There is no universal replacement for a discontinued or newly expensive AI app. The best alternative is the service that performs the same primary job, accepts the data you can actually export, fits your privacy requirements, and remains affordable at your real usage level. A general chatbot may replace a conversation interface, but it will not automatically replace browser state, creative-project files, meeting records, integrations, or automations.
Act before comparing products: read the provider’s shutdown or pricing notice, export everything while the account still works, keep a second copy, and record the final service date, deletion policy, refund terms, and cancellation rules. Then test a short list of replacements with a small, non-critical workflow before moving the rest of your work.
What to do first when an AI app is shutting down
A shutdown notice is a data-preservation problem before it is a shopping problem. Follow these steps in order.
Outdated Drivers Are Slowing You Down

A free scan shows the junk files, broken settings and background clutter dragging Windows down - then fixes them in one click.Free scan · Windows 10 & 11- Save the notice and identify the dates. Record the last day the app works, the export deadline (which may be earlier), when deletion begins, and whether subscriptions cancel automatically.
- Export immediately. Do not wait for the final week. Download projects, conversations, prompts, settings, media, invoices, API keys, and any files stored in connected workspaces. If the provider offers several formats, take all of them.
- Keep two independent copies. Store one copy on your computer and another on a separate drive or storage account. Open a sample of each export to confirm that it is not empty or corrupted.
- Check billing. Capture the last invoice, cancel recurring billing if the notice does not promise automatic cancellation, and document any refund eligibility.
- Inventory what the app actually did. Separate model conversations from browser bookmarks, automations, integrations, uploaded files, and account history. A replacement may support one layer but not the others.
Recent notices illustrate why timing matters. OpenAI says the Sora web and app experiences ended on April 26, 2026, and its API ended on September 24, 2026. Its instructions cover exporting created content and warn that associated data is permanently deleted after the final export window. Read the current instructions at OpenAI’s Sora discontinuation notice.

OpenAI’s Atlas notice scheduled the browser to stop working on August 9, 2026. Bookmarks and open tabs were not guaranteed to transfer automatically; the documented route is exporting bookmarks to an HTML file and importing that file into Chrome. Atlas browser data is separate from ChatGPT conversation history. The complete procedure is in the Atlas transition notice.
Vellum’s Personal Assistant notice schedules shutdown for November 2, 2026. It says hosted assistants will stop functioning and data will be permanently deleted, recommends a workspace backup, describes self-hosting, and says subscriptions will be canceled at shutdown with prorated refunds for remaining billing periods. Because that date is still upcoming as of October 25, 2026, recheck the company’s notice before acting.
Klaus says its service ended September 1, 2026. Its notice describes exporting to OpenClaw, identifies independent KiloClaw as managed hosting, and mentions Anthropic Cowork for people willing to change assistants. It also explicitly says Cowork does not carry Klaus history. Those are company suggestions, not guarantees that any option remains available; see the Klaus shutdown notice.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteHow common are AI-app shutdowns?
Shutdown risk is measurable, but published figures describe a tracker’s sample rather than the future of every product. Gravity logged 39 AI product shutdowns from June 2, 2023 through October 10, 2026, plus three products with announced future shutdown dates. The tracker includes only cases it could verify through company notices or original reporting, so it is not a census of every product that quietly disappeared.
Among 18 closed products in that tracker with public launch dates, the median lifespan was 14 months. Of 23 notices that settled the export question, 14 (61%) provided an export window. Where both notice and end dates were public, the median warning was 48 days. These denominators are important: they do not mean every app lasts 14 months, offers exports, or gives 48 days’ notice. Review the AI tool and agent shutdown tracker for the underlying definitions and update date.
| Published measure | What it covers | How to use it |
|---|---|---|
| 39 shutdowns, plus 3 future shutdowns | Cases verified by Gravity from June 2, 2023 to October 10, 2026 | Evidence that continuity planning is worthwhile, not a probability for a particular app |
| 14-month median lifespan | 18 closed products with public launch dates | A reminder to avoid treating a young service as permanent |
| 61% with an export window | 14 of 23 notices that answered the export question | Export early; an export path is common but not assured |
| 48-day median warning | Notices with both a notice date and an end date | Set up periodic backups rather than relying on a final warning |
Choose a replacement by the job, not by the brand
Write one sentence describing the departing app’s essential outcome. For example: “I need a browser agent that can complete repeatable research tasks,” “I need a video generator that preserves my projects,” or “I need a hosted assistant connected to my private documents.” Use that sentence to filter alternatives.
Rank #2
| Primary job | Replacement category to investigate | Questions to verify |
|---|---|---|
| Conversation, drafting, or general question answering | General-purpose chatbot | Can it import your files or prompts? What are context limits, retention controls, and usage caps? |
| Research with citations or web actions | Research assistant or browser agent | Does it browse the sites you need, preserve sources, and support human approval before actions? |
| Image or video creation | Dedicated creative-generation service | Can it open your project files, retain rights metadata, and export in usable resolutions and formats? |
| Coding and repository work | AI coding assistant, local model, or API workflow | Does it support your editor, languages, repositories, secrets handling, and review process? |
| Meeting capture and summaries | Transcription and meeting assistant | Are recordings and transcripts exportable, and are consent, retention, and regional rules suitable? |
| Automations across business tools | Workflow automation platform or API integration | Can it recreate triggers, webhooks, schedules, error handling, and audit logs? |
| Private or regulated data | Self-hosted assistant or a service with contractual controls | Where is data processed, who can access it, how is deletion verified, and who patches the software? |
Do not assume that a more famous model is a like-for-like substitute. A chatbot can reproduce a prompt-and-response interaction while leaving browser bookmarks, open tabs, stored files, API calls, and scheduled jobs behind.

