and uploaded assets as one application: backing up only the database can leave images or attachments unavailable after a restore.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Where BookStack is less suitable

A fixed tree can feel restrictive if your notes are primarily interconnected research, daily journals or rapidly changing scratch material. It also does not automatically prove that a procedure is current; you still need page owners, review dates and a change record. If Git-based review or storing documentation outside the wiki is a central requirement, evaluate Wiki.js instead.

Wiki.js: flexibility plus Git synchronization

Wiki.js is aimed at technical wiki use while allowing several editor formats and synchronization with Git. Git synchronization can give you an inspectable copy of pages and their history outside the web application, which is valuable when you want code review, offline inspection or a migration path.

Why Git sync matters operationally

  • You can inspect documentation changes with familiar version-control tools.
  • A repository provides an additional copy that is separate from the running database.
  • Text-based pages are easier to review, diff and move to another system than content trapped in a proprietary database.

Git synchronization is not a substitute for a tested restore. Verify what the integration exports, how attachments are handled, how deletions propagate and whether a repository contains secrets. Never commit passwords, private keys, API tokens or unredacted network credentials merely because a page is synchronized.

Version and maintenance uncertainty

The comparison material describes the 2.x line as stable and a 3.0 rewrite as long-running. That is time-sensitive information, not a promise about the current release. Check the project’s release page, supported runtime versions, migration notes and issue activity at the time you deploy. Pin versions deliberately, record the image or package version, and rehearse an upgrade in a disposable environment before changing the production wiki.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When Wiki.js is the better fit

Choose it when your team values editor choice, when documentation should have a visible Git representation, or when a flexible tree suits your information architecture better than BookStack’s shelves and books. Choose something else when you want the smallest possible stack or when a personal offline vault is more important than a central web site.

Outline: collaborative knowledge base with more dependencies

Outline emphasizes a modern rich-text and Markdown editing experience, collections and real-time team editing. Those capabilities make it attractive when several people are actively writing and revising the same operational knowledge base.

What the extra stack means

Comparison sources describe deployments that include PostgreSQL, Redis and an external authentication provider. Each dependency introduces configuration, upgrades, monitoring and backup scope. The identity provider is especially important: if it is unavailable or misconfigured, users may be unable to sign in even when the application and database are healthy.

When Outline makes sense

It is a reasonable choice for a household, lab group or small company that already operates identity infrastructure and genuinely needs simultaneous editing. For a solo operator who mainly records commands and service details, PostgreSQL, Redis and external sign-in can be unnecessary operational surface area.

Joplin: personal Markdown notes with offline-first access

Joplin’s official help describes a free and open-source note and to-do application with Markdown notes, notebook organization, full-text search on all platforms, offline-first behavior, desktop and mobile clients, and encrypted synchronization options.

Why it works for an individual operator

  • Notes remain available on a device when the homelab or synchronization server is offline.
  • Markdown is readable and portable outside the application.
  • Notebooks and tags can separate infrastructure areas while search finds terms across the collection.
  • Desktop and mobile clients support capturing a finding at the rack, then refining it later.

Joplin Server is described in the comparison material primarily as a synchronization backend with a limited web interface. That makes Joplin suitable for one person’s searchable notes, but it does not provide the same shared-wiki experience as a browser-first documentation platform. If multiple people need permissions, editorial ownership and simultaneous page editing, evaluate a wiki-oriented product.

Practical Joplin organization

Create notebooks for Network, Hosts, Services, Procedures and Incidents. Use consistent tags such as runbook, credential-reference, backup and deprecated. Keep secrets out of notes or store only a pointer to a dedicated secrets manager. Add the affected host, date, software version and rollback condition to each operational note so search results carry enough context.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Obsidian: a local vault with a separately hosted sync layer

Obsidian itself is a local desktop and mobile application. In the self-hosting comparison, the self-hosted portion is the synchronization approach, such as a CouchDB-based LiveSync plugin or a file-synchronization service. Installing a sync service is therefore not equivalent to deploying BookStack or Wiki.js as a central wiki.

Strengths of the vault model

  • Files remain in a local vault that you can inspect with ordinary file tools.
  • You can work during an outage and synchronize later.
  • Links between notes suit architecture maps, dependency records and incident timelines.
  • A separate sync layer lets you choose where data is stored, provided you understand its conflict and encryption behavior.

Operational costs

You must design synchronization, conflict handling, device enrollment and backup independently of the note editor. A plugin or file-sync service may change its compatibility as the application changes. Test two-device edits, attachment handling, deletions and recovery from an empty device before treating the vault as authoritative. For a team that wants one browser URL and centralized permissions, a server wiki is usually easier to explain and administer.

