Short answer: Choose Gemini Notebook (the product Google renamed from NotebookLM in July 2026) for research grounded in a mixed collection of documents, web pages, videos and audio. Choose Microsoft Copilot Notebooks when your material already lives in Microsoft 365 and you need OneNote, SharePoint, OneDrive or Teams context. Choose Claude Projects when the priority is a persistent project knowledge base that carries across many chats. None is universally best; your source formats, account license, collaboration model and required outputs should decide.
The three strongest choices at a glance
These products solve related but different problems. Gemini Notebook (formerly NotebookLM) is a source-oriented workspace for a defined corpus. Copilot Notebooks is a Microsoft 365 layer over references that can change as a project develops. Claude Projects is a reusable project memory for ongoing conversations. The right alternative depends less on chatbot style than on where your evidence lives and how you plan to reuse it.

What changed: NotebookLM is now Gemini Notebook
Google announced on July 16, 2026, “We’re renaming NotebookLM to Gemini Notebook.” The product remains a standalone research tool while expanding into Gemini and Google Search. Searches for “NotebookLM alternative” therefore still refer to the same product under its new name. A comparison that uses both names prevents confusion when you look for documentation, settings or an existing notebook.

Gemini Notebook is designed for a notebook containing a defined set of sources. Its value is not simply generating prose; it can summarize, connect ideas, help brainstorm, draft and refine text, and turn the same material into study aids. Google lists support for Google Docs, Google Slides, PDFs, plain text, Markdown, web URLs, copied text, public YouTube URLs and audio files.

When it is the best choice
- You need answers constrained to a supplied reading list rather than a general web response.
- Your evidence mixes papers, slide decks, web pages, videos and recordings.
- You want learning outputs such as flashcards, quizzes or an Audio Overview in addition to written notes.
- Your team already works in Google Workspace and can provide the source links or files in that environment.
A practical Gemini Notebook workflow
- Create a notebook for one bounded question. Keep a literature review, product investigation or course module in its own notebook so the source set stays interpretable.
- Add every authoritative source. Import Docs, Slides, PDFs, text or Markdown; paste text when a file is unavailable; add a web URL, a public YouTube URL or an audio file when those are part of the evidence.
- Check the source list before asking for synthesis. Remove duplicates and clearly label drafts, transcripts and final versions. A model cannot distinguish an obsolete document if both remain unlabeled.
- Ask for an evidence-bound first pass. Request a summary, comparison or outline that identifies which source supports each important point. Then ask targeted follow-ups instead of one extremely broad prompt.
- Turn the synthesis into a working artifact. Use drafting and refinement for prose, dynamic reports for structured output, or flashcards and quizzes for study.
- Use Audio Overviews only when the feature is available to your account and region. Treat an audio summary as a convenience layer; return to the cited source when a claim matters.
Important boundaries
Gemini Notebook is strongest when the corpus is intentionally selected. It is not a guarantee that every statement is correct, and a fluent answer can still reflect an ambiguous or outdated source. Keep a record of the source version and date, especially for standards, policies and fast-changing product documentation. Availability of individual features can differ by geography, account type and plan, so verify the controls shown in your account before promising a quiz, report or audio deliverable.
Microsoft Copilot Notebooks: the Microsoft 365 specialist
Copilot Notebooks is the natural choice when the evidence is already in OneDrive, SharePoint, OneNote, Teams, email, meetings, Word, Excel or PowerPoint. Microsoft describes notebooks as being grounded in references you select. Those references can be updated as a project evolves, which is useful for a living business case, policy file or programme plan.
Why Microsoft 365 users choose it
- Existing permissions and storage: materials can remain in the Microsoft 365 locations your organisation already governs instead of being copied into a separate research system.
- OneNote integration: notebook-style notes can sit alongside the references and decisions they explain.
- Changing project context: when a source is revised, the notebook can work from the current reference rather than a one-time upload.
- Microsoft workflow continuity: the same account and work environment can support follow-up work in Word, Excel, PowerPoint, Teams or Outlook, subject to your license and administrator settings.
Source limits depend on your license
Microsoft’s support documentation separates Copilot Chat from the full Microsoft Copilot experience. The documented limits are:

Microsoft also says Copilot Notebooks is available for Microsoft 365 Personal, Family, Premium and Pro subscribers. That statement does not make every feature identical across those subscriptions: Researcher, Audio Overviews and particular reference types remain license-dependent. Check the plan shown in your account and any administrator restrictions before designing a workflow around a specific output.

