There is no evidence-supported universal winner for office work. Start with the suite where your work already lives and ask what information you need the assistant to use. Microsoft 365 Copilot is the clearest fit for assistance grounded in permitted Microsoft 365 work data; Gemini in Google Workspace is built into Gmail, Docs, Meet, and other Workspace apps; and ChatGPT offers documented Word, Excel, and Google Sheets experiences, plus optional connected apps. The right choice depends on your workflow, account and license—not a proven cross-vendor ranking.
What matters most when comparing the three?
For office work, the useful distinction is not simply which chatbot writes the best paragraph. It is how closely the assistant fits your daily apps, what work information it can use, and what your organization permits it to access.
- Where you work: Microsoft 365, Google Workspace, or a mix of apps.
- What context you need: just the prompt and a supplied file, or also authorized email, documents, meetings, chats, and other business data.
- Where assistance appears: inside the document, spreadsheet, email, or meeting workflow, or in a separate assistant interface.
- What your organization allows: account type, license, administrator settings, data controls, and connected services.
- What it will cost your organization: the incremental cost after accounting for existing suite licenses and any needed add-ons.
The available vendor materials describe product capabilities, not a standardized independent head-to-head test of office-task quality. They do not establish that one assistant is best for every user or task.

ChatGPT: use it with documents and spreadsheets
OpenAI documents ChatGPT for Word as a sidebar for drafting, editing, summarizing, and revising the open document. OpenAI’s Help Center describes it this way: “ChatGPT for Word opens ChatGPT in a sidebar inside Microsoft Word.” The feature is described as available across ChatGPT plans, but that does not mean every plan has identical behavior, usage allowances, connected apps, or administrative controls.

For Word, the assistant can work with the open document, but it cannot refer to other files stored locally on your computer. Complex formatting, charts, and tables may need manual adjustment. OpenAI advises reviewing facts, figures, citations, and edits before using the result.
OpenAI also documents spreadsheet experiences for Excel and Google Sheets. These can create and update spreadsheets from natural-language instructions, explain formulas, analyze multiple tabs, and use approved connected sources where enabled. Spreadsheet conversations and data do not sync with main ChatGPT history, and advanced features such as VBA and macros may not be fully supported. Business and enterprise administrators can control access; OpenAI says business workspace inputs and outputs are not used to train its models by default.

Microsoft Copilot: distinguish chat from the licensed work assistant
Microsoft describes Copilot Chat as “a secure AI chat experience available to eligible Microsoft 365 users.” Microsoft says it is included for eligible Microsoft 365 business or enterprise subscriptions and provides web-grounded chat, file upload, summarization, image generation, and some task automation. Its reasoning over organizational data is limited compared with the paid Microsoft 365 Copilot license.
The licensed Microsoft 365 Copilot experience is intended for broader work-data grounding and assistance across Microsoft 365 apps and workflows. Microsoft documents drafting and summarizing scenarios in Word, Excel, PowerPoint, and Outlook, as well as Teams-related workflows. It respects existing Microsoft 365 permissions: it does not give a user access to work data they could not otherwise see. Actual features depend on the user’s license, the organization’s setup, and geographic availability.

Gemini: separate Workspace assistance from Gemini Enterprise
Google presents Gemini in Workspace as assistance built into apps including Gmail, Docs, and Meet. In a September 9, 2026 announcement, Google described cross-app capabilities that can use selected or administrator-enabled context from files, emails, and chat threads, and generate Docs, Sheets, and Slides. Google said those capabilities were rolling out for specified plans; do not assume they are available on every Workspace account.
Gemini Enterprise is a separate agent platform that Google says can connect to business information in Workspace, Microsoft 365, and other systems. A business may use it alongside a productivity suite. Google’s comparison materials distinguish its context from Gemini in Workspace: the two products do not share memory or context.

Google reported more than 2 billion Gemini AI assists per month among Google Workspace business users in a figure published April 9, 2025. That is a vendor-reported usage figure, not an independent measure of productivity or comparative performance.

Choose Microsoft 365 Copilot for a Microsoft-centered work-data workflow
Evaluate the licensed Microsoft 365 Copilot experience if your organization already keeps work in Microsoft 365 and people need assistance grounded across the Microsoft work data they are permitted to access. If you are considering Copilot Chat instead, assess its web-grounded chat and file-upload capabilities separately; do not assume it offers the same organizational-data reasoning as the licensed product.

Choose Gemini in Workspace for a Google-centered team
Evaluate Gemini in Workspace if people primarily collaborate in Gmail, Docs, Meet, and other Workspace apps. Check the exact Workspace plan and rollout status for capabilities that use cross-app context. Consider Gemini Enterprise separately if the requirement is agents connecting to business systems across Workspace, Microsoft 365, and other services.
Choose ChatGPT for a general assistant with document and spreadsheet surfaces
Evaluate ChatGPT if users want a general assistant alongside documented Word, Excel, or Google Sheets experiences and possibly selected app connections. Confirm which features are available on the intended plan, what connected apps are enabled, and whether the administrator’s settings allow them.
What should an organization check before buying?
Compare the specific accounts, contracts, plans, and connected services your users will actually use. Vendor statements about business data protections apply to the identified business products and account contexts; they should not be assumed to cover every consumer tier or third-party connector in the same way.

For procurement, record existing Microsoft 365 or Google Workspace licenses, required AI add-ons, user eligibility, usage caps, administrator controls, data-residency requirements, and connector access. There is not enough established here for a complete like-for-like current cost comparison across providers, territories, and organization sizes. Compare the incremental cost for your actual users and plans rather than treating a standalone chatbot subscription, a suite bundle, and an enterprise license as interchangeable.

How can you test the fit without assuming a winner?
- Choose representative tasks. Use ordinary work such as summarizing a meeting, drafting an email, revising a document, or analyzing a spreadsheet—not only a polished demo prompt.
- Use the same work context. Test the same representative documents and, where relevant, email, meeting, or chat context under each product’s actual permissions and configuration.
- Check the workflow, not just the answer. Note whether people can complete the task inside their existing apps, whether they need to upload or connect files, and whether formatting or spreadsheet features need manual repair.
- Review governance and access. Confirm what the assistant can retrieve, whether administrator settings permit the needed connectors, and what data protections apply to the account and product.
- Have users verify outputs. Review factual claims, calculations, citations, edits, and generated files before relying on them.
