What happens to Publisher on each October date?
Microsoft’s US English support notice sets two dates for different license situations. The Microsoft 365 access cutoff has already passed; the perpetual-version support cutoff is October 13, 2026. Microsoft’s FAQ says perpetual-version users can continue to install and use Publisher after support ends. Its product page says Publisher is for PC and identifies Publisher 2021 as the latest classic version. These statements do not establish that Publisher remains available through a new Microsoft 365 subscription after retirement.

How do you preserve a Publisher publication?
For a copy that is easy to view and print, Microsoft documents saving directly to PDF in Publisher. Do this while you have a working, licensed Publisher installation available. A PDF preserves a viewable version; it is not a substitute for the editable .pub project.

- Open the publication in Publisher.
- Select File > Save as.
- Choose PDF as the file type and save the file.
- Open the PDF and check that its pages, text, images, and print layout look right before relying on it.
Keep an untouched copy of the original .pub file alongside the PDF. Microsoft documents the conversion route but does not promise it can be reversed.
Exporting many files
Microsoft provides an example PowerShell script for individual or bulk exports. It is instructional: modify and test it for your needs, and use it only while a working, licensed Publisher installation is available. Begin with a small representative group of files; check the output and handle errors or filename collisions before processing a larger collection. The example is linked from Microsoft’s support notice.

What if you need to edit a Publisher file?
If you mainly need to change text, Microsoft documents a route through PDF and Word: save the publication as a PDF in Publisher, then open that PDF in Word using File > Open. Microsoft says Word optimizes the converted document for text editing, so its layout may differ from the PDF—particularly when the publication has many graphics. Compare the Word result with the PDF and do not replace the original .pub file until you have checked the conversion.
For future versions, Microsoft recommends Word or PowerPoint for common publication tasks. That is a recommendation about which app to use, not a promise that either app imports .pub files exactly or reproduces Publisher’s layout controls.

Which replacement app should you use?
Microsoft’s task mapping is a starting point for creating or rebuilding publications. Choose based on what you need the finished document to do, then proof the layout—especially when precise positioning, folds, graphics, or print output matter.

Microsoft also points users to customizable templates at Microsoft Create. Templates can help start a new design, but they do not convert an existing Publisher project.

How should you choose between PDF, Word, or rebuilding?
- Choose PDF when a dependable viewable or printable record matters more than editing the project.
- Try Word from PDF when text changes are the priority and you can inspect and correct any layout differences.
- Rebuild in Word or PowerPoint when you need an ongoing editable publication or when a complex design requires deliberate layout and print checks.
- Consider a third-party converter cautiously. Microsoft says converter quality and capabilities vary and that it does not support those tools. Work on copies and independently check the vendor and its terms; no universal one-click recovery route is established.
Checklist: prepare your Publisher files
- Search your PC, OneDrive, and SharePoint for “.Pub” to locate Publisher files.
- Sort files by whether they need to remain viewable, printable, or editable, and prioritize the publications you depend on.
- Keep untouched originals, then save important publications as PDFs from Publisher while the relevant licensed installation is available.
- If exporting a batch, test Microsoft’s sample script on a small, representative set and check the results before scaling up.
- For Word edits, compare the converted document with its source PDF, paying particular attention to graphics-heavy pages.
- For future editions, choose Word or PowerPoint according to the publication type and proof complex layouts against your real print requirements.
