Use Snipping Tool first: the built-in Windows 11 option
Capture an image
- Press Windows + Shift + S. The capture overlay appears.
- Choose Rectangle, Freeform, Window or Full screen.
- Select the area, window or monitor. The result is copied to the clipboard and opened in Snipping Tool for changes, saving and sharing.
You can also press Print Screen to copy a full-screen image to the clipboard. Paste it into an editor, chat or document with Ctrl + V.

Record a video
Press Windows + Shift + R, select the area, then start and stop recording from the video overlay. This is useful for showing a reproducible UI problem without installing another recorder.
Mark up, extract and redact
After a capture, Snipping Tool provides pen and highlighter tools, shapes and cropping. Its text-recognition feature can extract text from an image. Microsoft documents quick redaction for detected email addresses and phone numbers, and says recognition and redaction run locally on the device. Check the result before sharing: OCR can misread characters, and redaction only protects information that the tool actually detected.

Greenshot describes itself as a lightweight Windows screenshot tool optimized for productivity. Its downloads page listed Windows release 1.3.315, dated March 20, 2026, when this article was prepared. It is free and open source; the page mentions an optional $1.99 contribution to cover project costs, not a required purchase.
Greenshot is a sensible middle path if the built-in tool feels too limited but ShareX’s automation and recording features are unnecessary. Review the current release notes and installer options on the project’s official download page before deploying it widely, because version details can change.

Hide an email address or phone number
Try Snipping Tool’s text extraction and quick-redaction features, then inspect the output manually. For arbitrary secrets, use a deliberate opaque shape or a dedicated editor; do not assume OCR found every sensitive value.
Make a short tutorial clip
Use Snipping Tool’s video snip for a straightforward recording. Choose ShareX if you also need GIF output or a configurable post-capture workflow.
Upload every capture automatically

Privacy and safety checks before sharing
- Inspect browser tabs, notifications, names, email addresses and tokens at the edges of the frame.
- Prefer cropping or opaque redaction over blur when the hidden text must be unrecoverable.
- For ShareX uploads, verify the destination, link visibility and retention policy before sending confidential material.
- Keep the original capture private if you need an audit trail, and share a redacted copy.
- Remember that local OCR is a Snipping Tool behavior documented by Microsoft; it does not make an image safe to publish automatically.
Troubleshooting
The Windows shortcut does nothing
Press the keys together and release them. If Windows + Shift + S still fails, open Start, search for Snipping Tool, and launch it directly. A managed work PC may also restrict keyboard shortcuts; ask your administrator before changing policy.
The screenshot is in the clipboard but not saved
Open the Snipping Tool notification or window, then use its save command. A clipboard copy is temporary and can be replaced by the next copy operation.
OCR or redaction missed text
Zoom the image and inspect it yourself. Recognition depends on what is visibly rendered; stylized fonts, low contrast and small text can produce omissions. Cover missed data with an opaque shape and save a new redacted file.
Scrolling capture stops early in ShareX
Check whether the target actually scrolls, whether a fixed header or nested panel is intercepting the scroll, and whether the application permits capture. Try the specific scrollable panel rather than the whole desktop, then review the stitched result for duplicated or missing content.

An upload or after-capture action fails
Test saving locally first. If the local file is correct, check the configured destination’s credentials, network access, file-size limits and retention rules. Re-authenticate the destination rather than repeatedly retrying an expired token.

All three choices are free to use under the terms described above, but “free” does not mean identical operational cost. Snipping Tool has no separate download or upload service to configure. ShareX and Greenshot require you to maintain an installed third-party application, and ShareX uploads may involve a separate service with its own limits or charges.
