There is no single best GST billing and accounting product for every Indian small business. Choose according to your workflow: cloud accounting and multi-GSTIN needs point toward Zoho Books; established desktop accounting and trade inventory make BUSY or TallyPrime worth shortlisting; and a shop that mainly needs quick mobile invoices may be better served by Vyapar or myBillBook. These are fit-based recommendations, not claims from hands-on testing.
Before you compare prices, decide whether you need only GST invoice creation or a complete system for ledgers, bank reconciliation, stock, returns data, e-invoicing and e-way bills. The right choice also depends on internet availability, number of users and GST registrations, branches or godowns, barcode hardware, accountant access, migration effort and renewal terms.
What should a small business look for in GST software?
Start with the work your staff performs every day, then verify that the exact edition includes the required GST and accounting workflow. “GST billing” can mean little more than putting a GSTIN and tax rate on an invoice; full accounting software also maintains ledgers, purchases, receivables, payables, reports and reconciliations.
Match the product to your operating model
- Retail shop or counter sale: Look for fast POS entry, barcode support, receipt-printer compatibility, stock adjustment and simple returns.
- Wholesale or distribution: Check multiple godowns, batch and expiry tracking, purchase workflows, credit limits, pricing levels and delivery documentation.
- Service provider or freelancer: Prioritise estimates, recurring invoices, HSN/SAC classification, payment reminders and accountant access over deep stock controls.
- Growing multi-user firm: Require role permissions, audit history, branch or multi-GSTIN support, approval controls, backups and reliable reporting.
Separate compliance features from legal obligations
Software may offer e-invoice, e-way-bill or return tools, but a feature list does not establish that your business is legally required to use a particular document or that every transaction is compliant. Applicability, exemptions and filing dates change; verify current instructions on the GST portal or with a qualified tax professional. Also ask whether the product files directly, prepares a return for review, or only exports data.

Which GST software fits each type of small business?
The shortlist below uses the categories established by an independent August 12, 2026 comparison and the vendors’ own published descriptions. It is a starting point for checking editions, not a performance ranking.
| Business situation | Shortlist direction | Why it may fit | What to verify first |
|---|---|---|---|
| Freelancer or service business needing invoices and basic records | Zoho Books, or an invoicing-first product such as Zoho Invoice | Cloud access, customer records and a lighter workflow can avoid paying for complex inventory. | GST fields, HSN/SAC handling, recurring invoices, accountant permissions and export format. |
| Retail counter with stock and barcode work | BUSY, TallyPrime, Vyapar or myBillBook | These categories cover established accounting, trade inventory or mobile-first billing. | Barcode and printer support, offline operation, purchase entry, stock valuation and return handling. |
| Wholesale or distribution with several storage locations | BUSY or Marg ERP; also evaluate TallyPrime | Trade-focused editions commonly expose godown, batch and purchase controls. | Exact warehouse count, batch/expiry and serial-number limits, user roles and transfer reports. |
| Firm adding branches, users or GST registrations | Zoho Books, BUSY or TallyPrime after an edition review | These products have documented or established accounting workflows that can scale beyond single-device billing. | Multi-GSTIN and branch rules, concurrent users, audit trail, backups, support and renewal cost. |
Is Zoho Books a good cloud GST accounting choice?
Zoho Books is a strong shortlist candidate when you want browser-based accounting with documented Indian GST workflows. Zoho’s India product page says it supports GST return workflows, GSTIN-linked contacts and tax assignment, HSN/SAC classification, place-of-supply-aware tax calculation, e-way-bill creation, e-invoicing, inventory and multiple GSTINs.
What the published plans and prices say
Zoho says businesses with revenue below ₹25 lakh per annum are eligible for its free plan. That is a vendor eligibility condition, not a GST-registration threshold or a statement about your statutory obligations. The same page lists the Standard plan at ₹749 per month when billed annually, or ₹899 per month when billed monthly. Prices, taxes, included limits and eligibility can change, so confirm them on the live India plan page before purchase.

- You need access from a laptop and phone rather than one office computer.
- Your accountant or bookkeeper needs controlled remote access.
- You sell across states or hold more than one GST registration and want tax calculation tied to place of supply.
- You want inventory and accounting in the same cloud system instead of exporting invoices to another ledger.
Questions to ask before subscribing
Check the exact GSTIN, user, branch, automation and transaction limits for your plan. Confirm whether e-invoice and e-way-bill actions are included directly or require a particular edition, and test an export of invoices, ledgers and tax data before committing. A cloud product also needs a documented backup and recovery process, especially if you must retain records for an extended period.

