Use the PDF command built into the Office app you are using. In Word, Excel, and PowerPoint, choose File > Save As (or Save a Copy) or File > Export, select PDF, set the pages or slides and quality you need, then save. Word for the web has a dedicated PDF export, while Outlook email is normally converted through Print > Microsoft Print to PDF on Windows. The exact options differ by app, operating system, and web or desktop edition, so check the generated PDF before sharing—especially if your workbook contains internal links, your presentation uses hyperlinks on macOS, or you need accessible tags.
Which Office PDF method should you use?
The right route depends on the file type and where Office is running. This quick map prevents you from hunting for a command that your edition does not provide.
| File or app | Desktop Windows | Mac | Web or browser | Important checks |
|---|---|---|---|---|
| Word document | File > Save As or Save a Copy > PDF | File > Save As > File Format: PDF > Export | Word for the web: File > Export > Download as PDF (with or without comments) | Page range, tracked changes, bookmarks, properties, structure tags |
| Excel workbook | File > Save As or Save a Copy > PDF, then Options | File > Save As or Export > PDF, then the available options | Controls vary by web edition; use its export or print command | Print area, Standard versus Minimum size, and lost internal workbook links |
| PowerPoint presentation | File > Export or Save As > PDF | File > Export or Save As > PDF | Use Export or the web print route when available | Slides, notes, handouts, comments, hidden slides, and hyperlink behavior |
| Outlook message | Open message > Print > Microsoft Print to PDF | Use the system print dialog and a PDF printer if offered | Outlook on the web: open message > Print, then print to PDF | Message layout, attachments, headers, and the selected printer |
Microsoft’s desktop instructions cover Word, Excel, PowerPoint, and OneNote export options in detail at Save or convert to PDF or XPS in Office Desktop apps. Platform-specific behavior can differ even when the menu names look identical.

Step-by-step
- Open the document in Word and finish editing, accepting or rejecting changes as appropriate.
- Select File, then Save As (or Save a Copy, depending on the build).
- Choose the destination folder and enter a filename.
- Open the file-type menu and select PDF.
- Select More options or Options if you need to control what is included.
- Choose Save or Publish, then open the resulting PDF to verify it.
What Word’s PDF options control
Word can expose a page range, whether tracked changes appear, bookmark creation, document properties, and document-structure tags. Structure tags help assistive technology interpret headings, lists, and reading order; the exact checkboxes vary by Word version. Microsoft documents these controls in its desktop PDF instructions.
If the document is still under review, decide deliberately whether comments and tracked changes belong in the public copy. A clean PDF is usually preferable for a final handout, while a review PDF may need markup for the recipient to see.
How do I save a Word document as a PDF on a Mac?
Word for Mac uses a dedicated format selector: choose File > Save As, set File Format to PDF, and select Export. Microsoft’s Mac workflow is described at Save or convert to PDF on your Mac.
- Open the editable Word file.
- Select File > Save As.
- In File Format, choose PDF.
- Choose a folder and filename.
- Select Export.
- Open the PDF in Preview or another reader and inspect page breaks, fonts, tables, and links.
Use a distinct filename such as Project-plan-final.pdf if you want an unmistakable separation between the exported copy and the editable original. Saving over the same name can make version control confusing when both files are stored in one folder.
How do I convert an Excel workbook to PDF without cutting off columns?
In Excel, choose File > Save As or Save a Copy, select PDF, and open Options before saving. Use the options to define the output range and quality, then check the PDF for clipped columns, unexpected page breaks, and missing links.
Step-by-step
- Open the workbook and select the worksheet or range you intend to publish.
- Set the worksheet’s print area and orientation first if the layout matters.
- Select File > Save As or Save a Copy.
- Choose PDF as the file type and select Options.
- Choose the relevant range or sheets and set the output quality.
- Select Save or Publish, then inspect every exported sheet.
Standard quality or Minimum size?
| Setting | Use it when | Trade-off |
|---|---|---|
| Standard | You need print-oriented quality or a document that will be enlarged. | The PDF is generally larger than a web-optimized copy. |
| Minimum size | You are emailing the workbook or posting it online and file size matters more than print output. | Images and other content may be optimized more aggressively for a smaller file. |
The Standard and Minimum size choices, and the range controls behind Options, are described in Microsoft’s desktop export guidance.