Compare portability, privacy, cost, and continuity
Data portability
Ask four concrete questions for every candidate: what can be exported, in which format, by whom, and by what deadline? A downloadable archive is useful only if it contains the records you need and can be opened without the original service. Preserve raw files even when the new product advertises an importer; importers often omit attachments, metadata, version history, or permissions.
Privacy and control
Read retention, training-use, deletion, account-recovery, and regional-processing terms. A self-hosted assistant can reduce dependence on a vendor and keep data under your control, but you become responsible for hosting, updates, backups, authentication, monitoring, and security fixes. A cloud service reduces maintenance while requiring trust in its operator and its continuity.
Total ongoing cost
Compare the plan needed for your actual volume, not the lowest advertised tier. Include subscription fees, overage or API charges, storage, seats, premium connectors, hosting, hardware, and the staff time required to maintain a self-hosted option. A free tier is not equivalent if it imposes a low message cap, omits exports, or excludes the integration your workflow depends on.
Continuity and migration effort
Check the vendor’s support horizon, release and deprecation policy, export tooling, import tooling, regional availability, device support, and status history. For software that calls an API, track the provider’s deprecation announcements and test replacements before a version is removed; the OpenAI API deprecations page demonstrates the type of notice developers should monitor.

Sometimes, but never assume it. Conversation history may be locked to an account, exported as readable files without an import function, or mixed with attachments that another service cannot interpret. Browser data may follow a different path: Atlas documents bookmark export and Chrome import, while its conversation history remains separate. Klaus states that the suggested Cowork alternative does not import Klaus history.
Rank #3
Use this process when no direct importer exists:
- Export the original archive in every offered format.
- Convert critical conversations into readable files such as HTML, PDF, plain text, or JSON without deleting the original archive.
- Create a short index containing project name, date, participants, attached files, and any system instructions.
- Upload only the minimum needed to the new service, after checking its retention and training settings.
- Recreate important prompts and automations manually, then test the output against a known example.
Keep an offline copy even after a successful import. An importer can change formatting or omit records, and deleting the old archive removes your recovery option.
A migration playbook that minimizes disruption
1. Build a workflow inventory
List each recurring task, its inputs, its output, the people who rely on it, and the integrations it touches. Mark tasks as critical, useful, or disposable. Migrate critical workflows first and leave experiments until the new service proves stable.
2. Define acceptance tests
For every critical task, save a representative input and the expected characteristics of a good result: required fields, tone, file type, latency range, citations, or approval steps. Do not rely on a vague impression that the new app “feels similar.”

