Choose an AI model registry as a governed inventory and lifecycle control plane, not merely as a place to store model files. The right registry lets you identify every model and material AI component, prove where each came from, enforce review before production use, monitor changes and behavior, and export trustworthy evidence for audits or incidents.

Start by defining your inventory policy and risk tiers. Then compare registries against seven capabilities: inventory completeness, provenance and integrity, governance workflow, security operations, evidence and auditability, lifecycle management, and architecture and operating cost. A registry is fit for purpose only when it connects technical artifacts to accountable people, approved uses, test evidence, deployment locations and retirement records.

What is an AI model registry, and why does it matter for security?

An AI model registry is a controlled record of the models and related components an organization develops, acquires, deploys or retires. It combines metadata, artifacts, approvals and operational evidence so that a team can answer both a single-model question—such as when a model was refreshed—and an organization-wide question, such as how many models are deployed.

NIST defines an AI system inventory as “an organized database of artifacts relating to an AI system or model.” That definition is broader than a conventional machine-learning repository. A security-oriented registry should cover the model itself plus datasets, prompts, agents, tools, APIs, evaluation results, owners, dependencies and deployment locations.

Without that control plane, organizations commonly lose track of shadow models, duplicated versions, unapproved data sources and systems that remain reachable after their stated retirement date. The result is weak access control, incomplete incident response and an inability to demonstrate which version produced a regulated or customer-facing decision.

NIST’s AI Risk Management Framework (AI RMF), released on January 26, 2023, provides a useful evaluation map. Its four functions—Govern, Map, Measure and Manage—translate directly into registry requirements:

  • Govern: assign accountability, policies, decision rights, review cadence and exception handling.
  • Map: record intended purpose, affected people, operating context, data flows, dependencies and limitations.
  • Measure: retain test methods, results, thresholds, drift signals, security findings and validation evidence.
  • Manage: enforce promotion gates, monitor production behavior, remediate risk, roll back versions and retire systems safely.

NIST released its Generative AI Profile, NIST AI 600-1, on July 26, 2024. For generative systems, the registry must extend beyond weights and datasets to prompts, retrieval sources, tools, agents, guardrails, prohibited-behavior tests and model-provider changes.

What should an AI model inventory contain?

Define a minimum record before selecting software. If the product cannot represent the fields your policy requires—or cannot connect them to evidence—its search and dashboard features will not compensate for the gap.

Identity, ownership and accountability

  • Unique model or system ID and human-readable name.
  • Description of purpose, business process and affected users.
  • Accountable owner, technical maintainer, developer and relevant AI-actor contacts.
  • Risk rating or tier, review status and exception owner.
  • Reviewer and approver identities, with timestamps and separation of duties where required.

Origin, version and technical lineage

  • Origin: internally developed, vendor-provided, open-source, fine-tuned or otherwise acquired.
  • Model version, release or production date, source-code repository and build identifier.
  • Parent model, fine-tuning run, adapters, feature pipelines and other upstream dependencies.
  • Datasets and data dictionaries, including source, license, collection period and processing steps.
  • Prompts, system instructions, retrieval indexes, tools, APIs and agent components for generative applications.
  • Cryptographic hash or signature for model and material components, plus the method used to verify it.

Use, risk and operating context

  • Approved uses, prohibited uses and known limitations.
  • Deployment locations, environments, regions, endpoints and consuming applications.
  • Data classifications, personal-data handling and cross-border transfer constraints.
  • Human oversight requirements, fallback behavior and user disclosure obligations.
  • Dependency owners and the impact of upstream or downstream changes.

Validation, monitoring and lifecycle state

  • Evaluation datasets, test procedures, results, thresholds and validation sign-off.
  • Security assessments, vulnerability findings, red-team results and remediation records.
  • Monitoring status, drift indicators, quality metrics, abuse signals and incident links.
  • Last review date, next review date, re-attestation trigger and current lifecycle state.
  • Promotion history, rollback target, retention period, retirement date, replacement and decommissioning evidence.

