If by “Google apps” you mean Gmail, Calendar, Drive, Docs, Sheets, Slides and Meet, the main Windows alternatives covered here are Microsoft’s free Outlook and web apps, paid Microsoft 365 plans, and Proton Workspace. They differ in desktop-app access, collaboration and privacy features—and Proton does not include a presentation-app equivalent. This is a comparison of productivity and email suites, not a guide to replacing Google Photos, Maps, Chrome or consumer Gmail individually.

What counts as a Google apps alternative?

“Google apps” can mean either Google Workspace’s productivity tools or Google’s wider collection of consumer services. This comparison focuses on the Workspace-style set: email, calendars, cloud storage, documents, spreadsheets, presentations and meetings. The available information does not establish service-by-service replacements or migration tradeoffs for Photos, Maps, Chrome or consumer Gmail, so treat those as separate decisions.

Google describes shared calendars, real-time editing, automatic saving and Drive sharing as core Workspace features. It also says documents, spreadsheets and presentations can be used “with or without Internet,” but that should not be read as a promise that every feature works offline without setup. Check the details for the workflow you rely on in Google Workspace’s product features.

Which alternative fits your needs?

Choose free Outlook and web apps for a no-cost starting point

This is the closest fit if you mainly need email, calendar, basic office work in a browser and OneDrive. The distinction to keep in mind is that free access to web and mobile versions of Word, Excel and PowerPoint does not mean you receive the paid desktop applications. Microsoft describes its free tier as ad-supported, so review current plan details before deciding whether its storage and app access are enough.

Choose Microsoft 365 when desktop Office apps matter

Microsoft 365 is the more direct option if you want installed Word, Excel, PowerPoint and Outlook on Windows alongside cloud storage. Which apps and storage are included depends on the plan, and current prices and entitlements should be checked with Microsoft rather than assumed from an older comparison.

Outlook compatibility deserves a separate check for business users. Microsoft describes the new Outlook for Windows as based on the web experience and WebView2. Microsoft Learn says consumer availability is general while commercial availability is currently preview, and states that “In new Outlook for Windows, COM add-ins aren’t supported.” If a work process depends on a COM add-in, confirm compatibility before switching. Consider Proton Workspace for its stated privacy features, with a Slides gap

Proton’s 2026 office-suite comparison lists mail, calendar, Drive, Docs, Sheets and Meet for Proton Workspace. It also says, “For now, Proton Workspace doesn’t have a presentation app equivalent or deep legacy ERP integrations.” If presentations are part of your normal workflow, that is a material gap rather than a minor feature difference. Proton’s comparison is vendor-authored, so treat its privacy and encryption descriptions as Proton’s own claims; it is not an independent assessment. Check these details before switching

  • Name the services you need to replace. Email and documents are not the same decision as replacing Photos, Maps or Chrome; this comparison does not establish alternatives for those services.
  • Decide whether browser apps are enough. Free Microsoft web and mobile apps are distinct from paid desktop-app entitlements.
  • Match the suite to your files and collaboration needs. Shared calendars, live editing, automatic saving and cloud sharing are central to Google Workspace’s stated workflow; compare the features you actually use rather than assuming suite names mean identical behavior.
  • Validate offline work separately. Google says its documents, spreadsheets and slides can be used with or without Internet, but practical offline use can depend on setup and feature availability. Do not assume another suite offers the same offline behavior.
  • For business use, audit dependencies first. In particular, test required Outlook add-ins and any established integrations before adopting new Outlook or changing suites.
  • Plan migration as a separate task. The information here does not substantiate product-specific migration steps or complete compatibility across every Windows version. Confirm transfer options and file behavior with the provider before moving essential data.

Which one should you choose?

For a free email, calendar and browser-based office setup, start by checking Outlook and Microsoft’s web apps. Choose a Microsoft 365 plan if installed Office apps are essential, after confirming its current entitlements and any Outlook add-in requirements. Consider Proton Workspace if its stated privacy features are a priority and you can work without a dedicated presentation app. None of these choices, on the evidence covered here, is a complete substitute for every Google consumer service.
