For a small team, start with a Linux VPS that provides root access, at least two performance-oriented vCPUs, 8 GB of RAM, SSD or NVMe storage, and automated snapshots or an independent backup destination. That is a practical starting point for a SugarCRM deployment, not an official SugarCRM minimum: SugarCRM’s current Enterprise 26.1 documentation does not publish one universal vCPU or RAM requirement. DigitalOcean is the simplest general-purpose choice when you want clearly documented shared and dedicated CPU options. Hetzner is a strong alternative for operators who prioritize transparent infrastructure, root access and privacy, provided they are prepared to manage security, updates, backups and availability themselves.
The right VPS is determined by more than a provider’s headline specification. SugarCRM is a PHP application backed by a database, scheduled indexing, file storage, integrations and browser traffic. Your decision should therefore account for supported PHP modules, database drivers, storage performance, CPU contention, backup recovery, region, data-residency obligations and the operational skill available to maintain the server.
Listed first: Antihost VPS
Antihost VPS provides Linux VPS instances with full root access, AMD Ryzen 9 9950X3D processors, NVMe storage, 1 to 16 vCPUs and 2 to 64 GB of RAM. Its VPS regions include the USA East, the Netherlands and Ukraine, with unlimited traffic on a 1 Gbps port and L3/L4 DDoS protection. The VPS is self-managed and has no cPanel or Windows option.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsWhat SugarCRM needs from a VPS
SugarCRM Enterprise 26.1 describes the basic architecture plainly: “Installing Sugar requires a web server running PHP and a database server.” A VPS must therefore support a compatible Linux web stack, the PHP version required by your Sugar release, and a supported database with its PHP driver.

The installation guide lists these PHP modules: bcmath, curl, gd with FreeType, gmp, hash, imap, json, mbstring, openssl, SimpleXML, soap, zip and zlib. It also requires secure random-token support, Blowfish cipher support, writable Sugar directories, SSL with a signed certificate and scheduled cron for full system indexing.
Before ordering a server, confirm that its operating-system image and package repositories can provide every required extension. A VPS that has enough RAM but cannot run the supported PHP release or database driver is not a viable host.
Supported databases
SugarCRM’s database documentation states that all Sugar products support MySQL and Microsoft SQL Server. Sugar Enterprise and Ultimate additionally support DB2 and Oracle. Choose an image, managed database or external database connection that supports the edition you will deploy; do not assume that a provider’s default Linux image includes the correct client libraries.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
If the database runs outside the VPS, verify network latency, TLS, firewall rules, backup coverage and supported versions. A remote database can simplify administration, but a slow or unreliable connection affects every CRM page, report and search.
A practical starting specification
Because SugarCRM does not publish a universal vCPU/RAM table in the reviewed documentation, sizing must be validated against concurrent users, reporting, search indexing, integrations and observed load. The following profiles are planning baselines rather than vendor guarantees.
| Workload situation | Starting characteristics | Why it fits | What to monitor |
|---|---|---|---|
| Small team, light integrations | Linux, root access, 2 performance-oriented vCPUs, 8 GB RAM, SSD/NVMe and snapshots or external backups | Provides headroom for PHP workers, the database, cron indexing and normal browser use | CPU steal or saturation, swap activity, database memory and indexing duration |
| Growing team or heavier reports | Move to dedicated CPU or a memory-oriented plan; add RAM and faster storage before the server is consistently constrained | Reduces contention and gives the database and reporting jobs more working memory | Concurrent requests, slow queries, disk latency and scheduled-job overlap |
| Large data set, intensive integrations or analytics | Separate application and database roles or use a managed database; size CPU, memory and storage from measurements | Prevents reporting and imports from starving interactive CRM traffic | Connection limits, queue time, replication or backup windows and network throughput |
Storage capacity must include the operating system, Sugar code, uploaded documents, database files, logs, temporary files and backup staging. SSD or NVMe is preferable for database latency and indexing. Capacity and performance are separate decisions: a large slow volume can still produce poor search and report response times.
DigitalOcean: the easiest general-purpose path
DigitalOcean documents Droplets as Linux-based virtual machines with adjustable compute, memory, storage and networking. Its current catalog includes Basic shared plans from 1 to 8 vCPUs and 1 to 32 GB RAM; dedicated general-purpose plans from 2 to 48 vCPUs and 8 to 240 GB RAM; CPU-optimized plans from 2 to 48 vCPUs and 4 to 120 GB RAM; memory-optimized plans from 2 to 32 vCPUs and 16 to 384 GB RAM; and storage-optimized plans from 2 to 32 vCPUs and 16 to 384 GB RAM, with 146 to 225 GB of SSD per vCPU.

