There is no single best document management system for every organization. For most companies already using Microsoft 365, Microsoft SharePoint is the best place to start. Box is the stronger standalone choice for secure external collaboration, M-Files is the better specialist option for metadata-driven document control, and Google Workspace is the natural fit for Google-native teams.

Organizations centered on scanning, OCR, forms, invoices, and approvals should also evaluate DocuWare or Laserfiche. Adobe Acrobat is excellent for PDF editing and signatures, but it is usually a companion to a document repository rather than a complete enterprise document-management system.

The recommendations below are fit-based judgments from current official product and pricing information supplied for this comparison. They are not based on independent uptime tests, migration tests, measured search benchmarks, or hands-on user-satisfaction surveys. Before buying, run a proof of concept using your own documents, permissions, workflows, and migration sample.

What document management software should do

A document management system is more than a place to upload files. A useful system should help your organization answer five questions:

  1. What is this document? It should support names, metadata, document types, classifications, and searchable content.
  2. Which version is authoritative? Version history, approval states, and sometimes check-in/check-out controls prevent people from working from obsolete copies.
  3. Who may access it? Permissions should reflect teams, roles, projects, customers, and external-sharing rules.
  4. What happens next? Workflows can route documents for review, approval, signature, retention, or follow-up.
  5. What must be retained or deleted? Retention, audit, records, legal-hold, and recovery requirements should be defined before implementation.

Cloud file storage can handle some of these needs, especially collaboration and version history. A more specialized DMS becomes valuable when the organization needs consistent metadata, OCR, approval routing, auditability, repository-wide search, records controls, or document processes that span multiple systems.

1. Microsoft SharePoint: best overall for Microsoft 365 organizations

SharePoint is the best first choice when a company already pays for Microsoft 365 and wants a controlled internal document repository. It works with Microsoft Teams, Office applications, OneDrive, Power Automate, and Microsoft Purview, reducing the need to introduce another core content platform.

SharePoint document libraries can be organized with metadata, content types, navigation, permissions, coauthoring, and version history. Microsoft also documents content approval and check-in/check-out controls for organizations that need a more formal document lifecycle. Version history can be configured at the site and library level, and administrators have controls for limiting or automatically trimming stored versions.

The SharePoint implementation risk

SharePoint is highly configurable rather than turnkey. That flexibility is an advantage only when the organization makes deliberate decisions about sites, libraries, metadata, content types, permissions, navigation, naming, versioning, and retention.

A common failure pattern is creating a separate site or folder for every team and project without a wider information architecture. Another is assigning permissions directly to individual files or creating many overlapping security groups. Both approaches can make search, access reviews, and administration harder. This is a buyer-risk inference from SharePoint’s broad configuration model, not a claim based on independent hands-on testing.

How to evaluate SharePoint

Build one representative library before committing to a large migration. In the library’s settings, test versioning, content approval, checkout behavior, metadata columns, content types, sharing permissions, and search. Then test the same document from Teams, Office, and OneDrive to confirm that users understand where the authoritative copy lives.

Choose SharePoint when: Microsoft 365 is already the center of your work and you are willing to invest in governance and information architecture.

Look beyond SharePoint when: external client collaboration, complex capture, repository-spanning metadata, or a more turnkey experience is the primary requirement.

2. Box: best standalone cloud content-management platform

Box is a strong vendor-neutral alternative for organizations that want cloud content management without making one office suite the center of the repository. It is especially compelling when employees regularly exchange documents with clients, contractors, agencies, suppliers, or other external collaborators.

Box business plans include unlimited storage, Microsoft 365 and Google Workspace integrations, external collaboration, version history, e-signature capabilities, and administrative controls. Higher tiers add capabilities such as advanced workflows, security classifications, threat detection, compliance support, content portals, and Box AI features.

Box pricing to verify before buying

The current U.S. pricing information supplied for this comparison lists Box Business at $20 per user per month when billed monthly or $15 per user per month with annual billing. Business Plus is listed at $33 monthly or $25 with annual billing, while Enterprise is listed at $47 monthly or $35 with annual billing. The plans have a three-user minimum.

These figures are plan-, region-, promotion-, and billing-dependent and should be rechecked before publication or procurement. Do not compare Box’s entry-level price with a competitor’s highest governance tier. Confirm whether security classifications, threat detection, AI usage, data residency, compliance features, workflow capacity, and content portals are included in the specific package you need.

Choose Box when: secure external sharing, client portals, cross-application integration, and a platform independent of Microsoft or Google are central to the purchase.

Look beyond Box when: the organization needs unusually deep records management, highly specialized capture workflows, or a platform designed primarily around metadata rather than folders and collaboration.

