Ask your IT or help-desk team before changing anything. On a company-owned Windows laptop, IT normally uses Microsoft Intune Wipe (or an approved Autopilot Reset) to remove both company and personal data. Your job is to copy personal files to storage you own, sign out of personal accounts, and leave BitLocker and other security controls enabled. Do not decrypt the drive, remove the device from Intune, or run a factory reset unless your offboarding instructions explicitly allow it. If IT authorizes a local reset, choose Remove everything and enable Clean data; never choose Keep my files.

What should I do first before returning a work laptop?

Stop and confirm the wipe plan with IT. A managed work computer may have reset controls disabled, USB storage blocked, or a policy forbidding personal files. Help Desk Geek’s guidance is blunt: “Work or school laptop? Stop here and return it to your IT department. These steps are for personal PCs only.”

Ask these questions in your offboarding ticket:

  • May I copy personal files from this device, and which destination is approved?
  • Will IT run Intune Wipe, Autopilot Reset, or another corporate sanitization process?
  • Am I expected to use Reset this PC locally, and is the control enabled?
  • Should I return the laptop powered on, shut down, or connected to a network?
  • Which accessories and security devices must be returned with it?

Do not install a third-party cleaner or “shredder” on a managed computer. It can violate company policy, interfere with management software, and create an audit problem.

Choose the path by ownership

Situation Correct action What happens to personal files
Company-owned laptop being returned or reissued IT uses Intune Wipe, or authorizes local Reset this PC → Remove everything Personal and company data are removed
Your own PC that contains work apps or profiles (BYOD) IT uses Intune Retire or a selective wipe Company data and management are removed; personal files remain
Company laptop lost or stolen IT may use protected Intune Wipe Full reset is attempted even if power is interrupted; some devices may not boot afterward
Company laptop reissued inside the same Autopilot tenant IT may choose Autopilot Reset User files are removed while enrollment and the Entra join are retained

Do not apply the BYOD Retire procedure to a company laptop. Retire is designed to leave personal data in place, which is the opposite of what a returning company device requires.

How do I copy personal files off a company laptop?

Back up anything personal before IT wipes the device. Microsoft’s reset guidance requires a backup first because a reset can remove every local file, including files that were never synchronized.

  1. Use a destination you own. A portable SSD or external hard drive is the safest general option. A personal cloud account is also suitable if company policy allows it. A portable SSD such as the Samsung T7 is an example of the type of device meant for this transfer.
  2. Do not use the work OneDrive or work SharePoint. Files uploaded there remain in the company tenant and may be retained after you leave. If USB storage is blocked, ask IT for a temporary exception or use an approved personal cloud service.
  3. Check the usual folders. Review Desktop, Documents, Downloads, Pictures, Videos, and any custom folders outside your profile. Open a few copied files from the destination to verify that the transfer succeeded.
  4. Check synchronized folders. Personal OneDrive, Dropbox, or Google Drive folders may have a local copy even when you assumed everything was online. Confirm that the personal account, not the work account, owns the cloud location.
  5. Export data from applications. Look for personal Outlook PST files, photo-library folders, game saves, design projects, SSH keys, VPN profiles, and authenticator backups.

Do not copy company documents, source code, customer data, confidential email, or regulated records to a personal device. Your employment agreement and the offboarding ticket determine what you may retain.

Which personal data should I look for before the wipe?

Personal information is often scattered across profiles and application caches rather than one obvious folder. Use this inventory before signing out:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Browser bookmarks, saved passwords, cookies, autofill data, and personal Edge, Chrome, or Firefox profiles.
  • Windows Credential Manager entries. Open Control Panel → User Accounts → Credential Manager and review personal Web and Windows credentials.
  • Personal Microsoft, Google, Apple, Dropbox, Adobe, Slack, WhatsApp, Signal, Telegram, Steam, and other accounts used in desktop apps.
  • Personal OneDrive, Dropbox, or Google Drive folders that synchronized a private copy onto the disk.
  • Personal Outlook PST or OST files and any separate personal-mail profile.
  • Photos, tax documents, scanned IDs, receipts, resumes, financial records, and downloads saved outside synchronized folders.
  • SSH keys in %USERPROFILE%.ssh, personal VPN profiles, software licenses, and recovery codes.
  • Passkeys in Settings → Accounts → Passkeys on Windows 11.
  • Windows Hello PIN, face, or fingerprint registrations. These are device-bound and protected by the TPM when present, but a wipe is still needed to remove local copies.
  • Any BitLocker recovery-key printout or text file you saved personally. Copy personal keys only; work keys belong to IT.

