The right email client in 2026 depends less on how many accounts it can add than on what happens when you need offline mail, provider-specific authentication, local archives, privacy controls, or a reliable escape from browser email. Our shortlist covers the strongest choices for Windows, Mac, mixed-device households, power users, privacy-focused users, and people who simply want a cleaner inbox.

One important correction for Windows users: the old Mail, Calendar, and People apps are no longer supported. Microsoft ended support on December 31, 2024, and recommends new Outlook or Outlook.com instead.

Quick comparison

Client Best for Platforms Main drawback
New Outlook Microsoft 365 and Windows users Windows Still lacks full classic Outlook parity
Apple Mail Mac users who want system integration macOS Some category features vary by region
Thunderbird Power users, local control, and customization Windows, macOS, Linux More setup and profile-management responsibility
Spark Managing several accounts with a modern workflow Windows, macOS, iOS, Android Some AI and collaboration features are restricted
eM Client Advanced search, automation, and an Outlook-style desktop app Windows and macOS Some capabilities depend on the account type or paid tier
Gmail Users who prefer a browser-based client Web Offline mode has browser and storage limitations
Proton Mail Privacy-conscious Proton subscribers Windows, macOS, Linux, web Third-party client access requires a paid Bridge subscription

1. New Outlook for Windows: best for Microsoft accounts

New Outlook is the default direction for Windows email, and it is the sensible first choice if your work or personal life already revolves around Microsoft 365, Outlook.com, or Exchange Online. It also accepts Gmail, iCloud, Yahoo, IMAP, and POP accounts, so it is not limited to Microsoft mailboxes.

The problem is that it is not simply classic Outlook with a new interface. Microsoft’s April 2026 comparison still lists partial or missing support for several features. On-premises Exchange, offline use, and PST files are only partially available. Multiple mail profiles and LDAP are listed as upcoming, while network-share file access and custom forms are not supported. Notes and some delegate scenarios also do not have complete parity.

That distinction matters if you depend on a large local archive, PST workflows, custom forms, or a business server hosted inside your organization. In those cases, classic Outlook may remain necessary for now.

Useful 2026 improvements

  • Shared-mailbox online archive access was added in March 2026.
  • More Search Folder types are available, with Search Folder configuration under Settings.
  • Offline storage now defaults to 30 days of email rather than seven.
  • Offline Search Folders and offline undo-send were added.
  • PST messages can now be replied to and forwarded, although PST support remains incomplete.

To configure offline mail, open Settings > General > Offline, enable offline access, and choose how much email to save. To remove Copilot, use Settings > Copilot > Copilot control, then turn off Turn on Copilot control.

Choose it if: you want the most direct Windows and Microsoft 365 integration and do not rely on classic Outlook-only features.

2. Apple Mail: best for Mac owners

Apple Mail is the best default client for many Mac users because it is already integrated with macOS and supports iCloud, Gmail, Microsoft Exchange, Yahoo, AOL, school accounts, work accounts, and other providers. Its strengths are not a huge extension ecosystem or an unusual interface; they are low friction, reliable system integration, and useful features that stay out of the way.

In macOS Tahoe, Mail includes categories for Primary, Transactions, Updates, and Promotions. Categories are not available in every country or region. A time-sensitive message in Transactions, Updates, or Promotions can also appear in Primary. If Mail classifies a sender incorrectly, Control-click a message, choose Categorise Sender, and select the correct category. That change applies to current and future messages from the sender.

Features worth using

  • Send Later: click the button beside Send, select a preset, or choose a custom date and time. Scheduled messages appear in the Send Later mailbox.
  • Remind Me: select a message, swipe right with two fingers on a trackpad or Control-click it, then choose Remind Me.
  • Smart Mailboxes: use Mailbox > New Smart Mailbox to create saved views based on criteria.
  • Undo Send: go to Mail > Settings > Composing and change the undo-send delay. Apple documents a default period of 10 seconds.

Do not confuse Undo Send with recalling an email after delivery. It is a delay before transmission. Also, some mail servers reject a message if even one recipient address is invalid; remove or correct the bad address before trying again.

Choose it if: you use a Mac, want built-in scheduling and reminders, and do not need a heavily customized cross-platform client.

3. Thunderbird: best free power-user client

Thunderbird remains the strongest option for users who want a full desktop client without being tied to one company’s ecosystem. It runs on Windows, macOS, and Linux, supports multiple providers, and gives you substantial control over accounts, folders, profiles, filters, and local data.

Thunderbird Desktop 152.0 was released on June 16, 2026. It requires Windows 10 or later, macOS 10.15 or later, or Linux with GTK+ 3.14 or newer. The release updated Gmail OAuth to use PKCE and fixed Microsoft OAuth2 cases involving HTTPS localhost redirects. It also addressed Microsoft 365 and Exchange problems, including deleting more than 1,000 messages at once, missing EWS messages, and forwarding or redirecting Exchange messages failing with NS_ERROR_OUT_OF_MEMORY.

