There is no single best alternative to Gemini Notebook for every researcher. Choose Microsoft Copilot Notebooks when your evidence already lives in Microsoft 365, ChatGPT Projects with Deep Research when you need both persistent project context and a separate cited web-research workflow, Claude Projects for a reusable knowledge base around an ongoing subject, or Perplexity Projects for a persistent workspace with imported and connected sources. Google renamed NotebookLM to Gemini Notebook on July 16, 2026, so “NotebookLM” searches still refer to the same product, not a discontinued service. The right choice depends on where your sources are stored, how tightly answers must stay within them, whether you need open-web reporting, and which account or plan your organization already supports.
What changed from NotebookLM to Gemini Notebook?
Google’s July 16, 2026 announcement says, “We’re renaming NotebookLM to Gemini Notebook.” Google describes the renamed service as the same standalone product, with extensions into Gemini and Google Search. This is a name change rather than a separate replacement that requires moving your notebooks to a new vendor. Google also reported more than 30 million people and over 600,000 organizations using the product; those figures are Google’s own announcement figures, not an independently audited market count.
Readers may still encounter the old NotebookLM name in bookmarks, tutorials, workplace documentation and search results. Use both names when looking for help, but evaluate alternatives against the current Gemini Notebook workflow: add a defined set of sources, ask questions about that corpus, and create research or learning outputs from it.

Compare the work model rather than assigning every service a generic accuracy score. The important question is whether a product’s evidence boundary, memory model and research mode match the assignment in front of you.
#1 Best Overall
- Source coverage and grounding: Identify the formats and repositories you can actually add. A notebook that accepts your existing corpus is more useful than one with a broader theoretical feature list that cannot reach your files.
- Persistence: Determine whether chats, files, instructions and accumulated context stay together as a reusable project, or whether each session starts from scratch.
- Web research: Separate answers grounded in selected material from a tool that searches the public web, plans a multi-step investigation and returns a cited report.
- Outputs: Check whether the service is designed for question answering, study aids, reports, editable pages or team workspaces. Similar names can conceal different deliverables.
- Collaboration: Verify sharing, permissions and whether collaborators can edit the same research artifact or only view a generated response.
- Ecosystem and access: Existing Microsoft, Google, OpenAI, Anthropic or Perplexity accounts may determine practical availability. Licensing, regional rollout and usage allowances can change.
Which Gemini Notebook alternatives are documented by their providers?
The table below summarizes the supported fit described in current provider documentation. It is a workflow comparison, not a hands-on ranking; no product was tested for speed, answer quality or citation accuracy.
| Tool | Best-supported fit | Evidence model | What to verify |
|---|---|---|---|
| Gemini Notebook (formerly NotebookLM) | Research and learning around sources added to a notebook | Responses built around notebook sources, with Google describing expansion into Gemini and Search | Personal versus Workspace features, rollout, regional eligibility, limits and treatment of existing chat history |
| Microsoft Copilot Notebooks | Research grounded in selected Microsoft 365 references | Curated references from supported Microsoft services | Qualifying Copilot access, SharePoint or OneDrive service plan, permitted references and sharing controls |
| ChatGPT Projects | Long-running work that keeps related chats, files and instructions together | Project materials and instructions provide persistent context; this is not automatically an open-web research report | File limits by plan, workspace controls, connected-app permissions and project-memory setting |
| ChatGPT Deep Research | Multi-step investigation of public web sources, uploaded files or enabled apps | Documented research workflow that produces a report with citations | Feature availability and usage allowance by plan or workspace |
| Claude Projects | Focused conversations that reuse knowledge and instructions for an ongoing subject | Project knowledge base; Anthropic documents retrieval-augmented generation as project knowledge approaches context limits | Paid-plan eligibility, file types, limits and current sharing availability |
| Perplexity Projects | Persistent ongoing tasks organized around files and connected or imported sources | Project workspace with sources shown on its product page | Supported source types, permissions, outputs and limits; parity with Gemini Notebook is not established |
Is Microsoft Copilot Notebooks the best choice for Microsoft 365 research?
It is the most natural fit when your evidence already resides in OneDrive, SharePoint, Word, PowerPoint or Excel and you want Copilot responses grounded in references you select. Microsoft’s documentation describes Copilot Notebooks as using curated references, so the workflow starts with choosing the material that belongs in the notebook rather than asking a general chatbot to infer which files matter.
What Copilot Notebooks are good at
- Keeping a research effort close to the Microsoft 365 files your team already manages.
- Constraining responses to selected references instead of treating an entire account as an undifferentiated search space.
- Supporting a project-oriented workflow for people who already have Microsoft identity, storage and permission structures in place.
What must be checked before adoption
Microsoft says Copilot Notebooks requires qualifying Copilot access plus a SharePoint or OneDrive service plan. Do not assume that owning an individual Microsoft account, or being able to open a document, automatically grants notebook access. Confirm the user’s license, the tenant’s service plan, which reference types are allowed and how sharing behaves for internal and external collaborators.
Copilot Notebooks is not interchangeable with every Microsoft collaboration surface. Microsoft’s January 2026 comparison distinguishes Copilot Pages, which are editable canvases made from Copilot responses, and Loop, which provides collaborative workspaces and components. If the real requirement is team editing rather than research over a selected corpus, evaluate those surfaces separately.
Should you use ChatGPT Projects, Deep Research, or both?
Use ChatGPT Projects to maintain a durable home for a recurring body of work, and use Deep Research when you need a documented, multi-step investigation of public sources. They are complementary workflows, not two names for the same NotebookLM-style feature.
What a Project provides
A Project keeps related chats, uploaded files and instructions together. That makes it suitable for a thesis, product investigation, policy file or recurring client assignment in which the same background material and working rules apply across multiple conversations. Project memory and connected-app behavior depend on account and workspace settings, so verify those controls before placing sensitive or regulated material in a project.
What Deep Research adds
Deep Research is the separate documented workflow for researching the public web, uploaded files or enabled apps and returning a report with citations. It is the better match when the assignment requires a research plan, source discovery and an auditable report rather than repeated conversation over a fixed folder.