Why Excel links need a special check
Microsoft cautions that internal workbook links can be lost during PDF conversion. A link that moved a reader from one worksheet or workbook location to another may no longer work in the exported file. Test important links in the PDF itself rather than assuming that every hyperlink survived; see Microsoft’s note at the UK desktop PDF guidance.
How do I save PowerPoint slides as a PDF?
Use File > Export or File > Save As, select PDF, set the slide range and included content, and choose the quality you need. The available controls depend on the PowerPoint edition and platform.
- Open the presentation and decide whether the PDF is for slides, speaker notes, handouts, or review.
- Select File > Export or File > Save As.
- Choose PDF as the output format.
- Open Options and select the slide range.
- Choose whether to include comments, handouts, hidden slides, notes, or other available content.
- Select Publish or Save, then review the exported pages.
PowerPoint output choices
| Choice | What it changes | When to choose it |
|---|---|---|
| Slides | Creates one presentation page per slide. | Distributing a deck for on-screen reading or printing. |
| Notes pages | Places speaker notes with their associated slides when the edition offers that layout. | Giving a presenter a printable reference. |
| Handouts | Places multiple slides on a page, with available line or layout choices. | Classroom or meeting packets. |
| Comments or markup | Includes review discussion when supported by the version. | Sending a proof to collaborators rather than a final deck. |
| Hidden slides | Includes slides marked hidden when that option is available. | Only when the recipient needs the complete deck. |
Microsoft lists these range and content controls in Save PowerPoint presentations as PDF files. Choose Standard for higher output quality or Minimum size for a smaller file when those settings appear.
Hyperlinks on PowerPoint for Mac
Microsoft notes that PowerPoint for macOS does not preserve hyperlinks in exported PDFs, while PowerPoint for the web does. If clickable links are essential, test the actual PDF from your Mac and consider exporting through the web edition when your organization permits it. The platform distinction is documented in Microsoft’s PowerPoint PDF instructions.
How do I download a Word document as a PDF from Office for the web?
In Word for the web, select File > Export, then choose Download as PDF or Download as PDF with comments. This creates a download without changing the online Word document.
- Open the document in Word for the web.
- Select File > Export.
- Choose Download as PDF for a clean copy, or Download as PDF with comments when review comments must be visible.
- Open the downloaded file and check page breaks, images, comments, and links.
Web controls are not identical across every Office application. Microsoft’s Word web export instructions describe the two Word choices, while the broader desktop guidance also documents a print-to-PDF route for Word, PowerPoint, and OneNote for the web.

How do I save an Outlook email as a PDF?
In the documented Windows workflows for classic Outlook and Outlook on the web, open the message, choose Print, select Microsoft Print to PDF, and save the output. Outlook does not use PDF as the normal direct Save As type in these workflows.
Classic Outlook on Windows
- Open the email in its own message window or reading view.
- Select File > Print (or the message’s Print command).
- Choose Microsoft Print to PDF as the printer.
- Select Print, choose a folder and filename, and select Save.
- Open the PDF to verify that the sender, recipients, date, body, and any required pages are present.
Outlook on the web
- Open the message in your browser.
- Select the message’s More actions menu and choose Print.
- In the system print dialog, choose a PDF printer or Microsoft Print to PDF on Windows.
- Save the file and inspect the result.
Menu placement can change as Outlook’s interface is updated. Microsoft’s current instructions are at Save an Outlook message as a .eml file, a PDF file, or as a draft. Printing the message creates a PDF of the rendered email; it does not automatically embed every attachment as additional PDF pages.
What should I choose for quality, size, pages, comments, and links?
Make these choices before you publish the file. A PDF can be technically valid yet unsuitable because it contains the wrong pages, exposes review markup, or is too large to send.
| Decision | Recommended action | Reason |
|---|---|---|
| Page or slide range | Use the app’s Options control rather than deleting pages afterward. | It avoids exporting confidential or unfinished material. |
| Print quality versus file size | Choose Standard for print; choose Minimum size for online sharing when available. | The setting aligns output with its destination. |
| Comments and tracked changes | Include them only in a review copy. | Markup can reveal internal discussion or unfinished edits. |
| Bookmarks and structure tags | Enable them when offered, especially for long or accessible documents. | They improve navigation and assistive-technology interpretation. |
| Hyperlinks | Click-test important links in the final PDF. | Excel internal links may be lost, and PowerPoint for macOS has a documented hyperlink limitation. |
| Confidential material | Check hidden sheets, hidden slides, notes, comments, and document properties. | Export settings can include content that is not visible in the normal editing view. |
How do I create an accessible Office PDF?
Run Office’s Accessibility Checker before generating the PDF, then use tagged-structure options when the export dialog provides them. Microsoft’s accessibility guidance is available at Create accessible PDFs.
Pre-export accessibility checklist
- Run Review > Check Accessibility (the exact location can vary by app and build).
- Replace vague link text with descriptions that explain the destination.
- Use built-in heading styles in Word rather than merely enlarging or bolding text.
- Add alternative text to meaningful images and mark decorative images appropriately.
- Give tables a clear header row and avoid using tables solely for visual layout.
- Use sufficient color contrast and do not communicate meaning by color alone.
- Confirm that slide titles, reading order, and notes are appropriate in PowerPoint.
- Export with document-structure tags when the PDF options include that choice.
After export, navigate the PDF with keyboard controls or an accessibility checker if the document is important to your audience. A successful export does not by itself prove that the reading order, tags, or alternative text are correct.
Why does my PDF look wrong, and how can I fix it?
Most problems come from exporting the wrong range, relying on a different print area, or using a platform-specific feature. Diagnose the symptom in the generated PDF rather than repeatedly exporting the same settings.

