A tidy Notion workspace is not an empty one. It is a workspace where related pages have a few predictable homes, the sidebar shows only what you use often, and everything else remains easy to retrieve through Library or search. Use a database only when a group of items needs shared fields and views, archive completed work instead of deleting it, and check permissions before moving anything in a shared workspace.
The method below works for a personal workspace and scales to teams. It relies on Notion’s current sidebar, Library, search, database, archive, and sharing behaviors; labels can change as the product evolves.
Start with the work you actually return to
Clutter usually appears when every new subject gets its own top-level page, every page is pinned, and old material is left beside active work. The cure is not a complicated taxonomy. First identify the small number of work areas you repeatedly open, then give those areas clear homes.

For an individual workspace
Most people need only a few top-level homes, for example Projects, Reference, Planning, and Personal. These are examples, not a required template. If two areas are always used together, they can live under one parent page. If a page is opened once a quarter, it does not need to occupy the visible sidebar.
For a team workspace
Teams can use teamspaces for departments or projects when that matches their access model. Notion describes teamspaces as a paid-plan feature in its workspace overview, so do not assume every plan includes them. Put high-use teamspaces where members can reach them quickly and keep low-frequency areas available through Library or search.
Notion allows pages to be nested without a stated depth limit. That capability is useful for grouping related work, but it is not a reason to create a new level for every label. As a rule of thumb, stop nesting when a person can no longer predict where a page belongs from its title and parent.

Use ordinary pages for information that is mainly prose, instructions, decisions, or reference material. Give each page a title that describes the subject and place it under the home a reader would look for first.
- Choose the parent first. Before creating a page, decide which existing home owns the work. If none fits, consider whether you really need a new home or whether an existing page can be renamed.
- Keep sibling names parallel. Use a consistent pattern such as “Project — Client onboarding” or “2026-10-13 — Weekly review.” Parallel names make the tree scannable.
- Use nesting for context, not decoration. A project can contain its meeting notes and decisions. Avoid nesting a page merely because its subject sounds related if readers would search for it elsewhere.
- Review orphan pages. When you find a page in an unexpected location, move it to its proper home or merge its useful content into the authoritative page. Do not create a second copy just to make navigation feel convenient.
These are editorial organizing choices, not Notion-mandated rules. The product supplies the navigation tools; your job is to keep the number of choices small enough that people can predict them.
Make the sidebar a working set, not a catalogue
The sidebar is a navigation and organization surface. Pages can be nested, parent-page toggles can be opened or closed, and pages can be dragged to reorganize them. Tabs and sections can be shown, hidden, and reordered. Use those controls to expose frequent destinations while keeping the full workspace available elsewhere.

