There is no single best shared calendar app for every group. The right choice depends on whether you need an editable family calendar, household lists and meals, friend availability and polls, a private event-planning space, or structured work and resource scheduling.
For most mixed iPhone-and-Android households, start with Google Calendar. Choose Apple iCloud Calendar when everyone uses Apple Accounts and iCloud. Choose Cozi or FamilyWall when the calendar must also handle shopping, chores, meals or household administration. Use Howbout or Doodle when the main problem is finding a time with friends. Choose OurCal for a privacy-focused group calendar, and Teamup for shifts, rooms, resources or detailed workplace permissions.
The most dependable setup is usually not to merge every personal calendar into one. Keep personal and work calendars private, create one dedicated shared calendar for commitments that affect the group, and expose other calendars only as free/busy or through carefully selected read-only feeds.
Prices and product details in this guide are dated August 9, 2026. App features, plan limits, regional pricing and platform availability can change.

The best shared calendar app by use case
| Need | Best starting point | Why it fits | Main limitation |
|---|---|---|---|
| Free shared calendar across iPhone and Android | Google Calendar | Cross-platform access, granular permissions, free/busy sharing and strong interoperability. | It is a general calendar, not a complete household hub for chores, meals and shopping. |
| Everyone uses Apple devices | Apple iCloud Calendar | Native integration with Apple devices and private calendar sharing for Apple Account and iCloud users. | Private sharing assumes Apple participation; Android and non-Apple caregivers may need another system. |
| Family scheduling plus shopping, tasks and recipes | Cozi | Combines a shared calendar with shopping lists, to-dos, recipes and meal-oriented household planning. | Connections to Google, Apple and Outlook are read-only feeds, with possible refresh delays. |
| Family hub with location and household tools | FamilyWall | Adds lists, messaging, meals, budgets, timetables, location features and external-calendar connections. | Many of the advanced tools and integrations require Premium; location sharing needs careful privacy decisions. |
| Couples or small groups wanting a dedicated shared calendar | TimeTree | Uses dedicated shared-calendar groups with profiles, notifications, comments and event conversations. | Premium is charged per account rather than as one subscription for the whole group. |
| Finding availability and making informal plans with friends | Howbout | Shows availability, supports polls, RSVPs, event chat and social planning. | Howbout says it does not provide a conventional communal calendar that everyone maintains. |
| Privacy-focused family, friend or work group | OurCal | Group-specific calendars, event conversations and an end-to-end-encryption design based on Seald technology. | It is subscription-based, and the ANSSI certification found in the documentation applies to a specific Seald SDK version, not automatically to the entire current OurCal app. |
| Shifts, rooms, equipment, projects or resource scheduling | Teamup | Sub-calendars, link-based access and nine permission levels provide structured operational control. | It is more administrative and business-oriented than a typical family app. |
| One-off meeting coordination or customer bookings | Doodle, Calendly or Google appointment schedules | They help people choose or book a time without giving everyone access to an ongoing calendar. | They are scheduling layers, not replacements for a household or operational shared calendar. |
Best default for an uncertain buyer: create a separate Google Calendar shared with the group, keep work details private, and add a family organizer or booking tool only if you actually need its additional job.
What does shared calendar actually mean?
Calendar products use the word shared for several different things. Choosing the wrong type is the fastest way to end up with duplicate events, exposed work details or a calendar nobody can edit.
- View-only access
- A person can see events but cannot create, change or delete them. This is useful for school schedules, grandparents, clients or published activity calendars.
- Free/busy access
- A person sees that a time is occupied without seeing the title, location or description. This is usually the safest way to coordinate around confidential work.
- Editable shared calendar
- Members can create, edit or delete events on the same calendar. This is what most families mean by a shared family calendar.
- Delegated calendar
- One person manages another person’s calendar, often with administrative permissions. This is more appropriate for an assistant, manager or caregiver than for a casual friend group.
- Shared event invitation
- People are attendees of individual events. They are not necessarily members of the underlying calendar and may not see other events.
- Calendar subscription
- An ICS or iCal feed copies a calendar into another service, usually one way. It may refresh slowly and is normally not editable from the receiving calendar.
- Availability sharing
- The service calculates when people are free without creating one communal calendar containing all of their events.
- Group planning
- The app supplies polls, RSVPs, chat or proposed dates. It may help a group decide on a time without becoming the group’s long-term calendar.
In particular, calendar sharing, calendar synchronization and calendar booking are not interchangeable. Ask which of those three jobs you actually need before comparing app features.
