Choose an alert channel based on how quickly a user needs to know, where they are when it matters, and whether they will need to find the message later. Use in-app status messages for feedback during a task, email for information that should reach users away from the product or remain easy to retrieve, and Slack when a team already wants those updates in its shared workspace. None is universally best; the right choice depends on the event and the recipient.

Start with the alert’s job

Before choosing a delivery channel, decide what the message is meant to help the user do. A success notice after saving, a warning about a service outage, and a weekly summary have different urgency, context, and retrieval needs. Sending every event through every channel adds interruptions without necessarily making the information more useful.

  • Presence: Must the user be looking at your product, or should the message reach them elsewhere?
  • Urgency: Does a delay matter, or is the message useful whenever the user next checks?
  • Lifetime: Is this brief task feedback, or something users may need to find again?
  • Audience: Do recipients use Slack and want these alerts there, or are you assuming they do?
  • Control: Can users choose which events reach them, when they arrive, and through which channel?
  • Access: Does delivery rely on a browser permission, supported platform, or integration the recipient may not have?

What each channel is suited to

In-app alerts: feedback in the moment

Use an in-app message when the user is actively working and needs to know what happened without leaving the task: a save succeeded, a process is waiting, progress is underway, or an action failed. Keep the feedback in context rather than interrupting with a channel intended for later or off-product communication.

For accessibility, status messages that do not change the user’s context should be programmatically exposed so assistive technology can announce them without moving focus. W3C’s WCAG 2.1 understanding guidance describes this goal in its status messages guidance. This is implementation guidance, not by itself a blanket statement about legal compliance.

If users need to retrieve notices after they disappear, an in-app inbox can provide that history, but it is a product design choice rather than a universal feature of in-app alerts.

Email: reach beyond the product

Email is a separate destination that can reach users while they are away from your product and can be useful for messages they may want to locate later. Use it when the message has value beyond the current session, such as a durable account or workflow notice. Do not treat email as a guaranteed real-time channel: delivery timing depends on your email system and the recipient’s mailbox.

Transactional email delivery is an infrastructure consideration for SaaS teams implementing this channel; for example, AWS documents Amazon Simple Email Service. Choosing an email service does not determine which events deserve an email.

Slack: team visibility in a shared workspace

Slack can fit alerts intended for a team that already collaborates there, such as a shared operational update. Validate that the intended recipients use Slack and actually want the relevant event types in that workspace; an integration does not make Slack the right destination for every customer.

Slack documents controls for desktop and mobile notifications, notification types, previews, sound, schedules, and pausing notifications in its notification configuration help and guide to notifications. These are controls for Slack itself, not a guarantee that every SaaS integration exposes the same options. Slack’s email subscriptions can bundle mention and direct-message alerts every 15 minutes or once per hour, depending on preference; that documented option should not be presented as instant delivery (Slack email subscriptions). Slack also documents pausing notifications and schedules (pause and scheduling).

When a web system notification is different from an in-app alert

A toast or status region appears within your web page. A system notification uses the operating system’s notification mechanism and may appear after the user switches tabs or opens another app. MDN explains the Notifications API and its implementation considerations.

The user must grant permission before an app can send notifications. Ask after an intentional user action and explain the benefit before showing the browser prompt, rather than requesting permission as soon as the page loads. MDN notes that Chrome and Firefox require a secure context for this API; support and behavior vary across browsers and platforms. Mobile web implementations generally need persistent notifications through a service worker. Feature-detect support and offer a useful fallback, such as an in-app notice or email where appropriate.

Build a channel policy users can control

Choose a default channel for each event type, then expose meaningful preferences instead of duplicating every alert everywhere. A practical policy should distinguish task feedback from messages users need while away, and should let users control optional or recurring notifications.

  1. Group events by consequence. Separate immediate task feedback, time-sensitive incidents, and routine updates or summaries.
  2. Assign one primary channel. Use the matrix above to choose the default based on presence, urgency, and retrieval needs.
  3. Offer secondary delivery only where it adds value. For example, allow users to subscribe to selected team alerts in Slack rather than sending all product events there.
  4. Set expectations about timing. Do not describe a channel as instant unless your implementation and delivery path support that claim. Slack’s documented email batching, for example, is every 15 minutes or hourly.
  5. Provide user controls and fallbacks. Let people select event types and delivery preferences where feasible. For browser notifications, account for denied permission and unsupported platforms.
  6. Check the experience with recipients. Ask whether users want a given alert in Slack, email, in-app, or nowhere; do not infer channel preference from a technical integration alone.

Avoid common notification mistakes

  • Sending the same event through all channels by default. This raises interruption cost and can make important alerts harder to distinguish.
  • Using an in-app toast for a message that must be found later. If the product does not retain it, choose a durable channel or add an in-product history.
  • Treating Slack as an instant pager. Slack has configurable notification behavior, and its email alerts may be bundled rather than immediate.
  • Requesting browser permission without context. Explain what the user will receive and ask following a meaningful action; offer an alternative if permission is declined.
  • Making visual feedback inaccessible. Ensure status changes can be conveyed to assistive technology without unexpectedly moving focus.
  • Equating delivery with usefulness. A channel’s reach does not establish that recipients want a particular alert there.
