An applicant tracking system (ATS) can extract details from your resume and place them into structured fields used for an application, recruiter review, search, and applicant management. That does not mean every ATS automatically scores or rejects every resume: what gets parsed and what recruiters see depends on the software, the employer’s setup, and the hiring workflow.
Will an ATS read my resume?
Often, an ATS uses resume parsing to identify information such as contact details, education, skills, and work history, then place it in candidate or application fields. The exact fields vary. Workday describes parsing as a way to populate fields in recruiter workflows, while Roche describes extracting and storing information so it can be categorized, searched, and used to help candidates fill in an application.
Parsing is not necessarily a complete or exact copy of your resume. Workday notes that results can vary with resume format and word order. In Workday’s documented workflow, configured hidden fields, languages, and skills are not auto-filled. Employers may also configure their systems so that not every field a parser can identify is accepted into the candidate record; Northeastern University’s roadmap describes this as dependent on the customer’s system setup.

What does a recruiter see after I upload a resume?
Depending on the employer’s ATS and workflow, recruiters may see structured profile fields alongside the original resume attachment and your answers to application questions. The fields help organize, search, and manage applicants; they do not necessarily replace the document you submitted.
For example, Greenhouse tells recruiting users to verify information entered from a parsed resume and notes that employers may require additional fields. Roche says recruiters or managers may search parsed data and review each applicant and their attached CV. Lever’s documented Fast Resume Review workflow presents resumes and application-question answers for recruiters to review and lets the team advance or archive applicants. These are examples of particular products, not a standard screen shared by every employer.

Can a resume parser miss or misplace experience?
Yes. A parser may extract only part of a resume, put information in the wrong field, or fail to populate fields. Greenhouse lists several possible parsing problems:

- Complex tables, columns, headers, or footers
- Contact details placed in headers or text boxes
- Graphics, photos, logos, or word art
- Image-only resumes, such as scans without selectable text
- Unclear or inconsistent section headings
- Unusual letter spacing
In the Greenhouse workflow described in its troubleshooting article, an unsuccessful parse can leave the resume attached while fields remain blank, requiring manual entry. That article documents a 2.5 MB parsing limit for that workflow; it is not a universal ATS file-size limit.
To make the content easier to extract, keep your name and contact details in the main document body, use familiar section headings such as “Experience” and “Education,” and choose a simple, readable layout. Roche recommends avoiding tables, text boxes, logos, graphics, and columns. No layout can guarantee identical results across all systems, so review any autofilled fields and correct them if the application allows.

Should I submit a PDF or DOCX?
There is no universal best format; follow the application’s file instructions. Support differs by product and workflow:

When possible, use a text-based document rather than a scan. If the application shows fields filled from your resume, check them before submitting.

Recruiters may search parsed candidate information using terms relevant to a role. Roche gives skills, qualifications, experience, and other job-related qualities as examples, including majors for entry-level positions and programming languages for technical work.
Describe your relevant experience with accurate language that matches the role’s terminology, and support your claims with concrete details. Repeating keywords or hiding them in a document is not a substitute for relevant experience and does not guarantee that a recruiter will find or select your application.
Does an ATS automatically reject resumes?
It is not accurate to say that every ATS automatically rejects resumes. In Greenhouse’s documented example, employers choose whether to enable Talent Matching for a job, and that assistive AI feature does not automatically advance or reject candidates; recruiters and hiring managers remain responsible for decisions in that feature. Lever’s documented workflow likewise shows recruiters reviewing resumes and application answers before choosing to advance or archive applicants.