Four kinds of shared calendar products
1. Shared calendar databases
Google Calendar, Apple iCloud Calendar, Outlook and Teamup are primarily calendars in which people view or edit shared data. They are the best fit when the important requirement is a clear calendar owner, predictable permissions and a durable event history.
The trade-off is that somebody still has to enter every event. These products may not include groceries, chores, recipes, group chat or meal planning. External feeds may also be one way or delayed.
2. Family organizers
Cozi and FamilyWall combine scheduling with household administration. They can reduce app switching when the group needs dates, lists, tasks, meals, notes and sometimes location tools in one place.
More features are not automatically better. A family app can create more onboarding, more notifications, more sensitive data and another subscription. It is the wrong choice if adults will continue entering events only in their existing personal calendars.
3. Social planning calendars
Howbout, TimeTree and OurCal focus more on groups, profiles, conversations, availability, informal plans and event-specific interaction. They suit dinners, trips, clubs and recurring social activities better than they suit a formal business schedule.
Check privacy defaults carefully. Some social products display event titles and details to friends unless each person changes the visibility setting. Also check whether everyone must install an app or create a profile.
4. Scheduling and booking tools
Doodle, Calendly, Google appointment schedules and Microsoft Bookings solve the problem of finding or booking a time. They are useful when clients or invitees should select from available slots, but they do not replace a live household calendar or a team resource schedule.
Google discontinued creation of new appointment slots on August 7, 2024; new scheduling setups should use appointment schedules instead.

| Apple iCloud Calendar | Native shared calendar | Apple devices and iCloud; public calendars can be viewed outside iCloud | Yes for private Apple Account/iCloud sharing | Native Apple reminders and calendar integration | Private sharing is within the Apple/iCloud model; public sharing is a subscription-style viewing option | Private invitees need Apple Account and iCloud; public links expose the calendar to anyone who has access | Simple all-Apple household |
| Cozi | Family organizer | PC, Mac, iPhone, iPad, Android and mobile web according to its feature page | Yes inside Cozi | Shopping lists, to-dos, recipes and meal planning | Google, Apple and Outlook connections are documented as read-only feeds | Family-oriented sharing; inspect who can access each family member’s calendar | Household administration around the calendar |
| FamilyWall | Family hub | iPhone, Android and desktop | Yes inside a Circle | Lists, messages, meals, budgets, timetables, location and Magic Import | Google, Outlook, iPhone calendars and URL subscriptions are supported, but direction and editability differ by connection | Circle membership plus location and external-feed decisions | Broadest household feature bundle |
| TimeTree | Social/shared calendar | App-based group experience; verify current device availability for every member | Yes, through dedicated shared-calendar groups | Profiles, comments, messages, notifications and multiple calendar groups | Check the particular import and device workflow before treating it as a two-way connection | Group membership and account profiles; premium per account | Couples and small groups that want a calendar-centered social space |
| Howbout | Availability and social planning | Official site describes iOS and Android, but the U.S. App Store listing retrieved for this research says Only for iPhone; verify before purchase | Not in the conventional sense; its help page says friends do not maintain one communal group calendar | Availability, polls, RSVPs and event chat | Imports or displays calendars through the phone’s native calendar permissions | Default friend visibility can include titles and details; settings include Close Friends and No one | Finding a time with friends |
| OurCal | Privacy-focused group calendar | iPhone, iPad, Mac, Vision Pro and Android according to its site | Yes, through group calendars | Event threads, messages, files, locations and group conversations | Do not assume third-party calendar sync is two-way; verify the current connection documentation | Provider says events, messages, files and locations use end-to-end encryption; ANSSI scope requires qualification | Private group coordination |
| Teamup | Work/resource calendar | Web, iOS and Android; link access can work without an account | Yes, with sub-calendars | Resources, shifts, projects, locations and custom fields | Use Teamup’s own shared calendar structure rather than assuming an external feed is editable | Nine permission levels, account access and link-based access | Operational control and differentiated access |
Google Calendar: best general-purpose choice
Google Calendar is the safest starting point for a mixed-device family, friend group or small team that mainly needs shared events and availability. It works on the web, Android and iOS, and a dedicated calendar can be shared independently from each person’s personal and work calendars.
Google’s sharing controls include See only free/busy, See all event details, Make changes to events and Make changes and manage sharing. The exact permission definitions are documented in Google’s sharing guide and its permission reference.
How to create a dedicated shared Google calendar
- Open Google Calendar in a browser. New calendars can be created only from the browser, although they become available in the mobile app afterward.
- In the left sidebar, next to Other calendars, select Add other calendars.