A password-manager vault should already synchronize to your personal account. If it exists only on this computer, export it according to the manager’s documented procedure before you remove the application.

How do I sign out of personal accounts on a work laptop?

Sign out on the laptop, then revoke the device from each service after it leaves your hands. Signing out reduces cached access, but it is not a substitute for the corporate wipe.

  1. Personal Microsoft account: open Settings → Accounts, select the personal account, and remove it if company policy permits. After return, remove the computer from account.microsoft.com/devices.
  2. Find my device: for a personal Microsoft account, turn it off at Settings → Privacy & security → Find my device in Windows 11. Find my device can locate and lock a PC; it does not wipe it.
  3. Personal OneDrive: pause synchronization, confirm files exist in your personal cloud, then choose the account’s unlink option. Do not delete cloud files merely to remove the local copy.
  4. Browsers: sign out of personal Edge, Chrome, and Firefox profiles. Remove saved passwords only after confirming they are in your personal password manager.
  5. Other applications: sign out of Google, Apple, Dropbox, Adobe, Slack, WhatsApp, Signal, Telegram, Steam, and similar services. Deauthorize iTunes/Apple Media and Adobe when those applications offer a device limit.
  6. Credential Manager: remove personal web and Windows credentials after exporting anything you still need.

Once the laptop is returned, change passwords for personal email, banking, cloud storage, and every service used in its browser. Revoke active sessions from each provider’s security page. Return any company-issued FIDO key, YubiKey, badge, SIM, or eSIM hardware with the computer.

Should I turn off BitLocker before returning the laptop?

No. Do not run manage-bde -off C: or otherwise decrypt a company device unless IT gives you a written, device-specific instruction. A decrypted laptop can fail the organization’s encryption-compliance checks and exposes remnants while the drive is being handled.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

BitLocker or Device Encryption is the important protection for data that might remain in SSD flash after files are deleted. If encryption was enabled before the personal files were written, destroying or replacing the encryption key makes remaining ciphertext unreadable. On a company laptop, encryption should already have been enabled during provisioning; turning it on for the first time on your final day is not a reliable retirement procedure.

Where is the BitLocker recovery key?

Work-device keys are normally held by the organization. From another device, a Microsoft Entra user can try https://aka.ms/aadrecoverykey and sign in with the work account, then open Devices → View BitLocker Keys. If the key is not visible, contact IT rather than guessing.

A personal Microsoft account may store its own key at https://aka.ms/myrecoverykey or account.microsoft.com/devices/recoverykey. Microsoft Support states: “Microsoft Support doesn’t have the ability to retrieve, provide, or recreate a lost BitLocker recovery key.” A BitLocker recovery key is a 48-digit number, so do not publish it in a ticket or send it to a personal email address.

How do I reset a company laptop locally if IT authorizes it?

Use these steps only when IT explicitly approves a local reset and confirms that the laptop is company-owned and ready to be erased. Plug in the power adapter, disconnect unnecessary peripherals, and make sure the personal backup is complete.

Windows 11

  1. Open Settings → System → Recovery.
  2. Beside Reset this PC, select Reset PC.
  3. Choose Remove everything, not Keep my files.
  4. Select Cloud download for a fresh Windows image or Local reinstall to use files already on the device. Cloud download needs a reliable network; local reinstall can be faster on a slow connection.
  5. Open Change settings and set Clean data to Yes. If the laptop has additional internal drives containing personal files, enable deletion for all drives only when IT confirms those drives are also being returned.
  6. Confirm the reset and leave the laptop connected to power until it finishes.

