Google Gemini is the main AI option built into Google Docs, Sheets, and Slides. It is not one identical tool in each app: Docs focuses on drafting and document refinement, Sheets on formulas, data analysis, and spreadsheet actions, and Slides on presentations, rewriting, and visual assets. What you can use depends on whether you have a personal Google AI plan or an eligible work or school Workspace plan, as well as language and administrator settings.
This guide maps the documented capabilities, access requirements, and practical checks for each app so you can choose the right Gemini workflow without assuming that every account has every feature.
Which AI tool works across Google Docs, Sheets, and Slides?
Gemini is Google’s cross-application AI assistant for Workspace editors. Google documents separate experiences for Docs, Sheets, and Slides rather than a single universal command set. The same account may expose different controls in each app, and a feature shown in Google’s help may still be unavailable because of your plan, language, age requirement, administrator policy, or account type.
Use the app-specific tool for the job:
- Google Docs: draft, rewrite, summarize, personalize a document with information from Drive, and create images.
- Google Sheets: create tables and formulas, analyze data, make charts, summarize files or email, and apply spreadsheet actions such as filters, pivot tables, conditional formatting, dropdowns, number formats, and row or column operations.
- Google Slides: create presentations, generate or edit slides, rewrite slide content, and produce images or other custom visuals.
Google’s product descriptions establish these functions as available workflows, not as a guarantee that every prompt will produce correct or publication-ready output. Review generated text, formulas, figures, citations, and layout before sharing or relying on them.

What Gemini can do in Google Docs
Draft from a prompt
In Docs, Gemini can create a first draft from a natural-language description. You can describe the audience, purpose, tone, length, and required points, then revise the result in the document. Treat the output as an editable starting point: confirm names, dates, quotations, legal language, and any factual assertions before sending it.
Rewrite and refine existing text
Gemini can help rewrite selected text. Typical tasks include changing tone, shortening or expanding a passage, improving clarity, and making wording more formal or more conversational. The useful unit is a specific selection with a stated goal—for example, “Rewrite this paragraph for a nontechnical audience in 80 words”—rather than an instruction to improve an entire document without constraints.
Summarize a document
Docs can generate a summary of the current document. For a long report, ask for the decisions, unresolved questions, deadlines, or risks separately instead of assuming one general summary covers every need. Check the summary against the source, especially when headings, tables, footnotes, or nuanced qualifications matter.
Use information from other Drive files
Google documents a workflow for referencing other files in Drive while creating a personalized document. This can be useful for turning a project brief, notes, or policy file into a tailored draft. Confirm that the referenced files are the intended versions and that your account is permitted to access them. A generated document should not be treated as proof that every relevant Drive file was found or interpreted correctly.
Generate images for a document
Gemini in Docs can generate images. State the subject, intended audience, visual style, aspect ratio, and any content that must not appear. Review the image for misleading labels, accidental text, unsuitable symbolism, and consistency with your organization’s visual standards before publication.
Docs access checklist
- Sign in with either a personal account that has an eligible Google AI plan or a work or school account on an eligible Workspace plan.
- Check whether your language is supported; Google says availability can vary by language.
- For Drive-based personalization, verify access to the source files and use the latest approved versions.
- Keep a human review step for factual, contractual, financial, medical, or other high-consequence content.
What Gemini can do in Google Sheets
Sheets has the broadest documented action set because Gemini can both explain data and propose changes to the spreadsheet itself. Google says the feature works best with native Google Sheets files. If your data is in an Excel workbook, save or convert it to Google Sheets before expecting the full Gemini workflow.
Rank #2
Create tables and formulas
Gemini can propose a table structure and write formulas from a plain-language request. A prompt such as “Create a formula to find cell C1 in range D:G, output value in column G.” mirrors Google’s own example style. Specify the input range, expected output, handling for blanks or errors, and whether the formula should be copied down. Inspect references and test the formula on known rows before filling a production sheet.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesAnalyze data and produce insights
Gemini can analyze a sheet and surface insights. Ask a focused question—such as which category changed most, where values are missing, or what trend appears by month—then verify the calculation against the underlying range. A prose insight does not replace checking filters, hidden rows, duplicate records, date types, and outliers.
