Neither online backup nor an external hard drive is safest in every situation. An unplugged drive is harder for ransomware on your computer to reach, while an online backup can survive a local theft, fire, or flood. Each also has failure points: drives can be lost or damaged, and online copies depend on provider protections, account access, retention settings, and a working restore process. For important files, use both where practical, keep one copy off-site and another offline or isolated, encrypt sensitive backups, and test that you can restore them.

How the two backup methods differ

Decision External hard drive Online backup
Ransomware exposure Can be disconnected between backups, limiting access by malware on the computer. If left connected, malware may be able to delete or corrupt its contents. Protection depends on the service’s version history, deletion recovery, and account safeguards. Check these before relying on it.
Local disaster A drive kept beside the computer may be lost in the same theft, fire, or flood. An off-site copy may remain available after a local device or premises loss, provided you can access the account and service.
Control and access You control the physical drive and can disconnect it, but must manage its storage, encryption, and backup schedule. Offers remote access, but depends on network access, provider operation, account security, and service terms.
Recovery Often used for local restoration; actual speed depends on the drive and system. Restoration depends on the internet connection and provider’s recovery process.
Common failure to guard against Leaving the drive connected, losing or damaging it, letting it become outdated, or never testing it. Losing or compromising account access, misunderstanding retention or version behavior, or never testing restoration.

There is no established head-to-head safety ranking or comparative recovery-speed benchmark for consumer drives and online services here. The practical choice is about which risks you need to cover, not a universal winner.

When an external hard drive is safer

A removable drive gives you physical control. When it is disconnected, ransomware on the computer has a harder time reaching the backup through that connection. CISA advises against leaving an external drive connected when it is not actively being used for backup, because ransomware could otherwise access it and delete or corrupt the backup (CISA: How to Protect the Data that is Stored on Your Devices).

That advantage depends on how you use and store the drive. A connected drive is exposed to malware with access to the computer, while a drive kept beside the computer may share its exposure to theft or a building disaster. Disconnect it after the backup and store it safely; if it is your only backup, consider keeping a copy somewhere else as well.

When online backup is safer

An online backup can put a copy away from your home or office, which helps if the local computer and nearby drive are both lost in a fire, flood, or theft. It does not make the backup invulnerable: account compromise, deletion, provider access problems, or malware affecting online copies can undermine recovery. HHS’s October 2022 OCR Cybersecurity Newsletter notes that some malware can disrupt online backups and advises considering offline copies (HHS, October 2022 OCR Cybersecurity Newsletter).

Before depending on a service, check its account-protection options, encryption, version history or retention period, deleted-file recovery, and restore procedure. Features vary by provider; no particular service’s capabilities are established here. Use a unique, well-protected account and make sure you can still sign in when you need to recover files.

Use both for important data

CISA’s 3-2-1 rule is a resilience pattern: keep three copies of data, on two types of media, with one copy off-site. It is a guideline, not a guarantee that a particular drive or service is safe. The CISA-hosted US-CERT paper Data Backup Options describes the approach.

A practical arrangement is to keep your working files on your computer, make an encrypted backup to an external drive, and maintain another copy off-site through a properly vetted online service. Disconnect the drive after backing up and store it securely. Keep encryption recovery keys somewhere safe and separate from the backup; losing the key can make encrypted data unrecoverable. CISA also recommends encrypted backups and regularly testing their availability and integrity (CISA #StopRansomware Guide).

Test recovery, not just backup completion

A completed backup job does not prove that files can be recovered. Restore a sample file periodically and check that it opens correctly. For encrypted or account-based backups, confirm that you can access the required password, recovery key, and account. CISA recommends testing backup availability and integrity in a recovery scenario (CISA #StopRansomware Guide).

Storage security also involves isolation, data protection, encryption, and assurance that restoration works, as outlined in NIST’s 2020 Security Guidelines for Storage Infrastructure. These safeguards reduce risk, but no single method removes every failure mode.
