Microsoft 365 Copilot Business is usually the better fit for a small business that already works in Microsoft 365 and wants AI help inside Word, Excel, PowerPoint, and Outlook. ChatGPT Business is worth considering when the team wants a shared AI workspace for work across several apps. It can connect to Microsoft 365, so the choice does not have to be between ChatGPT and Microsoft tools.
The right comparison is total cost, workflow fit, administration, and data requirements—not a claim that one assistant is universally more capable. The recommendations below are based on vendor-published product information, not hands-on comparative testing.
Which is better for a small business?
Choose Microsoft 365 Copilot Business as the first option to evaluate if your company already pays for Microsoft 365 and employees spend much of their day working in its apps. Its main advantage is that Microsoft describes Copilot as integrated with Word, Excel, PowerPoint, and Outlook.
Consider ChatGPT Business if staff need a shared AI workspace for work across multiple services and a range of AI tasks. OpenAI lists Microsoft 365 among its connectors, alongside services such as Google Workspace, Slack, and GitHub. A business can therefore use ChatGPT Business while continuing to use Microsoft 365.

These are workflow-based recommendations from the vendors’ published descriptions. The available product pages do not establish that either plan produces better productivity outcomes in an independent, head-to-head comparison.

The plans are not directly like-for-like: Copilot Business is an add-on that requires an eligible Microsoft 365 subscription, while ChatGPT Business is offered as a separate team workspace. To compare fairly, use the same number of users and billing commitment, and compare the full cost of Microsoft 365 plus Copilot Business against ChatGPT Business. If Microsoft 365 is already a sunk business expense, the incremental Copilot cost may be the more relevant figure for your decision; if it is not, count the base subscription too. These published list prices do not establish an all-in cost for every business because region, bundle, and billing terms can differ.

Microsoft 365 Copilot Business
Microsoft describes Copilot Business as AI integrated with Microsoft 365 apps, including Word, Excel, PowerPoint, and Outlook. Its business pricing page also lists work-data chat, research and data analysis, agents, analytics, and model choice. ChatGPT Business
OpenAI describes ChatGPT Business as a shared workspace accessible on desktop, web, and mobile. The listed capabilities include search, file uploads, projects, data analysis, vision, company knowledge, workspace agents, centralized billing and administration, usage analytics, and spend controls. How to choose for your business
- Your staff mainly work in Microsoft 365: Start by evaluating Copilot Business if help within Office apps is the priority and the additional license cost is justified.
- Your staff work across several services: Consider ChatGPT Business if the team will use its connectors and shared workspace for work spanning multiple apps.
- You are unsure whether employees will use AI regularly: Consider a limited-seat pilot where the vendors’ terms allow it. Compare actual workflow value and usage with the cost of the seats you would need at full scale; this is a buying approach, not evidence of measured productivity gains.
- Your work involves sensitive data or regulated processes: Ask the person responsible for security or compliance to review the current terms, tenant configuration, and integrations before connecting company data.
Before deciding, compare five things: total cost for your user count and billing term; where employees do most of their work; needed connectors and administrative controls; expected seat usage and premium-feature limits; and the privacy, retention, and compliance terms your business requires.

What should a small business know about data and administration?
ChatGPT Business
OpenAI states that, by default, it does not use data from ChatGPT Business—including inputs or outputs—to train or improve its models. That is OpenAI’s policy statement; review the applicable business terms and operational settings to determine whether they meet your requirements. Read OpenAI’s business data policy.
Microsoft 365 Copilot Business
Microsoft’s Copilot Business page lists enterprise data protection, management, compliance, and controls. The pricing page alone does not resolve every retention or data-residency question for a particular business. Check the documentation, contract, and settings that apply to your Microsoft tenant.