Adjacent options: use them for a specific workflow

Several projects are relevant but are not essential entries in a short homelab-documentation shortlist:

Project Distinctive emphasis Bring it into scope when…
AppFlowy Notion-like databases and collaboration You need database-style records rather than primarily procedural pages
AFFiNE Documents combined with a whiteboard Visual planning and spatial diagrams are central to your work
SiYuan Block editing and database views You want granular blocks and structured views inside personal notes
Trilium Personal hierarchical knowledge base You prefer a deep personal tree and do not need a team wiki’s collaboration model

For each adjacent option, verify current project activity, deployment requirements, authentication, export behavior and backup instructions. Their labels alone do not establish search quality or long-term portability.

Choose by workflow, not by a universal ranking

Use these questions in order. The answer that eliminates the most operational friction is usually more useful than a feature checklist.

1. Who must edit the documentation?

  • Only you: Joplin or Obsidian may minimize administration; BookStack remains attractive if you want a central browser interface.
  • A few household or team members: BookStack or Wiki.js provides a shared site with built-in login described by the comparisons.
  • A team editing simultaneously: Outline is worth considering if external identity infrastructure is acceptable.

2. Do you need a fixed filing system?

Choose BookStack when you want every page to have an obvious home. Choose Wiki.js when you want a more flexible tree and multiple editor styles. Choose a vault app when links, tags and local files are more natural than a canonical hierarchy.

3. Is Git a requirement?

Wiki.js is the clearest candidate among the compared wikis because Git synchronization is a highlighted characteristic. Joplin and Obsidian can support Markdown-oriented personal workflows, but their synchronization and export behavior should be verified for your exact setup. Do not infer import/export fidelity without testing it.

4. Can the lab be offline?

A server wiki depends on the host, network and authentication path being available. Joplin and Obsidian can keep local copies usable during an outage, although synchronization catches up only when the backend returns. Decide whether outage-time access is a requirement for emergency runbooks.

5. How much infrastructure will you operate?

Count the database, cache, identity provider, reverse proxy, storage volume, update process and monitoring—not just the headline application. Outline’s compared stack is more involved than a personal client plus sync backend. BookStack’s comparison deployment used two containers, but that should not be treated as a universal minimum.

Design a searchable homelab information architecture

Search works best when every note carries predictable vocabulary. Pick one naming scheme before importing years of scattered notes.

Record identity and scope

Put the service or device name, environment, physical or virtual location, owner and last-reviewed date near the top of each page. Use the exact host name and service name that appear in dashboards and logs. Include aliases only when people genuinely use them.

Separate reference, procedure and history

  • Reference: architecture, addresses, ports, dependencies and ownership.
  • Procedure: numbered steps, prerequisites, expected output, verification and rollback.
  • History: dated changes, incidents and decisions, with links to the affected reference or procedure.

This separation prevents a temporary incident workaround from being mistaken for the permanent configuration. In a hierarchy-based wiki, use chapters or books for these categories; in Joplin or Obsidian, use notebooks, tags and consistent title prefixes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Make procedures executable

Every runbook should state what the operator needs before starting, the exact command or UI path, what success looks like, and how to undo the change. Redact secrets and replace them with a reference to the system that stores them. Add a “last verified” date after a successful rehearsal.

Search and retrieval: what is known and what is not

Joplin’s official help explicitly documents full-text search across platforms. The comparative material does not provide a standardized benchmark that proves one application is faster or more accurate than another, and it does not establish whether every attachment type is indexed equally.

Evaluate retrieval in your own corpus with a small test set:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Collect ten real questions, such as “restore the media share,” “which VLAN carries cameras?” and “rotate the proxy certificate.”
  2. Write down the terms a new operator would know, including abbreviations and host aliases.
  3. Import representative Markdown, screenshots, PDFs and diagrams.
  4. Run each question from a clean account or device and record whether the correct page appears without knowing its title.
  5. Repeat after renaming a page, adding tags and archiving an obsolete procedure.

This is a local acceptance test, not a published benchmark. It reveals whether your chosen metadata and page model support the way your household or team actually asks questions.

Backups, portability and recovery

Do not call a system protected until you have restored it. The reviewed comparisons identify Git synchronization for Wiki.js and Markdown-oriented personal workflows for Joplin and Obsidian, but no import, export or restore was tested.

