Clockify can give a software development team one place to record hours against projects and tasks, connect time capture with tools such as Jira or GitHub, compare estimates with actual work, and produce cost or client reports. It is a time-tracking and workforce-administration layer, not a replacement for issue tracking, source control, code review, or release management.

The best fit is a team that needs consistent time records for budgets, billing, labor-cost analysis, capacity planning, or timesheet approval. Set it up around the tools developers already use, decide when timers or manual entries are appropriate, and verify each integration and plan entitlement before making it part of payroll or client billing.

What does Clockify provide for a software development team?

Clockify organizes time around workspaces, projects, tasks, and people. A developer can start and stop a timer while working or enter time manually later, then assign that time to the relevant project and task. Managers can add estimates, budgets, billable rates, and labor-cost rates so tracked hours can be compared with planned effort and financial limits.

  • How many hours went into a client project or internal product?

  • What billable amount or internal labor cost is associated with the recorded hours?
  • Have submitted timesheets been reviewed before they are used for invoicing or payroll?

It does not establish which issue is the source of truth, preserve Git history, review pull requests, or manage a deployment pipeline. Keep those functions in the development systems that already perform them and use Clockify to capture and analyze the time associated with that work.

How should I set up a Clockify workflow for my development team?

A workable setup follows the way your team already divides work. Create a clear project and task structure first, then make time capture as close as possible to the developer’s normal issue or code workflow.

  1. Create projects. Make a project for each client engagement, product, support contract, or internal initiative that needs separate reporting. If you work for multiple clients, categorize projects by client so reports can be filtered without ambiguous names.
  2. Add tasks. Use tasks for meaningful work categories such as discovery, implementation, testing, code review, documentation, or production support. Match task names to the vocabulary in your issue tracker; this reduces choices and makes later reports easier to interpret.
  3. Invite team members. Add developers, testers, designers, project managers, and other people whose hours must be reported. Check who is active and who is merely invited because the selected plan may count both toward paid seats.
  4. Choose rate rules. Enter billable rates when clients are charged for time. Add labor-cost rates when you need an internal cost view. Keep the two concepts separate: a client charge and the company’s employment cost answer different questions.
  5. Set estimates and budgets. Estimate individual tasks or an entire project, then define the budget against which actual hours or costs will be reviewed. Decide whether the estimate is a best-case engineering forecast, a contractual allowance, or a management target.
  6. Connect development tools. Enable the relevant integration only after checking supported versions, permissions, and plan requirements. Test it with one project and one user before rolling it out to everyone.
  7. Define timesheet rules. Choose when people submit time, who reviews it, how reminders are delivered, and when a period is locked. Write the policy down so a late entry is handled consistently rather than negotiated ad hoc.

Start with a small set of projects and tasks. An over-detailed taxonomy creates more correction work and encourages people to select a convenient but inaccurate task.

Should developers use a timer, manual entries, or both?

Clockify describes both methods, and most teams benefit from allowing both while setting boundaries for when each is acceptable.

Method Best use Strength Control to add
Timer Focused implementation, testing, meetings, or support sessions where the developer can start and stop tracking Captures the start and end of a work period while it happens Require a project and task before starting; stop or correct the timer when work changes
Manual entry Travel, interruptions, forgotten timers, offline work, or a day reconstructed from a work log Records time that was not captured live Set a submission deadline and ask for a short note when the entry is reconstructed
Both Teams with mixed work patterns or developers who alternate between coding and scheduled activities Preserves flexibility without excluding legitimate work Use one rule for rounding, minimum increments, and corrections so reports remain comparable

Do not treat timer data as inherently more accurate. A running timer left on during lunch can be less reliable than a carefully completed manual entry. The important controls are a shared definition of what counts as work, a consistent correction process, and review before the hours are finalized.

Does Clockify integrate with Jira, GitHub, GitLab, Azure DevOps, and YouTrack?

Clockify identifies Jira, GitHub, GitLab, Azure DevOps, and YouTrack among its software-development integrations. The exact connection method and available actions can change, so verify the current integration page, supported versions, permissions, and plan requirement for your own account before promising automatic synchronization.

Development tool What Clockify identifies What to verify before rollout
Jira Connection through an API key or the Clockify browser extension is described in the developer guide Whether your Jira edition and authentication policy allow the connection, which projects users can see, and whether the integration starts a timer or synchronizes records
GitHub Listed as a supported development-tool integration Repository or organization permissions, the current extension or app path, and whether time is associated with issues, pull requests, or only a linked activity
GitLab Listed as a supported development-tool integration Authentication, group visibility, and the object to which a time entry is attached
Azure DevOps Listed as a supported development-tool integration Organization access, work-item permissions, and the behavior of time capture from a work item
YouTrack Listed as a supported development-tool integration Workspace compatibility, user permissions, and whether entries are pushed back or merely initiated from the tool

An integration does not automatically make the development tool and Clockify share the same data model. During a pilot, confirm where the time entry is stored, how a renamed or closed issue is handled, whether edits flow in both directions, and what happens when a user loses access to a project. The guide also refers to a larger integration catalog, but its size and contents are vendor claims that may change.

How do estimates, budgets, rates, and schedules work together?

Use estimates to express expected effort, budgets to limit planned hours or money, and rates to translate hours into charges or internal cost. Clockify’s stated workflow lets you compare estimated and tracked work, but the usefulness of that comparison depends on keeping estimates and task definitions current.

