Many teams need both: put each commitment and its status on the board, then use chat to clarify or share updates. This is a practical recommendation based on how the tools organize information—not proof that one approach produces better team outcomes in every situation.
How a task board and group chat handle work differently
A task board organizes work as items with a place to record ownership and progress. Trello, for example, uses boards, lists, and cards. Group chat organizes communication: Slack uses channels, direct messages, and threads. These formats serve different needs, so the choice is less about which tool is universally better and more about what your group needs to keep visible.

Which works better for each coordination need?

These are practical comparisons based on documented capabilities, not a validated scoring study. A board only improves visibility if the group maintains owners, status, and due dates.

When a board-first workflow makes sense
Start with a board when responsibilities are being missed, handoffs are unclear, or people cannot easily tell what is in progress. Create one task per responsibility, give it an accountable owner, and keep its status and due date current. The board then acts as the durable work record instead of leaving people to search a message history for the latest commitment.
Microsoft describes Planner as a place to create plans, assign tasks, chat about tasks, and view progress charts. Microsoft also presents its task-management apps as suited to different project situations, rather than as interchangeable choices. When chat-first coordination is enough
Chat can be sufficient for brief, fast-changing work where conversation is the work and the group has little need for a lasting overview. It is also useful for questions that need a quick answer. The risk is that a decision or promise can become difficult to distinguish from the stream of discussion. Agree on how to capture commitments before they get buried—for example, by posting a clear decision and owner in a designated place.
Microsoft Research’s 2021 summary examined parallel chat during work-related video meetings in the COVID-19 pandemic. It describes ways side-channel chat can support flexible communication without interrupting the main discussion, coordinate action around shared resources, and improve inclusion. It also says the value depends on meeting type, individual habits, and intentional group practices. Those findings concern chat alongside work meetings; they do not establish that group chat beats a task board for managing responsibilities. Why a hybrid is often the most practical setup
Use the board as the record of what must be done, who owns it, and where it stands. Use chat to ask questions, work through changes, and share updates. When possible, link the conversation to the specific task so the discussion and commitment are easy to connect.
Slack describes a workflow in which a request submitted in Slack creates a Trello card, the card moves across a board, and updates are shared in Slack channels. Microsoft Planner also offers task chat. Microsoft Support says users can send messages and mention teammates within a task, and that messages are visible to people who have access to that task. The feature is currently available only in basic plans; each task has one chat thread, and its chat does not travel with the task if the task is moved to another plan. Users receive notifications when explicitly mentioned. Check availability in your Microsoft tenant and plan before making task chat part of your process. Microsoft’s Planner task chat documentation

- Go board-first if missed owners, deadlines, handoffs, or progress updates are recurring problems. Make one person accountable for each task and keep its status current.
- Go chat-first if work is short-lived and conversation-heavy, with little need for a durable task overview. Decide where final decisions and commitments will be recorded.
- Use both if the group needs discussion as well as reliable execution tracking. Put commitments on the board, link chat to the relevant work, and assign someone or set a recurring checkpoint to capture decisions and update status.
Before settling on a specific app, check who can access tasks and messages, how notifications work, what integrations and plan features are available, and whether the group needs retention and search. A process that nobody updates will not provide a dependable view, regardless of the software.
