iCloud Shared Photo Library and Shared Albums solve different sharing problems. Shared Photo Library is a joint, ongoing collection: participants’ selected items move from their Personal Libraries into one Shared Library, where everyone can add, edit, and delete content. Shared Albums are separate albums for distributing selected photos and videos; the owner controls invitations, link access, and participant permissions. The right choice depends on whether you want a genuinely shared archive or a controlled way to publish selected media. Apple’s current documentation also makes the Shared Album’s creation-era software important because storage, resolution, and limits differ between newer and legacy albums.

What is the difference between iCloud Shared Photo Library and Shared Albums?

Use iCloud Shared Photo Library for one continuing collection that a small group curates together. Use Shared Albums for individual, selective albums—such as a trip, event, or project—where the owner decides who can see the album and what participants may do.

Decision point iCloud Shared Photo Library Shared Albums
Basic model One collaborative library shared by a group. Separate albums containing selected photos and videos.
What happens to contributions Items moved into the Shared Library leave the contributor’s Personal Library. Items remain part of the owner’s or contributor’s normal photo collection while copies are shared in the album.
Collaboration Participants can add, edit, and delete content. The owner can configure whether participants may add photos and whether they can view or comment.
Access model Invited participants share the library. Invite specific people or enable a link, depending on the album’s settings.
People Up to six people total, including the organizer; each person can belong to one Shared Library at a time. Limits depend on the software version in which the album was created. Apple lists up to 100 participants for legacy albums.
Storage responsibility The organizer’s iCloud storage covers Shared Library content. Albums created in version 27 or later count toward the owner’s iCloud storage; albums created in version 26 or earlier follow older rules and do not count.
Best fit Families or small groups building one joint archive. Selective distribution with tighter audience and permission controls.

The simplest distinction is where you want the shared material to live and how much control you want over participation. A Shared Photo Library is a shared destination: items people contribute become part of the same collection. A Shared Album is a selected set for a particular audience, with access and contribution settings attached to that album. You can use both for different purposes rather than treating them as mutually exclusive.

How does iCloud Shared Photo Library work?

Shared Photo Library creates a library separate from each participant’s Personal Library. The organizer and participants decide which photos and videos belong in that shared space, and the resulting collection is available to the group through iCloud Photos.

Think of it as a single group collection, not as a folder that merely displays everyone’s personal photos. Each participant has a Personal Library, and the Shared Library is a separate place for selected content the group intends to share. That distinction affects both privacy and organization: contributing an item means moving it into the common collection, not just sending another person a view-only copy.

Do Shared Photo Library photos leave my Personal Library?

Yes. When you contribute an item to the Shared Library, it moves out of your Personal Library and into the shared collection. That distinction matters for organization: the item is no longer only yours to manage, and the group sees it as part of the common archive.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Before moving a large batch, agree on what belongs in the shared collection. Family portraits, shared travel photos, or household records may make sense; private work, screenshots, and unrelated personal images usually do not. Reviewing the selection first is especially important if you are contributing a broad group of photos rather than choosing them one at a time.

If you are unsure whether an item belongs in the common collection, leave it in your Personal Library and share a selected copy through a Shared Album instead. That keeps the two workflows clear: shared archive for material the group should manage together, and discrete album for material intended for a particular audience.

Who can change or delete Shared Library content?

All participants share responsibility for the collection. Participants can add, edit, and delete content, so this is collaboration rather than a read-only gallery. A group should establish simple rules—such as who removes duplicates and whether deletions require agreement—before importing valuable photos.

That shared control can be useful when several people contribute to a family archive, but it also means there is no single owner acting as the sole curator of every item. Agree on basic housekeeping: whether duplicate shots should be removed, who checks for accidental additions, and how the group handles a disagreement about removing an image. If the group wants one person to publish material while everyone else primarily views it, a Shared Album may be a closer fit.

Apple’s iPhone setup guidance explains the creation and joining process in detail: How to use iCloud Shared Photo Library on iPhone or iPad and Set up or join an iCloud Shared Photo Library on iPhone.

How many people can join?

A Shared Photo Library supports up to six participants in total, counting the organizer. One person can participate in only one Shared Library at a time, so this feature is designed for one primary group rather than many overlapping communities.

The six-person ceiling includes the organizer; it is not six additional invitations on top of the organizer. This makes the feature practical for a household or small group, but less suitable if you want to share one collection among a large class, club, or extended community. If someone already participates in another Shared Library, they cannot join a second one at the same time. For different circles, separate Shared Albums can provide more selective, album-by-album distribution.