- You can now print to blank check stock. Customization of the check layout is "not" possible at this time. Check the Help file for additional details.
- Electronic form filing for W-2, 1099-NEC and 1099-MISC is available through a third party service (there is a nominal fee for this service).
- Tax forms for 2022
- Includes tax tables for 2023
- Support for new 1099-NEC form
Is BUSY suitable for GST, accounting and inventory?
BUSY is a relevant shortlist option for businesses that combine accounting with trade inventory. Its official pricing page lists a Standard plan at ₹16,500 and describes GST e-returns in JSON, direct GSTR-1/IFF upload, automatic e-invoice and e-way-bill generation, return download and reconciliation, POS and batch-wise inventory, along with broader accounting functions.
Why the edition matters
BUSY presents separate plans and editions, with additional capabilities at higher tiers. Do not assume that every item in the product family is included in the Standard listing. Ask the vendor to map your requirements—number of users, companies, GST registrations, godowns, batches, branches and integrations—to one named edition.
Commercial checks for the ₹16,500 figure
The ₹16,500 amount is the price shown on BUSY’s plan page accessed in 2026. Confirm whether it is a perpetual licence, a specified term, or another licence model; ask whether taxes, upgrades, support and additional user or branch licences are extra. Renewal and migration costs can materially change the first-year and later-year totals.

When BUSY deserves a demonstration
- Your invoices are driven by stock, batches, expiry dates or purchase receipts.
- You need a desktop-led workflow or locations where internet access is unreliable.
- Your accountant wants structured GST return data and reconciliation tools rather than a spreadsheet export.
- You need POS and accounting in one system but still require controls for wholesale transactions.
Where do TallyPrime, Vyapar, myBillBook and Marg ERP fit?
The available independent comparison places TallyPrime in the established-accounting and offline-oriented category, BUSY and Marg ERP in inventory-intensive trade, and Vyapar or myBillBook in mobile-first billing. Treat those as category signals; confirm current features, support and pricing directly for the edition you would buy.

TallyPrime
TallyPrime is worth considering when your accountant already works in an established desktop accounting environment or when offline-led operation is important. Verify GST return preparation, e-invoice and e-way-bill workflow, inventory depth, remote access, concurrent-user rules and backup options for your exact release. A secondary comparison quoted a ₹22,500 starting price in October 2026, but that figure was not verified against an official price list and should not be used as a purchasing quote.
Vyapar and myBillBook
These are mobile-first alternatives for owners who primarily need quick invoices, customer balances and straightforward stock or payment tracking. They can be easier to learn than a full accounting suite, but you should confirm the depth of ledgers, bank reconciliation, return data, multi-user controls, desktop access and export formats before replacing an accountant’s system.
Marg ERP
Marg ERP appears in the inventory-intensive trade category. It may be relevant for distributors with detailed purchase, batch or warehouse requirements. Obtain a current edition matrix and insist on a workflow demonstration using your own products, units, taxes, returns and branches.

Invoice generation records a sale document; full accounting connects that document to books, payments, purchases, stock and tax reports. Choosing the smaller tool is sensible only when another process—your accountant’s ledger, a separate inventory system or an approved spreadsheet workflow—handles everything else.