A practical Copilot Notebooks workflow
- Start with a project boundary. Create a notebook for one initiative, client, course or decision rather than treating it as a second general-purpose inbox.
- Add selected references. Choose the relevant files, pages, notes, messages or meeting material from your Microsoft 365 locations. Selection determines what the notebook treats as project evidence.
- Confirm access. If a file is moved, permissions change or a link points to an older version, the answer may not reflect the intended material. Resolve access issues before evaluating the response.
- Ask focused questions. Request a comparison, action list, risk register or draft that is explicitly based on the selected references. Narrow prompts make missing evidence easier to spot.
- Revisit the notebook after source changes. Because references can be continuously updated, record when a decision was made and which document revision supported it.
- Check feature availability before delivery. Researcher and Audio Overviews are not universal entitlements; confirm that your license exposes them.
Where Copilot Notebooks is a poor fit
If your material is mostly public web pages, YouTube videos or audio files outside Microsoft 365, importing and maintaining that corpus may be less convenient than using Gemini Notebook. A 50-source Copilot Chat limit can also become a planning constraint for a large literature review. Split the work into clearly defined notebooks only when each notebook still has a coherent question; arbitrary splitting makes cross-source conclusions harder to audit.
Claude Projects: persistent context across conversations
Claude Projects addresses a different need: keeping a project’s background available over many separate chats. Anthropic explains that you can upload documents, text, code or other files to a project knowledge base, which Claude uses to understand the context of chats within that project. Team and Enterprise users can share projects with organisational members.
When Projects is the better alternative
- You expect a project to run for weeks or months and do not want to re-upload the same background in every conversation.
- The work alternates between analysis, drafting, revision and implementation but should retain one shared context.
- Your source set includes code or mixed files that do not belong to a Google or Microsoft-only workflow.
- A team needs a shared project space on an eligible Team or Enterprise plan.
How to build a reliable project knowledge base
- Create one project per durable objective. Name it for the outcome, such as a grant proposal, migration plan or research question.
- Upload the canonical background. Include the brief, terminology, data dictionary, source documents and constraints. Keep a dated archive when a file changes materially.
- State operating rules in the project instructions. Specify preferred citation style, how to flag uncertainty, which documents are authoritative and what the assistant must not infer.
- Use separate chats for separate deliverables. One chat can analyse evidence, another can draft, and another can challenge assumptions while all draw on the same knowledge base.
- Share only where the plan permits it. Team and Enterprise sharing is designed for organisational members; confirm workspace permissions before adding sensitive material.
Trade-offs
Projects provides continuity, but continuity is not the same as a bounded research notebook. If you want every answer constrained to a tightly curated corpus, explicitly identify the authoritative files and ask the model to distinguish them from background context. For a team, confirm retention, access and administrative policies with your organisation before uploading confidential material; the product description establishes sharing, not a universal privacy configuration.
Compare the options by the decision that matters
Source grounding
Gemini Notebook is the most directly source-oriented of the three: the notebook is built around a selected corpus spanning documents, web, video and audio. Copilot Notebooks similarly focuses answers on selected references, with the advantage that those references can continue to update in Microsoft 365. Claude Projects uses its files as a knowledge base across chats, but you must set clear instructions when only a subset should be treated as authoritative.

Input diversity
Gemini Notebook has the broadest explicitly listed mix: Docs, Slides, PDFs, text, Markdown, web URLs, copied text, public YouTube URLs and audio. Copilot Notebooks is strongest for Microsoft 365 content. Claude Projects accepts documents, text, code and other files, making it flexible when your corpus is not tied to one office suite.
Persistence
Claude Projects is the clearest choice when persistent context across many conversations is the primary requirement. Gemini Notebook persists a source collection and its notebook work. Copilot Notebooks persists a project’s selected references and can reflect their updates, but the practical experience depends on the Microsoft 365 account and permissions behind those references.
Collaboration and governance
Copilot Notebooks benefits from Microsoft 365 identity, storage and permission structures. Claude Projects offers project sharing for Team and Enterprise users. Gemini Notebook is attractive for individual or Google Workspace-oriented work, but verify the sharing and administrative controls available to your account before treating it as a team repository.

