Choose the assistant that lives where your team already works. Microsoft 365 Copilot is usually the best fit for a Microsoft-first business using Word, Excel, PowerPoint, Outlook and Teams. Gemini is the natural choice for a Google Workspace business centered on Gmail, Drive, Docs, Sheets and Meet. ChatGPT Business is the strongest general-purpose option for teams working across several ecosystems or needing a flexible AI workspace with connectors.
The lowest advertised price is not the same as the lowest total cost. Microsoft and Google generally require their underlying productivity subscriptions, while ChatGPT Business is purchased separately. Compare the complete stack, permissions, administration and the jobs your staff actually need AI to perform.

What each product actually is
ChatGPT Business: a separate, cross-tool AI workspace
ChatGPT Business is a dedicated team workspace rather than an add-on inside Word, Excel or Gmail. OpenAI lists Standard seats at $20 per user per month when billed annually or $25 when billed monthly. A workspace requires at least two paid seats, so the minimum advertised subscription is two seats even if only one employee will use it regularly.

OpenAI describes centralized billing and administration, usage analytics, spend controls, SAML single sign-on, multifactor authentication and connectors to Google Workspace, Microsoft 365, Slack, GitHub and other services. That connector model is the main reason to consider ChatGPT when your company does not have one dominant suite. Staff can bring approved information from several systems into one conversation instead of moving every task manually between applications.
OpenAI’s pricing statement says, “No training on your business data by default.” Treat that as a plan-specific vendor commitment to verify for your country, configuration and any connected services. It does not remove the need to control who can connect a source, what files are shared and how long data is retained.
Microsoft 365 Copilot Business: an assistant inside Microsoft 365
Microsoft 365 Copilot Business is an add-on for an eligible Microsoft 365 subscription. Microsoft’s current business pricing page lists a starting price of $18 per user per month with annual payment and displays a $21 reference price. The offer is aimed at organizations of up to 300 users.
Copilot appears in Word, Excel, PowerPoint, Outlook and Teams. Microsoft also describes Work IQ-powered chat, reasoning AI for research and data analysis, pre-built agents such as Researcher, Analyst and Facilitator, analytics and model choice. The practical advantage is context: a user can ask for a summary of an Outlook thread, turn a document into a presentation, or analyze an Excel workbook without leaving the Microsoft environment.

Microsoft says Copilot inherits Microsoft 365 security and compliance controls and “only returns information the user already has permission to access.” That is an important safeguard, but it also means poorly managed SharePoint, OneDrive or Teams permissions can produce either incomplete answers or unexpectedly broad results. Copilot does not repair an over-shared tenant.
Google Workspace with Gemini: AI embedded in Google’s suite
Google’s Workspace AI plans place Gemini in the applications many small businesses already use. The Business Standard page lists $14 per user per month with an annual commitment, with a $16.80 monthly equivalent shown on the page. Features listed include Gemini chat, Gemini Notebook, AI in Gmail, Drive and Sheets, plus Meet capabilities such as AI note-taking, translated captions, noise cancellation and recordings.
Google’s Enterprise Standard page lists $27 per user per month with a one-year commitment or a $32.40 monthly equivalent. It includes Gemini in Gmail, Docs, Meet and other Workspace applications, along with enterprise security controls and pooled storage. The Enterprise tier is therefore a different buying decision from Business Standard, not simply a higher message limit.

Total cost: calculate the stack, not just the AI line item
ChatGPT Business is priced separately from your email, storage, documents and meeting tools. Microsoft 365 Copilot requires an eligible Microsoft 365 subscription. Gemini is delivered through Workspace editions. Comparing $20, $18 and $14 in isolation can therefore produce the wrong result.

For a realistic budget, multiply the AI price by every intended user, add the required suite subscription, include taxes and storage or security upgrades, and compare annual commitment with monthly flexibility. Check whether a promotion is temporary and whether it applies to renewals. A low introductory price should not determine a multiyear migration.
Workflow fit: run the same five tasks before you buy
Feature lists rarely predict adoption. Give each candidate identical, non-sensitive sample work and score the result for accuracy, editing effort, source traceability and time saved.
- Meeting recap: provide the same transcript or notes and ask for decisions, owners and deadlines. In Teams, test Copilot in the meeting workflow; in Meet, test Gemini’s note-taking; with ChatGPT, test an uploaded or connected transcript.
- Customer email: supply a short brief, customer history and desired tone. Check whether the assistant can use the information without staff repeatedly copying context.
- Spreadsheet analysis: ask for trends, anomalies and a chart from a sanitized workbook. Verify formulas, assumptions and whether the assistant explains its calculations.
- Proposal creation: give each system the same requirements and brand guidance. Measure how much formatting and fact checking remain in Word, Docs or a separate editor.
- Approved-file question: ask a question whose answer is in a controlled company folder. Check citations or file references, refusal behavior when access is missing and whether the answer changes correctly when a source is updated.
Use a small pilot with representatives from sales, operations, finance and management. A tool that excels at drafting may still be a poor choice if finance cannot trust spreadsheet reasoning or administrators cannot maintain source permissions.

Data governance and security: the questions that matter
Identity and access
Decide whether users sign in through your existing identity provider. ChatGPT Business lists SAML SSO and MFA. Microsoft 365 Copilot uses Microsoft 365 identity and permissions. Google Workspace uses Workspace administration and its security controls. Require strong authentication, remove accounts promptly when employees leave and assign administrative roles by least privilege.
File and sharing permissions
Copilot’s permission-aware behavior makes Microsoft 365 hygiene a prerequisite: review SharePoint sites, OneDrive links, Teams membership and inherited permissions before rollout. Apply the same discipline to Google Drive shared drives and ChatGPT connectors. An AI assistant can make hidden access patterns easier to discover, but it cannot decide whether a sales folder should have been public to the whole company.
Training and advertising commitments
OpenAI says there is no training on business data by default; Google says Workspace company data is not used for AI model training or ads. These are vendor statements, not a substitute for contract review. Confirm the exact business plan, region, retention terms, connector behavior and whether administrators can disable features that do not meet your policy. Do not assume a consumer account has the same protections.

