Our verdict on VAPTA
VAPTA is a cloud-based fleet and workshop management platform for commercial vehicle operators, workshops, mobile repairers and multi-site fleet organisations. It brings together vehicle records, preventative maintenance, MOT and tachograph scheduling, driver defect reporting, digital PMI inspections, workshop jobs, parts inventory, procurement, telematics and driver compliance. Its intended audience ranges from individual mobile repairers to national fleet and dealer networks, with configurable workflows and digital records supporting operations across multiple locations.
The published plans use a modular structure. Fleet Basic includes driver pre-use defect reporting, defect control and close-out, and a DVSA Earned Recognition-ready workflow. PMI Inspections + Defects adds digital PMI inspections plus incident and accident reporting. Fleet + Workshop is priced at £5 per vehicle per month and adds fleet management, workshop workflows, procurement and custom inspection sheets. Separate workshop modules are priced at £20 per user for Digital Inspections, £40 per user for Inspections + Job Cards, and £50 per user for All Workshop Modules, which includes procurement and invoicing. This structure suits organisations that want to add workshop capability in stages, although comparing the vehicle and user-based components requires care.
VAPTA’s main strength is breadth within fleet operations. It supports defect-to-repair workflows, technician scheduling, job cards, barcode stock control, remote tachograph downloads, driver licence and entitlement monitoring, telematics, geofences and CAN diagnostics. Driver checks can include photos, QR checkpoints and geostamps. The platform supports web, Windows, iOS and Android, with Sage, Xero and QuickBooks integrations, plus API access. Choose VAPTA if maintenance, workshop, parts and compliance need to sit in one system. A narrower fleet tool may be a better fit for operators that only need basic vehicle records or simple inspections.