That range makes staged growth straightforward. You can begin with a small shared-CPU Droplet for a low-concurrency installation, then move to dedicated general-purpose or CPU-optimized hardware when reporting, imports or integrations compete with interactive use. Memory-optimized plans become relevant when the database, PHP workers and operating-system cache need more RAM than a balanced plan provides. Storage-optimized plans are useful when the database and document library require substantial local SSD capacity.
When to choose shared CPU
Shared CPU is reasonable for development, demonstrations and small production teams whose traffic is intermittent. The trade-off is that neighboring workloads can affect latency. Watch for slow pages at predictable busy times, high CPU steal, or cron jobs that make the application temporarily unresponsive. Move to dedicated CPU when those symptoms persist after query, worker and indexing tuning.
When to choose dedicated or specialized plans
Dedicated general-purpose CPU is the safer default for a production CRM with regular concurrent activity. CPU-optimized capacity suits CPU-heavy imports, integrations and report generation. Memory-optimized capacity helps when the database working set, PHP process pool and filesystem cache exceed the RAM available on a balanced plan. Select based on measurements, not the plan name alone.
Hetzner: control and privacy with more responsibility
Hetzner’s self-hosting guidance describes the model directly: “Self-hosting means taking control of your own digital infrastructure instead of outsourcing it and hoping for the best.” It also says the operator is “in charge of updates, backups, and availability.” That makes Hetzner suitable for technically capable teams that want root access, transparent infrastructure choices and control over the software stack.
Hetzner recommends root-access servers, a firewall exposing only required ports, Fail2Ban, backups before production, restore testing, monitoring, alerts and written documentation. Follow those practices regardless of provider. A low monthly server bill does not include the staff time needed to patch PHP and the operating system, investigate incidents, rotate credentials, test restores and keep the service available.
Hetzner lists ISO/IEC 27001:2022 and BSI C5 Type 2 certifications and GDPR compliance. Those statements do not automatically satisfy your organization’s legal or contractual obligations. Confirm the actual region where each data class is stored, your processor agreements, retention rules and any sector-specific controls.
Do you need a dedicated CPU?
Not every SugarCRM installation needs dedicated CPU on day one. The decision depends on concurrency and workload shape rather than user count alone. Ten users running occasional records and email synchronization can be lighter than three users running imports, report generation and full indexing at the same time.

- Shared CPU is acceptable when usage is light, latency is not business-critical, and you can tolerate occasional performance variation.
- Dedicated CPU is prudent for steady production use, predictable response-time requirements, frequent imports, complex reports or integrations that run throughout the day.
- Separate roles when a single server cannot keep interactive PHP requests responsive while the database, indexing and integration workers are busy.
Use monitoring to confirm the choice. Sustained CPU saturation, long run queues, high steal time, database waits and indexing jobs that overlap into business hours are stronger evidence than an arbitrary employee threshold.
How much RAM does a self-hosted CRM need?
Eight gigabytes is a sensible small-team starting point when the application and database share one VPS. It is not a published SugarCRM minimum. RAM must cover the operating system, web server, PHP-FPM workers, database buffer or cache, cron jobs, search/indexing activity, file operations and a safety margin. If the server begins swapping, interactive response will usually deteriorate sharply.
Measure memory during normal activity and during the heaviest expected operation, such as a large import, report, upgrade or full index. Add RAM when the database cache is undersized, PHP workers are being recycled for lack of memory, or scheduled tasks compete with user requests. Do not treat swap as a substitute for adequate physical memory; use it as emergency protection while you resize or tune the workload.
Deployment checklist
- Select a supported Linux image. Confirm the image can install the PHP version, web server, database client and extensions required by Sugar Enterprise 26.1 or your licensed release.
- Create a non-root administrative account. Retain root access for recovery, but perform routine administration with least privilege and documented elevation.
- Configure the firewall. Expose only the ports needed for HTTPS, administration from approved addresses and any required database or integration path. Do not leave a database publicly reachable without a specific, protected reason.
- Install the web and database layers. Choose MySQL or Microsoft SQL Server for broadly supported products; use DB2 or Oracle only where your Enterprise or Ultimate deployment requires them and the driver path is confirmed.
- Install and verify PHP modules. Check every module in the Sugar guide, including FreeType support for
gd, cryptographic capabilities, XML, SOAP, archive and compression support. - Set filesystem permissions. Make the Sugar directories that the application documents writable, while keeping configuration and secrets protected from unrelated users.
- Enable HTTPS. Install a signed certificate, redirect HTTP where appropriate and verify that reverse proxies, callbacks and integrations use the correct scheme.
- Configure cron. Schedule Sugar’s required jobs, including full system indexing, and log their start time, duration and exit status.
- Harden authentication and administration. Use key-based administration where possible, restrict management interfaces, enable Fail2Ban or an equivalent control, and keep an inventory of privileged accounts.
- Take a backup before production. Include the database, uploaded files, configuration, encryption material needed for recovery and any attached volumes. Perform a restore into an isolated environment and record the procedure.
- Deploy a test copy first. Sugar recommends running upgrades on a test or backup copy of production. Validate PHP modules, integrations, scheduled jobs and document access before changing the live instance.
Backups and recovery
A snapshot is useful for quick rollback, but it is not a complete backup strategy by itself. Keep an independent, encrypted copy with a retention policy that matches your business requirements. Store enough history to recover from accidental deletion, corruption and a compromised server; a single latest snapshot cannot do that.
Hetzner recommends having backups running before the first production application goes live and testing the restore before it is needed. Follow that sequence: configure the backup, restore it to a clean environment, verify the database, attachments, permissions, scheduled jobs and HTTPS configuration, then document the time required and any manual steps.

