To make an event ID image with a QR code, first decide what scanning it should do: open event information, start registration, identify an attendee in your event system, or share contact details. Generate the matching QR code in your event or badge tool, add it to the badge or sign, and test the exported image at its intended size before printing.

Choose what the QR code should do

A QR code can hold a web address, text, or vCard contact information. For event check-in, it can instead carry an attendee-specific identifier or URL that your event system knows how to resolve. Apple documents URI and vCard payloads, while EventHub describes attendee codes for entry, exit, session attendance, and booth visits. The right choice depends on the scan’s purpose, not on which payload option is easiest to select.

A badge can be photographed. Do not encode sensitive attendee information in a publicly readable code unless that exposure is intentional. A unique identifier is not useful by itself: the check-in app or organizer system needs to map it to the appropriate record.

Generate an event or registration QR image

If the code should open a page, use its stable, short URL. Prefer a URL that you control or one for which you can maintain a redirect; changing the destination without a redirect may leave printed codes pointing nowhere. The U.S. Department of Energy’s QR guidance also recommends keeping URLs short and placing explanatory text beside the code.

Example: RSVPify’s documented flow

In RSVPify, open Event Settings → Event QR Codes, choose the Website or RSVP code, create it, customize the foreground and background colors and shape, then download the image for use in a badge or other design. The labels and steps here apply to RSVPify; another product may use different controls. RSVPify distinguishes a code for the general event website from one that links directly to registration.

  1. Decide whether the scan should open event details or the registration form.
  2. Generate the corresponding code in the event tool.
  3. Download the image and place it in the badge, invitation, or sign design without crowding its clear border.
  4. Add a short instruction such as “Scan for event details,” and, where practical, the readable URL.
  5. Scan the exported design before sending it to print.

Make individualized attendee or contact badges

For check-in or session tracking, use the event platform’s attendee-specific code or encode an identifier or URL that your system can resolve. EventHub documents attendee codes for entry, exit, sessions, and booth visits; the exact setup depends on the event platform. Do not substitute one shared event URL if each scan must identify a particular attendee.

Example: ClearEvent’s vCard badge workflow

ClearEvent’s Badge Maker guide describes a personalized contact-sharing workflow using attendee CSV data. The guide is dated June 22, 2026 and identifies Badge Maker as beta, so confirm current availability and behavior in the product before a production run.

  1. Open a badge design or start from a template.
  2. Add a QR code to the canvas and select it.
  3. Set Payload Mode to vCard Contact.
  4. Map the attendee CSV fields to the contact fields you intend to share, such as name, organization, title, phone, email, or an optional website.
  5. Resize and position the square code on the badge.
  6. Preview multiple attendee records. Check both ordinary records and records with optional fields blank.
  7. Scan a preview with a phone camera and verify that the contact resolves as intended.
  8. Export the badge PDF for printing.

ClearEvent says blank mappings and empty values are omitted from an attendee’s code, and describes its output as vCard version 3.0. The contact fields are carried in the code, so map only information meant to be shared. A vCard can be denser than a short URL or ID; ClearEvent advises increasing the code size or error correction if its pattern looks dense or difficult to scan.

Design the code for real scanning conditions

  • Use strong contrast. A dark pattern on a light field is the safer design choice. If the badge artwork is dark or busy, put the code on a clean, light panel.
  • Keep a clear margin. RSVPify recommends at least 0.25 inches of clear margin around the code. Keep text, borders, and artwork out of that area.
  • Allow enough physical space. There is no universal minimum size established here for every printer, payload, and scan distance. Test the actual design at its planned printed size and under the conditions people will use it.
  • Explain the scan. Label its destination or purpose, for example “Scan for registration” or “Scan to exchange contact details.” A readable URL also gives people a manual alternative.
  • Test the exported artwork. RSVPify recommends scanning the exported image on both iOS and Android and confirming it opens the intended page. For a badge batch, preview and scan representative attendee records before printing all badges.

These are practical recommendations, not a guarantee that every code will scan in every lighting, printing, or device condition.

What QR codes can and cannot change after printing

A static code encodes the payload selected when it is created. If it contains a URL, changing the content at that page is possible without changing the code, provided the address remains valid. Changing the URL itself can break the printed code unless the old address redirects. With an attendee ID, the organizer’s system needs to continue recognizing that identifier. With a vCard, the contact fields are part of the payload; correcting them generally means issuing a new code and badge.

Apple’s documentation notes that higher QR symbol versions have greater data capacity. Longer or more detailed payloads therefore require more code capacity and may create a denser pattern. Keep a vCard limited to fields attendees are meant to share, and test it at final size rather than assuming that a design preview will scan from a printed badge.

Troubleshoot a code that does not scan as expected

  • The wrong page opens: Check whether you selected the event website or registration code, and scan the exported artwork rather than a different preview. Verify the encoded destination before printing.
  • The page no longer loads: The URL may have changed or the destination may have been taken offline. Restore the page or redirect the old address; otherwise create and distribute a replacement code.
  • A contact is incomplete: Recheck the CSV headers and field mappings, then inspect a record with blank optional values. ClearEvent’s documented behavior omits blank mappings and empty values.
  • A dense vCard is hard to scan: Reduce the number of shared fields, increase the code’s physical area, and check the error-correction setting where the tool allows it. Scan a fresh export at its intended size.
  • The code blends into the design: Restore a dark-on-light treatment, place it on a clean panel, and preserve the clear margin around every side.
  • A badge identifies the wrong person: Check that the attendee record and its generated code remain paired during export and printing. Preview several records before producing the full batch.

Frequently asked questions

Can one badge contain a check-in code and a contact-sharing code?

It can contain separate codes if the event or badge design supports them. Label each one clearly so a guest can tell whether scanning opens an event action or shares contact information; test both independently in the exported design.

Should I print a human-readable identifier too?

For operational badges, a printed name or other organizer-approved identifier can help staff identify a badge if a scan is unavailable. The QR code still needs to resolve through the event system for digital check-in or tracking.