Invoice-only capabilities
- Business and customer GSTIN fields.
- Tax-inclusive or tax-exclusive pricing and place-of-supply selection.
- HSN or SAC classification, invoice numbering and PDF/print output.
- Payment status, reminders and basic sales summaries.
Capabilities that indicate a complete accounting system
- Double-entry ledgers, journals, receivables and payables.
- Purchase bills, expenses, credit notes and debit notes linked to accounts.
- Bank import or reconciliation, cash reports and period closing.
- Stock valuation, transfers, batches, serial numbers and expiry controls where relevant.
- GST reports, return preparation or structured exports that your tax professional can review.
- User roles, audit history, backups and a way to restore data after device failure.
How should you compare GST workflows before buying?
Use a scripted test instead of a sales checklist. Give each shortlisted product the same transactions and record what is automated, what needs manual review and what is merely exported.
- Create your master data: Add your legal name, GSTIN, state, bank account, products or services, HSN/SAC codes, units and tax rates.
- Enter representative sales: Test an intra-state sale, an inter-state sale, a purchase, a discount, a credit note and a customer advance. Check the tax split and place-of-supply result.
- Test inventory exceptions: Receive a batch, sell part of it, transfer stock between locations and enter a return. Confirm whether expiry, serial number and negative-stock rules behave as your business requires.
- Run the tax workflow: Generate the relevant sales report or return file, download data for reconciliation and identify transactions needing correction. Ask who approves a submission and whether the system records the response.
- Check documents: Preview an invoice, add your terms and test PDF, print and email output. For a thermal printer, verify operating-system support, connection type, driver, paper width and the software’s supported printer models.
- Test controls: Create separate owner, cashier and accountant roles. Attempt an edit after posting an invoice and inspect the audit history.
- Test recovery: Export a complete backup, restore it in a separate company or test account and measure how long a new user takes to find key reports.
What will the software cost beyond the advertised plan?
Compare total cost over the period you expect to use the system, not only the headline subscription or licence number.
| Cost item | Why it matters | Questions to ask |
|---|---|---|
| Plan or licence | Annual billing may differ from monthly billing; desktop products may use term or perpetual licences. | Is the amount recurring? What happens at renewal? Are taxes included? |
| Users, companies and GST registrations | Adding a cashier, accountant, branch or registration can move you to another tier. | What are the limits and overage charges? |
| Implementation and migration | Cleaning item masters and opening balances often takes longer than installation. | Who imports data, validates balances and signs off the opening period? |
| Support and updates | GST changes, operating-system updates and printer issues require timely help. | What channels, response times, upgrades and training are included? |
| Hardware and connectivity | Barcode scanners, printers, local servers and internet redundancy add operational cost. | Are drivers and integrations supported for your devices and locations? |
How do you migrate safely from a spreadsheet or old software?
Migration is an accounting-control project, not just a data upload. Preserve the old records, agree on a cutover date and make the opening balances reconcile before issuing live invoices.
- Export customers, suppliers, items, tax codes, invoices, payments, receivables, payables and stock from the old system.
- Remove duplicates and standardise GSTINs, state names, units, HSN/SAC codes and invoice numbering.
- Set up a test company and import a small sample. Compare sales totals, tax totals, receivables, payables and stock quantities with the old books.
- Have the accountant approve opening cash, bank, stock and liability balances. Record any difference as a documented adjustment rather than hiding it in an unexplained account.
- Choose a cutover date, lock the old system for new entries and keep read-only access to historical invoices.
- Run both systems for a short reconciliation period if the business can support it. Fix master-data errors before the first filing cycle.
What are the most common buying and implementation mistakes?
- Choosing by the word “GST” alone: A tax invoice screen does not guarantee ledgers, reconciliation or return-ready data.
- Buying the wrong edition: Inventory, users, branches and GSTINs are often tiered features.
- Ignoring offline risk: A cloud-only workflow can stop sales during an outage unless you have a contingency process.
- Skipping a real transaction test: Demonstrations with sample data may not expose your discounts, units, returns or inter-state rules.
- Underestimating master data: Incorrect HSN/SAC, units or opening stock create recurring errors that are difficult to diagnose later.
- Treating automation as approval: Auto-generated e-invoices, e-way bills or return files still need review and legal applicability checks.
- Failing to plan access: Sharing one administrator password removes accountability and makes an audit trail unreliable.
- Not testing restoration: A backup that cannot be restored is not a recovery plan.
Which option should you shortlist?
Use this decision sequence rather than declaring a universal winner:
Best Value
- See business, rental & personal finances together & separately
- Get built-in Schedule C & E tax reports, P&L, cash flow & more
- Manage your rental properties
- Plus get our best-in-class personal finance tools
- If you need cloud accounting, multi-GSTIN handling and a broad documented GST workflow, start with Zoho Books and verify the plan limits.
- If inventory, POS, batches and trade accounting dominate, compare BUSY’s exact editions with TallyPrime or Marg ERP using your own stock scenarios.
- If you mainly issue mobile invoices and maintain simple customer balances, evaluate Vyapar or myBillBook, then confirm whether your accountant can obtain the required books and tax exports.
- If your accountant insists on an established offline-led workflow, include TallyPrime in the demonstration even if another product appears cheaper.
- Buy only after the scripted test, total-cost review, data-ownership check and recovery test pass.
Frequently Asked Questions
Can I use two GST billing systems for different branches?
You can, but define one source of truth for invoice numbering, stock and tax reporting. Reconcile branch sales, credit notes, payments and returns into the system used for your consolidated books, and document who controls each GST registration.
How often should I back up accounting data?
Set a schedule based on transaction volume and your acceptable loss window: a busy counter may need daily or more frequent copies, while a low-volume service practice may choose a less frequent schedule. Keep at least one copy separate from the computer or account that runs the software, and periodically restore it to verify that it is usable.
What should I give my accountant when software cannot file a return directly?
Provide the prescribed sales and purchase reports or export files, reconciliation exceptions, credit and debit notes, payment records and a list of manual adjustments. Agree on a review cutoff so corrections are made before the filing data is finalised.
Is a free GST billing plan enough for a new shop?
It can be adequate for a low-volume shop with one user and simple products, provided it exports complete records and your accountant accepts the format. Recheck limits on invoices, customers, inventory, backups, support and GST registrations before relying on it for a full financial year.