Pages or slides are missing
- Reopen the export Options dialog and confirm the selected page or slide range.
- In Excel, verify the print area and whether you selected the active sheet, selected sheets, or the entire workbook.
- In PowerPoint, check whether hidden slides were excluded intentionally.
- For Outlook, make sure you opened the complete message rather than printing only a preview pane.
Excel columns are clipped or split awkwardly
- Set landscape orientation and an appropriate paper size in the worksheet’s print settings.
- Adjust scaling or define a narrower print area before exporting.
- Export one worksheet or range at a time when a large workbook needs different layouts.
- Open the PDF at 100% and inspect every page; a thumbnail view can hide clipped text.
Links do not work
- Test the PDF’s links with the same reader your audience will use.
- Recreate critical Excel navigation as explicit hyperlinks in the source document if internal links disappear.
- For PowerPoint on macOS, use the web export route for a presentation whose hyperlinks must remain clickable, then test that file.
Comments or private information appear
- Return to the export options and turn off comments, tracked changes, notes, or hidden-slide inclusion for the final copy.
- Inspect document properties and metadata when the file is confidential.
- Do not assume that hiding content in the editor removes it from an export; verify the PDF page by page.
The PDF is too large to send
- Choose Minimum size when that option is available.
- Resize oversized source images before exporting.
- Remove unused pages, hidden content, and unnecessary high-resolution graphics.
- Use a compressed copy only after checking that text remains sharp and links still work.
Does saving as PDF protect a document from editing?
No. A PDF fixes a sharing format and layout, but it is not an absolute edit lock. Microsoft states that many programs, including Word, can open and edit PDFs, so simply sharing a PDF does not guarantee that the recipient cannot change it; see Microsoft’s PDF guidance.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsIf the document contains sensitive information, use your organization’s approved permissions, encryption, or rights-management controls in addition to exporting. Treat the PDF as a distribution copy, not proof that the underlying content is tamper-proof.
How should I preserve the editable original?
Keep the source file and PDF as separate, clearly named versions. A practical convention is filename-v03-editable.docx and filename-v03-distribution.pdf, with the export date in a folder or filename when your team requires it.
- Save the editable Word, Excel, or PowerPoint file before exporting.
- Use a new PDF filename rather than overwriting the source file.
- Record whether the PDF is a draft, review copy, or final distribution copy.
- When the source changes, export a new PDF and repeat the link, page-range, and accessibility checks.
This workflow lets you revise the document later while giving recipients a stable file for printing or viewing.
What should I verify before sending the PDF?
Use this final inspection rather than trusting the export notification.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Open the PDF on the device or reader your audience will use.
- Confirm the filename, page count, slide count, and intended range.
- Scan headings, tables, images, page breaks, and footers for layout changes.
- Click important web links and, for Excel, test internal navigation that matters.
- Check whether comments, tracked changes, notes, hidden slides, or private metadata are present.
- Confirm that text can be selected and searched when a searchable document is expected.
- Run an accessibility check or keyboard review for documents intended for broad audiences.
- Check the file size and make sure the copy opens after it has been uploaded or attached.
Once these checks pass, send the PDF and retain the editable source so you can correct errors without rebuilding the document from scratch.

Frequently Asked Questions
Can I convert an Office file to PDF without installing another program?
Yes. Word, Excel, and PowerPoint desktop apps include PDF export, and Word for the web includes PDF download choices. Outlook’s documented Windows route uses the built-in Microsoft Print to PDF printer rather than an add-in.
Why is my PDF missing Excel worksheet tabs?
A PDF represents printed output, not the workbook interface. Export the required sheets or ranges through Excel’s Options dialog and consider adding visible navigation links or a contents sheet before conversion.
Can I include speaker notes in a PowerPoint PDF?
Many PowerPoint editions expose notes pages or handout layouts in the PDF Options dialog, but the exact choices vary by platform and version. Select the layout before publishing and inspect the resulting pages to confirm the notes were included.

Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →What is the safest way to send a PDF that contains comments?
Create two clearly named copies: a review PDF that intentionally includes comments and a final distribution PDF with comments and tracked changes removed. Open the distribution copy independently to make sure no review markup remains.
Will a PDF keep the same fonts on another computer?
The result depends on the fonts, licensing, and how the source application embeds or substitutes them. Open the exported PDF on a different device or in a second reader and inspect headings, symbols, and line wrapping before distributing it.