How to choose between them
- Start with the evidence location. If the core material is a stable set of files and prior discussions, create a Project and define its instructions and source boundaries.
- Use Deep Research for discovery. Choose it when the answer depends on current public information or a broad set of external sources and the output must show citations.
- Bring results back into the project. Store the resulting report or relevant files in the Project if the work will continue, while keeping the original web-research citations attached to the findings.
- Check access before promising a workflow. Deep Research availability and usage allowances vary by plan and workspace, as do file limits, connected-app permissions and memory settings.
Do not describe a Project by itself as an equivalent of a source-bounded notebook, and do not describe Deep Research as a persistent project workspace. Those distinctions affect how you design the evidence trail.
When do Claude Projects make more sense?
Claude Projects suit focused, ongoing conversations that reuse uploaded project knowledge and instructions. They are a practical alternative when the work revolves around a defined subject area and the main need is continuity across sessions rather than a separate web-crawling report.
How the knowledge model works
Anthropic documents a project knowledge base and retrieval-augmented generation for expanding the usable project knowledge capacity as it approaches context limits. In practical terms, the system can retrieve relevant pieces of the project material instead of requiring every file to fit into one prompt at once. This does not establish that every answer is limited exclusively to uploaded sources, nor does it prove a particular accuracy rate.
Questions to resolve first
- Is the account eligible for Projects, including any paid-plan requirement that applies at the time you sign up?
- Which file types and size limits are available to your account?
- Can your intended collaborators share or access the project in the way your team needs?
- What instructions should govern citations, uncertainty and the treatment of conflicting documents?
Choose Claude Projects when reusable project context is the central requirement. If the assignment starts with finding and documenting unknown web sources, pair a project workspace with a separately verified web-research process rather than assuming the project itself performs that job.
Is Perplexity Projects a full replacement for Gemini Notebook?
Perplexity Projects are worth considering if you already work in Perplexity and want ongoing tasks organized around persistent files plus connected or imported sources. Its product page supports evaluating it as a workspace for continuing work, but the available evidence does not establish full feature parity with Gemini Notebook’s source types, study outputs or notebook behavior.

What to test with your own corpus
- Import one representative document from each format you actually use.
- Connect the source service you expect to rely on and confirm the permission scope shown to you.
- Ask a question whose answer is explicit in one file and another that requires reconciling two files.
- Inspect how sources appear in the response and whether the resulting output can be exported or shared in your required format.
- Check limits before migrating a large archive or inviting collaborators.
This test is important because a persistent project label does not by itself prove the same grounding, source coverage or learning-oriented outputs that a reader may associate with Gemini Notebook.
Which alternative fits your research situation?
Use the following decision paths to narrow the choice without pretending that one service wins every category.
Your files are mainly in Microsoft 365
Begin with Copilot Notebooks. Confirm the Copilot license and SharePoint or OneDrive service plan first, then verify that the exact references and sharing model your project needs are permitted.

You need a durable home for recurring work
Compare ChatGPT Projects and Claude Projects. Focus on memory behavior, file limits, instructions, sharing and connected-app permissions. Neither provider documentation reviewed here supports a blanket claim that one is more accurate.
You need a cited report about the public web
Use ChatGPT Deep Research as the distinct workflow to investigate public sources and produce a cited report. Keep the resulting report separate from the question of where your long-term project context should live.
You already organize work in Perplexity
Evaluate Perplexity Projects with your real source formats, permissions and output requirements. The available product description supports persistent ongoing work, but does not prove that every Gemini Notebook capability is present.