Windows 10

  1. Open Settings → Update & Security → Recovery.
  2. Under Reset this PC, choose Get started.
  3. Select Remove everything, then choose Cloud download or Local reinstall.
  4. Open Change settings, enable Clean data, and confirm the erase scope with IT.
  5. Start the reset and do not interrupt it.

Windows 10 support ended on 14 October 2025. The reset choices still exist, but an unpatched Windows 10 fleet device without an applicable extended-support arrangement no longer receives ordinary security fixes; IT should decide whether it is reimaged, upgraded, or retired.

What if Windows will not boot?

Enter Windows Recovery Environment and choose Troubleshoot → Reset this PC. On an encrypted system, Windows may request the BitLocker recovery key. If you cannot supply it, do not bypass the control; return the device to IT. Recovery Environment reset removes files, but it does not change the ownership or management decision.

Why should I not restart during the reset?

Microsoft warns: “During the resetting process, it’s possible that your screen might go black for a long period of time (occasionally upwards of 15 minutes) and that your device might attempt to restart itself. Manually attempting to restart the device yourself during this process could cause the reset to fail.” Leave the screen alone, even if it appears inactive, and let the process complete.

Is a Windows factory reset enough to protect personal data?

A normal reset removes files from Windows’ point of view, but it is not the same as a certified high-assurance media purge. Microsoft says of the Clean data option: “The data erasure functionality is targeted at consumers and does not meet government and industry data erasure standards.” Its purpose is to make ordinary recovery harder when a consumer sells or donates a PC.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Modern SSDs use wear leveling, so software cannot guarantee that every old flash cell is overwritten. Encryption is therefore the practical control on a managed laptop. NIST SP 800-88 Rev. 2, published in September 2025, defines Clear, Purge, and Destroy methods; cryptographic erase is a Purge technique. Whether a device meets a regulated standard depends on the organization’s documented process, the drive, and the certificate or evidence IT retains.

What does Clean data do?

Clean data adds an overwrite-oriented erase step intended to make removed files harder for another person to recover. It can take considerably longer than a basic reset. It is appropriate for a consumer-style handoff when IT approves it, but Microsoft does not claim it meets NIST, government, or industry erasure standards.

Should I run cipher /w?

Microsoft Learn describes cipher /w:C: as removing data from available unused disk space on the entire volume. Some consumer guidance suggests it as an extra pass when Device Encryption is unavailable. On a managed company laptop, do not run it unless IT specifically asks: it can take a long time, does not provide a NIST Purge certificate, and is usually unnecessary when BitLocker is enabled and IT will perform the managed wipe.

What is the difference between Intune Wipe and Retire?

Intune Wipe is for a company-owned device that must be returned to a clean state. Intune Retire removes company control while deliberately leaving personal data, so it is the BYOD path.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Intune action Use case Result Important qualification
doWipe Standard factory reset Restores default settings and removes personal and organizational data, apps, and configurations If interrupted, Windows attempts to roll back
doWipePersistUserData Special reset that preserves enrollment state and associated user data User data is kept Wrong option for a laptop being returned by an employee
doWipeProtected Lost or stolen corporate device Continues wiping after power loss and overwrites free space Microsoft warns it can interfere with boot recovery or firmware protections and leave a device unrecoverable; use only where recovery procedures exist
Retire Personally owned PC or device leaving organizational control Removes company data and unenrolls the device without a full factory reset Personal files remain; some Microsoft 365 Apps or management-extension Win32 apps may remain

Microsoft’s wording for Wipe is: “Use the Wipe action in Intune to factory reset a device, restoring it to its default settings. This action removes all personal and organizational data, apps, and configurations.” For Retire, Microsoft says: “The retire action in Intune removes company data from a device without performing a full wipe or factory reset. This action is ideal for personally owned devices or when transitioning a device out of organizational control.”

On an Entra-joined, BitLocker-protected device, deleting or retiring the Intune object can trigger a synchronization that removes key protectors and suspends BitLocker as a safeguard against an unrecoverable encryption state. That is another reason employees should not remove the device from management themselves.

Intune tenants have operational limits: Microsoft documents up to 500 Wipe actions per tenant per day and up to 1,000 Retire actions per tenant per day across individual, bulk, and Graph API actions. Those limits affect IT scheduling, not the employee’s personal-data checklist.