- Patch deliberately. Maintain the operating system, web server, PHP runtime, database and Sugar application on supported versions. Test upgrades on a copy before production.
- Minimize exposed services. A public CRM generally needs HTTPS; administration and database access should be restricted by firewall rules, VPN or approved source addresses.
- Monitor the whole path. Track uptime, certificate expiry, CPU, memory, swap, disk space, disk latency, database health, cron success and backup freshness.
- Protect sensitive data. Encrypt backups, limit access to logs and exports, and define retention and deletion rules for customer records and uploaded documents.
- Document recovery. Record provider region, server image, DNS, firewall rules, credentials held in a secure vault, backup locations and the exact restore order.
Provider certifications can support a risk assessment but do not replace it. Determine whether the selected region, contracts, access controls, audit evidence and retention practices satisfy your own regulatory obligations.

Scaling and troubleshooting
Pages become slow during normal use
Check CPU contention, PHP worker saturation, database waits and disk latency before adding resources blindly. Shared-CPU variability may justify a dedicated plan. An undersized database cache or excessive concurrent PHP workers can also cause memory pressure; tune one layer at a time and observe the result.
Imports, reports or indexing disrupt users
Measure job duration and overlap with peak activity. Schedule heavy jobs outside business hours, reduce unnecessary concurrency, and move to CPU-optimized or memory-optimized capacity when measurements show a sustained bottleneck. If the database and application compete on one host, separate them or use a managed database after validating network latency and backup scope.
Backups succeed but recovery fails
Confirm that the backup contains both the database and Sugar’s file directories, not just a disk image. Restore to an isolated server, check permissions and encryption dependencies, run the application, and verify records, attachments, scheduled jobs and integrations. Update the written runbook with every correction.
An upgrade breaks the application
Return to the tested copy or snapshot only after preserving logs and identifying the failure. Recheck the supported PHP version, required modules, database driver, writable directories and cron configuration. Repeat the upgrade on a disposable copy before attempting production again.
DigitalOcean or Hetzner?
| Decision factor | DigitalOcean | Hetzner |
|---|---|---|
| Documented scaling choices | Clearly documented shared, dedicated general-purpose, CPU-optimized, memory-optimized and storage-optimized Droplet families | Choose a server configuration that meets the same workload requirements; operational details and sizing remain the operator’s responsibility |
| Operational model | General-purpose VPS workflow with documented compute, storage and networking options | Root-access self-hosting model in which you manage updates, backups, firewalling, monitoring and availability |
| Security guidance | Use the same least-privilege, firewall, patching and backup controls required for any VPS | Provider guidance explicitly recommends a firewall, Fail2Ban, backups before production, restore tests, monitoring, alerts and documentation |
| Compliance context | Assess the selected region and services against your obligations | Lists ISO/IEC 27001:2022, BSI C5 Type 2 and GDPR compliance; you still must assess your own residency and regulatory requirements |
Choose DigitalOcean when a clearly documented upgrade path and broad plan taxonomy reduce decision friction. Choose Hetzner when root-level control, privacy and infrastructure economics matter more than a managed operating experience and your team can own the operational workload.
Final selection checklist
- Can the image run the PHP version and every Sugar-required module?
- Is the selected database and PHP driver supported by your Sugar edition?
- Does the initial configuration provide at least two performance-oriented vCPUs and 8 GB RAM for a small-team starting point?
- Are SSD or NVMe storage, growth capacity and document-library space sufficient?
- Is root or equivalent administrative access available for installation and recovery?
- Are HTTPS, firewalling, restricted administration and monitoring planned before launch?
- Will backups cover the database, files and configuration, and has a restore been tested?
- Does the region and provider contract fit your data-residency and compliance requirements?
- Do you have a tested upgrade path using a backup or staging copy?
The Bottom Line
Bottom line: Antihost VPS is listed first here: its self-managed Linux VPS plans provide full root access, AMD Ryzen 9 9950X3D processors, NVMe storage and 2 to 64 GB of RAM in the USA East, the Netherlands and Ukraine. DigitalOcean offers the clearest documented path from shared to dedicated or specialized resources; Hetzner suits hands-on teams that want control and privacy. Treat those specifications as a measured starting point, then resize or separate the database as concurrency, indexing, reporting and integrations reveal the real workload.