OSFI’s model-risk guidance lists a practical baseline: model ID, description, risk rating, owner, developer, origin, version, production date, reviewer, approver, dependencies, data sources, approved uses, limitations, monitoring status, last review and next review date. Treat those fields as a minimum rather than a complete generative-AI schema.

How do NIST and government guidance shape registry requirements?

Use recognized frameworks to define outcomes, then test whether a product can produce evidence of those outcomes. NIST’s AI RMF is voluntary, so it does not by itself create a legal compliance requirement; it is a structured way to organize governance, context mapping, measurement and risk treatment.

NIST recommends policies that specify who maintains the inventory, which systems are included and which attributes are recorded. Its governance outcome states that “mechanisms are in place to inventory AI systems and are resourced according to organizational risk priorities.” A registry should therefore support policy ownership, completeness checks and escalation when teams fail to register a system.

The UK Code of Practice for the Cyber Security of AI emphasizes identifying and protecting assets, securing the supply chain, documenting data, models and prompts, testing and evaluating, monitoring behavior, maintaining updates and disposing of systems safely. It also says developers should maintain a clear audit trail and release cryptographic hashes for model components so stakeholders can verify authenticity. The code states: “Developers shall document and maintain a clear audit trail of their system design and post-deployment maintenance plans.”

These principles imply controls that a basic artifact repository may not provide: immutable or tightly controlled version history, signed or hashed artifacts, supplier and dependency records, vulnerability scanning, configuration and prompt-change logs, and incident-ready export of evidence.

Which registry capabilities should you compare?

Score every candidate against the same questions and require a demonstration using one representative model and one generative-AI system. A feature claimed in marketing is not equivalent to an exportable, permission-controlled record.

Capability Questions to ask Evidence to require
Inventory completeness Can the registry capture models, datasets, prompts, agents, tools, APIs, owners, versions, dependencies and deployment locations? Searchable records, required-field rules, relationship views and an export showing all linked components.
Provenance and integrity Can it record origin, license, lineage, build inputs, hashes or signatures and approved versions? Verifiable hash or signature checks, immutable history and a lineage graph from source to deployment.
Governance workflow Can it enforce risk tiers, reviewers, approvers, segregation of duties, policy gates and documented exceptions? Configurable workflow, role-based permissions, approval timestamps and an exception report.
Security operations Does it integrate identity, secrets management, vulnerability scanning, monitoring, drift detection and incident response? Integration events, failed-control alerts, finding-to-model links and incident export.
Evidence and auditability Can teams export tamper-resistant logs, test results, approvals, model cards and change history? Machine-readable and human-readable exports with retention, access logs and integrity protection.
Lifecycle management Are promotion, rollback, retirement, retention and dependency impact handled explicitly? State transitions, release gates, rollback action, replacement record and downstream-impact view.
Architecture and operating cost Does the deployment model meet data-residency, integration, scale and operating requirements? Documented SaaS, self-hosted or hybrid architecture, regional controls, integration effort and a total-cost model.

How can you prove model provenance and integrity?

Provenance is the chain of evidence connecting an approved artifact to its source, build process, dependencies and deployed instance. Record provenance at ingestion and preserve it through every promotion; reconstructing it after deployment is slow and often impossible.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Capture origin and licensing

Require the supplier or internal team to identify the original model, release, license and permitted uses. For a fine-tuned model, retain the parent-model identifier, tuning dataset, code revision, training configuration and resulting artifact. For a hosted model, record provider, endpoint or service identifier, region, contract version and the provider change-notification process.

Bind artifacts to immutable identities

Store cryptographic hashes for model files and other material components, and verify them when artifacts enter the registry and when they are promoted. A hash does not prove that a model is safe; it proves that the inspected bytes are the bytes later retrieved. Signatures can additionally bind the artifact to an authorized publisher.

Make lineage readable

A useful lineage view answers: which data and code produced this version, which tests approved it, where is it deployed, which applications call it, and what would break if it were withdrawn? Require links among source control, data catalogs, build systems, artifact storage, deployment environments and monitoring records.

Track changes beyond model weights

Prompt templates, retrieval indexes, system instructions, tool permissions, guardrail policies and configuration can materially change behavior without a new weight file. Version them, require review for material changes and include them in the integrity and rollback record.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What governance workflow should an AI model registry enforce?