Why is Reset this PC greyed out on my work computer?

A greyed-out reset control usually means the device is managed by work or school policy, not that Windows is broken. Active Directory, Microsoft Intune, firmware controls, or a security baseline can block local reset. Do not attempt registry edits, third-party boot media, or an unofficial cleaner to bypass it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Send the screenshot and device name to IT. The team can run Intune Wipe, reimage the laptop, or provide a controlled recovery procedure while preserving the organization’s audit trail.

What should I do after the laptop leaves my hands?

  1. From a personal device, remove the returned PC from account.microsoft.com/devices if a personal Microsoft account was ever added. This unlinks the account; it does not erase the laptop.
  2. Change personal passwords and revoke sessions for email, banking, cloud storage, social services, and any application used on the laptop.
  3. Confirm that IT has blocked work sign-in and revoked sessions. Cached Microsoft 365 sessions may not disappear instantly after an account block, so IT should coordinate blocking with collection and wiping.
  4. Return the charger, dock, monitor adapter, badge, hardware security keys, SIM or eSIM hardware, and any other issued accessory.
  5. Do not delete the company mailbox, work OneDrive, or business files yourself. Those are part of the employer’s retention and legal-hold process.

Does GDPR require an employee to erase a work laptop?

GDPR Article 17 gives a data subject a right to request erasure from the controller in specified circumstances, subject to exceptions such as legal obligations, legal claims, and public-interest archiving. It does not give an employee ownership of company hardware or prescribe a particular factory-reset button.

For a returned company laptop, the employer is generally the controller for work data and must follow its own retention, legal-hold, and media-sanitization policy. The practical employee obligation is to ask for a safe opportunity to retrieve personal files before the company wipe. UK GDPR contains a corresponding erasure right, but the exact employment context and policy should be confirmed with the employer or a qualified adviser.

Common mistakes that can expose personal data

  • Choosing Keep my files: this intentionally preserves the user profile and is unsuitable for a returned company device.
  • Resetting without a backup: local photos, tax records, browser data, and vaults can disappear permanently.
  • Turning off BitLocker: this weakens protection and can violate compliance requirements.
  • Using Find my device as a wipe: it locates or locks a personal-account device but does not erase it; remote wipe requires prior MDM enrollment, and Windows Home lacks the RemoteWipe CSP used by MDM wipes.
  • Running Retire on company hardware: Retire is intended to preserve personal files, so it does not satisfy a full return wipe.
  • Deleting cloud files to remove local copies: this can destroy personal data everywhere. Unlink or remove the local profile only after confirming synchronization.
  • Copying personal files into the work tenant: company retention, legal holds, and administrators may keep those files after departure.
  • Forcing a restart during reset: a black screen can last upwards of 15 minutes; interruption can fail the reset.
  • Destroying or replacing the drive: company hardware must not be physically destroyed or modified by the employee. High-assurance destruction is an IT or leasing-provider process.

Frequently Asked Questions

Can I keep a copy of personal files that were created on a work laptop?

Usually you may retrieve genuinely personal material, but employer policy, confidentiality rules, and legal holds control what may leave the device. Ask IT for an approved transfer method and do not copy company records, customer information, source code, or regulated data.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Will deleting my work Microsoft 365 account immediately erase OneDrive and Outlook?

No. Microsoft’s offboarding guidance says OneDrive and Outlook content is retained for 30 days after an employee account is deleted; email, contacts, and calendar data also have a 30-day retention period after a license is removed or deleted. That is an organizational retention window, not a personal backup, so retrieve personal files before the account is closed.

What if I cannot find the BitLocker recovery key for the laptop?

Stop and contact the employer’s IT team. Work keys are normally stored with the organization, and Microsoft Support says it cannot retrieve, provide, or recreate a lost key; do not try to bypass encryption or decrypt the drive.

Can I use a USB file shredder or bootable erasure tool instead of Intune?

Not on a managed company laptop unless IT specifically supplies and authorizes that procedure. Unapproved tools can violate policy, break enrollment or firmware protections, and leave no acceptable audit record; the organization’s managed wipe or approved sanitization vendor should perform the erase.