Copilot Notebooks can expose Researcher and Audio Overviews where the license allows them. Claude Projects is oriented toward iterative conversation and drafting rather than a separately documented set of notebook-specific study artifacts.

Recommendations for common research jobs
Research papers and a mixed reading list
Start with Gemini Notebook when the packet includes PDFs, web sources, a public lecture video or recorded interviews. Create one notebook per research question, label each source by date and ask for claim-by-claim synthesis. If your university or organisation is standardised on Microsoft 365 and the papers are stored there, Copilot Notebooks can be the more practical operational choice.
A Microsoft 365 project with changing documents
Use Copilot Notebooks. Its selected references and continuously updated project context match a plan, policy or business case that changes during review. Confirm whether your account has the 300-file experience or the 50-source Copilot Chat limit before importing the corpus.
A long-running writing or software project
Use Claude Projects when the main problem is continuity across chats. Put the brief, style rules, technical notes and canonical files in the knowledge base, then use separate conversations for outlining, critique and production.

How to test an option before committing
- Define the corpus. List the exact files, URLs, videos and recordings the tool must handle, including their sizes, permissions and revision dates.
- Check account and geography. Record whether the account is personal, work, school, Team or Enterprise, and verify that required features appear in that region and plan.
- Run the same three prompts. Ask for a factual summary, a disagreement between two sources and a list of unanswered questions. These reveal grounding, synthesis and uncertainty handling.
- Audit the evidence. Open the cited or named source passages. Mark claims that are unsupported, stale or based on the wrong document revision.
- Test the final format. Generate the report, quiz, audio overview or draft you actually need instead of assuming that a feature listed in general documentation is enabled for your account.
- Measure maintenance effort. Add a revised source, remove an obsolete one and repeat a prompt. The best tool is the one that keeps the corpus accurate without creating duplicate manual work.
Common failure modes and fixes
The answer mixes old and new versions
Keep dated files separate and label the current version clearly. In Copilot Notebooks, verify that the selected Microsoft 365 reference still points to the intended revision. In Gemini Notebook or Claude Projects, remove or archive superseded uploads when they could be mistaken for current evidence.
The notebook exceeds its source allowance
For Copilot, first identify whether the account is using the 50-source Copilot Chat experience or a plan documented for up to 300 sources. Reduce duplicates and group material by a defensible research question; do not split a corpus merely to bypass a limit if the resulting notebooks cannot answer the question independently.
A required file or media type will not import
Check the supported formats for the product. Gemini Notebook explicitly lists Docs, Slides, PDFs, text, Markdown, web URLs, copied text, public YouTube URLs and audio. For other inputs, export a readable text or PDF version only when doing so preserves the evidence, and retain the original for verification.

The model gives a confident but unsupported conclusion
Ask which source supports each claim, request a separate list of uncertainty and inspect the original passage. A source-grounded interface narrows the evidence base; it does not eliminate ambiguity, transcription errors or mistakes in the source itself.
A team member cannot see the project material
Check the underlying file permission as well as the notebook or project share setting. Copilot inherits Microsoft 365 access patterns, while Claude Projects sharing is documented for Team and Enterprise organisational members. Do not assume that a link to a notebook grants access to every referenced file.
Costs, plans and availability
No single, authoritative price table covers all three products and all regions in the material available for this comparison. Prices, bundled features and limits can change, and the same product name can expose different capabilities to personal, work, school, Team or Enterprise accounts. Verify the current plan in your country before publishing a budget or selecting a team standard.
For a purchase decision, record four items: the account type, the maximum sources or files, the required outputs and the organisation’s data-handling policy. A lower-priced plan that cannot ingest your corpus or produce the required report is not a practical saving.