Create charts
Gemini can recommend or create charts from sheet data. Name the intended comparison and audience in your prompt. Confirm that the selected range includes the correct headers, excludes totals that would distort the scale, and uses an appropriate chart type. Check axis labels, units, date grouping, and whether a secondary axis could mislead viewers.
Summarize files and email
Google lists summaries of files and email among Sheets Gemini tasks. This can help turn supporting material into a planning sheet, but verify the scope: an absent message, inaccessible file, or differently named attachment can change the result. Preserve links to the original material when a summary will be used for a decision.
Perform spreadsheet actions
Documented actions include applying conditional formatting, creating pivot tables, adding filters and dropdowns, changing number formats, and inserting or deleting rows and columns. Before accepting a proposed change, note the affected range and whether formulas, named ranges, charts, or downstream imports depend on it. Make a copy when the sheet is operationally important.

Using the Sheets AI function
Google documents a separate cell-based AI function. In a cell, enter =AI() or =Gemini() and follow the generate-and-insert workflow shown by Sheets. Google says the function can generate text, summarize or categorize content, analyze sentiment, and use Google Search for current information.
Rank #3
A practical workflow
- Prepare the input. Put the text to classify or summarize in a clearly labeled range and define the desired output in adjacent columns.
- Enter the function. Type
=AI()or=Gemini()in the destination cell, then provide the instruction and reference range requested by the interface. - Generate the response. Use the interface’s generate action rather than assuming a formula result is final.
- Inspect the source panel. Google describes a source view for responses. Open it when the function uses Google Search or when provenance matters.
- Insert and validate. Insert the generated content into cells, then sample-check classifications, summaries, sentiment labels, and any current-information claims.
The help documentation describes this workflow, not an accuracy rate. Search-backed output can still be incomplete, ambiguous, or wrong, so retain the source panel and verify important claims independently.
Building or editing an entire spreadsheet with Gemini
Google also documents an end-to-end Sheets experience for creating a new sheet or completing a task on an existing one. Gemini shows a proposed plan and template outline for review before it carries out the work. That review is a control point, not a formality.
Review the plan before execution
- Check that the proposed tabs, columns, and data types match the business question.
- Confirm the source ranges and assumptions, including date periods, currencies, units, and treatment of blanks.
- Look for destructive operations such as deleting columns, replacing formulas, or changing formats used by imports.
- Ask for a smaller test change if the task affects a shared or regulated workbook.
Validate the resulting sheet
After Gemini completes the task, inspect formulas, totals, filters, pivot-table settings, chart ranges, and sample rows. Compare key totals with the original data. Keep the generated plan or a change note when other people need to understand what was altered.

What Gemini can do in Google Slides
Create a presentation
Google lists presentation creation as a Gemini capability in Slides. Give it the audience, objective, number of slides, required sections, and desired call to action. A generated deck still needs editorial decisions about sequence, evidence, speaker notes, accessibility, and branding.
Generate or edit slides
Gemini can generate and edit slides. Use it to turn an outline into an initial structure, add or revise content, and adjust individual slides. Review every slide for duplicated ideas, unsupported claims, cramped text, inconsistent terminology, and transitions that do not serve the story.
Rewrite slide content
Slides can rewrite wording for clarity or a different audience. Specify whether you need a headline, a short on-slide statement, speaker notes, or a longer explanation; otherwise the result may be the wrong length for the layout.
Rank #4
Create images and custom visuals
Google describes image generation and custom visual creation in Slides. State the concept, dimensions or placement, visual style, and any text that must be rendered separately in Slides. Check generated visuals for legibility, representation, factual diagrams, and licensing or internal-use requirements that apply to your organization.