- Select Create new calendar, enter a name and description, then select Create calendar.
- Open the calendar’s More menu and choose Settings and sharing.
- Under Shared with, select Add people and groups.
- Enter the person or Google Group, choose a permission level and select Send.
For a normal family or trusted co-organizer, use Make changes to events. Give a grandparent, nanny or occasional helper See all event details unless they genuinely need to edit. Use See only free/busy for a partner or colleague who only needs conflict information. Reserve Make changes and manage sharing for a small number of administrators.
Google family calendar
When a Google family is created, Google automatically creates a calendar named Family. Family members can create, edit and manage sharing for it, and a member who leaves the family group loses access. This is convenient, but it gives family members more control than some households expect, so review membership and permissions.

- CONTAINS EVERYTHING YOU NEED TO GET STARTED - This white board calendar dry erase set includes a 17x13 inch presentation board, 8 markers, 4 push pins, 4 magnets, and 1 eraser. Enjoy the dry erase calendar and cork board combo as soon as you receive it!
There is also a notification subtlety: Google says family members receive notifications for upcoming events according to calendar settings, but they do not automatically receive a notification merely because another member creates, edits or deletes an event. Use event guests, reminders or a separate family communication channel when a change must be acknowledged.
Why Google is not always enough
Google Calendar does not provide a built-in household dashboard for groceries, chores and recipes. It also may be governed by a Google Workspace administrator when a work account is involved. An employer can restrict external sharing, third-party connections or event details. Do not bypass those controls.
Apple iCloud Calendar: best for an all-Apple household
iCloud Calendar is the simplest option when every participant uses Apple devices and an Apple Account with iCloud. Private calendar sharing is native and avoids adding another family service.
Apple’s current documentation says private calendar invitees need an Apple Account and must use iCloud. Only the calendar owner can share a private calendar. A public calendar can be viewed by people who do not use iCloud, but public sharing is for broad viewing rather than private collaborative access.
Share an iCloud calendar from an iPhone
- Open Calendar.
- Tap the Calendars button.
- Tap the information button next to the iCloud calendar.
- Turn on Public Calendar only if a public subscription link is intended.
- Tap Share Link.
For private sharing, use the calendar’s invite controls rather than a public link. Before choosing iCloud, ask whether an Android household member, non-Apple relative, babysitter, co-parent or school contact will need access later. If the answer is yes, Google Calendar or a cross-platform family service is less restrictive.
Cozi: best family organizer
Cozi is a strong fit when the household problem is bigger than dates. Its documented feature set includes a shared calendar, shared to-do and shopping lists and a recipe library. Paid features add capabilities such as calendar search, additional reminders, change notifications and birthday tracking.
On the U.S.-facing plan page, Cozi lists a free plan, Cozi Gold at $39 per year and Cozi Max at $79 per year. Confirm the live plan page before subscribing because prices, limits and regional availability change. The official comparison page does not clearly confirm a frequently reported free-tier limit on how far future events can be entered, so do not rely on that limit—or assume it does not exist—without checking the current product.
Cozi’s important synchronization limitation
Cozi documents connections to Google, Apple and Outlook as read-only feeds. This means Cozi can show events from another calendar, or another calendar can subscribe to Cozi, but the receiving copy is not a second editing master.
Recommended Free Tools
Cozi says an incoming change may appear in Cozi within about an hour, while Google Calendar can take up to 48 hours to update a Cozi iCal feed. That makes the feature useful for viewing and conflict checking, but unsuitable for urgent cancellations or same-day operational scheduling.
Share a Cozi calendar to another calendar service
- Sign in to Cozi.
- Open Settings.
- Select Shared Cozi Calendars.
- Choose a family member or all family members.
- Select View or Send Cozi URL and copy the URL.
- In Google Calendar, choose Other calendars > From URL.
- In Apple Calendar, choose File > New Calendar Subscription.
- In Outlook on the web, choose Add Calendar > From internet.
Treat a private calendar URL like a password. Anyone who obtains it may be able to view the event details included in that feed. Revoke or replace the URL if it is sent to the wrong person.
FamilyWall: best feature-rich family hub
FamilyWall combines a shared calendar with shopping lists, to-dos, messaging and contacts. Its Premium plan adds budgeting, meal planning, timetables, location tools and external-calendar synchronization.