Build a recovery set

  • Export application data using the project’s documented method.
  • Back up the database, uploaded files and configuration separately when the application uses all three.
  • Keep at least one copy on a different storage device or host.
  • Record application, database, plugin and operating-system versions with each backup.
  • Document encryption keys and administrator recovery steps outside the application.

Perform a restore rehearsal

  1. Provision an isolated test host or virtual machine.
  2. Install the documented supported versions, not an arbitrary latest image.
  3. Restore the database and file attachments according to the project’s instructions.
  4. Check representative pages, images, links, tags, revision history and user access.
  5. Time the procedure and update your runbook with missing steps.

For a Git-backed workflow, also test a fresh clone, attachment retrieval and the behavior of a deleted or renamed page. For a local vault, test creating a new device from backup and resolving an intentional two-device edit conflict.

Size storage around your actual content: text notes consume little space compared with screenshots, exported logs, diagrams, videos and multiple backup generations. Published RAM and container figures in comparison articles are rough estimates, not sizing formulas. Measure your database growth, attachment volume and backup retention after a representative trial, then leave room for upgrades and temporary restore copies.

Operational cost also includes electricity, disks, monitoring, patching and the time required to recover from a failed host. A local-first app can reduce always-on server requirements but shifts complexity into synchronization and device management.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A practical evaluation sequence

  1. Define the audience: solo operator, household or team.
  2. List the first 20 documents: include service records, network notes, runbooks and one recovery procedure.
  3. Choose one content model: fixed hierarchy, flexible wiki, collaborative collections or local files.
  4. Deploy a disposable trial: use supported versions and isolate it from production.
  5. Test retrieval: run real questions, not vendor examples.
  6. Test failure: stop the host, lose network access and restore from backup.
  7. Test a second device or user: verify permissions, mobile access and synchronization where applicable.
  8. Write the operating runbook: upgrades, backups, restore, account recovery and decommissioning.
  9. Commit only after a restore: migrate authoritative records once the recovery path is proven.

Recommendations by homelab scenario

Solo operator building a durable service manual

Start by evaluating BookStack. Its shelves, books, chapters and pages make it difficult to lose a critical procedure in an unstructured collection. Choose Wiki.js instead if Git synchronization or editor flexibility is more important than a fixed filing system.

Solo operator who works across laptop and phone

Evaluate Joplin for its documented offline-first behavior, Markdown notes, cross-platform full-text search and encrypted synchronization options. Obsidian is an alternative when a local file vault and linked notes are the priority, provided you are willing to operate and test a separate synchronization layer.

Small team with active co-authoring

Outline is worth evaluating when simultaneous editing and shared collections are central and an external identity provider is already part of your infrastructure. If that dependency is undesirable, compare a simpler wiki deployment and accept less real-time collaboration.

Documentation treated like code

Wiki.js deserves priority because Git synchronization can expose changes and history in a repository. Keep credentials out of synchronized content and verify exactly how pages and attachments are represented before relying on the repository as a recovery copy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Bottom line

For searchable, organized homelab documentation, evaluate BookStack first when a predictable hierarchy is the main need. Pick Wiki.js when Git-backed content and editor flexibility justify its maintenance model. Use Outline for real team collaboration only when its additional services and external sign-in fit your environment. Choose Joplin or Obsidian when the requirement is primarily personal, offline-capable note taking rather than a shared browser wiki. Whichever model you select, your information architecture, metadata, backup discipline and restore rehearsal will determine whether the documentation is useful during the outage when you need it most.

Frequently Asked Questions

Which self-hosted wiki should I use for my homelab?

Evaluate BookStack first for structured service records, Wiki.js for Git synchronization and editor flexibility, and Outline when real-time team collaboration justifies its larger stack and external sign-in dependency.

What is the best self-hosted note-taking app for searchable documentation?

There is no universal winner. Joplin is a strong personal option because its official help documents Markdown notes, offline-first use, cross-platform full-text search and encrypted synchronization. BookStack is usually a better fit for a shared, structured documentation site.

Is Joplin Server a team wiki?

The comparison material describes Joplin Server primarily as a synchronization backend with a limited web interface. It is better suited to synchronizing one person’s notes than to operating a collaborative wiki.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does self-hosted Obsidian replace a wiki server?

Not directly. Obsidian is a local desktop/mobile application; self-hosting generally means operating a separate synchronization approach such as a CouchDB-based plugin or file-sync service.

How much RAM does a homelab documentation app need?

No authoritative common minimum is established here. Comparison figures are rough estimates, not requirements or benchmarks. Verify each project’s current documentation and size storage for attachments and backup retention.