A practical sidebar setup
- Expose active homes. Leave the top-level pages or teamspaces used during the current work cycle visible.
- Favorite daily destinations. Favorite pages you open every day, such as an active project hub or a current planning page. A favorite is a shortcut, not a new copy of the page.
- Order by use frequency. Arrange frequently used teamspaces or sections higher than occasional ones. Within a parent, put the page that starts the workflow first.
- Collapse inactive branches. Close parent-page toggles for areas you are not using. Collapsing changes what is visible; it does not move or delete content.
- Hide sections that add noise. Customize which sidebar sections appear and reorder the ones you keep visible. A section can remain available without occupying your daily navigation surface.
- Drag instead of duplicating. When a page belongs elsewhere, drag it to the correct parent or position. Creating a shortcut page with copied text creates a future synchronization problem.
| Sidebar choice | Best use | What it changes |
|---|---|---|
| Favorite | A page you open repeatedly | Adds a quick route to the same page |
| Collapse a parent | A branch that is temporarily inactive | Reduces visible rows without changing structure |
| Reorder pages or teamspaces | High-use areas that are hard to reach | Changes navigation order |
| Hide a section | Low-frequency content | Removes it from the visible sidebar while retaining access |
Use Library to keep the sidebar lean
Library is a second browsing surface for workspace content. You can remove a section from the visible sidebar and still reach it later from Library; removing it from the sidebar is not deletion. Library also provides search, filters, and bulk actions, which are useful when a section has grown beyond what a tree can present comfortably.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsWhat belongs in Library rather than the sidebar?
- Completed projects that you occasionally consult.
- Reference collections used less than once a week.
- Team areas maintained by another group but needed for occasional handoffs.
- Large sets of pages that are easier to filter than to browse one by one.
Keep the active entry point visible and let Library hold the long tail. This separation prevents the common mistake of pinning every useful page until the sidebar stops communicating priority.
Choose a page or a database deliberately
A normal page is the better home for free-form information. A database is useful when multiple related items need the same structure, properties, and views. Notion describes each database item as its own page, with properties that can provide context such as status, dates, and links.
| Question | Use a page tree when… | Use a database when… |
|---|---|---|
| Do entries repeat a recognizable pattern? | Each page is substantially different or primarily prose. | Items follow a recurring record pattern. |
| Do you need consistent fields? | Titles and headings are enough context. | Status, dates, links, owners, or other shared properties matter. |
| Will filtering or sorting help? | You navigate by topic and parent page. | You need to filter, sort, group, or create several views. |
| What is each item? | A page in a topic hierarchy. | A page inside a collection with database properties. |
Good database candidates
A project register, content pipeline, issue log, meeting archive, or reading list usually benefits from a database because every entry can carry the same fields. A policy explanation, onboarding guide, or research note usually works better as a page because forcing it into rows adds structure without improving retrieval.
Signs you are overusing a database
- You add properties that are rarely filled in or never used for a view.
- People cannot tell whether to edit the database entry or a separate “master” page.
- Every record needs a different layout, so the shared schema provides little value.
- The database has become a dumping ground for unrelated subjects.
When those signs appear, split unrelated records into separate databases or move prose back to pages. Multiple focused databases are easier to understand than one universal table with dozens of optional columns.
Design database views around decisions
Create a view only when it answers a recurring question. For a project database, an active-work view might show items that are not complete; a planning view might group by status; an archive view might isolate finished records. The underlying entries remain pages, so a useful view should change how you find them, not create duplicate content.

- Name the database for its collection. “Projects” or “Editorial pipeline” is clearer than “Master database.”
- Define the minimum properties. Start with fields required to identify, sort, or filter an entry. Add a property only when a real workflow needs it.
- Set a predictable status vocabulary. Keep labels mutually understandable, such as Planned, Active, Blocked, and Complete. Avoid near-duplicates that make filtering ambiguous.
- Create views for distinct tasks. A view should have a stated purpose, such as “What needs attention this week?”
- Write the record template once. Include the headings and prompts that every new item needs, while leaving room for details that vary by item.
Do not convert every existing page into a database simply because databases offer more controls. Conversion is worthwhile when shared properties and multiple views reduce work for the people maintaining the collection.
Search before you create another page
Notion’s Help Center describes search as a way to make Notion an easily navigable archive of information. Treat search as a duplicate-prevention step: look for an existing page, record, or phrase before creating a new home.
Workspace search and database search are different
| Tool | What it searches | Useful controls |
|---|---|---|
| Workspace search | Page names and page content, including content inside database pages | Title-only, creator, teamspace where available, location within selected pages, and date filters |
| Database search | Database entry titles and property values | Finds records by their names or stored property values |
Use workspace search when you remember a phrase written in a page, even if the page is a database entry. Use a database’s own search when you remember an entry title or a property value and want to narrow that collection.
Recommended Free Tools
Know what search will not find
Notion’s workspace-search documentation says comments and discussions are not included. It also excludes select and multi-select property values from workspace search. Database search can help with property values, but neither tool should be treated as a guarantee that every mention, comment, or metadata label is indexed.
A repeatable retrieval routine
- Search the workspace using a distinctive word or phrase.
- Use title-only when you are looking for a page name rather than text inside a page.
- Narrow by creator, teamspace, location, or date when the result set is large.
- If the item should be in a database, search that database for its title or property value.
- Open the likely source and confirm it is the canonical page before linking to it or creating anything new.
Archive finished work instead of letting it crowd active views
Archive is the reversible middle ground between an active page and deletion. An archived page is hidden from search by default, can be included with the content-status filter, keeps working links, and can be unarchived. Archived database items are filtered out of the normal view and can be reached through the database’s settings.
When to archive
- The work is complete but may be needed for audit, reference, or future context.
- The page no longer belongs in active navigation or current database views.
- Keeping the item would make current lists harder to scan.
When to delete
Delete only when the material is genuinely no longer needed and any retention or team policy allows removal. If there is uncertainty, archive first. Archive preserves the page and its links; deletion follows a separate trash and recovery path.

