Microsoft 365 Copilot can summarize and draft text in Word, analyze worksheet data in Excel, and summarize presentations or help create slide content in PowerPoint. First check that Copilot is available in your account: its controls and capabilities depend on your license, organization settings, platform, and experience. If the button is missing, confirm your subscription or Copilot license and ask your administrator whether access is restricted.

Before using Copilot: choose accessible source material

Use files and information you are permitted to access. Give Copilot a defined task, identify the source or relevant section, and state the audience and format you need. A scoped request such as “List five key points and three unresolved questions” is easier to assess than “Analyze everything.” Treat generated text and analysis as a starting point: check it against the source before sharing it or using it to make decisions.

How do I summarize a Word document with Copilot?

  1. Open the document in Word and open Copilot in the chat pane.
  2. Ask a specific question, such as “Summarize this document in five bullets,” or “List the decisions and action items.”
  3. Check the response against the document. If a point needs clarification, ask a follow-up, then verify important details in the source.

Word can summarize or answer questions about the current document. An automatic summary may also appear at the top of a document, depending on license and organization settings. Microsoft Support says automatic summaries require a source of at least 200 words; you can still invoke a summary for a shorter document. Automatic summaries do not always provide citations to later content in the document, so verify consequential details yourself.

Can Copilot draft a Word document from my notes?

  1. Open Word and invoke Copilot in the chat pane.
  2. Provide your prompt, outline, notes, or a referenced file, and specify the deliverable and audience. For example: “Draft a one-page project update for a nontechnical audience using these notes.”
  3. Review the draft against your source material, then ask Copilot to adjust the tone, length, or structure as needed.

Copilot can also help refine selected text. Check that the result preserves the facts and intent in your notes before using it.

How do I analyze data with Copilot in Excel?

  1. Open the workbook and select the Copilot icon.
  2. Ask a concrete question about a clearly structured data range, and specify the output you want. For example: “Which three regions had the largest quarter-over-quarter change? Show a chart.”
  3. Inspect the result and check generated formulas and calculations against the workbook before relying on them.

Copilot can help surface summaries, trends, and outliers, and can generate charts, PivotTables, formulas, and summary rows. Microsoft advises using specific questions and clear column names. Another useful prompt is “Add a formula column for margin and explain the formula.”

Can Copilot summarize a PowerPoint presentation?

  1. Open the presentation and select Copilot.
  2. Ask “Summarize this presentation.” You can also request key slides or action items.
  3. Check the summary and any references against the slides before passing it on.

Microsoft Support says Copilot can return a bulleted summary with references to information in the presentation. Its current guidance gives an approximate capacity of up to 40,000 words; this is a stated approximate limit, not a guarantee for every license or app experience.

Can Copilot create a PowerPoint slide from a Word file?

  1. Open the presentation and select Copilot.
  2. Choose or reference a source file, then describe the slide you want. Identify the specific section or topic to use.
  3. Inspect and edit the generated slide so it accurately represents the source and fits the presentation.

Microsoft also describes creating presentations from a prompt or an existing Word file. Its FAQ says existing-file presentation generation supports one file at a time. Available paths can vary by product surface, license, and organization settings.

Choose the app based on the material you have and the output you need. In every app, verify the result against its source before relying on it.

Why can’t I see Copilot in an Office app?

Copilot availability varies with license, organization settings, platform, and product experience. Check the account you are signed into and whether its subscription or Copilot license includes the feature. If your account is managed by an organization, ask its administrator whether Copilot has been disabled or limited. Microsoft documents separate Word, Excel, and PowerPoint Agents in the Microsoft Copilot app; those Agents require a Microsoft 365 Copilot license and should not be confused with every in-app Copilot capability.
