For the fastest filename lookup, use Everything. Choose Agent Ransack when you need to search inside documents, Listary when you want results directly in File Explorer or Open/Save dialogs, Flow Launcher for a keyboard-driven launcher, Fluent Search for previews and OCR, and OmniSearch for local metadata search with duplicate detection.
Windows Search remains adequate when its indexed locations and file-content support cover your needs. The right alternative depends on whether you remember a name, a phrase inside a document, a location, or a workflow command.
Best Windows Search alternative by task
| What you need | Best fit | Why it fits | Main limitation or qualification |
|---|---|---|---|
| Find a file or folder by name immediately | Everything | Fast filename indexing, instant name searches, low resource use and real-time updates | It is primarily a name-and-path finder, not a full document-content search engine |
| Find words inside PDFs, Word files or other documents | Agent Ransack | Highlighted text results, Boolean expressions, Office-format support and regular expressions | Content searching depends on supported formats and the selected folders or drives |
| Search from Explorer and Open/Save dialogs | Listary | Fuzzy matching, filters and its own real-time index, including network and shared folders | Its primary search is by filename, path or format; full-text PDF, Office and scan search is directed to companion app Gety |
| Launch apps, run commands and search with the keyboard | Flow Launcher | Open-source launcher with plugins, file search and support for both Everything and the Windows index | Its breadth comes from configuration and plugins rather than a single specialized file index |
| Combine files, apps, previews, commands and OCR | Fluent Search | Native file indexer, previews and OCR-based screen search in several distribution formats | Current behavior can vary by release; the available description is from a secondary review |
| Search local NTFS metadata and find duplicates | OmniSearch | Uses the USN Journal and MFT, keeps metadata on the device, supports syntax filters and scans for duplicates | Availability and feature behavior should be checked for the current release |
If you remember only the filename, start with Everything. If you remember a sentence, start with Agent Ransack. The other choices solve integration and workflow problems rather than simply replacing one search box with another.

The Windows index catalogs filenames, paths, metadata and text content. Microsoft says an initial indexing run can take up to a couple of hours; after completion, an indexed query can return in a fraction of a second. A slow first search therefore does not necessarily indicate a fault.
Index scope is the deciding factor. An excluded project folder, an unindexed external or network location, an unsupported document filter or a damaged index can all produce missing results. Microsoft Learn warns that once the number of indexed items grows beyond 400,000, the index database grows considerably regardless of the size of those items. Large libraries can therefore trade broader coverage for heavier maintenance.
Keep Windows Search when its indexed locations and content filters are sufficient. Before replacing it, check the locations being indexed, remove unnecessary exclusions, and rebuild the index if its database is damaged. An alternative will not find a file that it has never been allowed or configured to scan.

Use Everything when
- You want to type part of a filename and see matching paths immediately.
- You routinely search by extension, such as
.pdf,.xlsxor.zip. - You want a lightweight index focused on names and locations rather than document text.
- You need changes to appear quickly as files are created, renamed or deleted.
What it does not replace
Everything is not the best first choice when the filename is unknown and the only clue is a phrase inside a document. Use Agent Ransack or the content capabilities of another tool for that case. It also does not automatically solve an indexing exclusion in Windows Search; it maintains its own filename index and should be configured to include the volumes you need.
Agent Ransack: search inside documents
Agent Ransack is a free file-search utility for PCs and network drives. It is designed for the question, “Which file contains this word or sentence?” rather than simply “What is this file called?”
Content-search features
- Highlights matching text in result previews, making it easier to verify the right file.
- Supports Boolean AND, OR and NOT expressions for combining or excluding terms.
- Supports Office formats and Perl-compatible regular expressions for structured or pattern-based searches.
- Can export and print results and has a native 64-bit build.
- Supports Windows 10 and higher.
Licensing and edition choice
The Lite mode is free for personal and commercial use. Professional mode adds optional paid features. Select the Lite mode when ordinary filename and text searches meet your needs; consider Professional only when one of its additional features solves a specific workflow requirement.
How to search a phrase
- Open Agent Ransack and select the drive or folder to search, including a network location if required.
- Enter the phrase or terms in the text-content field rather than only the filename field.
- Choose the file types to include when you know the likely format, such as Word or PDF, to reduce scanning time.
- Use Boolean operators for combinations such as
budget AND 2026, or a regular expression when a pattern matters more than an exact phrase. - Open the highlighted result to confirm context, then export or print the result list if you need a record.
Listary: search inside Explorer and file dialogs
Listary is built around the places where Windows users already choose files. Its documentation says searches can complete within 0.01 seconds and show results as you type. It offers fuzzy matching, filters by file type and modification date, and real-time indexing for network drives or shared folders.