What software and services are required?

You need iCloud Photos and compatible Apple software. Apple’s cited setup guide specifies iOS or iPadOS 16.1 or later, or macOS Ventura or later; Apple’s current documentation also has version-27 guidance. Check the setup page for the exact requirements on every device that will access the library.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Compatibility is a group consideration, not just a setting for the organizer. Before inviting people, confirm that their devices and operating systems can use the feature and that iCloud Photos is enabled. The setup steps and screen names can change between operating-system releases, so use Apple’s instructions matching the version installed on your device instead of relying on an old walkthrough.

How do Shared Albums work?

A Shared Album is a discrete container for selected photos and videos. It does not turn everyone’s entire photo collection into one jointly managed library; instead, the owner publishes a chosen set and controls access.

You can create different albums for different occasions or audiences: for example, a trip album for traveling companions, an event album for guests, or a project album for collaborators. This gives the owner a way to keep the audience and media selection specific to each album. Participant contributions are optional and configurable, so people do not all need the same level of control they receive in a Shared Photo Library.

Shared Albums are therefore useful when the goal is distribution rather than building a single shared archive. They can also work for people who want to see selected photos without moving those items into a collaborative library. Check each album’s audience and settings when you create it, especially if you plan to share more than one album with different groups.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can anyone with a link see a Shared Album?

The owner can invite selected people or enable link access. A link is therefore broader than an invitation-only album: anyone who obtains the link may be able to view the album according to the current sharing settings. Use invitations when the audience must be tightly controlled, and treat a link as something that can be forwarded.

Link sharing can be convenient for a large or changing audience, but convenience comes with less control over who receives the link. For private family photos, client material, or anything with a limited intended audience, choose invitations and review the participant list. If you use a link, consider whether you would be comfortable with it being passed along beyond the people you first sent it to.

What can participants do in a Shared Album?

Permissions are configurable. The owner can allow participants to add photos and can set whether they can view or comment. Because these controls are independent of the album’s audience, review the settings before sharing an event album or a link outside your immediate group.

Apple documents the creation flow in Create shared albums in Photos on iPhone and the people and permission controls in Add and remove people in a shared album on iPhone.

How do storage, resolution, and limits differ?

Do not apply one blanket rule to every Shared Album. Apple distinguishes albums created in version 27 or later from albums created in version 26 or earlier, so the album’s creation-era software determines the applicable behavior.

Shared Album type Storage treatment Capacity and delivery rules documented by Apple
Created in version 27 or later Originals are stored at full resolution and count toward the owner’s iCloud storage. Use Apple’s current limits documentation for the precise participant and item limits that apply to that version.
Created in version 26 or earlier Does not count toward the owner’s iCloud storage under the legacy rule. Up to 100 participants; up to 5,000 combined photos and videos per album; photos generally reduced to 2,048 pixels on the long edge; videos delivered at up to 720p.

The difference matters if you are planning a large album, promising a particular image quality, or trying to understand an iCloud storage change. Newer version-27-or-later albums store originals at full resolution but count against the owner’s storage. Legacy albums created in version 26 or earlier retain the older treatment described above: no charge against the owner’s storage, up to 100 participants and 5,000 combined photos and videos, plus reduced photo and video delivery.

The 2,048-pixel and 720p figures are not universal limits for every Shared Album; they describe the legacy rules. Likewise, the older 100-participant and 5,000-item caps should not be assumed for a newly created album under newer software. If storage, capacity, or original quality is central to your choice, check the current Apple limits page and identify the software version in which the album was created.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The legacy figures are version-specific Apple limits, not a guarantee for every album you create today. Check Shared Albums limits against the software version and creation date of the album before promising full-resolution delivery or a particular capacity.

Whose iCloud storage does a Shared Photo Library use?

The organizer’s iCloud storage covers Shared Library content; participants do not each pay separate storage for the same shared items. This makes the organizer the practical storage administrator even when other people contribute most of the photos.

If the organizer runs out of iCloud space, Apple says adding content and syncing changes can be affected. The organizer may need to add iCloud+ storage, but the appropriate plan depends on the organizer’s total personal and shared-library usage. Check available space before a large import and resolve an exhausted account before troubleshooting individual devices.