Map AI use to your existing retention schedule. Determine where prompts, uploaded files, generated documents, meeting notes and connector indexes are stored, who can delete them and how exports or legal holds work. Establish a written rule for personal data, payment information, health information, confidential customer material and source code. If a department cannot explain its approved data boundary, keep that department out of the pilot until the boundary is documented.

Administration and rollout effort
ChatGPT Business administration
- Set up the workspace, centralized billing and at least two paid seats.
- Configure SAML SSO and MFA, then define workspace owners and billing administrators.
- Review usage analytics and spend controls before inviting the full team.
- Approve connectors individually; test what each connected service exposes to each role.
Microsoft 365 Copilot administration
- Confirm every intended user has a qualifying Microsoft 365 subscription and that the organization is within the 300-user Business limit.
- Audit Microsoft 365 permissions before licensing Copilot broadly.
- Start with a controlled group and monitor analytics, answer quality and support tickets.
- Document when employees should use Researcher, Analyst or Facilitator agents and when a human review is mandatory.
Google Workspace with Gemini administration
- Choose Business Standard or Enterprise Standard according to security, storage and administrative needs rather than AI novelty alone.
- Verify which Gemini features are enabled in Gmail, Drive, Docs, Sheets and Meet for your edition and region.
- Review shared-drive membership, external sharing and recording or note-taking policies.
- Train users to check generated summaries, translated captions and spreadsheet outputs before distributing them.
How to decide by business profile
Choose Microsoft 365 Copilot when Office is the operating system
Copilot is the strongest starting point when documents, budgets, presentations, calendars and meetings already live in Microsoft 365. Its value comes from reducing context switching and using existing permissions. It is less compelling if your team mainly uses Google Workspace or if you would need to maintain Microsoft 365 solely to obtain the assistant.
Choose Google Workspace with Gemini when collaboration is browser-first
Gemini fits organizations whose daily records are Gmail threads, Drive folders, Docs, Sheets and Meet calls. Business Standard has the lower published annual AI-inclusive Workspace price in the figures listed here, while Enterprise Standard adds enterprise controls and pooled storage at a higher price. Confirm that the features your users need are included in the selected edition.
Choose ChatGPT Business for mixed ecosystems and broad tasks
ChatGPT Business is the most natural candidate when employees move among Google Workspace, Microsoft 365, Slack, GitHub and other services, or when the business wants one general assistant rather than an application-specific layer. Budget for separate productivity software, the two-seat minimum and the work required to govern connectors.

Use a dual approach only with a clear boundary
Some companies may license Copilot or Gemini for in-suite work and ChatGPT Business for cross-tool research or specialist tasks. Do this only when each product has a defined purpose, approved data sources and an owner. Running overlapping assistants without policy usually increases cost, inconsistent answers and employee confusion.
A practical buying process for a small team
- Inventory the current stack: list your email, documents, storage, meetings, chat, source-code and identity systems. Mark where the authoritative version of each record lives.
- Write five priority jobs: for example, weekly sales recap, invoice-spreadsheet review, proposal draft, support response and project meeting notes. Define success in minutes saved and acceptable error rate.
- Set data boundaries: classify information that may be used, information requiring approval and information prohibited from AI tools.
- Price complete scenarios: calculate annual and monthly totals for every user, including required Microsoft 365 or Workspace subscriptions, taxes, storage and any existing contracts.
- Run a two-to-four-week pilot: use representative but controlled data. Record time saved, corrections, adoption and failures rather than relying on enthusiastic demonstrations.
- Test failure and recovery: deliberately remove a user’s file access, revoke a connector, correct a source document and ask the same question again. Confirm that access changes propagate as expected.
- Publish usage guidance: require human review for customer-facing, financial, legal, hiring and safety-sensitive outputs. Explain how to report a bad answer and where approved prompts or templates are stored.
- Review after launch: examine usage analytics, unused seats, support issues, permission exceptions and renewal pricing at least quarterly.
Common buying mistakes and how to avoid them
- Comparing list prices only: add the mandatory underlying suite and existing contract costs.
- Assuming “no training” means no risk: still control retention, access, connectors, exports and human review.
- Ignoring permissions: an assistant can summarize information that users already can access, so excessive sharing remains excessive sharing.
- Piloting with an easy demo: include messy spreadsheets, ambiguous requests and incomplete source files.
- Licensing everyone immediately: begin with roles that have measurable, repeatable work and expand based on evidence.
- Overlooking billing terms: annual commitments, monthly equivalents, promotions and regional taxes can materially change the total.
- Treating generated text as verified fact: require source checks for numbers, policies, customer commitments and technical instructions.
Final recommendation
For a Microsoft-first small business, start with Microsoft 365 Copilot and spend the pilot on permission cleanup. For a Google Workspace business, start with Gemini in the edition that matches your security and storage requirements. For a mixed-tool team, evaluate ChatGPT Business first because its connectors and standalone workspace can span both ecosystems, while budgeting for separate productivity software and the two-seat minimum. Whichever product wins, make the decision on complete cost, permission quality and measured workflow improvement—not on the chat window or advertised model name.