The current U.S.-facing Premium page lists $4.99 per month or $44.99 per year. Premium features include Google and Outlook synchronization, but do not interpret that phrase as proof that every connection is two-way. FamilyWall’s integration documentation covers Google, Outlook, iPhone calendars and URL subscriptions; check the direction and editing behavior of the particular connection you plan to use.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsFamilyWall Magic Import
Magic Import is useful for school notices, sports schedules, travel confirmations and appointment emails. According to FamilyWall’s documentation:
- Each Circle receives a unique FamilyWall email address.
- Forward an event email to that address.
- FamilyWall extracts information from the email text, a PDF or an image attachment.
- The event usually appears within one to five minutes.
- A confirmation email and push notification are sent.
- The event appears for everyone in the Circle.
The feature requires Premium, allows up to 1,000 imports per month and supports up to 25,000 calendar events. The forwarding address must be used by an email linked to the member’s FamilyWall profile. Review imported events: automated extraction can misread dates, time zones, locations or titles, and forwarding an email is an import rather than a permanent two-way connection.
Location deserves a separate decision
FamilyWall Premium includes real-time location and place alerts. That can help a household coordinate pickups, but it also creates sensitive location data. Confirm that sharing is opt-in, decide exactly who can see it, review whether location history is retained, and know how to revoke access. A calendar app is not automatically the right tool for child safety tracking.

TimeTree: best dedicated shared calendar for small groups
TimeTree is built around dedicated shared-calendar groups rather than treating a shared calendar as an incidental permission on a personal account. Profiles, notifications, comments and messages make it a good match for couples, roommates, small clubs and friend groups that want conversation attached to events.

TimeTree says invitation URLs are valid for seven days. If someone cannot join, generate a new invitation rather than repeatedly using an expired link.
TimeTree Premium currently costs $4.49 per month or $44.99 per year in U.S. dollars, although regional pricing may differ. Premium adds ad-free use, file attachments, vertical view, event priority or pinning and dedicated support. The subscription is per account; TimeTree does not offer one shared subscription that unlocks Premium for every calendar member.
Howbout: best for availability and social planning
Howbout is better understood as an availability and planning layer than as a traditional shared calendar. It supports groups, availability views, polls, RSVPs and event-linked chat, which makes it useful for asking friends when they can meet.
Its own help page explicitly says Howbout does not offer separate group calendars in which friends maintain one communal calendar. Instead, it shows users’ calendars according to their visibility settings and provides groups for planning and conversation. Do not choose it if the requirement is one authoritative family or team calendar that everybody edits.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Howbout visibility settings
Howbout says the default visibility for friends can include event titles and details. Users can change visibility to:
- Everyone: friends can see titles and details.
- Close Friends: selected people see details while others see Busy.
- No one: the event remains fully private.
For a work calendar, change this before connecting anything. Howbout’s documented import flow involves connecting Google, Outlook or iCloud to the phone’s native calendar app, granting Howbout calendar permission, enabling Full Access on iOS 17 or later when requested, opening Synced calendars, selecting calendars to display, choosing whether they affect availability and setting who can see synced plans.
Platform warning: Howbout’s website and help pages describe iOS and Android support, but the U.S. App Store listing retrieved in the research says Only for iPhone. This discrepancy must be checked in the current App Store, Google Play listing and web product before publication or purchase. Do not promise Android access to a group until the Android member has confirmed that the current app is available.
OurCal: best privacy-focused group option
OurCal is designed around group-specific calendars, event threads and conversations. Its site lists iPhone, iPad, Mac, Vision Pro and Android access, and its plans cover groups of up to six, 20 or 100 people:
Outdated Drivers Are Slowing You Down

- $12.99 per month for up to 20 people.
- $29.99 per month for up to 100 people.
OurCal states that events, messages, files and locations are end-to-end encrypted and inaccessible to OurCal. That is a provider claim worth considering, but it should not be expanded into a claim that every part of the current product has an independent certification.
What the ANSSI reference actually means
The independent ANSSI certificate found in the supporting documentation identifies Seald-SDK, version 2.1, as the evaluated product and dates the certification to 2020. OurCal uses Seald technology, but that certificate is not automatically a blanket ANSSI certification of the entire current OurCal application, its servers, every integration or later versions. Readers with formal security requirements should review the current technical and certification documentation directly.
OurCal is a sensible shortlist choice when private event conversations matter more than a free plan. It is less compelling if the group only needs a simple, familiar shared calendar and will not use the extra collaboration features.
Teamup: best for work, shifts and resources
Teamup is designed for structured scheduling: departments, shifts, rooms, equipment, projects, jobs and locations. Instead of putting everything into one undifferentiated calendar, you create sub-calendars and assign different access to each one.