Keep in mind that the shared library’s storage responsibility follows the organizer, not the person who contributed a particular photo. A group should agree who will act as organizer and monitor available space, particularly if the collection is expected to grow over years. Other participants can contribute content, but their individual iCloud storage is not separately charged for those same Shared Library items.

Shared Albums have a separate storage rule tied to when the album was created: version-27-or-later albums count toward the owner’s iCloud storage, while version-26-or-earlier albums follow the legacy no-charge rule. Do not assume Shared Albums are always free of storage impact simply because older albums were treated that way.

Which option should you choose?

Choose based on ownership, audience, and how much collaboration you actually want. Consider whether the group is creating one collection for ongoing use or sharing a limited selection for a specific purpose. Also consider whether contributors should have the authority to edit and delete, and who will be responsible for storage.

Choose Shared Photo Library when the group needs one archive

  • You want the group’s selected photos to live together rather than in separate personal libraries.
  • Everyone is trusted to add, edit, and delete items.
  • You are comfortable with one organizer’s iCloud storage covering the shared content.
  • The group fits within six total participants and each person can use one Shared Library.

This option is best when the shared collection itself is the point—for example, a small household organizing common family photos in one place. It is less appropriate if you need to keep each person’s contributed items solely in their own Personal Library, or if some participants should only view selected material.

Choose a Shared Album when distribution should remain selective

  • You need separate albums for different trips, events, clients, or projects.
  • The owner should decide who is invited or whether a link is enabled.
  • Participants may need only limited abilities, such as viewing, commenting, or adding photos.
  • You want to avoid moving contributed items out of participants’ Personal Libraries.

Shared Albums are a better match when the audience or purpose changes from one batch of photos to another. An owner can keep one album invitation-only and use link access for another, while setting contribution permissions for each. Be mindful that album creation version affects the storage and quality rules, even when the album’s purpose is just temporary sharing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use both when the workflows are different

A household might use Shared Photo Library for an ongoing family archive and Shared Albums for a wedding, school event, or temporary project. The two features are not competing modes that must be chosen forever; they can serve different audiences and retention needs, provided you track which albums follow legacy or newer storage rules.

For instance, close family members might contribute selected items to the continuing Shared Library, while a separate event album is shared with guests who should not join the family’s collaborative collection. Keeping the two destinations distinct helps avoid granting more access than necessary and makes it easier to decide which material belongs in the lasting archive.

How do I prepare and set up a Shared Photo Library?

Set expectations and verify compatibility before inviting people. The exact screens vary by Apple operating-system release, so use Apple’s setup guide for the labels shown on your device.

  1. Confirm compatibility. Make sure each participant uses iCloud Photos and supported iOS, iPadOS, or macOS software. Apple’s cited baseline is iOS/iPadOS 16.1 or macOS Ventura, with newer documentation covering version 27.
  2. Choose the organizer. The organizer’s iCloud storage will cover the Shared Library, so select the account with enough available capacity and a clear plan for storage management.
  3. Decide what belongs in the shared collection. Agree on selection rules before anyone moves photos. Remember that contributed items leave the contributor’s Personal Library.
  4. Create or join the library. Follow Apple’s “Set up or join an iCloud Shared Photo Library” flow, then invite the other participants. The total cannot exceed six people, including the organizer.
  5. Review the shared collection after import. Check for duplicates, private material, and accidental inclusions. Since every participant can edit and delete, resolve disagreements before the library becomes the group’s permanent archive.

It is worth discussing the organizer role before setup rather than choosing whoever happens to start the process. Since that person’s iCloud storage covers the shared content, their available capacity and willingness to monitor it matter. Tell participants what they can do once they join, too: everyone should understand that the library is collaborative and that contributions leave Personal Libraries.

How do I create and share a Shared Album?

Shared Albums are better managed as individual publishing projects. Create one album per event or audience, then set access and contribution permissions deliberately.

  1. Turn on Shared Albums. Enable the feature in Photos or iCloud settings on the devices that will create or access albums, and verify the current software requirements.
  2. Create a new album and add selected media. Start with the photos and videos intended for that particular audience rather than treating the album as a complete library.
  3. Choose access. Invite specific people for a controlled audience, or enable link access when convenient distribution matters more than invitation-only access.
  4. Set participant permissions. Decide whether people may add photos and whether viewing or commenting is allowed. Recheck these settings whenever the audience changes.
  5. Check the album’s creation-era rules. If the album was created in version 26 or earlier, legacy capacity and reduced delivery rules apply; version 27-or-later albums follow Apple’s newer storage and quality treatment.