Who can use these features?
Eligibility is part of the tool comparison. Personal accounts generally need an eligible Google AI plan. Work and school accounts need an eligible Google Workspace plan. Google also notes age and language requirements, and the exact feature matrix changes as plans and product rollouts change.
| Account type | What to check |
|---|---|
| Personal Google account | An eligible Google AI plan, supported language, and age eligibility |
| Work or school Google account | An eligible Workspace plan, administrator enablement or policy, supported language, and age eligibility where applicable |
If a control is missing, confirm the account type and current plan first. Then check whether an administrator has disabled the feature, whether the file is in a supported format, and whether the language or region is supported. Avoid promising a feature based only on a help-page description; Google says availability varies by plan.
Integrations beyond the three editors
Google documents Gemini integrations with services including Asana and Mailchimp. These connected workflows have their own eligibility conditions. Some require a separate subscription to the third-party service, and work or school accounts may require administrator permission.
Before enabling an integration, verify:
- the Workspace or Google AI plan that makes the connection eligible;
- whether the external service requires its own paid subscription;
- what data the integration can read or write;
- whether an administrator must approve it for your organization;
- how access is revoked when a user changes role or leaves.
The existence of an integration does not establish that it is available to every user or region. Treat the current Google integration documentation and your administrator’s policy as the authority for your account.

Choosing the right Gemini workflow
Choose Docs when the output is prose
Use Docs for a brief, policy draft, meeting summary, personalized letter, or rewritten passage. The strongest workflow is prompt, review, source check, and human edit. Drive-file references are useful when the source material is organized and access-controlled.
Best Value
Choose Sheets when the output is structured data
Use Sheets for formulas, categorization, analysis, charts, and repeatable spreadsheet operations. Native Sheets format matters. For text classification or sentiment across many rows, the AI function may be more direct than asking the conversational assistant to alter the workbook.
Choose Slides when the output is a visual narrative
Use Slides for an outline-to-deck starting point, slide rewrites, generated images, and visual assets. Plan a separate pass for evidence, accessibility, layout, and speaker notes; generation alone does not establish presentation quality.
Use a combined workflow for a project
- Draft the narrative or requirements in Docs.
- Build the supporting calculations, tables, and charts in native Sheets.
- Turn the approved findings into a Slides outline and visual presentation.
- Review every cross-file number and label so the deck, document, and spreadsheet agree.
Common failure modes and fixes
The Gemini option is missing
Check whether you are using a personal account with an eligible Google AI plan or a work or school account with an eligible Workspace plan. Ask an administrator about policy restrictions, then check language and age requirements.
An Excel file does not offer the expected Sheets tools
Save or convert the workbook to native Google Sheets format. Google specifically says Gemini works best with native Sheets files.
The generated formula returns an unexpected result
Inspect the referenced range, relative and absolute references, header rows, blank cells, and error handling. Test against a row where you already know the correct answer before copying the formula.
A summary omits an important detail
Ask for a targeted summary that names the required fields, dates, decisions, or exceptions. Compare it with the source document, sheet range, email set, or Drive files used.
A chart or slide looks plausible but communicates poorly
Check the source range, units, labels, scale, and audience. Remove decorative elements that compete with the message and rewrite dense text for the available space.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →An integration cannot connect
Check plan eligibility, the third party’s subscription requirement, administrator approval, and the permissions granted to the connection. Do not paste sensitive data into an unapproved workaround.
What the official documentation does—and does not—prove
Google’s help pages document capabilities and workflows, including the statement that the Sheets feature “works best with native Google Sheets files.” They do not provide a universal productivity percentage, time-saved figure, adoption statistic, or accuracy rate for these features. The sensible conclusion is that Gemini can reduce drafting and setup work when its output is reviewed, not that it independently guarantees correct documents, spreadsheets, or presentations.