Authentication is the main area where old advice can mislead. If a Gmail or Microsoft account refuses a password that you know is correct, the issue may be OAuth setup rather than the password. Test with the current release and complete the provider’s browser-based sign-in flow instead of relying on legacy password instructions.

Release or ESR?

Mozilla maintains separate Release and ESR channels. Release receives features and fixes approximately every four weeks. ESR favors longer-term stability and changes features less frequently. Choose Release for newer functionality; choose ESR for a managed work computer or a setup where predictable updates matter more.

Back up the Thunderbird profile before a major upgrade or migration. The profile contains messages, passwords, preferences, and other user data. A client that gives you local control also gives you responsibility for protecting that local data.

Choose it if: you want customization, Linux support, local profiles, or a powerful free desktop client.

4. Spark: best for a modern multi-account workflow

Spark is aimed at people who have several inboxes and want triage tools rather than a traditional folder-heavy experience. Its free plan includes multiple accounts, Unified Inbox, Smart Inbox, Smart Notifications, search, snooze, reminders, and scheduled sending. Paid plans add AI, templates, integrations, and collaboration features.

Spark Desktop supports macOS 12 or later and 64-bit Windows 10 or later. Mobile apps are available for iOS and Android. Spark recommends no more than 10 added email accounts in a Spark Account. It supports Gmail, iCloud, Yahoo, Exchange, Outlook, Kerio Connect, and other IMAP or EWS accounts.

There is one setup detail to understand: the first account you add becomes the account’s Email for Sync. Spark uses that account to synchronize settings, added accounts, and related configuration across devices. For iCloud, you need an Apple app-specific password rather than your normal Apple Account password.

AI and recent desktop changes

Spark +AI is disabled by default and can be managed through App settings > Spark +AI. Its AI Assistant is unavailable in mainland China, does not work on Intel Macs, and may be disabled on Windows or Android devices that fail Spark’s hardware speed test. AI history also varies by plan: one month on Free, one year on Plus or legacy Premium, and unlimited email history on Pro.

Spark Desktop 3.27.5 added customizable preview-line counts in Split View, avatar display controls, a Check New Email button, a Recently Seen folder containing the last 10 opened emails per account, and custom times for Snooze, Send Later, and Reminders. On Mac, enable its sharing extension through System Settings > General > Login Items & Extensions > Sharing, then turn on Spark Desktop.

Choose it if: you want a polished Unified Inbox and quick triage tools across desktop and mobile.

5. eM Client: best for search and automation

eM Client is a strong middle ground between a conventional Outlook-style application and a modern productivity client. Version 10 includes AI-generated messages and replies, summaries, proofreading, translation, tone changes, category tabs, and configurable automation rules.

Its search syntax is particularly useful when a normal keyword search becomes too broad. For example:

google -alert

excludes a term, while:

from:google subject:-alert

excludes “alert” from the subject. You can exclude an entire search section with:

from:google -subject:alert

For an OR search across different fields, use curly braces:

{from:Tom subject:party}

Category behavior depends on the provider. Gmail categories synchronize from Gmail’s server; other accounts use eM Client’s own classification algorithm.

The latest Windows build listed in the release history is 10.4.5642.0, released July 21, 2026. It restored animated GIFs using Klipy instead of Tenor and added a workaround for a new Outlook/Exchange bug that could create blank emails in Outlook.

Be careful when reading announcements about eM Client 11. Natural-language search, message pinning, AI summaries, Matrix chat support, and macOS Spotlight support are identified as upcoming or in development, not general stable-release features.

Choose it if: you need structured search, rules, provider integrations, and a familiar desktop productivity layout.

6. Gmail web: best if you want no desktop installation

Gmail remains a capable email client in a browser, particularly for users who live in Google Workspace. It has dependable search, labels, filters, scheduling, and account access from almost any computer. It is also the easiest choice when installing software is not practical.

To schedule a message, click Compose, write the email, click the arrow beside Send, and select Schedule send. Scheduled messages appear under Scheduled. Gmail allows up to 100 scheduled emails. To cancel one, open it and select Cancel send; Gmail turns it back into a draft. Delivery can occur a few minutes after the selected time, and Gmail uses the time zone in which the message was scheduled.

Undo Send is configured under Settings > See all settings > General > Undo Send. The cancellation period can be set to 5, 10, 20, or 30 seconds, followed by Save changes. It is not a recall after delivery, and it cannot undo a message sent through Apple Mail or Outlook.

Offline limitations

Gmail offline works only in a Chrome window that is not in Incognito mode. Offline messages sit in a new Outbox folder and send when connectivity returns. Attachments cannot be previewed offline, and each signed-in account must be configured separately. Gmail also uses available browser storage, which may be considerably smaller than the free space on your computer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose it if: you prefer browser access and Google’s search and labeling system over a traditional desktop application.

