What happens to that information afterward is a separate question: model training, chat retention, administrator access, connected services, and memory each have their own controls. Check the account you are using and your organization’s settings before entering sensitive work material.
What work data can an AI office assistant use?
It depends on the product, account, license, integrations, source permissions, and organization settings. An assistant may draw on work content available to the signed-in user, content attached to a prompt, connected apps, or public web information. These are different sources, so check which ones are enabled for the task rather than assuming that a work sign-in means either “everything is available” or “nothing is available.”

Permission-aware retrieval does not fix oversharing. If your account can open a confidential file because its folder or sharing rules are too broad, an assistant that honors those permissions may still be able to use it. Review who can access the underlying mailbox, file, folder, calendar, or chat space, not only the assistant’s settings.
Can my employer see what I ask the AI assistant at work?
Possibly. A managed work account can be covered by organization logging, retention, search, and audit controls. The exact access depends on the product configuration, policy, and administrator roles; a claim that content is not used to train models does not answer whether an employer can retain or review it.

For Microsoft Copilot Chat used with a work or school account, Microsoft says prompts, related Bing searches, and responses are logged and can be viewed by IT administrators using Microsoft search and audit tools. Microsoft also says prompts can generate a short web-search query for Bing, which is handled under separate terms from Microsoft Graph work data. OpenAI says a managed ChatGPT account follows the organization’s policies and administrator permissions. Those may govern workspace features, apps, sharing, data controls, and retention. For Google Workspace Gemini, conversation history controls are set by administrators rather than end users. To know what applies at your workplace, ask IT which roles can search or export assistant interactions and which retention and audit policies cover them.

Is my work data used to train AI?
Training rules depend on the account type and service. Check the specific work account rather than applying a policy for a managed workspace to a personal consumer account, or vice versa.
- Microsoft work or school Copilot Chat: Microsoft says prompts—including work content added to prompts—and responses are not used to train foundation models. That statement does not mean conversations are unlogged or exempt from workplace retention and audit. Microsoft’s work or school Copilot Chat guidance
- ChatGPT Business, Enterprise, and Edu: OpenAI says workspace content, including information accessed through apps, is not used to train its models by default. - Connected Google apps in ChatGPT: OpenAI says it does not train generalized models directly on connected Google app data or its derivations, except in stated cases such as feedback, manual copy-and-paste or uploads into a conversation, or data included in a response. - Gemini for Google Workspace: Google says customer content in qualifying Workspace use is not human-reviewed or used to train generative AI models outside the domain without permission. These are vendor-published commitments for the described products and account contexts, not an independent audit of your employer’s configuration. For a managed account, confirm the applicable edition, settings, and policy with your administrator.

How long are workplace AI chats saved?
Retention and deletion are not the same as model training. A chat can be excluded from training yet still be retained for service, compliance, or organization policy. Microsoft says Copilot interaction data can be managed with Microsoft Purview and organization-configured retention policies. OpenAI says ChatGPT chats and research outputs follow applicable conversation, feature, and workspace-retention policies. For Google Workspace Gemini, the cited administrator documentation describes history as admin-controlled, with options to turn it off or automatically delete it after 3, 18, or 36 months; it lists 18 months as the default. When history is off, chats may remain saved for up to 72 hours for service provision and feedback processing. These are documented product settings, not universal retention periods; check the current controls for your edition and tenant. How do I stop an AI assistant from accessing my work files?
Use the controls available for your account, and ask your administrator if a setting is missing or locked. The relevant controls may be set at the account, assistant, app, source, or organization level.
- Confirm which account is active. Check whether you are signed in with a managed work or school account or a personal account. Managed accounts may follow employer policies; consumer services can have different terms. OpenAI says a personal account and managed ChatGPT account remain separate, and Google distinguishes qualifying Workspace use from its additional consumer service. - Turn off unneeded sources where permitted. Review work-data grounding, connected apps, web or browser access, agents, attachments, and organization integrations. In the documented Copilot app experience, review Work IQ; in ChatGPT, review connected apps and workspace controls; in Workspace, ask an administrator whether Gemini access is enabled or restricted. - Check source permissions. Review sharing on the files, folders, mailboxes, calendars, and chat spaces that an assistant could retrieve. Correct broad access at the source rather than relying on the assistant to compensate for it.
- Review connected apps and agents. Check the permissions or OAuth scopes requested, and the service’s storage, processing, privacy, and data-residency terms. Microsoft notes that agents can have separate terms and privacy statements; OpenAI says third-party services receive data under their own terms. - Inspect memory and personalization separately. Find out whether the assistant saves preferences or uses eligible connected-app information to personalize future responses. For ChatGPT’s connected Google apps, disconnecting an app does not automatically delete existing chats or saved memories; review and remove those separately if appropriate. - Ask about chat history, retention, and audit. Find out who sets retention, which administrators can access interaction records, and what deletion does under workplace policy. Do not assume that turning history off means immediate deletion.
- Follow your organization’s data rules. Do not enter information you are not authorized to share with the assistant, especially regulated, customer, personnel, financial, or confidential material. If a setting is unavailable, ask IT rather than assuming the source is disabled.

When comparing assistants or reviewing a workplace setup, assess the controls as separate questions rather than looking for one “private” switch:

- Account and edition: Is this a personal or managed account, and does the organization’s license qualify for the stated protections?
- Access: Which work sources, attachments, connected apps, agents, and web-search features can be used?
- Permissions: Does the assistant follow the signed-in user’s access, and are the underlying sharing rules correct?
- Model use and review: What does the vendor say about training and human review for this account context?
- Retention and audit: How long are prompts and outputs kept, who controls deletion, and which roles can search or export records?
- External services and memory: What is sent to connected providers, what do their terms say, and does personalization retain information separately?
Microsoft describes Copilot as following identity permissions, sensitivity labels, retention policies, audit support, and administrative settings; these are vendor-described product commitments, not confirmation that a particular tenant is configured correctly.