Listary primarily searches by filename, path or format and uses its own index instead of the Windows index. That separation can help when Windows indexing is incomplete, but it also means you should configure Listary’s locations separately.
Full-text limitation
For full-text searches of PDFs, Office documents or scanned files, Listary directs users to its companion app Gety. Choose Listary for fast navigation and dialog integration; choose Agent Ransack when the central task is searching document text.
Interpreting Listary’s speed figures
Listary’s 2026 vendor benchmark used about 3 million files. It reports 0.039 seconds for Listary V7 file-search results, compared with 0.040 seconds for Everything in the comparable search window, and reports a seven-second index build time. These are vendor test results for the stated setup, not an independent universal speed test. Your drive type, file count, network latency and index configuration can produce different results.
Flow Launcher: keyboard-first search and launching
Flow Launcher combines file search with application launching, settings lookup, command execution and community-made plugins. Its official repository describes quick file and app search, content searching, and support for both Everything and the Windows index.

Why it suits a launcher workflow
- Press a keyboard shortcut, type a query and choose a file, application, setting or command without opening File Explorer first.
- Add plugins for specialized searches or services when the built-in result types are not enough.
- Use Everything as the filename provider or the Windows index when indexed content is more important.
The official site lists Flow Launcher as free and open source and identifies version 2.1.4, dated September 20, 2026, for Windows 10 and later. Plugin quality and behavior can vary, so enable only extensions you trust and remove ones you no longer use.
Fluent Search: previews, OCR and a broad interface
Fluent Search targets users who want files, apps, commands and visual context in one interface. Windows Central reports that it uses a native file indexer, provides previews and offers OCR-based screen search.
It is distributed as an installer, a portable x64 or ARM64 build, and a Microsoft Store version. The portable option can be useful on systems where you do not want a conventional installation, while the Store or installer route may be simpler for managed updates.
Recommended Free Tools
Because the cited feature description comes from a secondary review rather than a primary specification, verify the current release’s OCR behavior, supported formats and indexing controls before depending on a version-specific feature.

OmniSearch: local metadata search and duplicate detection
Windows Central reports that OmniSearch indexes NTFS metadata through the USN Journal and Master File Table (MFT). Metadata remains on the device, syntax filters refine queries, and a duplicate-file scan helps identify redundant copies.
When OmniSearch is the better fit
- You want a modern search interface centered on local metadata rather than cloud processing.
- You need syntax-based filters for narrowing large collections.
- You want duplicate detection in the same utility as file search.
Those features are distinct from full-text indexing: metadata can tell you a file’s name, path, dates and other filesystem information without reading every word in its contents. Current availability and behavior should be checked before deployment because the cited feature account is secondary.
Detailed comparison
| Tool | Primary index or method | Filename speed focus | Full-text search | Explorer or dialog integration | Launcher and automation | Privacy and resource notes | Windows support or licensing stated |
|---|---|---|---|---|---|---|---|
| Windows Search | Windows index of names, paths, metadata and text | Fraction-of-a-second results after indexing | Yes, for supported indexed content | Built into taskbar and File Explorer | Taskbar and system search | Index size grows considerably beyond 400,000 items | Built into Windows |
| Everything | Fast filename index with real-time updating | Core strength; name and path lookup | Not its main purpose | Separate search interface | Not its primary role | Designed for minimal resource use | Windows support details not stated in the cited description |