Teamup says it offers nine permission levels, ranging from read-only and add-only access to full administrative control. You can share through user accounts or create a link that does not require the recipient to have an account. Link access is convenient for contractors or visitors, but the link should be treated as a credential and distributed only to the intended audience.
Basic Teamup setup
- Create a master calendar.
- Add sub-calendars for people, teams, resources, projects or locations.
- Open Settings > Sharing.
- Select Add User or Create Link.
- Assign an access level for each relevant sub-calendar.
Teamup’s current free plan includes five sub-calendars, five users, one custom field and one year of historical data. Its Plus plan is listed at $12 per month billed annually or $15 per month billed monthly. It is usually overkill for two people sharing school pickups, but valuable when the calendar itself is an operational system.

Outlook and Microsoft 365 for work groups
If a team already works in Microsoft 365, Outlook may be more appropriate than adding a consumer family app. Its advantage is organizational identity, existing permissions and integration with the company’s mail and meeting workflow. Its disadvantage is that the organization—not the individual user—may control external sharing and third-party access.
Share an Outlook calendar externally
- Open Calendar.
- Select Home > Share Calendar.
- Enter the external recipient.
- Select the detail level.
- Send the invitation.
- The recipient selects Open this calendar.
Microsoft says external sharing can be disabled by a Microsoft 365 administrator. Newer Outlook clients may show simplified permission labels, with advanced permissions represented as Custom. Some older Mac clients and the macOS Calendar app use older behavior and may not support every newer shared-calendar improvement.

Never select an app because its marketing page merely says it integrates with Google, Apple or Outlook. Identify the source, destination, direction, editing location and refresh behavior.
| Connection type | Import and export direction | Two-way or one-way | Where edits happen | Typical delay | Details and privacy | Deletion behavior |
|---|---|---|---|---|---|---|
| Account-based calendar connection | A compatible app signs in to the calendar account | Can support viewing and editing, but depends on the application and account permissions | Potentially either client when the same account or supported integration is used | Usually not an ICS-style polling delay, but provider and client behavior varies | Controlled by account permissions; work administrator approval may be required | Changes normally apply to the underlying calendar rather than creating a separate imported copy |
| ICS or iCal subscription | Source calendar publishes a feed to a receiving calendar | One-way and normally read-only | Only in the source calendar | Not real time; Outlook documents roughly three hours for some Microsoft recipients and less frequent refreshes elsewhere | Often requires a private URL; event details included in the feed may be visible to anyone who obtains it | Source deletions may eventually appear after the receiving service refreshes; do not rely on immediate removal |
| Cozi external-calendar feed | Cozi and Google, Apple or Outlook can be connected through documented feeds | Read-only feeds | In the originating calendar | Cozi says incoming changes may take about an hour; Google may take up to 48 hours to update a Cozi iCal feed | Feed visibility depends on the selected Cozi calendar and the receiving service | Eventually dependent on feed refresh; use one source of truth |
| FamilyWall external calendar connection | Google, Outlook, iPhone calendars and URL subscriptions are supported | Direction and editability vary by integration | Check the specific FamilyWall documentation before relying on it | Varies; do not call it real time without provider confirmation | May involve account authorization or a published URL | Verify whether the connection mirrors, imports or subscribes before deleting a source event |
| FamilyWall Magic Import | Email, PDF or image attachment into a FamilyWall Circle | One-way import, not ongoing synchronization | Review and edit the resulting FamilyWall event | Usually one to five minutes | Requires Premium and a member-linked forwarding address | Deleting or changing the original email does not represent a live calendar link |
| Howbout synced calendars | Calendar access is granted through the phone’s native calendar permissions | Used to display availability and synced plans, not to create a conventional communal master calendar | Manage the original calendar; configure visibility in Howbout | Depends on native-calendar and app behavior | Visibility can be Everyone, Close Friends or No one; work details require special care | Do not assume a Howbout display is an authoritative copy |
| Teamup shared sub-calendars | Members access the Teamup calendar directly | Shared editable data, controlled by permissions | In Teamup for users with edit rights | Direct service access rather than a scheduled ICS refresh | Nine permission levels; account or link access | Changes apply to the shared Teamup calendar, subject to permissions |
Rule of thumb: use two-way account access when people truly need to edit from multiple clients, use a one-way feed only for viewing, and use manual import or PDF sharing only for migration or reference. Never use a delayed read-only feed as the editing master.
Privacy: share availability without exposing everything
A useful shared-calendar system separates events by audience instead of making every calendar visible to everyone.
A practical privacy arrangement
- Shared family calendar: allow trusted adults to edit details.