How to find an archived page
- Open workspace search or the relevant content list.
- Set Content status to All pages (including archived).
- Open the result and choose the option to unarchive it if it needs to return to active use.
For an archived database item, open the database settings and use the archived-items control rather than assuming the item was deleted.
Protect access when moving shared pages
Organization and permissions are connected. Before moving a page between a shared area, a teamspace, and Private, confirm who should retain access and whether inherited permissions will change.
Notion’s workspace guidance states that moving a page into Private removes access for everyone except the current user. That can be the correct result for personal notes, but it is a serious surprise for a project page or shared procedure. Verify the destination and sharing settings before you move the page.
Teamspace placement checklist
- Put department-owned work in the teamspace that owns its maintenance.
- Keep cross-team reference material in a location every intended reader can access.
- Arrange frequently used teamspaces higher in the sidebar.
- Check whether a page contains linked subpages that also need access.
- After moving, test the page from the perspective of a teammate who should still be able to open it.
Run a light maintenance pass
A short review prevents clutter from becoming a migration project. The cadence below is a practical suggestion, not an official Notion schedule.
During normal work
- Search before creating a page.
- Place new content in an existing home when one fits.
- Use the database entry for a record instead of creating a parallel note.
- Remove a favorite when you stop using it daily.
At the end of a work cycle
- Move stray pages to their correct parent.
- Rename vague titles so search results explain what each page contains.
- Collapse or hide inactive sidebar branches.
- Archive completed pages and records that still have reference value.
- Review permissions on pages that changed owners or teamspaces.
When a workspace feels overwhelming
Do not reorganize every page at once. First identify the active homes and make those easy to reach. Then hide low-frequency sections, archive finished work, and fix only the pages that cause repeated confusion. Search and Library give you a safe way to postpone deeper taxonomy decisions.

“The sidebar is still huge after I collapsed a few pages.”
Collapse additional inactive parent branches, reorder the high-use homes, and hide low-frequency sections. Use Library for sections you still need occasionally. A collapsed or hidden section is not removed from the workspace.
“I cannot find a record by its status.”
Workspace search does not include select and multi-select property values. Search within the database instead, where entry titles and property values are searchable, or open a view that filters by the status field.
“An archived page disappeared.”
Archived pages are hidden from search by default. Include them by setting Content status to All pages (including archived). For an archived database entry, use the database settings to reach archived items.
“A teammate lost access after I reorganized pages.”
Check whether the page was moved into Private or into a teamspace with different membership. Restore it to a shared destination or adjust sharing deliberately, then verify access with an affected teammate.
“Our database has become a second, confusing wiki.”
Separate records from prose. Keep repeatable items with shared properties in the database, and move explanatory material to pages linked from the records. Remove properties and views that no longer support a decision.
Two starter layouts that stay manageable
| Personal workspace | Team workspace |
|---|---|
| Projects: active project hubs and their notes | Teamspaces: departments or projects, arranged by use frequency |
| Planning: goals, weekly planning, and reviews | Operations: procedures, policies, and recurring workflows |
| Reference: durable material consulted occasionally | Shared databases: projects, issues, or content with consistent fields |
| Personal: private pages that should not be shared | Library/archive: low-frequency and completed material |
In either layout, the visible sidebar should contain only the homes and pages that support current work. Use page nesting for context, databases for repeatable records, Library and search for the long tail, and archive for finished material that still matters.
