Before deleting anything, open your device’s built-in storage view. It shows which categories are using space, helping you decide what to inspect and what you can safely remove or move. The steps differ on Windows, Mac, and Android.

Find what is using storage on Windows

Check the storage breakdown

In Windows 10 or Windows 11, open Settings > System > Storage. The category breakdown can point you toward the next place to look. To check remaining capacity on a drive, open File Explorer and select This PC. See Microsoft’s Storage settings guide.

Inspect cleanup recommendations

Windows can show Cleanup recommendations for temporary files, large or unused files, cloud-synced files, and unused apps. Open the categories, inspect the items selected for removal, and check the estimated space savings before confirming cleanup. A suggested item is not automatically something you should delete: make sure you recognize it and no longer need it. Microsoft’s Windows cleanup guide explains these options.

Find large personal files

If personal files are taking up space, inspect folders such as Videos, Music, Pictures, and Downloads. In File Explorer, sort a folder’s contents by size to spot large files. Delete only files you no longer need; if you want to keep them, consider moving them off the computer instead.

Know what Storage Sense will remove

Storage Sense can automate selected cleanup. Microsoft describes it as a way to remove items you do not need, such as temporary files and Recycle Bin contents. It works on the system drive, generally C:. With default settings, it removes selected temporary files and Recycle Bin contents, but leaves Downloads and cloud content alone unless you configure otherwise. Check its settings before enabling it or changing what it cleans. Microsoft says it runs when you are signed in and online for more than 10 minutes. Pause before deleting an old Windows installation

Removing Previous Windows Installation(s), including the Windows.old folder, removes the option to return to the previous Windows version. Microsoft says that rollback option cannot be restored by deleting those files, so do not select them unless you are sure you no longer need to go back.

Find what is using storage on a Mac

On macOS Ventura 13 or later, open Apple menu > System Settings > General > Storage. On earlier macOS versions, use Apple menu > About This Mac > Storage. The view groups storage into categories so you can identify what to inspect or manage. Apple’s Mac storage guide covers these steps and options for managing categories or moving files to another connected storage device.

If you see System Data or, on some versions, Other, treat it as a broad category rather than a single file you can identify and delete. It can include Apple and third-party files that do not fit a more specific category.

Find what is using storage on Android

Open Settings > Storage, then tap a category to inspect its contents. Menu names and available options can vary by device and Android version. Google’s Android storage guide includes instructions for managing storage, including some steps that apply only to Android 14 and later.

Some Android devices offer an option to remove photos and videos that are already backed up. Settings may also let you clear an app’s cache or its data. Clearing cache removes temporary data; clearing app data can remove information saved by the app. Check the device’s confirmation screen and the app’s own guidance before proceeding, particularly before clearing data.

Choose what to do after you find the largest items

  • Remove what you no longer need: Review the files or apps first, then use your device’s cleanup controls or delete items you recognize.
  • Move files you want to keep: An external drive, USB drive, or SD card can free local space. You need the drive connected to access files stored on it. Keep another copy of important files; a single moved copy is not a complete backup strategy.
  • Use cloud placeholders where available: OneDrive Files On-Demand can keep a smaller placeholder on a Windows PC while the full file remains in the cloud. Access and behavior depend on your account and settings. Check that files are available as expected before removing local copies.

Consider an external drive only after confirming that personal files are the problem and that you want to retain them without keeping them on the computer. Match the drive to your actual capacity needs, device compatibility, portability, intended speed, budget, and backup plans; no particular model is established as best for this purpose.

If a Windows update needs more space

Windows checks available space before installation. If an update is blocked, Microsoft recommends using Storage Sense or Disk Cleanup to free space. Follow its Windows update space guidance, and review cleanup selections before removing files.

When the breakdown does not explain the problem

Start by confirming which device or drive is low, then inspect its largest categories and the files or apps you recognize. If the figures do not account for the shortage, or free space disappears again quickly, the storage view alone does not establish the cause. Avoid deleting unfamiliar system files; further diagnosis will depend on the device and operating system.