- Personal calendar: keep private and overlay it only for conflict checking.
- Work calendar: expose free/busy only, or create a separate Personal availability calendar containing only blocking events.
- School and sports feeds: subscribe as read-only where possible.
- Public events: use a public link only for schedules that are genuinely safe for anyone with access to see.
- Location: keep it off unless the group has a specific, agreed need.
- Third-party connections: remove old OAuth permissions and revoke private calendar URLs when you stop using an integration.
Provider-specific privacy points
Google Calendar: supports free/busy, full details, event editing and sharing management. Work and school administrators may have special access or may restrict external sharing. Private events can remain hidden under appropriate sharing settings, but test the selected permission with a non-administrator account.
Free tools Windows power users keep installed
One-click scans. No signup required.
Apple iCloud: private invitees need an Apple Account and iCloud. Public calendar sharing should be treated as broad viewing, not as a private family invitation.
Howbout: its documented default for friends can expose event titles and details. Change synced work calendars to a restricted visibility option before inviting friends.
OurCal: the company describes end-to-end encryption for events, messages, files and locations. Evaluate the exact current technical scope rather than assuming the historical Seald-SDK ANSSI certificate certifies the complete current app.
URL-based sharing: a private ICS or Teamup link is not the same as named-user authentication. If the link is forwarded, the new recipient may gain the access granted by that link. Rotate or revoke it when necessary.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteHow to build a reliable shared-calendar system
- Choose the primary job. Decide whether the system is for shared events, household administration, finding availability, work operations or customer booking.
- Create one dedicated shared calendar. Name it something unambiguous such as Family commitments, Household, Club events or Operations.
- Keep personal and work calendars separate. Do not make the shared calendar a copy of every private appointment.
- Define the source of truth. For example, school events are entered in the family calendar, work meetings remain in Outlook, and the family calendar contains only a private availability block.
- Set permissions by role. Trusted adults or operators can edit; helpers can view; colleagues can see free/busy; the public gets only a safe read-only feed.
- Use consistent titles and colors. Include the child, person, location or action in the title, and do not rely on color alone for accessibility.
- Set reminders deliberately. A calendar change may synchronize silently. Add an event guest, push reminder or group message when attendance must be confirmed.
- Test with one dummy event. Create, edit, move and delete it from each important device. Measure whether the receiving calendar updates before migrating everything.
- Audit access. Remove former partners, employees, volunteers, guests and old app connections. Review public URLs and link permissions.
- Keep an export path. Periodically export critical schedules if the service supports it, and do not store the only copy of an important custody, medical, work or school schedule in a niche app.
Setup recipes for common groups
Mixed iPhone-and-Android family
- Create a dedicated Google Calendar in a browser.
- Share it with the adults using Make changes to events.
- Give grandparents or a nanny view-only access unless they need to enter events.
- Keep each adult’s work calendar private and expose only free/busy or a separate personal availability calendar.
- Install Google Calendar on each phone and enable only the shared calendar’s notifications.
- Use a separate family organizer such as Cozi or FamilyWall only if the household needs lists, meals or chores.
All-Apple household
- Use an iCloud calendar for shared household events.
- Invite each participant privately through their Apple Account and iCloud.
- Do not turn on Public Calendar merely to make private sharing easier.
- Before inviting a non-Apple caregiver or future Android user, decide whether the household should move its shared calendar to a cross-platform service.
Family using Cozi with existing calendars
- Make Cozi the master for household events if the family has chosen it.
- Connect other calendars only as read-only feeds.
- Label imported calendars clearly, such as Work — free/busy or Cozi — read-only.
- Enter changes in the source calendar rather than in a receiving feed.
- Allow for delays, including the possibility of up to 48 hours for a Cozi iCal feed to update in Google Calendar.
Team scheduling shifts, rooms or equipment
- Create a Teamup master calendar.
- Make sub-calendars for each resource, shift, site or department.
- Use account access for staff who need an ongoing dashboard.
- Use the narrowest suitable permission or link for contractors and clients.
- Test whether add-only, read-only or full editing is appropriate before sharing the link widely.
Friends planning a trip or dinner
- Use Howbout when the main problem is seeing availability and discussing options.
- Use Doodle when several proposed times need a simple poll.
- Use TimeTree or OurCal when the group wants a persistent shared calendar with event conversations.
- Do not expose work-calendar titles by default; change each participant’s visibility first.
One person or business taking bookings
- Use Google appointment schedules, Calendly or Microsoft Bookings rather than giving customers access to the business calendar.
