Set separate retention rules for prompts, generated outputs, provider or application state, and security logs. For each class, document why it exists, who owns it, where it is stored, how long it is needed, what starts the retention clock, how it is deleted, which exceptions apply, who may access it, and when the rule is reviewed. Keep only data that serves a stated operational, legal, safety, or security purpose. Routine observability should normally use event records or redacted samples; detailed prompt content should be limited to cases where it is necessary.
Provider settings are only one part of the policy. Your gateway, application database, tracing platform, backups, support exports, and incident records may retain the same content independently. A provider’s zero-data-retention (ZDR) option therefore does not automatically mean that your organization stores nothing.
What data should an AI retention policy cover?
Start by separating data according to its purpose and storage behavior. A single “AI logs” rule is too broad: a prompt sent for inference, a response shown to a customer, a file attached to a request, and an authentication event have different risks and deletion requirements.
| Data class | Why it may exist | Typical contents | Policy questions |
|---|---|---|---|
| Prompt content | Delivering the request, debugging a failed interaction, safety review, or a documented business record | User text, system instructions, retrieved passages, tool arguments, images or files, and identifiers embedded in the request | Is full content required, or will redacted samples or a hash meet the need? Who is the owner? Does the retention clock start at receipt, case closure, or another event? |
| Generated output | Showing an answer, completing a workflow, customer support, quality review, or a contractual record | Model response, tool results returned to the model, citations, structured output, and moderation or safety labels | Must the output be preserved as a business record, or can it be regenerated? Does it contain personal, confidential, or regulated information? |
| Provider or application state | Polling an asynchronous job, storing conversation state, keeping uploaded files, or enabling a product feature | Response objects, threads, file objects, caches, embeddings, background-job state, and feature metadata | Which endpoint or feature stores it? Is deletion manual or automatic? Are there expiration controls or exceptions to ZDR? |
| Security and audit logs | Detecting abuse, investigating incidents, proving administrative changes, and meeting security-control requirements | Authentication events, request identifiers, model and policy versions, access decisions, administrative actions, timestamps, and selected redacted fields | Can investigators work without content? Which fields are sensitive? Who can access the logs, and what happens when an investigation or legal hold ends? |
Assign an owner to every class. The application team may own prompts and outputs, a platform team may own provider configuration, and security may own incident logs. Ownership must include authority to approve exceptions and to verify deletion; otherwise the schedule is only a document.

How do you choose a retention period?
There is no universally correct number of days. Choose the shortest practical period that satisfies a clearly written purpose, then record the reason and the event that starts the clock. A period should be long enough for the task it supports and no longer than the risk and obligation require.
Define the purpose before the duration
Write a sentence such as “retain the output until the customer case is closed so an agent can review what was sent.” If you cannot state a purpose in one sentence, do not retain the content by default. A purpose such as “future analytics” is too vague unless you specify the analysis, the fields needed, and an end date.
Use a trigger, not just a calendar number
“Thirty days” can mean thirty days after collection, the last access, an account cancellation, or case closure. Select one trigger for each class. A support record might expire after closure; a temporary background job might expire after completion or failure; an investigation record might expire after the incident and any approved hold are closed.

When a workflow needs only confirmation that a request occurred, retain a content-free event such as a request identifier, timestamp, model identifier, policy version, outcome code, and latency. Keep the full prompt or output only for the interval in which reviewers genuinely need it. Security teams may need a distinct schedule for events required to investigate attacks, even when ordinary interaction content expires quickly.
Document exceptions explicitly
Common exceptions include a legal hold, an active security investigation, a contractual record requirement, or a safety review. Each exception should name the approving role, the affected data, the reason, the start and end conditions, and the access list. An exception is not a permanent extension: review it at a defined cadence and release the hold as soon as its purpose ends.
How do you write the policy step by step?
The following sequence turns a retention principle into an implementable control.

