Neither cloud storage nor an external hard drive is best for every backup. Cloud keeps a copy off-site and accessible online; a disconnected external drive offers a local copy that does not depend on an internet connection. For important files, use both when practical, keep at least one copy away from your home or office, and test that you can restore your data.

Cloud storage and external drives protect against different problems

A backup helps only if it survives the event that destroys or blocks access to the original. A local drive can help when a computer fails, but it may share the computer’s exposure to theft, fire, or flooding. A cloud copy can remain off-site during a local disaster, but getting it back depends on internet access and continued access to the service and account.

The US Cybersecurity and Infrastructure Security Agency (CISA) recommends backing up data to a secure external hard drive or a properly vetted cloud service. Its guidance is a useful starting point, not a claim that one type of copy is enough for every situation: How to Protect the Data that is Stored on Your Devices.

How the options compare

Ongoing cost Depends on the plan, storage limits, and billing terms for the service you choose. Requires an upfront drive purchase and eventual replacement; capacity should match the data you need to protect.
Upkeep Requires scheduled backups and a service with suitable recovery and retention features. Must be connected regularly enough to capture changes, then safely disconnected and stored.

There is no general cost or speed winner: compare the amount of data, your internet upload and download capacity, restore urgency, and the actual terms and costs available in your region. No universal consumer head-to-head failure-rate or recovery-time figure establishes that one option is more reliable.

Why file sync is not always a backup

Sync services keep files aligned across devices, which is convenient for everyday access. But if a deletion or unwanted change syncs everywhere, the synced copy may not give you an independent recovery point. Before relying on any cloud service as a backup, check how it handles deleted or changed files, how long it retains recoverable versions, what devices it covers, and how you can restore data. Retention and recovery features vary by service and can change.

Cloud backup also depends on account access. Use a strong, unique password and available account-security protections, and make sure you can reach recovery methods if you lose access to a device. Choose a provider deliberately, especially for sensitive data: review its encryption and recovery arrangements along with the service’s supported systems and current terms.

Use an offline copy to improve ransomware resilience

A connected device or backup may be reachable by malware on your network. A drive that is disconnected between backup sessions provides a separate copy that ordinary network threats cannot directly alter while it is offline. CISA’s ransomware guidance advises keeping offline, encrypted backups of critical data and regularly testing their availability and integrity in a disaster-recovery scenario: #StopRansomware Guide.

Encryption helps protect data if a drive is lost or stolen, but it creates a recovery responsibility: keep the encryption password or recovery key somewhere you can access if the computer or drive is unavailable. A key stored only on the device being backed up may not help when that device fails.

Build a backup plan around 3-2-1

The 3-2-1 rule is a planning heuristic: keep three copies of important data, on two types of media, with one copy off-site. The California Privacy Protection Agency describes this approach in its April 2026 consumer guidance and gives cloud plus an encrypted external drive under the user’s security control as an example: Safely and Securely Back Up Your Data. The rule helps you think about separate failure risks; it is not a guarantee against data loss.

  1. Keep the original and create separate copies. Treat a backup as another recoverable copy, not just another view of the same synced files.
  2. Use different media or systems. For example, combine an external drive with a cloud backup rather than keeping every copy on one device.
  3. Put at least one copy off-site. A drive kept in the same building as the computer can be lost in the same fire, flood, or theft. Store a drive elsewhere when feasible, or use a suitable cloud service for the off-site copy.
  4. Keep one copy offline when practical. Disconnect the drive after a backup session and store it securely between updates.
  5. Test a restore. Periodically recover a sample of files and confirm they open. For critical data, test the recovery process more fully so you know what access, keys, and time it requires.

The UK National Cyber Security Centre’s guidance makes the practical trade-off explicit: cloud backup suits people with reliable internet, while external storage can be useful without it; a local drive may be destroyed in a fire that leaves an online copy unaffected. See Backing up your data.

Choose a setup that fits your situation

Choose cloud backup when off-site protection and automation matter most

Cloud is a strong fit if you have a reliable connection, want copies maintained without regularly handling a drive, or need access from another location. Confirm that the service is a backup rather than only sync, that its retention and restore options meet your needs, and that you can secure and recover the account.

Choose an external drive when offline access or a local restore matters

A drive is useful when internet access is unreliable, you need a local copy for recovery, or you want an offline layer. Match the drive’s capacity to the data you need to protect and check that its connection works with your computer. Keep it disconnected between backup sessions and store it somewhere protected; for disaster resilience, avoid keeping every copy in the same place.

Use both when the data is difficult to replace

For irreplaceable photos, work, or records, pairing a local drive with a cloud or other off-site copy addresses more failure scenarios than relying on either alone. The right arrangement depends on how much data you have, how quickly you need it restored, how dependable your internet is, and how sensitive the files are.

Keep backups current and prove they work

  • Set a schedule: Back up often enough that losing changes since the last copy would be acceptable.
  • Reconnect local drives regularly: An unplugged drive cannot capture new files until the next backup session.
  • Check backup status: Confirm that recent runs completed and that the expected files are included.
  • Test recovery: Restore a few representative files and verify they are usable; a successful backup notification alone does not prove a restore will work.
  • Protect access: Keep cloud account recovery options and any drive-encryption key available somewhere separate from the data they unlock.