3. M-Files: best metadata-driven document management system

M-Files is the specialist option for organizations that do not want document control to depend mainly on folder location. Instead, users can find and manage documents through properties such as document type, project, customer, status, owner, or other business metadata.

Its published capabilities include search across title, content, and metadata; version control; automated workflows; metadata-driven permissions; OCR; Microsoft 365 and Teams integration; connections to external repositories; advanced search; electronic-signature integrations; document comparison; and AI-assisted metadata and classification features.

Why metadata can matter more than folders

Folders force a document into one apparent location. Metadata allows the same document to be discovered through multiple business views. For example, a contract could be associated with a customer, project, contract type, expiration date, responsible employee, and approval status without requiring duplicate copies in separate folders.

That approach is particularly useful for engineering and construction organizations, professional-services firms, quality systems, regulated operations, and businesses that need to search across more than one repository.

M-Files trade-offs

M-Files is not simply a better shared drive. The organization must agree on its metadata model, ownership rules, classifications, permissions, workflow states, and integrations. Employees also need to understand why a document’s properties matter and how those properties affect search and automation.

M-Files pricing and packaging are generally sales-led. Require a use-case-specific demonstration rather than accepting a generic feature tour. Ask the vendor to model your document types, external repositories, OCR requirements, approval paths, electronic signatures, and migration sample.

Choose M-Files when: metadata, OCR, workflow, document comparison, connected-repository search, and process control matter more than a simple folder experience.

4. Google Workspace and Drive: best Google-native collaborative option

Google Workspace is the natural starting point for organizations that work primarily in Gmail, Google Docs, Sheets, and Meet. Shared drives provide a team-owned location rather than making important business documents dependent on one employee’s My Drive.

Google’s current business-edition information lists 2 TB of pooled storage per user and shared drives for Business Standard. Business Plus adds 5 TB per user, eDiscovery, Vault, and enhanced management controls. Google also lists advanced document versioning and management capabilities among its business-edition features.

Google Workspace pricing to verify

The U.S. annual-plan pricing supplied for this comparison lists Business Starter at $7 per user per month, Business Standard at $14, and Business Plus at $22. Flexible plans are higher. The pricing page also displays temporary promotional pricing through October 2026, so promotional figures should not be used as the durable comparison baseline.

Check the exact edition, storage model, Vault availability, administrative controls, data-region requirements, and retention needs. A team that only needs collaborative editing may be well served by shared drives. A regulated organization with complex records requirements may need Google Enterprise controls, third-party tools, or a specialist DMS.

Choose Google Workspace when: browser-based collaboration and a Gmail- and Google Docs-centered workflow are more important than specialized document-capture or records-management features.

Look beyond Google Workspace when: scanning, OCR, complex approval routing, highly customized metadata, or cross-repository document control is the central problem.

5. DocuWare and Laserfiche: investigate for capture-heavy workflows

DocuWare and Laserfiche deserve a serious evaluation when the problem begins with paper, forms, invoices, OCR, approvals, or departmental automation rather than ordinary file sharing.

These platforms are relevant to processes such as:

  • Scanning and indexing paper records
  • OCR-based invoice and form processing
  • Approval routing
  • Automated document classification
  • Records and departmental workflows
  • Reducing manual data entry around recurring document processes

For this use case, document capture software may deliver more value than adding another general-purpose cloud drive. However, exact pricing, deployment options, integrations, industry modules, workflow limits, and feature availability should be verified directly with each vendor. Both products can overlap with SharePoint, Box, or another repository, so the evaluation should clarify which system stores the authoritative record and which system orchestrates the process.

Choose this category when: documents arrive through scanners, email, forms, or invoices and the main goal is to classify, extract, route, approve, and retain them.

Do not choose based only on: an OCR demonstration using clean sample pages. Test handwritten fields, skewed pages, stamps, multi-page packets, duplicate invoices, exceptions, and the human review process.

6. Adobe Acrobat: best PDF and e-signature companion

Adobe Acrobat is strongest when the work centers on PDFs and document transactions. It supports PDF creation and editing, redaction, collaboration, tracking, e-signature workflows, reminders, routing, and signature-status reporting.

Adobe describes integrations with Microsoft 365, Salesforce, Workday, SAP, Teams, SharePoint, and other enterprise systems. That makes Acrobat useful alongside SharePoint, Box, Google Drive, or a specialist DMS. A team could store controlled documents in SharePoint, edit or redact a PDF in Acrobat, route it for signature with Acrobat Sign, and keep the completed document in the repository.

Acrobat should not automatically be treated as the organization’s full document-management system. It is usually the PDF and signature layer, while the repository handles broader storage structure, metadata, permissions, retention, discovery, and document lifecycle governance.

