To archive a KPI dashboard safely, save more than a screenshot: define what must be retained, check dependencies and usage, export the right artifacts, store them with controlled access, document their context, and test recovery before deleting the live content. A PDF or image can preserve a view at one moment; it does not, by itself, preserve the underlying data, model, or ability to rebuild the dashboard.

Decide what “archive” needs to mean

Start with the future use of the archive. Different goals call for different artifacts, and no single export necessarily covers all of them.

Choose one or more goals explicitly. A rendered export is convenient to read, but it is not interchangeable with a source definition, semantic-model backup, or data copy.

Check scope, dependencies, and usage before retiring it

Map what is actually being retired

List the dashboard or report, its semantic model, extracts or data sources, and downstream reports. Use lineage and impact analysis, then confirm the scope with the owner and relevant subject-matter experts. A model may serve reports beyond the dashboard under review. Microsoft recommends dependency review before retiring Power BI content and advises accounting for dependent reports (Microsoft lifecycle planning guidance).

Treat usage as evidence, not automatic deletion permission

Low recent usage does not prove an artifact is obsolete. Ask whether it supports seasonal work, annual reporting, regulatory needs, or infrequent external reviews. Microsoft’s Get Unused Artifacts as Admin API covers a 30-day history, which Microsoft cautions may be too short for some retirement decisions; a semantic model used annually for auditor reporting is one example (Microsoft lifecycle planning guidance).

The standard Power BI usage metrics report covers the last 90 days and updates daily, but its figures can differ from service audit logs because the sources and collection methods differ. Microsoft also documents limitations for some embedded experiences and regional-cloud deployments (Power BI usage metrics). These are product-specific windows, not universal retention guarantees. Combine usage evidence with owner review and the organization’s required retention policy.

Choose and capture the right archive artifacts

Record the dashboard’s context

For each export or backup, preserve enough information for a future reader to understand what it represents. Record:

  • Metric definitions, source systems, model or report version, and known dependencies.
  • Export date and format, data refresh timestamp, filters, and covered time range.
  • Access controls, retention rationale, repository location, and restore instructions.
  • Known omissions or export limits, so a partial rendering is not mistaken for a complete record.

This context is especially important when a PDF freezes a filtered view or when the source data will continue to change. Tableau’s guidance for KPI dashboards also recommends identifying data sources and update timestamps (Tableau KPI dashboard guidance).

Match formats to the goal

A PDF or image is useful as a point-in-time visual record. CSV or another data export can retain selected values for later analysis. Source-controlled definitions and semantic-model backups are more relevant to rebuilding or restoration. Keep complementary artifacts when the goal requires both a readable snapshot and recoverable logic or data.

Platform exports have limits. Looker supports dashboard PDF and CSV downloads, but its documentation identifies row and cell limits affecting some PDF output and chart types; note the format and any relevant limitations alongside the export (Looker dashboard downloads). Microsoft treats downloading Power BI content and backing up semantic models as separate parts of an archive approach (Microsoft lifecycle planning guidance).

Store the archive so it can be found and recovered

Use a repository approved by your organization, limit access to the minimum necessary audience, and choose a location that supports the required retrieval and recovery process. Microsoft lists source control, downloaded content, semantic-model backups, and central repositories such as OneDrive or SharePoint as possible components of a Power BI archive approach (Microsoft lifecycle planning guidance).

For Tableau Cloud, downloaded entity snapshots can be copied to centralized cloud storage or local storage. Tableau documents entity snapshots as refreshing every 60 minutes and being retained for 14 days; those figures apply to the documented Tableau Cloud feature, not to a separate copy you keep elsewhere (Tableau Cloud backup guidance). Choose storage according to organizational security rules, expected retrieval, retention needs, and whether restoration is required. A local copy is not automatically a secure or sufficient backup; apply approved access, duplication, and recovery controls.

Validate recovery, then record the retirement

  1. Assemble the archive package. Put the selected visual, data, and rebuild artifacts together with their context and dependencies.
  2. Restrict and document access. Save it in the approved repository, record its location and permissions, and identify who can retrieve it.
  3. Test the recovery path. Have someone follow the documented instructions to locate and interpret the archive and, where applicable, restore or rebuild the content. Fix missing files, access problems, or unclear steps before deletion.
  4. Record the change. Log what was removed, when, why, and by whom. Microsoft recommends keeping a change log and testing recovery before deleting live content (Microsoft lifecycle planning guidance).
  5. Apply your records policy. Set retention and disposal according to the organization’s applicable records, security, contractual, and legal requirements. No universal legal retention period can be inferred without the relevant jurisdiction and industry context.

Platform-specific issues to account for

Power BI and Microsoft Fabric

Use scope confirmation, dependency analysis, secure archival, a recovery plan, and a tested restore process before retiring content. Do not treat the 30-day unused-artifact API window as a complete view of infrequent use. The standard usage report’s 90-day period and daily updates are separate product characteristics, and usage data may differ from audit logs (Microsoft lifecycle planning guidance; Power BI usage metrics).

Tableau Cloud

Distinguish entity snapshots from event logs: snapshots describe site content, users, and relationships, while events record activity. The documented 60-minute refresh and 14-day retention apply to Tableau Cloud entity snapshots. Downloaded snapshots can be kept in a central or local repository, and Tableau describes combining them with Activity Log events for monitoring. Related event-log availability may depend on product context and licensing (Tableau Cloud backup guidance).

Google Analytics 4

Archiving a custom dimension or metric is irreversible. Before doing so, review affected entities and export their list. Dependent reports, explorations, segments, or audiences may become invalid; an invalid audience no longer accumulates new users (Google Analytics custom dimension and metric archiving). Retiring a dashboard does not preserve every definition or dependency it uses.

Looker

Keep PDF and CSV exports distinct in the archive inventory. A PDF is a rendering and may be subject to documented row or cell caps for some chart types; a CSV serves a different data-export purpose. Preserve the date range, filters, format, and relevant export limitations (Looker dashboard downloads).

Capture a visual record with a screenshot

A screenshot can document how a KPI dashboard appeared at a particular time, but it is only one artifact in the archive package: it does not preserve queryable values, model logic, or a tested restore path. For a manual capture, open the dashboard in its intended state, set the relevant date range and filters, wait for data to finish loading, and use the browser or platform’s capture/export option. Label the file with the capture date and retain the filter and freshness context separately.

Common archiving mistakes and fixes

  • Keeping only a screenshot: add the data and definition artifacts needed for analysis or recovery, plus filters, time range, and freshness context.
  • Deleting based on short-term inactivity: check longer business cycles and confirm with the owner; product usage windows are not proof of obsolescence.
  • Archiving a shared model with its dashboard: inspect lineage and downstream reports first, and separate the dashboard retirement decision from dependencies still in use.
  • Assuming a platform snapshot is permanent: check the feature’s documented retention and copy files to an approved repository when longer retention is needed.
  • Discovering recovery gaps after deletion: test access and restoration while the live content still exists, then update the archive package and instructions.
  • Treating an export as complete despite limits: record file format, selected data, filters, and known PDF or platform limits; add a complementary export when the retention goal requires it.