Use risk-based gates rather than one identical process for every experiment. Low-risk prototypes may need registration and an owner; systems that affect employment, credit, health, safety, access or regulated reporting need stronger validation, independent review and documented approval.

Define risk tiers and entry criteria

Create a small number of tiers with explicit triggers, such as sensitivity of data, autonomy, user population, harm severity, external exposure and regulatory significance. Each tier should specify required fields, tests, approvers, monitoring, review frequency and retention.

Separate development, review and approval duties

The person who builds a model should not be the sole approver for a high-risk production release. Configure role separation, prevent approval of an unregistered version and make emergency exceptions time-limited, justified and visible.

Gate promotion to production

Promotion should require a complete record, passing tests, resolved critical findings, approved intended use, deployment owner and monitoring plan. The registry should send a machine-readable decision to the delivery pipeline so an unapproved artifact cannot be deployed by bypassing the user interface.

Re-attest after material change

Define material change triggers: new training data, parent-model change, prompt or tool-permission change, altered decision threshold, new geography, new user population, significant drift or a security incident. Re-run the applicable evaluation and record the new approval rather than overwriting the old one.

How should security operations connect to the registry?

A registry becomes operationally valuable when security and reliability tools can both read its identities and write findings back to the correct model and version.

  • Identity and access: integrate single sign-on, role-based permissions, service identities and least-privilege access to artifacts and metadata.
  • Secrets: keep credentials, tokens and keys in a dedicated secrets system; store references and rotation status in the registry, not secret values.
  • Vulnerability management: attach software-component, container, dependency and infrastructure findings to the affected release and deployment.
  • Monitoring: link quality, drift, latency, abuse, prompt-injection and policy-violation signals to the model version and environment.
  • Incident response: support a rapid export of owner, locations, dependencies, recent changes, approvals, logs and rollback options.
  • Supply-chain review: retain supplier contacts, contracts or license references, update commitments and known subcomponents.

For generative systems, include prohibited-behavior tracking, guardrail-policy versions, token and cost oversight, tool-call logs and retrieval-source changes where those records are needed to investigate an outcome.

What does an AI bill of materials add?

An AI bill of materials (AI-BOM) expresses the composition of an AI system in a machine-readable relationship set. Microsoft guidance describes an AI-BOM containing models, datasets, prompts, agents, tools, APIs, owners, versions, dependencies and deployment locations.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

An AI-BOM is not a replacement for governance workflow. It tells you what is present; the registry must also record why it is approved, how it was tested, who accepted residual risk and when it must be reviewed. Use the AI-BOM to identify blast radius when a model, dataset, library, provider or tool is compromised or withdrawn.

Ask candidates whether they can generate an AI-BOM automatically from connected systems, preserve historical snapshots and compare two versions. Require relationships for shared components: one dataset used by several models, one model embedded in multiple agents, or one API called from many applications.

How do you evaluate SaaS, self-hosted and hybrid registries?

Deployment architecture affects confidentiality, residency, availability and operating burden. There is no universally correct choice; match the architecture to your data constraints and integration capability.

SaaS registry

A SaaS service can reduce infrastructure maintenance and accelerate updates, but you must verify tenant isolation, regional storage, subprocessors, export format, identity integration, service-level commitments and what happens when the contract ends. Confirm that audit evidence remains accessible during an outage or termination process.

How do you implement an AI model registry?