You only need clarification about the rename
Stay with Gemini Notebook if its source-grounded notebook model already fits. NotebookLM and Gemini Notebook are the old and new names for the same standalone Google product according to Google’s July 16, 2026 announcement; a rename alone is not a reason to migrate.

The tool matters less than the boundary you set around evidence. Apply the same preparation discipline whichever service you choose.
Define the corpus
List the documents, links, presentations, transcripts or audio that are allowed to support the answer. Separate primary evidence from background reading, and record the document date so a later update does not silently replace an older position.
Write operating instructions
Tell the system how to handle missing evidence, contradictions, quotations and calculations. A useful instruction asks it to identify which source supports each material claim, mark an answer as unknown when the corpus does not establish it, and distinguish a source’s statement from an inference.
Use adversarial questions
Ask for a claim that appears in only one source, a comparison where the documents disagree and an answer that should be “not stated.” These checks reveal whether the tool is respecting your evidence boundary or filling gaps with general knowledge.
Do these 3 things before closing this tab:

Keep the original files, source URLs or document identifiers with the output. For public-web research, retain the cited report and the date it was produced; web content and provider availability can change after the answer is generated.

What limits and risks should you verify before switching?
Provider documentation establishes capabilities, but access details are volatile. Confirm these items immediately before committing a team or migrating a corpus.
- Account and plan: Check personal versus business eligibility, paid-plan requirements, workspace controls and usage allowances.
- Regional rollout: A feature documented by a provider may not yet be enabled for every country, organization or account.
- Source limits: Verify file size, number of files, supported formats, URL handling and whether connected sources require separate permissions.
- Memory settings: Determine what persists between chats, what can be disabled and whether project context is shared across collaborators.
- Sharing: Confirm whether people can edit the research space, only view it, or need accounts in the same organization.
- Retention and governance: Review your organization’s rules for confidential, personal or regulated information before uploading it.
- Output portability: Check whether you can export the report, citations, source list and working instructions in a form your team can archive.
Do not use unpublished assumptions about prices, free-tier quotas, hallucination rates, privacy superiority or citation accuracy to choose among these services. The documented comparison does not establish those claims, and they can change independently of the product names.
What are the practical source limits of Gemini Notebook?
Google’s Workspace overview lists Google Docs, Slides, PDFs, text and Markdown, web URLs, public YouTube URLs, pasted text and audio files as supported source types. It states up to 500,000 words per source or up to 200 MB for an uploaded file. Those figures come from a business product overview and may not apply uniformly to every plan, so confirm the limits shown in the account you will use.
These limits matter when comparing alternatives because a service may accept the same file format but impose a different size, count or permission rule. Test a representative source before planning a migration, especially when a corpus combines long PDFs, slide decks, web pages and recordings.
What is the bottom-line recommendation?
Choose by evidence location and work pattern: Copilot Notebooks for Microsoft 365 reference sets, ChatGPT Projects for persistent project context, ChatGPT Deep Research for a cited public-web investigation, Claude Projects for reusable focused knowledge, and Perplexity Projects for ongoing work in that ecosystem. Keep Gemini Notebook when the renamed NotebookLM workflow already meets your source and learning needs. Treat every recommendation as conditional on current licensing, rollout, source limits and sharing requirements.
Frequently Asked Questions
Will my old NotebookLM notebooks and chat history automatically move after the rename?
Google’s announcement describes Gemini Notebook as the same standalone product, but it does not document every account’s history, bookmark or workspace transition behavior. Before changing a team workflow, sign in to the account that owns the notebooks and confirm that the expected files, conversations and sharing settings are present.
Can Copilot Notebooks read any file I can open in Microsoft 365?
Not necessarily. Copilot Notebooks uses selected references and requires qualifying Copilot access plus a SharePoint or OneDrive service plan, so administrators may restrict which locations or reference types are available. Check the allowed-reference rules for your tenant rather than inferring access from a file’s normal open permission.
Are ChatGPT Projects and Deep Research billed or limited in the same way?
They are separate capabilities, and availability or usage allowances can differ by plan and workspace. Confirm both entitlements independently before designing a process that depends on repeated web investigations.
Which option is designed for an editable team canvas instead of a research notebook?
Microsoft’s comparison places Copilot Pages and Loop in the collaborative-editing category, distinct from Copilot Notebooks. If several people must revise a shared artifact, evaluate those collaboration surfaces alongside the research tool rather than assuming a notebook provides the same editing model.