- Inventory every copy. Trace a request from the user interface through gateways, application databases, queues, traces, provider endpoints, file stores, analytics exports, support tools, backups, and developer laptops. Record whether each system stores content, metadata, or both.
- Classify the fields. Mark personal data, confidential business information, credentials, regulated records, and ordinary operational metadata. Classification should apply to prompt templates and retrieved context as well as the user’s text; a harmless-looking template can include a secret or a sensitive identifier.
- Assign a purpose and owner. For each class and system, state the operational, safety, legal, or security purpose and name the accountable owner. If two systems have different purposes, give them separate schedules even when they contain identical bytes.
- Set the retention trigger and period. Choose the event that starts the clock and the shortest practical duration. Record whether the period is a one-time allowance, a recurring schedule, or an expiration relative to case closure. Do not copy a provider default into your organizational policy without checking what it actually covers.
- Specify the deletion method. Identify the API call, database job, object-lifecycle rule, queue purge, cache invalidation, and backup treatment that remove the data. State whether deletion is immediate, asynchronous, or dependent on a provider’s cycle, and record the evidence produced.
- Limit access. Use role-based permissions, separate production and investigation roles, and approval for content access. Log every administrative read or export of prompts and outputs. Encryption in transit and at rest reduces exposure but does not replace access controls.
- Define minimized observability. Decide which fields are always omitted, masked, sanitized, hashed, or encrypted in routine logs. Keep a documented path for temporarily collecting additional fields during an approved incident.
- Test the control. Create a test request containing a unique marker, follow it through every store, invoke deletion, and verify that the marker disappears or reaches the documented expiration state. Test provider-side objects, exports, caches, and backups rather than checking only the primary database.
- Review and change the rule. Set a review frequency, an owner, and a change record. A change to a model, endpoint, prompt, logging library, or provider contract can create a new storage path and should trigger a reassessment.
What should routine AI logs contain?
Routine logs should answer operational questions without becoming a transcript archive. A useful baseline is a timestamp, request or session identifier, tenant or service identifier where appropriate, model and endpoint name, configuration or prompt-template version, outcome code, latency, token or size counters, and a redacted error category. Keep the mapping from an identifier to a person in a separately protected system when possible.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →The OWASP Logging Cheat Sheet advises that sensitive personal data and secrets generally should not be recorded directly. Access tokens, passwords, private keys, and sensitive identifiers should instead be removed, masked, sanitized, hashed, or encrypted as appropriate. Hashing is not automatically safe: a small or predictable value can be guessed, and an unsalted digest can permit correlation. Choose a keyed or salted construction when you need correlation without exposing the original value, and document who can reverse or join it.
When is full prompt logging justified?
Full content can be justified for a narrowly defined quality, safety, support, or incident-response purpose. The OWASP GenAI Incident Response Guide notes that interaction logs, including prompts, can help explain an attack, but prompts may contain confidential or personal material. Require an approved incident or review case, capture only the fields needed, restrict access to the response team, and apply an expiry when the case closes.
How should redaction work?
Redaction should occur before data reaches a broad logging pipeline. Detect and remove credentials, payment details, government identifiers, health information, and other categories defined by your classification scheme. Preserve a stable surrogate only when investigators need correlation, and test the detector with multilingual text, encoded values, screenshots, file attachments, and tool arguments. Keep a record of the redaction version because changing the detector changes what can be recovered later.
How do provider retention controls differ?
Provider retention is feature-specific. Compare the data category, trigger, duration, deletion or expiration control, endpoint exceptions, eligibility for modified or zero retention, access terms, and geographic or contractual conditions. Never infer behavior for one endpoint from a different endpoint or from a marketing label.

| OpenAI abuse-monitoring logs | Prompts, responses, and derived metadata may be retained up to 30 days by default. Longer retention may apply when required by law or reasonably necessary to protect services or others. Approved customers may request Modified Abuse Monitoring or Zero Data Retention, subject to approval and limitations. |
| OpenAI application state | The Responses API generally has a 30-day application-state period when state is stored. Background mode uses temporary storage for polling. File objects can be deleted manually or configured with an expiration. Some endpoints and features can store application state even when ZDR is enabled. |
| Anthropic features | Retention and ZDR eligibility vary by API feature and other arrangements. Use the documentation for the exact feature and choose the shortest practical time-to-live for data that must be retained. |
The OpenAI “up to 30 days” figure is a provider policy detail, not a recommended period for every organization and not a guarantee that all related application state disappears after 30 days. Record the endpoint, feature flags, account approval, and any contractual terms used in your deployment. Recheck the provider’s current data-controls and endpoint documentation whenever you add a feature or change an account tier.

Does zero data retention mean the provider stores nothing?
No. ZDR generally limits specified provider-side storage under defined eligibility and endpoint conditions; it does not erase your own logs, application state, files, backups, safety systems, or support exports. Some features require temporary storage, and some endpoints may remain outside the ZDR scope. Treat ZDR as one control in a data-flow inventory, not as a blanket guarantee.
Verify four points in writing: which content and metadata are covered, which endpoints and tools are excluded, whether approval is required, and what legal, safety, or abuse-monitoring exceptions remain. Then perform a test using a unique marker and inspect provider response objects, files, background jobs, and your own observability systems.
How should deletion and expiration be implemented?
Deletion is a workflow, not a single button. For each store, document the command or API operation, expected completion time, failure handling, and evidence retained after deletion. A deletion record should contain the object identifier, request time, actor or automation identity, result, and any provider job identifier, but not a copy of the content being deleted.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Primary stores and derived copies
Delete from primary databases, object storage, caches, search indexes, vector stores, queues, and analytics tables. If a derived representation can reconstruct sensitive content, include it in the schedule. Where immutable backups cannot be edited, document the backup expiry, prevent restoration into production without the same deletion job, and restrict backup access.
Asynchronous provider deletion
Provider deletion may be queued rather than immediate. Record the provider’s stated behavior, poll or receive completion confirmation when available, and alert on failures. If an object has an expiration setting, verify that the setting was accepted rather than assuming the client library applied it.
Evidence without over-retention
Keep a minimal deletion audit trail. A cryptographic digest of an object identifier, a timestamp, and a success code can prove that a job ran without preserving the prompt or output. Protect this audit trail because it can reveal usage patterns even when content is absent.

