Canva lets you create social graphics, presentations, posters, documents, videos, websites, and more without learning a traditional design application. You work from a blank canvas or template, then add text, images, shapes, video, audio, and other elements with drag-and-drop controls.

This guide explains the main Canva workflow: creating a design, editing its contents, uploading your own files, collaborating, and downloading the finished result. The instructions describe Canva’s web and desktop interfaces; labels and available features can vary by device, account, region, and plan.

What you need to use Canva

Canva runs in a web browser and is also available as a desktop or mobile app. Create an account or sign in at Canva, then use the home page to start a design. The Free plan includes the editor, templates, free stock content, and 5 GB of cloud storage. Paid plans add premium content and tools, but you can complete many ordinary graphics and documents without upgrading.

Watch for the crown or premium indicator on templates and assets. A design can contain both free and premium elements, but Canva may require payment, a subscription, or replacement of those elements before allowing an unrestricted download.

1. Create your first design

  1. From the Canva home page, select Create.
  2. Choose a design type, such as Presentation, Instagram Post, Poster, Video, or Document.
  3. Choose Custom size if you know the exact dimensions. Enter the width and height and select the measurement unit.
  4. Canva opens the design editor. Choose a template or begin with a blank page.

Starting with the correct design type matters. A presentation, social post, and printed flyer have different proportions, page structures, and export options. If you already know the required pixel dimensions—for example, 1080 × 1080 pixels for a square social graphic—use Custom size rather than trying to crop the design later.

2. Apply a template

Templates provide a starting layout, but they are not locked images. You can replace the wording, colors, photos, graphics, and arrangement.

  1. Inside the editor, select Design.
  2. Open the Templates tab.
  3. Search for a subject or style, such as “restaurant menu,” “school presentation,” or “birthday invitation.”
  4. Select a template to apply it to the current design.

Replace the sample content before downloading. Check every text box for leftover placeholder wording, and inspect each image for licensing or premium-content restrictions.

3. Understand the Canva editor

The desktop editor is divided into three useful areas:

  • Side panel: tools such as Design, Elements, Uploads, and Text.
  • Canvas: the page or slide you are editing.
  • Top or floating toolbar: controls that change depending on what you select.

For example, selecting an image exposes image-editing controls, while selecting text exposes font, size, color, alignment, and spacing controls. A multi-page design also displays page thumbnails or page controls around the canvas.

If a control appears to be missing, first select the relevant object. Many Canva commands are contextual and do not appear until an element is selected.

4. Add images, graphics, and shapes

Use Canva’s built-in content

  1. Select Elements in the side panel.
  2. Search for a keyword such as “arrow,” “coffee,” “texture,” or “circle.”
  3. Use categories or filters to narrow the results when available.
  4. Double-click an item or drag it onto the page.

The Elements library can include graphics, lines, shapes, photos, videos, audio, charts, and other content. Select an item on the canvas to move, resize, rotate, recolor, or edit it. Not every asset supports the same controls: a stock photo cannot be recolored like a vector graphic, for example.

Move and arrange objects

Drag an element to reposition it. Use the contextual toolbar’s Position controls to align it or change its layer order. If objects overlap, arrange the selected object forward or backward until the desired object is visible.

To select several objects, hold Shift while selecting them. You can then group, align, move, or resize them together. Grouping is useful for a logo made from several shapes; locking is useful when a background or decorative object should not be moved accidentally.

5. Add and format text

  1. Select Text in the side panel.
  2. Choose a heading, subheading, or body-text style.
  3. Click inside the new text box and type.
  4. Use the toolbar to change the font, size, color, alignment, spacing, and effects.

To edit existing wording, double-click the text box, select the text, and type the replacement. Click outside the box when finished. To duplicate a text box, select it and choose Duplicate from the floating toolbar.

Keep the hierarchy simple: use a larger heading, a smaller supporting line, and readable body text. Avoid using several decorative fonts in one design. If text is difficult to read over a photograph, add a solid or semi-transparent shape behind it, or apply a subtle text effect.

In Canva Docs, you can also type / in the document and search for options such as Heading, Subheading, or Body.

6. Upload your own files

  1. Select Uploads in the side panel.
  2. Select Upload files.
  3. Choose files from your device or an available connected source.
  4. Drag an uploaded file from the Uploads panel onto the page.

You can also drag files directly onto the Canva page. Uploaded media remains in the Uploads section so you can reuse it in other designs. Common image formats include JPG, PNG, and SVG, although file limits and storage depend on your plan. Canva currently lists 5 GB of storage for Free, 100 GB for Pro, and 500 GB per team for Business.

An uploaded file is not necessarily converted into editable layers. For instance, an imported Affinity file can appear as a static image or graphic; its original Affinity layers are not available as independently editable Canva layers. The same general caution applies to flattened images and many exported files.

7. Edit images and remove backgrounds

Select an image and choose Edit photo when that control is available. Depending on the image and account, you can adjust its appearance, apply effects, crop it, or use background tools.