7. Proton Mail: best for privacy-focused users

Proton Mail is the specialist choice on this list. Its desktop app is available for Windows, macOS, and Linux, although the Linux version is beta. Proton lists Windows 10, macOS 12.0, and Ubuntu 20.04 LTS as minimum requirements. Paid Proton Mail subscribers can use the desktop app, while free users receive a 14-day trial.

Proton says its desktop and web apps provide the same Proton Mail and Calendar features and protections, with email and events synchronized between them. Messages do not load images by default, which helps protect against tracking pixels.

Search illustrates the privacy trade-off. Proton’s message-content search uses a browser-created local index. To enable it, click the Search messages box, click Enable, then confirm by clicking Enable again. Advanced search syntax cannot search message content; Proton says content search must be disabled when using advanced syntax.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Proton Mail is not automatically compatible with every third-party email program. Paid subscribers can use Proton Mail Bridge, which exposes local IMAP and SMTP connections for clients such as Outlook, Thunderbird, and Apple Mail while retaining Proton’s encryption model.

Choose it if: privacy, tracker protection, and Proton’s encrypted ecosystem matter more than universal client compatibility.

How to choose the right email client

  1. Start with your provider. Microsoft 365 users should test Outlook; Proton users need the Proton app or Bridge; Google users can choose Gmail, Thunderbird, Spark, or eM Client.
  2. Check your operating system. Thunderbird is the broadest desktop choice. Apple Mail is limited to Mac, while new Outlook is primarily the Windows choice.
  3. List must-have features. PST archives, on-premises Exchange, offline folders, scheduled sending, Smart Mailboxes, rules, or advanced search can eliminate otherwise attractive options.
  4. Test authentication, not just sending. Add every account, complete OAuth sign-in, send a message, receive a reply, and confirm folders and contacts synchronize correctly.
  5. Test failure recovery. Disconnect Wi-Fi, search old mail, queue a message, reconnect, and confirm what happens. Also test an invalid recipient and a large attachment.
  6. Decide how much local data you want. Desktop profiles and offline caches are useful, but they need backups. Browser clients reduce local maintenance but depend more heavily on the web service.

Common problems to check before switching

  • Outlook.com IMAP fails: enable IMAP under Settings > Mail > Forwarding and IMAP, use OAuth2, and verify the documented servers: IMAP outlook.office365.com:993 with SSL/TLS, POP outlook.office365.com:995 with SSL/TLS, and SMTP smtp-mail.outlook.com:587 with STARTTLS. If Microsoft flags a new client, visit account.live.com/activity, find the IMAP session, select This was me, and retry.
  • Gmail or Microsoft sign-in fails in Thunderbird: update Thunderbird and use the OAuth browser flow. Older password-based setup guides are often wrong.
  • Apple Mail will not send: check every recipient address. One invalid address can cause the server to reject the whole message.
  • Scheduled mail is missing: look in the client’s scheduled area—Apple Mail uses Send Later, Gmail uses Scheduled, and a cancelled Gmail message returns to Drafts.
  • Offline mail is incomplete: check the client’s cache settings. New Outlook saves 30 days by default; Gmail offline is limited by Chrome storage and does not preview attachments.

FAQ

What is the best email client for Windows in 2026?

New Outlook is the best general choice for Microsoft 365, Outlook.com, Gmail, iCloud, Yahoo, IMAP, and POP accounts. Thunderbird is the better choice if you need more customization, local control, Linux support, or fewer ties to Microsoft. Classic Outlook may still be required for PST-heavy workflows, on-premises Exchange, custom forms, or other features that new Outlook only partially supports.

Is Windows Mail still available and supported?

No. Microsoft ended support for Windows Mail, Calendar, and People on December 31, 2024. Those apps can no longer send or receive email or events. Microsoft directs users to new Outlook or Outlook.com.

Which email client is best for privacy?

Proton Mail is the strongest privacy-focused option in this comparison. Its apps do not load message images by default, and paid subscribers can use Proton Mail Bridge with third-party clients. Bridge is required for access from clients such as Thunderbird, Outlook, or Apple Mail.

Is Gmail Undo Send a recall feature?

No. Gmail Undo Send delays final transmission for 5, 10, 20, or 30 seconds. After that window, it cannot recall a delivered message. Email sent through Apple Mail or Outlook must be undone in that client, if its own undo window is still open.

The Bottom Line

Our overall picks: choose new Outlook for Microsoft-centered Windows work, Apple Mail for a straightforward Mac setup, Thunderbird for power users and local control, Spark for multi-account triage, eM Client for search and automation, Gmail for browser-first access, and Proton Mail for privacy.

Before migrating, test authentication, offline behavior, folders, archives, scheduled messages, and recovery from a failed send. Those practical details reveal more than an attractive inbox screenshot—and they are where the differences between these clients become important.