- Publish only the appointment types and availability that customers need.
- Keep internal event details and other clients’ information out of the booking page.
Current pricing and subscription trade-offs
The following are U.S. prices listed in the cited product pages at or near the date of this guide. Taxes, app-store billing, regional pricing and promotional offers may change the total.
| Product | Current listed price | Billing model | Important cost caveat |
|---|---|---|---|
| Google Calendar | No separate calendar subscription for ordinary personal use | Google account service | Workspace features and organizational controls depend on the account and employer plan. |
| Apple iCloud Calendar | No separate calendar-app fee stated in the cited documentation | Apple Account and iCloud service | Private sharing requires Apple participation; storage and other iCloud services are separate considerations. |
| Cozi | Free; Gold $39/year; Max $79/year | Family plan tiers | Check current free-tier limits and exactly which household features are paid. |
| FamilyWall | Premium $4.99/month or $44.99/year | Premium family service | Location, meal planning, budgeting, timetables and external synchronization are among the Premium features. |
| TimeTree | $4.49/month or $44.99/year | Per account | There is no group-wide Premium subscription for all calendar members; regional prices may differ. |
| OurCal | $6.99/month for up to six; $12.99/month for up to 20; $29.99/month for up to 100 | Group-size subscription | The group limit, not merely the number of administrators, determines the plan. |
| Teamup | Free tier; Plus $12/month annually or $15/month monthly | Calendar and plan limits | Free includes five sub-calendars, five users, one custom field and one year of historical data. |
| Doodle | Free account options; Professional listed at $15/month or $132/year for one U.S. license in an April 2026 help page | Poll and scheduling plans | Doodle says participants can answer group polls without accounts; free-account creation limits apply. |
Compare the pricing model, not just the monthly number. A per-account subscription can become expensive when every family member must pay, while a group subscription may be better for a large household. Also check whether the purchase is made through Apple or Google, because app-store billing and cancellation rules can differ from a web subscription.
Troubleshooting common failures
An invitation never arrived
Confirm the recipient address, check spam and trash, and resend after removing and re-adding the person. For TimeTree, check whether the seven-day invitation URL expired. If the calendar belongs to a work or school account, ask the administrator whether external sharing is blocked.
The calendar is missing from the phone
Confirm that the person joined the correct account, that the calendar is enabled in the app’s calendar list and that the phone is using the same account to which the invitation was sent. New Google calendars are created in a browser first, so create the calendar on the web before looking for it in the mobile app.
Events are not updating
Identify whether the connection is an account sync or an ICS feed. Refreshing an app will not turn a delayed feed into real-time synchronization. Cozi documents approximately one hour for some incoming updates and up to 48 hours for Google to update a Cozi iCal feed. Microsoft says some Outlook and Microsoft 365 ICS recipients update approximately every three hours, with other services potentially refreshing less often.

There are duplicate events
The usual cause is that one person entered the event in the shared calendar while another entered it in a personal calendar, and both calendars are overlaid. Pick one source of truth, stop importing the same feed through multiple services, delete the duplicate copy and test with a dummy event before adding more data.
A work calendar cannot be shared or connected
Do not look for a workaround that violates company policy. Google Workspace and Microsoft 365 administrators can restrict sharing, third-party OAuth connections and event details. Ask the administrator whether free/busy sharing or an approved integration is available. If not, create a separate personal availability calendar containing only blocks that the household needs to know about.
Private information is visible
Immediately change the app’s visibility setting, remove the recipient or revoke the public/private URL. In Howbout, check Everyone, Close Friends and No one settings for each synced calendar. In Google, replace full details with free/busy where appropriate. Treat every private ICS URL and link-based Teamup access as compromised if it has been forwarded beyond the intended group.
Recommended Free Tools
Time zones or imported details are wrong
Check the source calendar’s time zone, the receiving account’s time zone and the event’s individual time-zone setting. For FamilyWall Magic Import, review dates, locations and times after the import because information extracted from email, PDF or image attachments may need correction.
Notifications are too quiet—or too frequent
Check both the device’s system notification permission and the calendar’s event reminder settings. Remember that a calendar can synchronize a change without sending a message to every member. Use a guest invitation, explicit reminder or group message when a cancellation or new commitment requires acknowledgment.
A former member still has access
Remove the person from named sharing, revoke old public or private links, remove third-party account access and check every sub-calendar. Google says a person who leaves a Google family loses access to the family calendar, but other services may require manual removal. For work calendars, remove former employees from both account permissions and link-based access.