Before sending an album, look at it as a recipient would: confirm the intended photos are included, the audience is right, and the link or invitation method matches the privacy level you want. If people should contribute, confirm the relevant permission is enabled; if the album is a one-way selection, avoid granting contribution rights by default.

What are the common mistakes and how can you avoid them?

  • Assuming Shared Albums are always storage-free. That is only the legacy rule. Version 27-or-later albums count toward the owner’s iCloud storage.
  • Moving private photos into a Shared Library accidentally. Contributions move from Personal Library to Shared Library. Review selections before confirming a transfer.
  • Giving everyone deletion power without an agreement. Shared Library participants can delete content. Establish a curation policy and keep important originals backed up according to your own retention policy.
  • Expecting legacy quality from a newer Shared Album. The older 2,048-pixel and 720p figures apply to version 26-or-earlier albums; do not promise those limits—or assume them—without checking the album’s version context.
  • Ignoring the organizer’s available storage. A full organizer account can prevent additions and synchronization. Check capacity before a large shared import.
  • Using a link when the audience is sensitive. Link access is convenient but can be forwarded. Use direct invitations for private groups and review who can view, comment, or contribute.
  • Assuming every Shared Album has the same participant or item cap. Apple’s documented limits differ by creation-era software. Check the applicable current limits before planning a large album.
  • Inviting too many people to a Shared Photo Library. It allows six total participants, including the organizer, and each person can belong to only one at a time. Use Shared Albums for broader or overlapping audiences.

What should you check before deciding?

  • Is this one enduring collection or several selective albums?
  • Should contributions move out of personal libraries?
  • Do all participants need editing and deletion rights, or only viewing and commenting?
  • Can one organizer provide enough iCloud storage?
  • Does the group fit the six-person Shared Photo Library limit?
  • For a Shared Album, was it created in version 27 or later, or in version 26 or earlier?
  • Does the Shared Album need link access, or should it be restricted to invited people?
  • Will participants contribute photos, or should the owner be the only person adding media?
  • Could the album’s resolution or storage treatment matter for this particular use?

Frequently Asked Questions

Can I use Shared Photo Library and Shared Albums at the same time?

Yes. They are separate features, so a group can keep an ongoing Shared Photo Library while creating individual Shared Albums for events or audiences that need different permissions. Plan each item’s destination before sharing so private material is not moved into the collaborative library by mistake.

What happens if the organizer’s iCloud storage fills up?

Apple says a full organizer account can affect adding content and syncing changes in the Shared Library. Check the organizer’s available space first; adding iCloud+ storage is an option, but the needed capacity depends on the account’s total usage.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Are all Shared Albums limited to 5,000 photos and videos?

No. The 5,000-item figure is documented for albums created in version 26 or earlier. Apple’s newer version-27-or-later rules differ, so check the current limits page for the software version that created the album.

Why might a Shared Album look lower quality than the original photos?

Legacy albums created in version 26 or earlier generally deliver photos at up to 2,048 pixels on the long edge and videos at up to 720p. Albums created in version 27 or later are documented as storing originals at full resolution, with storage charged to the owner.

Do I need to pay for Shared Library items if I am not the organizer?

The organizer’s iCloud storage covers Shared Library content, so participants do not each pay separate storage for those same shared items. The organizer should monitor available capacity, especially before a large import.

Can I join more than one iCloud Shared Photo Library?

No. A person can participate in only one Shared Photo Library at a time. The library supports up to six people total, including its organizer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Is a Shared Album link invitation-only?

No. The owner can invite specific people or enable link access. If link access is enabled, treat the link as shareable and use direct invitations when you need tighter control over the audience.

Do Shared Library participants have permission to delete photos?

Yes. Participants can add, edit, and delete Shared Library content. Agree on how the group will handle curation and removals before using it as a long-term archive.

Do Shared Albums always avoid using iCloud storage?

No. Albums created in version 27 or later count toward the owner’s iCloud storage. The older no-storage-charge treatment applies to Shared Albums created in version 26 or earlier, so check the creation-era rules for the album in question.

The Bottom Line

Bottom line: Choose iCloud Shared Photo Library when a small group wants one ongoing archive and trusts all participants to manage it together. Choose Shared Albums when you want to publish selected photos to a defined audience with configurable permissions. Before deciding, check who will own the storage responsibility and, for Shared Albums, which creation-era limits and quality rules apply.
