Microsoft reportedly acknowledged that an error prematurely deleted data belonging to some nonprofits whose Microsoft 365 Business Premium Grant subscriptions had expired—and said the affected data could not be recovered. The account comes from TechRadar’s October 1, 2026 report. The report does not say how many organizations were affected, how much data was lost, or what caused the error.
What Microsoft reportedly told affected nonprofits
TechRadar reported that Microsoft said an error caused remaining data associated with some expired nonprofit Business Premium Grant subscriptions to be deleted before the applicable retention period ended. An unnamed Microsoft spokesperson told the publication: “After the applicable notice periods concluded and subscriptions were terminated, an error resulted in remaining data, if any, being deleted before the retention period had ended.”
TechRadar also reported that Microsoft told an affected customer: “We have now investigated the recovery options, but unfortunately, the data cannot be recovered.” The report says Microsoft could not provide a list of what data may have been deleted or confirm whether a particular customer had lost data. It did not disclose the number of affected nonprofits, the amount of data, how early deletion occurred, or the cause.
Microsoft reportedly offered affected nonprofits a free “concierge service” to help set up a new Microsoft 365 environment. That is transition assistance, not restoration of deleted content.

How this differs from Microsoft’s normal retention guidance
Microsoft’s general Microsoft 365 retention overview says that after a paid subscription ends, customer data remains in a limited-function account for 90 days so it can be extracted. Microsoft says it disables the account and deletes the data after that retention period, and no later than 180 days after expiration or termination; once the maximum retention period elapses, the data is commercially unrecoverable.
Those figures describe Microsoft’s published general policy. They do not establish that data affected by the reported error remained accessible for the full period or can now be restored. A stated retention window is not a guarantee of recovery after an operational error.

The normal lifecycle is described as Active > Expired > Disabled > Deleted. Microsoft recommends backing up data before leaving the service. Its subscription lifecycle guidance also warns that explicitly deleting a subscription can skip Expired and Disabled statuses and immediately delete SharePoint Online content, including OneDrive. Timing and available actions depend on subscription type and purchase channel; the page notes a change effective February 9, 2026 for certain license-based subscriptions bought directly under a Microsoft Customer Agreement.
What the Business Premium Grant transition means
Microsoft’s grant discontinuation notice told customers their Business Premium Grant would expire and advised them to transition users to the Business Basic Grant or another nonprofit offer. It is a historical notice, not evidence that the discontinued offer remains available.

Grant eligibility is separate from the technical lifecycle of a subscription. Microsoft’s nonprofit FAQ says grants are for paid nonprofit employees and unpaid executive staff acting as leadership; discounts may also be available to staff and volunteers. Organizations must complete required donor-rule attestation to maintain program eligibility. Microsoft also says partners may offer consulting, deployment, migration, management, training, and support. Check Microsoft’s current program guidance for eligibility and available offers.
What to do before a nonprofit subscription expires
- Check the subscription and tenant. In the Microsoft 365 admin center, confirm the exact subscription, expiration date, billing channel, tenant status, and current license assignments. The lifecycle and available recovery actions depend on status and purchase terms.
- Export or back up before cancellation or expiration. Microsoft’s cancellation guidance says to save OneDrive and SharePoint files elsewhere before canceling. It links to separate procedures for exporting email, contacts, tasks, and calendar data to an Outlook PST file, and for manually migrating SharePoint document libraries or lists to a file share or local computer.
- Inventory each workload. Do not assume a OneDrive copy includes everything your organization needs. Check SharePoint sites, Exchange email, Teams-associated content, and other organizational data in scope; verify export completeness against the services your tenant actually uses.
- If service has ended but the subscription is not deleted, act promptly. Check its status and follow Microsoft’s supported renewal, reactivation, or export path. Microsoft’s cancellation guidance says data left behind may be deleted after 30 days and no later than 180 days; exact handling may vary.
- Keep a separate, tested copy under your organization’s control. An external drive is one possible destination, but not the only one. A backup can preserve a separate copy of exported content; it cannot retrieve material already deleted from the cloud.
Microsoft offers Microsoft 365 Backup as a separate pay-as-you-go service. Its pricing page lists $0.15 per GB per month for protected content. That price does not show whether an affected nonprofit had the service enabled, whether its data was covered, or whether the reported deletion could have been restored.

If data appears to be missing
Open a Microsoft support case promptly. Ask the administrator or Microsoft partner to establish the tenant and subscription status, relevant dates, affected workloads, and any available restore or export options. The reported incident does not establish a guaranteed recovery path for other customers—or for the specific error Microsoft described.