Implement in stages, beginning with policy and a small representative inventory. The sequence below follows the governance and security outcomes described by NIST and the UK Code of Practice for the Cyber Security of AI.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Write the inventory policy. Define what counts as an AI system, whether experiments and vendor APIs are included, who must register it, required fields, risk tiers, review triggers, retention and exception handling.
  2. Assign accountability. Name an inventory owner, domain owners, security and privacy contacts, approvers and escalation paths. Give the owner authority to reject incomplete records and report coverage.
  3. Set the minimum schema. Include identity, owner, origin, version, data sources, dependencies, approved uses, limitations, deployment state, monitoring, review dates and retirement information. Add prompts, agents, tools and APIs for generative systems.
  4. Connect authoritative systems. Integrate source control, data catalogs, CI/CD, artifact storage, identity and monitoring. Prefer automated synchronization to manual copying, while preserving a human approval step for risk decisions.
  5. Import and reconcile existing assets. Start with production and externally exposed systems, then discover dormant projects, notebooks, endpoints and supplier services. Deduplicate records and assign an owner to every unresolved asset.
  6. Configure promotion gates. Require complete metadata, passing tests, resolved critical findings, approved use, named deployment owner and monitoring before production release. Make the gate enforceable by the delivery pipeline.
  7. Retain evidence. Store evaluation data references, results, model cards, review notes, approvals, hashes, change history and exception decisions according to legal, regulatory, security and forensic needs.
  8. Monitor and re-attest. Set review dates and material-change triggers. Route drift, abuse, vulnerability and incident signals to the registry and require a documented decision to continue, restrict, roll back or retire.
  9. Retire safely. Disable deployment and access, preserve required evidence, record the replacement, identify downstream dependencies and verify that copies, endpoints and scheduled jobs are removed or controlled.

What should a proof-of-concept demonstrate?

Do not select a registry from screenshots. Run a time-boxed proof-of-concept with one conventional model and one generative application that use realistic approval and incident scenarios.

  • Register a model from source through build, test and deployment, then verify every version and hash.
  • Change a prompt, dependency or tool permission and confirm that the registry detects the material change and requires the correct review.
  • Attempt to promote an unapproved or vulnerable version and verify that the pipeline blocks it.
  • Export a complete evidence package containing ownership, lineage, tests, approvals, deployment locations and change history.
  • Revoke or retire a shared dependency and identify every affected model, agent and application.
  • Test role separation, emergency exception expiry, audit-log integrity and recovery from a service outage.
  • Measure administrative effort, integration reliability and the time required to answer a regulator or incident responder’s questions.

What are common selection mistakes?

Choosing a file repository instead of a control plane

Artifact storage alone does not establish ownership, approved use, risk acceptance, monitoring or retirement. Require relationships, workflow and evidence exports.

Tracking only model weights

Data, prompts, retrieval content, tools, policies and provider configurations can change outcomes. Include those components in the inventory and change process.

Making every field optional

Optional metadata produces attractive but unreliable dashboards. Mark fields as required by risk tier and block promotion when mandatory evidence is missing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Relying on manual attestations

Manual updates decay quickly. Synchronize factual metadata from authoritative systems and reserve human effort for context, risk decisions and exceptions.

Overlooking decommissioned systems

Deletion can destroy evidence and leave forgotten endpoints active. Record retirement, replacement, retention and dependency impact, then verify technical shutdown.

Ignoring export and exit

A registry that cannot produce complete, portable evidence creates lock-in and weakens incident response. Test exports, restore procedures and contract-exit scenarios before purchase.

How should you decide which registry is right?

Select the candidate that can enforce your highest-risk workflow with the least unverified manual work. A polished catalog with incomplete lineage is a weaker control than a less visually elaborate system that reliably blocks unapproved promotion, preserves hashes and exports tamper-resistant evidence.

Frequently Asked Questions

Can a spreadsheet be used as an AI model registry?

A spreadsheet can support an initial discovery exercise or a very small, low-risk inventory, but it rarely provides immutable history, role separation, automated promotion gates or reliable dependency relationships. Move to a controlled registry when production systems, external providers or regulated evidence are involved.

How often should an AI model be reviewed?

Set the cadence by risk tier and add event-driven reviews for material changes, incidents, significant drift, new data uses, provider updates or a new affected population. The registry should store both the last completed review and the next required date.

What is the difference between a model registry and an AI asset inventory?

A model registry traditionally centers on model versions and deployment stages. An AI asset inventory covers the wider system—datasets, prompts, agents, tools, APIs, owners and locations—and connects those assets to governance, security and lifecycle evidence.

What’s actually slowing this PC down?

How can a registry help during an AI security incident?

It can provide a current list of affected versions and locations, owners, suppliers, dependencies, recent changes, hashes, approvals and rollback targets. That shortens scoping time and helps responders prove which systems were or were not exposed.