Estimate effort at the right level

Estimate a task when you need engineering-level variance, such as an API change or test suite. Estimate the project when leadership needs a single allowance for a release or client engagement. If both are used, decide which one governs escalation so a task-level overrun is not hidden by unused project-level capacity.

Separate billable and labor-cost views

A billable rate answers what a client may be charged. A labor-cost rate answers what the organization spends on the person’s time. Comparing both against tracked hours can show margin pressure without exposing internal cost assumptions in a client report.

Review schedule and leave data with context

The topic-specific Clockify material describes scheduling work and tracking leave. Use those features to explain why available hours changed, not to infer that every scheduled hour will become productive development time. Holidays, training, support rotations, and approved leave should be visible when a manager interprets an estimate variance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Which reports should a software team run?

Build reports around a decision rather than around every field available. Clockify describes reports that can compare estimated and tracked time or charges and costs, and that can be shared with others.

  • Project variance: compare estimated hours with tracked hours to identify work that needs replanning.
  • Task mix: group time by task category to see how much effort went to implementation, testing, review, meetings, or support.
  • Client charge report: filter billable entries and apply the configured billable rate before preparing an invoice review.
  • Internal cost report: apply labor-cost rates to understand the cost of a product, team, or maintenance stream.
  • Person or team report: inspect workload distribution and investigate missing or unusually high entries without treating the report as a performance score by itself.
  • Period comparison: compare weeks or reporting periods after checking that the project and task structure did not change between them.

Share only the view the recipient needs. A client generally needs approved billable time and task descriptions, while an engineering manager may need estimates, internal cost, and unbillable support work. Keep a copy of the report definition or filter choices so recurring reports remain comparable.

How can I review, approve, and lock developer timesheets?

Clockify’s developer guide describes a review workflow in which people submit timesheets, receive reminders, and have entries locked after a chosen date. The guide also describes approved timesheets as no longer editable; confirm the current behavior in your account before relying on it for accounting controls.

  1. Set the submission period. Choose a weekly, biweekly, or monthly cutoff that matches payroll or invoicing. Tell contributors exactly which date and time zone apply.
  2. Remind before the cutoff. Use reminders for incomplete or unsubmitted time, and give reviewers enough time to question an entry before the period closes.
  3. Review exceptions. Look for missing project assignments, unexplained manual corrections, hours above an estimate, and entries recorded to inactive work.
  4. Approve or return. Approve entries that meet the policy; return exceptions with a specific correction request instead of silently editing someone else’s record.
  5. Lock the period. Lock after the review window. Define an administrator-only process for reopening a period when a payroll or client correction is unavoidable.

These controls support an audit trail, but they do not by themselves prove that an hour was worked or that a client should be billed. Keep the underlying issue, pull request, meeting invitation, or support ticket in the development system used to perform that work.

Is Clockify a replacement for Jira, GitHub, or source control?

No. Clockify records and analyzes time; it does not replace an issue tracker, repository, code-review system, continuous-integration service, or release register. Treat the development tool as the record of what changed and Clockify as the record of how much time was allocated to that work.

This separation prevents two common mistakes. First, a time entry should not be treated as proof that a feature is complete. Second, a missing time entry should not be treated as proof that no development occurred. Link the records where the integration permits it, and retain the engineering evidence in the system designed for that evidence.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What can go wrong during adoption, and how do I fix it?

  • Projects are duplicated. Consolidate naming and archive obsolete projects before importing or inviting more users. Reports are only as useful as the categories beneath them.
  • Developers forget timers. Permit manual entries, establish a same-day correction rule, and review unusual durations rather than banning manual capture.
  • Integration permissions fail. Recheck the user’s access to the project or repository, authentication method, browser-extension status, and the plan requirement. Test with a least-privilege account.
  • Time appears in the wrong task. Require a task note for corrections and map the Clockify task list to the issue tracker’s workflow before launch.
  • Estimates become stale. Record why an estimate changed and distinguish a scope change from an execution overrun. Otherwise, repeated re-estimation can hide the original variance.
  • Reports disagree with payroll or invoices. Compare cutoff dates, time zones, approval status, billable flags, rates, and the set of active or invited users. Lock a period only after those checks.
  • Managers use hours as a simplistic performance score. Pair time data with delivered scope, quality, incidents, and review context. Clockify’s records describe allocation, not developer value.

What is the practical decision rule?

Choose Clockify when your team needs a dedicated time record that can be organized by project and task, connected to existing development tools, compared with estimates and budgets, translated into billable or labor cost, and reviewed through a timesheet process. Pilot the workflow with one project, verify the integration’s actual behavior, and confirm plan entitlements before making the data part of a contractual, payroll, or accounting process.

Frequently Asked Questions

Can an approved Clockify timesheet be edited later?

The developer guide describes approved timesheets as becoming uneditable. If a correction is required, use the administrator process your current workspace provides and document the reason before reopening or adjusting a locked period.

Does a GitHub connection import commits and code history into Clockify?

Do not assume that it does. The integration is intended to associate time capture with development activity; repository history, commits, reviews, and deployment evidence remain in the source-control and delivery tools.

Is dedicated hardware required to use Clockify with a development team?

No dedicated physical device is identified for this workflow. The recommendation is for a digital service used alongside the team’s existing development applications, with the exact browser, desktop, or mobile experience subject to the current Clockify offering.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can Clockify track leave as well as coding time?

Clockify’s software-development workflow material includes leave tracking. Configure leave categories and approval ownership separately from project tasks so absence does not appear as unproductive engineering time.