Choose Acrobat when: PDF editing, redaction, signatures, document tracking, and transaction workflows are the immediate problem.

Add a repository when: the organization needs a durable system of record for many document types, not just PDFs moving through a signature process.

How to choose the right system

Start with the organization’s dominant workflow, not the longest feature list.

Buyer checklist: define these requirements before comparing licenses

A feature checklist is not enough. Write down the operating rules that the software must support:

  • Document classes: policies, contracts, invoices, drawings, personnel records, customer files, project documents, or other categories.
  • Ownership: who owns each class, who approves it, and who is responsible when an employee leaves.
  • Metadata: required fields, controlled values, document types, project identifiers, customer identifiers, status, and expiration dates.
  • Access groups: departments, projects, regions, confidential categories, external users, and temporary collaborators.
  • External sharing: whether guests may download, edit, forward, reshare, or access a document after a set date.
  • Naming standards: keep names useful, but do not expect filenames alone to replace metadata.
  • Versioning: how drafts, published versions, major versions, and superseded documents should behave.
  • Approval states: draft, in review, approved, rejected, expired, archived, or withdrawn.
  • Retention: how long each document class is retained and what happens at the end of that period.
  • OCR and capture: which paper, email, form, invoice, or image-based files must become searchable.
  • Integrations: Microsoft 365, Teams, Google Workspace, CRM, ERP, accounting, HR, e-signature, scanners, and line-of-business systems.
  • Audit requirements: which access, changes, approvals, downloads, shares, and deletions must be recorded.
  • Migration scope: current file shares, duplicate files, obsolete records, unsupported formats, permissions, and historical versions.
  • Recovery expectations: backup, restoration, accidental deletion, ransomware response, and business continuity responsibilities.
  • Adoption: training, ownership, support, governance meetings, and a process for handling exceptions.

Run a proof of concept before signing a long-term contract

Use a representative sample rather than a vendor-provided collection of perfect documents. A useful pilot should include ordinary documents, sensitive files, large files, PDFs, spreadsheets, duplicate versions, scanned pages, documents with unusual names, and records with different retention needs.

  1. Model the structure: create the proposed sites, libraries, shared drives, folders, or metadata classes.
  2. Test permissions: verify employee, manager, administrator, guest, contractor, and former-employee scenarios. Confirm that users cannot discover or share documents outside their role.
  3. Test search: search by filename, full text, metadata, document type, customer, project, and status. Include OCR documents and deliberate misspellings where relevant.
  4. Test version control: edit a document, restore an earlier version, approve it, reject it, and determine which copy users see by default.
  5. Test workflows: submit a document for review, create an exception, change the approver, reject it, approve it, and confirm that notifications and audit records are understandable.
  6. Test external collaboration: share with a guest, expire access, revoke access, download a copy, and inspect the audit trail.
  7. Test integrations: open and save documents from the applications employees actually use, not only from the DMS web interface.
  8. Test migration: load a realistic sample from the existing file share and confirm that metadata, permissions, versions, links, and filenames survive the process.
  9. Measure administration: record how long it takes to create a library, add a user, change a policy, recover a deleted file, and answer an access question.
  10. Ask users to complete real tasks: find the current policy, locate a customer contract, submit a draft for approval, and share a controlled copy with an outside party.

The most important result is not whether every feature works in isolation. It is whether employees can find the right document, understand its status, and use it without bypassing the system.

Digitizing paper records: the hardware matters too

Software cannot organize paper until the paper becomes a reliable digital file. For a large backlog, choose a duplex scanner with an automatic document feeder and OCR support, then verify that it can send files to the destinations and applications in your proposed workflow.

The Epson ES-580W is one example of a duplex document scanner with OCR. The supplied specifications list duplex scanning, a 100-sheet automatic document feeder, searchable PDFs through OCR, cloud destinations, and TWAIN integration with document-management software. It should be treated as an implementation accessory, not as the document-management system itself.

Before purchasing a scanner, test mixed paper sizes, double feeds, multi-page packets, color pages, signatures, skewed pages, and the document types your OCR process will actually encounter. Searchable text is useful, but OCR output should be reviewed for critical values such as invoice numbers, dates, amounts, names, and contract terms. Decide where temporary scans are stored, who validates indexing, and when the original paper may be destroyed.

Common buying mistakes

Choosing by storage capacity alone

Storage does not answer how documents are classified, approved, retained, searched, shared, or recovered. A platform with less obvious storage value may be a better fit if it reduces manual processing or improves document control.

Assuming a bundled product is automatically configured

SharePoint and Google Drive can be excellent choices within their ecosystems, but shared access to a product does not create an information architecture. Decide who owns shared locations, how metadata is applied, and what happens to documents when a project or employee ends.

Buying the cheapest tier