3. Run a parallel pilot
Use a small, non-sensitive dataset or redacted copy. Run the old workflow (if it still works) and the candidate replacement on the same input. Record omissions, formatting changes, failed integrations, and unexpected costs.
4. Rebuild connections deliberately
Reconnect calendars, drives, repositories, webhooks, and team permissions one at a time. Rotate credentials that were stored in the departing app, and remove its access after cutover. Confirm that logs and alerts still reach the right people.
5. Cut over with a rollback plan
Choose a date, freeze changes in the old workflow, and tell users where the authoritative files now live. Keep the exported archive and the old process documentation for a defined rollback period. If a critical test fails, restore the previous process rather than improvising in production.
Rank #4
6. Review after the first billing cycle
Compare actual usage with the plan you selected, including overages and storage. Check that exports still work, data is being deleted as promised, and the replacement has not introduced a new manual step that outweighs its savings.
What to do when the price rises
A price increase does not automatically make switching worthwhile. Calculate your monthly cost from real usage:
Total monthly cost = plan fee + usage overages or API calls + storage and hosting + required add-ons + migration and maintenance time.
Then compare four choices:
| Option | When it makes sense | Risk to check |
|---|---|---|
| Reduce usage | Expensive features are occasional and can be batched or replaced with a manual step | Lower volume may reduce quality or delay work |
| Downgrade or change plan | Your actual usage fits a lower tier and required exports or integrations remain included | Caps, slower processing, or lost history may create hidden costs |
| Switch provider | A candidate meets acceptance tests at a lower all-in cost | Migration labor, missing imports, and a different continuity risk |
| Self-host or build through an API | You need control, predictable unit economics, or custom integration | Hosting, security, maintenance, and model changes become your responsibility |
No sufficiently detailed, attributable recent AI-app price increase is established here as a case study, so verify any current amount, effective date, regional term, grandfathering rule, and cancellation policy directly with the provider. Treat promotional pricing and annual discounts as temporary unless the terms say otherwise.
Backup checklist for AI work
- Conversation and project exports in the original format.
- Rendered copies of critical outputs that may not reopen elsewhere.
- Uploaded source files, prompts, system instructions, templates, and metadata.
- Browser bookmarks, saved sessions, and automation definitions.
- Invoices, team membership records, API documentation, and integration settings.
- A written map of which workflow uses which account and credential.
- A second copy on a separate physical drive or storage location.
A portable external SSD can be useful for that second copy, but no particular capacity or model is required and the drive does not perform migration by itself. Encrypt the backup where appropriate and test restoring a few files before you trust it.
Common failure modes and fixes
| Symptom | Likely cause | Fix |
|---|---|---|
| The export downloads but contains no conversations | You requested the wrong workspace, date range, or export type | Repeat the export from the account or workspace that owns the data; open the archive and inspect its index before deleting anything |
| Attachments are missing after import | The importer handles text but not binary files or links | Keep the original attachments, relink them manually, and add a file manifest to each project |
| A browser replacement has no tabs or bookmarks | Browser state was not part of the assistant-history export | Use the browser’s native bookmark export and import route, then recreate open-tab groups manually |
| The new assistant gives different answers | Different model, context window, tools, or system instructions | Use acceptance tests, transfer explicit instructions, and add human review for high-impact outputs |
| The “cheaper” plan costs more | Overages, storage, seats, or maintenance were excluded | Recalculate the total monthly cost from an actual billing period |
| Automation fails after cutover | Changed webhook format, permissions, rate limits, or authentication | Test each trigger and action separately, rotate credentials, and add failure alerts |
| You cannot prove deletion | The provider’s policy states deletion but gives no confirmation mechanism | Request account-closure confirmation, save the ticket, revoke integrations, and retain only the backup you are permitted to keep |
How to judge whether a candidate is likely to last
No checklist can guarantee that a vendor will remain available. You can, however, reduce lock-in. Prefer services with documented exports, clear deprecation notices, versioned APIs, status history, support contacts, and a way to operate without a single proprietary integration. Keep your prompts, source files, and workflow definitions outside the app so a future move is a controlled rebuild rather than an emergency rescue.
For important work, design a two-layer setup: one primary service and a documented fallback that can handle the minimum acceptable version of the workflow. Schedule periodic exports instead of waiting for a shutdown email, and review the fallback whenever the primary changes its model, limits, or pricing.