Choose in this order
- Know the filename or extension? Install Everything. It minimizes the time between typing and seeing a path.
- Know a phrase inside a file? Use Agent Ransack and select the exact folders, drives and formats that may contain it.
- Want to type while browsing or saving? Choose Listary for Explorer and Open/Save dialog integration.
- Want one keyboard box for files, apps and commands? Choose Flow Launcher, then select Everything or Windows indexing as its file provider.
- Need previews or OCR as part of search? Evaluate Fluent Search and confirm that the current release supports the formats and OCR workflow you require.
- Need local metadata queries and duplicate cleanup? Evaluate OmniSearch, especially for NTFS volumes where its USN Journal and MFT approach applies.
- Missing files in every tool? First verify the folder exists, the drive is connected, permissions allow access, and the selected tool includes that location. Do not assume a new interface will repair an unavailable path.
Set up a faster and more reliable search workflow
1. Diagnose Windows Search before replacing it
- On Windows 11, open Settings > Privacy & security > Searching Windows. On Windows 10, open Settings > Search > Searching Windows.
- Review the indexed locations and exclusions. Add the folders where you actually keep work, downloads or archives, and remove broad locations that create noise.
- Open Advanced indexing options, inspect the indexed locations and file types, and use the rebuild control only when ordinary changes do not correct missing results.
- Allow the initial index to finish; Microsoft says this can take up to a couple of hours. Test a known filename and a known document phrase separately.
2. Keep search scopes deliberate
Indexing every archive, build folder and network share can enlarge the database and increase background work. Start with active folders, then add cold storage or shared locations only when the faster retrieval is worth the maintenance.
3. Test one representative query per tool
- Use a distinctive filename with an extension to test name indexing.
- Use a distinctive sentence in a Word or PDF document to test full-text support.
- Rename or move a test file and confirm how quickly the new path appears.
- Disconnect a network share, reconnect it, and verify whether the tool reindexes it as expected.
This small test separates a genuinely fast search engine from a tool that is merely displaying an incomplete index.
4. Avoid overlapping background indexes without a reason
Running Windows Search, Everything, Listary and another indexer over identical large volumes can increase disk activity and storage use. Overlap is reasonable when each tool has a distinct job—for example, Everything for names and Agent Ransack for occasional content scans—but disable or narrow unused scopes.
Troubleshoot common failures
| Symptom | Likely cause | Action |
|---|---|---|
| A known file never appears in Windows Search | Folder excluded, drive not indexed, permissions issue or damaged index | Check Searching Windows and Advanced indexing options, add the location, then rebuild if the index is damaged |
| First search is slow but later searches are fast | Initial indexing or cache warm-up | Allow indexing to complete and avoid judging performance during the first pass |
| Filename search is instant but document text is missing | The chosen tool indexes names only, or the file type lacks a content filter | Use Agent Ransack for supported content formats or enable the appropriate Windows content filter |
| Network files are absent | The network or shared folder is outside the tool’s scope, offline, or not permitted | Reconnect the share and configure that location in the selected tool; Listary specifically documents real-time indexing for network and shared folders |
| Too many irrelevant results | Scope is too broad or the query lacks filters | Restrict folders, add an extension or date filter, or use Boolean and syntax filters where supported |
| Duplicate files are hard to identify | Search results show separate paths without duplicate analysis | Use OmniSearch’s reported duplicate scan or a dedicated duplicate tool, then verify files before deletion |
Privacy, licensing and maintenance decisions
- Local versus indexed content: Windows Search and Agent Ransack work with local indexes or scans. OmniSearch’s reported metadata index stays on the device. Confirm each application’s current telemetry and update policy before using it with sensitive data.
- Free does not mean identical: Agent Ransack Lite is free for personal and commercial use, while Professional adds paid features. Flow Launcher is described as free and open source. The cited material does not establish equivalent licensing terms for every other option.
- Portability: Fluent Search is reported to offer portable x64 and ARM64 builds as well as installer and Store versions. Portability can simplify testing on a secondary machine, but it does not automatically include another computer’s indexes.
- Index health is ongoing: Keep scopes narrow enough that updates finish promptly. Large collections—particularly beyond Microsoft’s 400,000-item threshold—need more deliberate indexing choices.
A practical two-tool setup
Many users get the best balance by pairing tools instead of forcing one program to do everything. Use Everything as the always-available filename finder, then open Agent Ransack only for content searches. If you work mostly in dialogs, substitute Listary for the filename layer. If your keyboard launcher is central to your workflow, let Flow Launcher call Everything and Windows Search as appropriate. This arrangement keeps instant name lookup separate from slower, more expensive text scanning.
