Proton Workspace is another option for organizations that prioritize privacy, but its document workflows and integrations should be checked against the business’s actual needs. No suite is a universal match; compare the specific plans, storage, meeting limits, controls, migration needs, and billing terms before choosing.
Which Microsoft 365 alternatives cover email, documents, and team chat?
Google Workspace brings custom business email, Gmail, Docs, Sheets, Slides, Drive, Chat, Meet, and Calendar together. Zoho Workplace combines business email with Writer collaborative documents, Cliq communication and collaboration, and WorkDrive storage. Proton Workspace includes Mail, Calendar, Drive, Docs and Sheets, Meet, VPN, and Pass, with privacy-oriented positioning.
These bundles address the same broad needs, but they are not feature-for-feature replacements for Microsoft 365. Microsoft’s business offerings include email, Word, Excel, PowerPoint, storage, and Teams chat, calling, and meetings; the exact bundle depends on the selected plan, including whether Teams is included. Use the specific Microsoft plan your organization has today as the baseline, rather than comparing against Microsoft 365 in the abstract. Microsoft’s business plans and pricing describe the available bundles.
How do the suites differ?
| Suite | What the vendor pages establish | Likely fit to evaluate | Check before choosing |
|---|---|---|---|

| Microsoft 365 baseline | Business email, Office apps, storage, and Teams communication, depending on the selected plan. | Organizations comparing replacements with their existing workflow. | Whether the plan includes Teams, desktop app needs, security features, and renewal cost. |
What do the published prices and limits show?
The figures below were displayed on vendor plan pages on October 4, 2026. They are not a like-for-like price ranking: the bundles differ, and billing terms, location, eligibility, and plan contents matter. Confirm the current price and terms for your region before budgeting.

How should a business choose?
- Map the current workflow. List the email, calendar, chat, meeting, document, and storage functions employees actually use. Identify any process that depends on Word, Excel, PowerPoint, Teams, or a third-party integration.
- Check document compatibility with real files. Test representative documents and spreadsheets, including complex formatting, formulas, comments, and coauthoring. The plan pages establish that document tools are included; they do not establish how faithfully a particular organization’s files will transfer or behave.
- Match storage and meetings to demand. Confirm whether the displayed storage is per user or pooled, and verify meeting participant limits and other plan restrictions for the tier under consideration.
- Review administration and security requirements. Compare the controls, identity management, retention, compliance, and administrative features required by your organization against the exact plan—not just the suite name.
- Plan migration and integrations. Inventory mailboxes, calendars, shared drives, files, and connected services. Validate migration steps and third-party integrations before committing; the cited plan pages do not establish your migration outcome.
- Calculate the full cost under the actual commitment. Multiply the appropriate per-user price by the organization’s seats, account for annual versus monthly billing, and distinguish recurring list prices from limited introductory offers. Include any plan upgrades needed for storage, meetings, administration, or security.
When does each alternative make sense?
Choose Google Workspace when cloud collaboration is the priority
Google Workspace is the broad cloud-suite option in this group, with business email, familiar Google productivity apps, Drive, Chat, Meet, and Calendar in its lineup. Compare the storage tier and the specific meeting and administration features each plan includes with your needs. The advertised introductory offers should not be treated as the ongoing price; check eligibility and the offer period on Google’s pricing page.

Evaluate Zoho Workplace when you want a bundled suite and Zoho ecosystem
Zoho Workplace covers the central requirements through business email, Writer, Cliq, and WorkDrive. Zoho’s page displayed Workplace Professional at US$6 per user per month with annual billing on October 4, 2026. Confirm the selected region, plan contents, and storage allocation before comparing that figure with monthly or differently bundled alternatives. Zoho Workplace pricing provides the vendor’s current plan details.
Consider Proton Workspace when privacy is a leading requirement
Proton’s suite combines communication and document tools with services such as VPN and Pass. Its published Standard and Premium limits distinguish the tiers by storage, custom email domains, and meeting capacity. Evaluate whether Proton’s document features, integrations, and day-to-day workflows meet your requirements; privacy-focused positioning alone does not establish that it will suit every organization. What should you verify before switching?
- Which current Microsoft 365 plan you are replacing, and whether it includes Teams.
- Whether your users need desktop Office apps, particular document features, or workflows tied to Microsoft services.
- How each candidate handles your actual email, calendar, document, and chat needs—not just the features listed on a plan page.
- Storage allocation, meeting capacity, administrative and security controls, migration effort, and integrations at the exact plan level.
- Total cost for your seat count and billing commitment, using recurring prices rather than introductory offers where applicable.