The subscription was canceled
Check whether the service freezes data, removes Premium features or deletes the group after cancellation. Export important calendars if possible, record who owns the account and migrate before the end of any grace period. After migration, revoke old calendar URLs and OAuth connections.
When not to use a shared-calendar app
- Use native calendar sharing when everyone is already in one ecosystem and only events, reminders and permissions matter.
- Use a family organizer when shopping, chores, meals and household administration are as important as appointments.
- Use a social planner when the main question is who is free and the plan needs chat, polls or RSVPs.
- Use Teamup or an organizational calendar when shifts, rooms, jobs, equipment, projects and differentiated permissions matter.
- Use Doodle when several people need to select among proposed times. Doodle says group polls can be answered by people with or without an account, and its current help documentation says free accounts can create one group poll.
- Use Calendly or Microsoft Bookings when clients need to book a person or service without seeing an ongoing internal calendar. Calendly’s Shared Event Types are intended to distribute meetings across teammates in the same Calendly organization.
A simple final decision tree
- Need only shared events and availability? Start with Google Calendar.
- Does every participant use Apple Account and iCloud? Consider iCloud Calendar.
- Need groceries, chores, recipes or meals? Compare Cozi and FamilyWall.
- Need to find a time with friends? Compare Howbout and Doodle.
- Need a dedicated group calendar with event conversation? Compare TimeTree and OurCal.
- Need privacy-focused group messaging and calendar data? Shortlist OurCal, while checking the exact current encryption documentation.
- Need shifts, rooms, jobs or resource permissions? Choose Teamup or the organization’s Microsoft 365 calendar.
- Need customers to book? Use Calendly, Google appointment schedules or Microsoft Bookings.
Before committing, test the complete workflow with one event: invite every type of participant, view it on every important device, change the time, cancel it, inspect what each person can see and measure how long imported copies take to update.
Frequently Asked Questions
Is it better to merge everyone’s personal calendars into one shared calendar?
Usually no. Keep each person’s personal and work calendars separate, create one dedicated calendar for commitments that affect the group, and overlay or selectively synchronize other calendars for conflict checking. This reduces duplicate events and prevents private work details from becoming household data.
What is the best shared calendar for an iPhone and Android family?
Google Calendar is the strongest general-purpose starting point because it works across the web, Android and iOS and offers detailed sharing permissions. Cozi, FamilyWall, TimeTree and OurCal are alternatives when the family needs household tools or a more dedicated group experience. Confirm current platform availability before choosing any app.
Which shared calendars offer true two-way synchronization?
Do not assume that an integration is two-way. Account-based connections can support viewing and editing in compatible applications, while ICS and iCal subscriptions are normally one-way and read-only. Cozi explicitly documents its Google, Apple and Outlook connections as read-only feeds. Check the exact integration documentation for FamilyWall, Howbout and any work account.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →How can I share my availability without exposing work meeting details?
Use a separate personal availability calendar containing only blocking events, or share the work calendar at free/busy level if your employer permits it. Do not import a work calendar into a family or social app with full-detail visibility. Google supports free/busy permissions, and Howbout provides visibility options that should be changed before syncing work events.
Can grandparents, nannies or clients join without using the app?
It depends on the product. Google and Apple private sharing generally require the relevant account ecosystem. Teamup supports link-based access without an account, and Doodle poll participants can respond without a Doodle account. Check whether links can be forwarded, whether guests can edit and whether the link can later be revoked.
Is an ICS calendar feed real-time?
Usually not. An ICS feed is typically a read-only subscription that refreshes periodically. Cozi says some incoming changes may take about an hour and that Google may take up to 48 hours to update a Cozi iCal feed. Microsoft documents approximately three-hour updates for some Outlook or Microsoft 365 recipients and less frequent updates elsewhere.
Should I use a shared calendar or Calendly for customers?
Use a booking service such as Calendly, Google appointment schedules or Microsoft Bookings when customers need to choose an appointment. Use a shared calendar when the group itself needs to maintain an ongoing schedule, share resources or coordinate household and team commitments.

The Bottom Line
Bottom line: choose the coordination job before choosing the app. Google Calendar is the safest default for a mixed-device shared event calendar; iCloud is simplest for an all-Apple household; Cozi and FamilyWall add household management; Howbout and Doodle help groups find a time; TimeTree and OurCal provide more dedicated group experiences; and Teamup is the better operational tool for work, shifts and resources.
Whatever you choose, keep one clear source of truth, expose work calendars only as selectively as necessary, treat ICS feeds as delayed and read-only, test every integration with a dummy event, and audit memberships and public links regularly.
