Choose Windows backup software by starting with what you need to recover: individual files and older versions, Windows and its programs after a drive failure, or an off-site copy if the PC and its local backup are both lost. Then check which files and drives the software actually covers, where it stores backups, how restores work, and whether a copy is protected from threats that can reach your PC.

Decide what you need to recover

“Backup” can mean several different things. A file backup, a Windows restore point, a recovery drive, and a full-system image do not recover the same things. Match the software to the failure you want to be ready for.

  • Deleted or changed documents, photos, and other personal files: Look for file backup with version history, or cloud file backup that covers every important folder.
  • A new PC or a Windows reinstall: Windows Backup can restore selected folder contents and some settings and app information through a personal Microsoft account. It is not a complete copy of the old PC.
  • A failed drive or Windows installation that will not start: Choose software that explicitly supports a whole-computer or volume image and explains how to boot recovery media. Confirm that you can recover the system without starting Windows.
  • A problematic driver, setting, or system change: System Protection and System Restore may help roll back Windows system files and settings, but they do not replace a backup of personal data.

For whole-PC recovery, check the vendor’s exact definitions: “file backup,” “volume backup,” and “entire computer” may be separate job types. For example, Veeam’s documentation distinguishes file-level, volume-level, and entire-computer jobs. That documents supported capabilities; it is not evidence that one product is best for every home user.

Compare the features that determine whether a backup will help

Before buying or setting up software, use these questions to compare its documentation and settings. A backup is only useful if it includes the data you care about and you can restore it in the situation you are planning for.

What to compare What to verify
Recovery scope Does it protect selected files and folders, earlier versions, particular volumes, or the whole computer? Which folders or drives are excluded by default?
Restore path Can you restore one file without restoring everything? Can you recover if Windows will not start? Does a system recovery require separately created bootable media?
Destination Can backups go to an external drive, network location, cloud, or more than one destination? Does the initial cloud backup depend on an internet connection and available storage?
Retention and versions How far back can you restore? Does the service retain deleted or overwritten files, and for how long? Can a deletion on the PC also remove the cloud copy?
Isolation and ransomware Can at least one copy be disconnected, kept offline, or made immutable? For cloud or object storage, what account permissions and configuration are required?
Automation and alerts Can you schedule backups? Will the software alert you if a drive is missing or a job fails? Can you check that the most recent backup completed?
Compatibility Which Windows versions, file systems, and external drive types are supported? Does the software treat USB flash drives differently from HDDs or SSDs?
Storage, account, and cost limits What storage is included? Is an account or subscription required? What happens when storage fills up or a plan ends?

Choose destinations for the risks you face

External drive

An external HDD or SSD is a practical local destination if you have a large collection of data, limited internet, or want to keep a copy under your control. Choose capacity for the protected data and the history you want to retain; the amount needed depends on your files and retention settings. Confirm that the backup software supports the drive type you plan to use.

A drive left connected may be reachable by malware on the PC. CISA advises disconnecting an external drive when it is not actively backing up because ransomware can corrupt or delete connected backups. See CISA’s ransomware guide.

Network storage

File History can use a network location. A network share that remains writable from the PC may still be exposed to some of the same risks as the PC, so do not assume that network storage is isolated. Check its access controls, retention, and whether the backup can be deleted from a compromised computer.

Cloud storage

Cloud backup can keep a copy away from the PC and make it accessible through an account, but it depends on internet access, provider storage limits, and the service’s retention and deletion behavior. Microsoft’s Windows Backup support page documents 5 GB of OneDrive storage for a free Microsoft account; the page does not state a publication year for that figure.

More than one destination

A local copy and a separate off-site copy cover different loss scenarios. No setup should be treated as ransomware-proof: review account security, restore options, retention, and whether deletions can propagate to every copy. CISA recommends secure external or vetted cloud backups and discusses offline or cloud-to-cloud options in its ransomware guidance.

Understand the Windows backup tools already available

Windows Backup

Microsoft describes Windows Backup as a consumer feature associated with a personal Microsoft account. It can sync selected Desktop, Documents, Pictures, Videos, and Music folders to OneDrive and back up some settings, app information, Wi-Fi information, and preferences. At setup of a new PC or after reinstalling Windows, signing in to the same account can offer available backed-up information for restore.

This can help with selected cloud folders and moving to another consumer Windows PC, but it does not mean every desktop program or the complete state of the old PC has been imaged. Microsoft says the consumer app described on its support page does not work with work or school accounts. See Microsoft’s Windows Backup instructions for the current workflow and account details.

File History

File History backs up Windows libraries, including the default Documents, Pictures, Videos, and Music libraries, to an external drive or network location and lets you browse previous versions. Other folders can be included by adding them to a library. Check that your important folders are in scope rather than assuming every file on the PC is covered.

To recover a file, browse to the earlier version you want. Microsoft’s File History instructions explain the restore workflow; use “Restore to…” if you want to avoid overwriting the current file.

System Protection and Recovery Drive

System Restore points can help troubleshoot changes to system files and settings. A Windows Recovery Drive is for device recovery, but Microsoft says it does not include personal files. Treat these as repair tools that complement—not replace—a separate personal-data backup. Microsoft explains the distinction in its Recovery Drive guidance.

Legacy Backup and Restore

Microsoft’s solution chooser recommends considering modern options, describing them as easier to manage and non-destructive. It suggests moving content from Windows 7 Backup and Restore to a modern cloud-based backup. Read Microsoft’s guide to choosing a backup solution before relying on a legacy workflow.

Check third-party drive and storage restrictions

Vendor documentation can reveal compatibility limits that are easy to miss in a feature list. Confirm these details against the current product and plan before choosing:

  • Veeam Agent for Microsoft Windows: Its documentation says external HDD and SSD volumes must support Microsoft VSS for the described backup workflow; USB flash drives are not supported for that external-drive workflow. See Veeam’s external-drive guidance.
  • Veeam object-storage immutability: Veeam documents temporarily immutable backups when using supported object-storage repositories. Immutability depends on a compatible target and configuration, and provider storage or API charges may apply. The guide was updated August 7, 2024 and applies to build 13.1.1.700; consult the Veeam immutability guide for applicability.
  • Backblaze Computer Backup: Its Windows documentation says some external drives can be included, but drives presented as removable media rather than hard disk drives are not backed up. It also sets conditions for retaining coverage of disconnected external drives. Check the current external-drive documentation and disconnected-drive retention rules before relying on it.

These examples illustrate why the terms “external drive support” and “cloud backup” are not enough on their own. Product capabilities, licensing, and plan conditions can change; check the vendor’s current documentation for the edition you intend to use.

Set up a backup you can actually restore

  1. List what matters. Identify essential folders, any other data locations, and whether you need individual-file recovery, a complete system recovery, or both.
  2. Choose the recovery scope and destination. Confirm that the software covers the required files or volumes and supports the destination and drive type you have.
  3. Set a schedule and retention. Choose how often backups run and how many earlier versions to keep. Make sure the destination has enough room and that the software reports failed or missed jobs.
  4. Separate a copy where practical. Keep an off-site copy or disconnect a local external drive between backup jobs where feasible. For network or cloud storage, review who can delete backups and how long they remain available.
  5. Test file recovery. Restore a representative file to another location and confirm it opens. For whole-system backup, understand the recovery-media process before Windows fails; do not wait for an emergency to discover that the PC cannot boot into recovery.

Account for Windows 10 support status

Microsoft says Windows 10 support ended on October 14, 2025. That ended free Windows Update software updates, technical support, and security fixes. Backup software can help recover data or a system image, but it does not restore operating-system support. See Microsoft’s Windows 10 support notice.