Remove an image background

  1. Select the image.
  2. Select Edit photo.
  3. Under Tools, select BG Remover.
  4. Review the cutout and use the erase or restore controls to refine it.
  5. Export as a PNG if you need the area around the subject to remain transparent.

BG Remover and transparent-background export are paid features in current plan documentation, so a Free account may not show the option or may display an upgrade prompt.

Adjust transparency

Select an element and choose Transparency from the toolbar. Move the slider or enter a value to make the object partially transparent. This is useful for overlays, watermarks, and text backgrounds.

Transparency is preserved only by an appropriate export. Use PNG and enable the transparent-background option when available. JPG files do not retain transparent areas.

8. Work with multiple pages

Presentations, documents, brochures, and other projects can contain multiple pages.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Select Add page to create a blank page.
  • Select Duplicate page to copy the selected page and its layout.
  • Select Delete page to remove a page.
  • Drag page thumbnails to change their order.
  • Use Pages at the bottom of the editor to switch between thumbnail and grid views where available.

Duplicating a page is often faster than rebuilding a repeated layout. Duplicate the page, then replace its heading, image, and other changing content while keeping consistent margins and styling.

9. Save and organize designs

Canva autosaves changes as you work. To put a design in a particular folder, use File → Save to folder, then select an existing folder or create one. Your designs are also available from the Canva home page when you sign in again.

The keyboard shortcut Command/Ctrl + S is listed by Canva, but saving in Canva is different from creating a file on your computer. To create a local copy, use Share → Download.

10. Collaborate and share a design

  1. Select Share in the upper-right corner.
  2. Enter collaborators’ email addresses, or select Copy link.
  3. Choose a permission such as Can edit, Can comment, or Can view.
  4. Send the invitation or copy the link.

Designs are private by default under Only people added can access. Depending on the account, link settings can include Anyone with the link or Only your team.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Copying a link does not automatically make a private design public. A recipient may see an access-request screen if they were not added and the design remains private. Conversely, Anyone with the link can expose the design to unintended recipients, so do not use that setting for confidential documents.

11. Download the finished design

  1. Select Share.
  2. Select Download.
  3. Open the File type menu.
  4. Choose a format and, where available, select pages, quality, size, or transparency settings.
  5. Select Download.
Format Best suited to Important limitation
PNG Sharp graphics, screenshots, and transparent backgrounds Usually larger than JPG
JPG Ordinary web images and photographs Does not preserve transparency
PDF Documents and printing May not preserve independently editable layers in another app
SVG Vector graphics and supported workflows Availability may depend on the plan and design
MP4 Videos and animated designs Export depends on the design’s media and settings
GIF Short animations Available only for supported designs

If Canva shows a premium-content prompt, replace the paid item, pay for it, or use a plan that includes it. If a transparent logo downloads with a white background, choose PNG and enable transparent background instead of JPG.

12. Resize a design for another platform

Canva’s current branding uses Magic Switch for resizing and transforming designs. In supported accounts:

  1. Select Resize in the toolbar.
  2. Choose a preset or enter custom dimensions.
  3. Select Resize to change the current design, or Copy and Resize to preserve the original.

Magic Switch can also transform designs into other formats or translate them, depending on the feature, account, and plan. Older tutorials may call this feature “Magic Resize,” but current Canva product pages use the broader Magic Switch name.

13. Canva AI tools

Canva AI is a collection of tools rather than one single command. Depending on your account, you may see tools such as Magic Design, Magic Write, Magic Media, Magic Edit, Magic Grab, Magic Switch, and Magic Layers.

Magic Layers can turn a flat design or AI-generated image into a layout with separately editable elements. Canva describes it as a premium AI tool whose use counts against an account’s AI allowance, and availability can depend on rollout status. Treat generated text and images as drafts: check factual claims, spelling, faces, hands, logos, and licensing before publishing.

FAQ

Is Canva free to use?

Yes. Canva has a Free plan with the editor, templates, free stock content, and 5 GB of cloud storage. Some templates, assets, background tools, export options, and AI features require a paid plan or separate payment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I make a transparent image in Canva?

Select the element or image, then use Share → Download. Choose PNG and enable the transparent-background option if it is available on your account. JPG cannot preserve transparency.

Why can’t someone open my Canva design link?

The design may still be set to Only people added can access. In the Share menu, add the person by email or change the link permission to an appropriate option such as Can view. Avoid Anyone with the link for confidential designs.

Can I edit Photoshop, Affinity, or other imported files in Canva?

Not necessarily. Some imported files are treated as static images or graphics rather than separate editable layers. If you need independently editable content, rebuild the relevant elements in Canva or import them in a format Canva supports as editable.

The Bottom Line

Canva’s basic process is straightforward: choose the correct canvas, start with a template or blank page, add and arrange content, review the design, then export it through Share → Download. The most common mistakes are using the wrong dimensions, leaving premium or placeholder content in a design, expecting imported files to retain their layers, and choosing JPG when transparency is required.
