Google Sheets and Excel tables both turn a data range into a named, structured table that can be filtered and referenced in formulas. The practical difference is the workflow around that structure: Sheets emphasizes column types and configurable table views, while Excel emphasizes calculated columns, current-row references, and a built-in totals menu. Choose based on how you enter, review, and summarize data—not on an assumed speed or universal advantage.

Formula propagation The cited table documentation does not describe Excel-style calculated columns as a defining table feature. Entering a formula in one table cell can create a calculated column and fill the formula through that column.
Summaries A table can have a footer, and formulas can refer to the totals portion. The cited help does not describe Excel’s same default aggregate menu. Enable a total row and select an aggregate such as SUM or AVERAGE. The default uses SUBTOTAL, which ignores filtered or hidden rows by default.

How each product handles data entry and consistency

Google Sheets: assign a type to each column

In Sheets, column types make the expected kind of value explicit. Types include numbers, text, dates, dropdowns, checkboxes, and smart-chip types. A value that does not conform can trigger a warning, which helps flag inconsistencies as data is entered. Some types can also show placeholder chips.

This is useful when several people enter records and the column’s intended contents should be visible in the table itself. The feature guide also describes conditional notifications, but says those are available only to certain work or school accounts; availability should not be assumed for every account. Excel: use data validation to constrain entries

Excel’s table overview points users to data validation when they want to constrain entries—for example, to numbers or dates. That is a way to control permitted values, but it is a distinct workflow from choosing a column type as part of a Sheets table. Use the method that fits how your workbook is maintained and how much guidance users need while entering data.

Filtering and reviewing rows

Sheets table views

Sheets documents table views with independent sort and filter configurations, along with group-by views. That can help when people need different ways to inspect the same underlying data without treating every review as a single shared sorting setup. Table formatting and controls are managed from the table menu. The exact options available can depend on account or feature rollout; consult Google’s current table guide.

Excel header filtering

Excel tables provide sorting and filtering through the header row by default. This is a direct fit for a table where people use the header controls to narrow or reorder records. The reviewed Microsoft overview documents that standard table workflow; it does not establish a directly equivalent Google-style set of named table views.

How table formulas work

Both products support named references

In either application, a table name and column name can make a formula easier to read than a reference to a fixed cell range. For example, a table named DeptSales with a column named Sales Amount can be referenced as DeptSales[Sales Amount]. These references are designed to adjust when rows are added or removed, and Excel’s structured references also adjust when table columns change.

Sheets table references can target parts of a table, including headers, data, and totals. Its documented limitation is that #This Row is not currently supported. See Google’s table-reference syntax guide.

Excel supports current-row references and calculated columns

Excel structured references include selectors such as #Headers, #Data, #Totals, and #All, as well as current-row syntax using @ or #This Row. When you enter a formula in one cell of a table column, Excel can treat it as a calculated column and apply the formula to the other rows in that column. These features are useful when formulas should follow each record as the table grows.

For the exact syntax and behavior, refer to Microsoft’s structured references guide and Excel tables overview. The overview lists Excel for Microsoft 365, Excel 2024, 2021, 2019, and 2016, including Mac variants; particular instructions can vary by version.

How table totals differ

Excel’s total-row menu

Excel lets you turn on a total row and choose an aggregate for a column, including functions such as SUM and AVERAGE. The default calculation uses SUBTOTAL, which ignores filtered or hidden rows by default. You can change the function or its arguments when that default does not match the summary you need. Microsoft explains the options in its total-row instructions.

Sheets table footer and total references

Sheets tables offer a footer, and table-reference syntax can select the totals portion. The cited Sheets guidance does not describe a matching default menu of per-column aggregates, so do not assume the summary controls or formula behavior are identical between products. Check the table tools and formulas available in the version you use.

Which table feature should you choose?

  • Choose Sheets tables if assigning column types, warning about mismatched entries, or maintaining distinct sort and filter views is central to your workflow.
  • Choose Excel tables if you rely on calculated columns, current-row structured references, or a built-in total-row menu with selectable aggregates.
  • Either can work for named, filterable tabular data. Consider who edits the file, how formulas are written, how reviewers inspect rows, and which application and file format must remain the target.

What to check when moving a table between apps

The cited Google and Microsoft documentation explains each product’s own table behavior; it does not establish that table views, validation or column types, formatting, formulas, or totals will convert unchanged between Sheets and Excel. Treat a conversion as something to verify, not a guaranteed round trip.

  1. Open the converted file in the application where it will be maintained.
  2. Check that the table range, header names, and rows are intact.
  3. Test representative formulas, especially structured references, current-row formulas, and totals.
  4. Check sort and filter behavior, view configurations, validation rules, and column formatting.
  5. Confirm that adding a row or changing a value produces the expected formula and summary results.