How should security incidents and legal holds change retention?
When an incident or legal hold begins, freeze deletion only for the identified scope. Write down the affected systems, time range, data classes, approving authority, investigators, and release condition. Do not silently extend the retention of every user’s conversations because one case is open.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsSeparate investigative copies from production logs, encrypt them, and grant access to the smallest response group. Record every export and analysis action. At closure, document what was returned to the normal schedule, what was securely destroyed, and why any remaining evidence has a continuing obligation.
How do prompt and model-configuration changes need to be logged?
Keep an audit log for changes to system prompts and other model configuration that affect system behavior. The UK AI Cyber Security Code of Practice, Principle 8.3, states: “Developers should ensure that they have an audit log of changes to system prompts or other model configuration (including prompts) that affect the underlying working of the systems.”
Store the change identifier, approver, author, deployment time, affected environment, model and tool versions, and a digest or version reference for the prompt. Avoid copying sensitive production examples into the change ticket. Link the configuration record to evaluation results and rollback information so investigators can determine which behavior was active during an event.
Principle 8.1.1 also says: “Developers should ensure that the document includes security-relevant information, such as the sources of training data (including fine-tuning data and human or other operational feedback), intended scope and limitations, guardrails, retention time, suggested review frequency and potential failure modes.” Use this as a checklist for the system document that accompanies your schedule.
What does a practical policy entry look like?
Use one row per data class and system. The following is a format, not a universal set of durations; replace the examples with decisions approved for your environment.

| Field | Example entry |
|---|---|
| Data class and system | Customer-support prompts in the application database |
| Purpose | Allow an agent to review the interaction until the support case is closed |
| Owner | Support platform owner; security approves content-access exceptions |
| Classification | Confidential; may contain personal data supplied by the customer |
| Trigger and period | Clock starts at case closure; retain only for the documented post-closure review window, then expire automatically |
| Deletion | Application deletion job removes the record, attachments, indexes, and cache entries; backup expiry is documented separately |
| Access | Support role for active cases; audited security access for approved investigations |
| Exception | Legal hold or active incident, with named approver, scope, and release condition |
| Review cadence | Review after provider, endpoint, prompt-template, or logging changes and at the governance interval set by the owner |
For routine telemetry in the same service, a separate row might retain only identifiers, timing, model version, outcome, and redacted error categories. Do not merge that row with the content schedule simply because both records are emitted by one request.
What are the most common retention-policy failures?
- One rule for everything: Separate prompts, outputs, application state, and security events so each has a defensible purpose.
- Assuming the provider is the only store: Map gateways, traces, exports, backups, and developer tools before choosing a period.
- Logging secrets for convenience: Remove or transform credentials and sensitive identifiers before they enter the normal pipeline.
- Calling ZDR a total eraser: Check eligibility, endpoint exceptions, temporary storage, and your organization’s independent copies.
- No deletion evidence: Keep a minimal, protected audit record and test that objects, files, indexes, and caches actually expire.
- Permanent incident exceptions: Give every hold an owner, scope, review date, and release condition.
- Ignoring configuration history: Version system prompts and model settings so a later investigation can reconstruct behavior without retaining every user transcript.
- Failing to revisit the policy: Provider features, endpoint behavior, contracts, and logging libraries change; a new integration should trigger a data-flow and retention review.
How often should the policy be reviewed?
Set a regular governance review and require an additional review after material changes. At minimum, reassess when you add an endpoint or tool, enable background processing, change prompt templates, introduce file or vector storage, alter logging fields, switch providers, or receive a new contractual or regulatory requirement.
During review, sample deletion evidence, inspect access logs, confirm that redaction still catches current data formats, and compare the documented provider behavior with the features actually enabled. Record unresolved uncertainty as a risk with an owner and target date rather than silently assuming the most privacy-preserving outcome.
Frequently Asked Questions
Can I keep a hash of every prompt instead of the prompt text?
A hash can support deduplication or correlation without retaining readable content, but it may still reveal repeated activity and can be guessed when inputs come from a small set. Use a keyed or salted construction where appropriate, protect the key, and document whether anyone can reconstruct or join the values.
How do retention rules apply to prompts sent from employee devices?
The organization’s policy should cover approved clients, browser extensions, local caches, screenshots, clipboard history, and exported conversations, not only the central API. Block unapproved destinations where feasible and provide a supported workflow that applies the same classification and deletion controls.
What metadata is useful when prompt content is deleted?
A request identifier, timestamp, endpoint, model and configuration version, outcome code, latency, size or token counters, and a redacted error category usually support operations and capacity analysis. Keep identity mappings separately and avoid metadata that recreates sensitive content, such as storing complete filenames or retrieved passages.
What should happen when a provider changes its retention terms?
Pause or gate the affected integration if the new behavior exceeds your approved schedule, then update the data-flow inventory, contract review, and deletion tests. Record the effective date and communicate the change to system owners; do not rely on an old ZDR or default-retention assumption.
