Backup as a service (BaaS) is not a single product category with one predictable per-gigabyte price. The right service depends first on the workloads you must recover, then on recovery point and recovery time objectives, security controls, operating model and the complete cost of storage, management, retention, restores and data movement. AWS Backup, Google Cloud Backup and DR, Druva and other platforms cover materially different combinations of cloud, SaaS, endpoint, identity and on-premises systems.

This comparison explains what each model protects, how 2026 pricing is metered, how to request comparable quotes and which questions prevent an apparently cheap service from becoming expensive during a recovery.

What BaaS includes—and why the label is not enough

BaaS is a provider-operated backup service. The provider supplies storage, policy automation and management software, while your team defines what is protected and how it must be recovered. In one service, BaaS may mean protection for virtual machines in a public cloud. In another, it may include Microsoft 365, Google Workspace, endpoints, identity directories, CRM data and on-premises file servers.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

That difference matters because a backup service that protects only one cloud’s native databases cannot replace a platform that also covers SaaS accounts and a data center. Conversely, a broad platform can add licensing and administration costs you do not need if all of your data already sits in one cloud.

RPO and RTO come before product selection

  • Recovery point objective (RPO): the maximum acceptable amount of data loss, expressed as time between recoverable points. A four-hour RPO requires a different schedule from a 24-hour RPO.
  • Recovery time objective (RTO): how quickly a workload must be usable after an incident. A service that can export files but cannot bring up a replacement virtual machine may meet an archival requirement but fail a production RTO.
  • Recovery granularity: whether you can restore an entire environment, a virtual machine, a database, a mailbox, a file, an object or a single CRM record.
  • Recovery testing: whether the provider can automatically validate recovery points, isolate test restores and report the results.

Set these targets separately for customer-facing applications, internal systems, SaaS data and long-term records. Do not choose a plan and then discover that its default schedule or restore workflow cannot meet a critical application’s target.

AWS Backup: centralized protection with operation-based charges

AWS Backup is a fully managed service that centralizes protection across supported AWS resources and selected hybrid environments. You create backup plans that define frequency, retention and other policy parameters. Backups are stored in designated encrypted vaults, while a central view shows protection and restoration activity. Reporting can expose whether resources meet protection-policy requirements and can support audit or compliance workflows.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What AWS Backup can simplify

  • One policy framework for supported AWS data stores instead of separate schedules for every service.
  • Vault-based storage with encryption and access controls distinct from the source resources.
  • Monitoring of backup and restore activity from a central console.
  • Protection-policy reporting for teams that must demonstrate coverage.
  • Selected hybrid protection, including VMware environments, where the supported integration and architecture fit.

Why a storage-only AWS estimate is unsafe

AWS documentation identifies several cost categories beyond the amount of backup data retained:

Cost category What drives it Question to include in a quote
Backup storage Data retained in backup storage, according to the resource and storage class used. What is the expected protected and retained volume by resource and Region?
Restored data Data recovered during normal restores. How many restores will occur each month, and how large will they be?
Restore testing Recovery points tested and storage restored during tests. What scheduled test frequency and test data volume are required?
Cross-Region transfer Copies or movement between AWS Regions. Will compliance or disaster-recovery policy require a second Region?
Backup search Objects indexed or scanned and index storage used by search features. Will operators search backup catalogs regularly, and how large will the index become?
Audit Manager Audit and compliance functions associated with AWS Backup. Are AWS Config configuration items also being created and billed separately?

The exact total therefore depends on the resources and operations you use. A quote that multiplies one storage rate by capacity can omit restore, test, transfer, search and audit activity.

Google Cloud Backup and DR: separate storage, management and transfer meters

Google Cloud Backup and DR separates the service into backup storage, backup management and data transfer. Your bill can differ depending on whether backups live in a backup vault or a self-managed destination, which Region holds them, which workload is protected and whether retained data is still actively protected.

Charges to model

  • Backup storage: the retained backup volume, with billing location and rate determined by the destination and Region.
  • Backup management: a workload-specific charge that can be based on protected front-end capacity rather than only on the compressed backup data.
  • Inter-region transfer: movement between Regions for replication or recovery.
  • Multi-region upload and download: transfer associated with multi-Region locations.
  • Long-term retention management: retained backup data can incur a management charge after protection becomes inactive.

The official pricing page contains workload- and Region-dependent examples, including a usage-based rate for protected Compute Engine virtual-machine capacity and a separate storage SKU. Those figures are not a vendor-wide monthly estimate: any numerical comparison must state the workload, Region, storage destination, billing unit and the date the rate was checked.

Questions for a Google Cloud design review

  1. List every protected workload and its front-end capacity, not only the expected backup footprint.
  2. Choose the backup vault or self-managed destination and record its billing location.
  3. Separate active protection from data retained only for long-term policy.
  4. Estimate cross-Region replication and the volume downloaded during a recovery.
  5. Check whether multi-Region upload or download applies to the selected architecture.

Druva: broad workload coverage with user-based licensing options

Druva presents separate plan families for Enterprise Data, Productivity Data, AI Data, Digital Identity Data and CRM Data. The listed scope spans data-center virtual machines, files, NAS and databases; public-cloud services; Microsoft 365 and Google Workspace; endpoints; Microsoft 365 Copilot and Claude; Entra ID, Active Directory and Okta; and Salesforce and Dynamics 365.

  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop. Reformatting may be required for Mac
  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required

  • The available storage capacity may vary.

Its SaaS Universal License is described as unified per-user licensing with dynamically pooled storage. That structure can be useful when the same user generates data in several supported workloads, because capacity is pooled rather than assigned as an isolated allowance to each application. It also means the quote must define which users, workload families, retention policies and storage assumptions are included.

When Druva’s scope is a strong fit

  • Your estate mixes data-center systems, public-cloud workloads and productivity SaaS.
  • Identity or CRM recovery is as important as file and virtual-machine recovery.
  • You want one policy and reporting model across users rather than separate products for each SaaS application.
  • A managed service is preferable to operating backup appliances or servers.

The public plan presentation does not establish one universal list price. Request a workload-specific quote and ask the provider to show the per-user license, pooled capacity assumptions, retention tiers, restore services and support level as separate lines.

Other platforms in the 2026 BaaS landscape

A 2026 industry comparison identifies Veeam Data Cloud, Acronis Cyber Protect Cloud, CloudAlly for Microsoft 365, Cohesity DataProtect, Datto SIRIS, Rubrik Backup and Recovery and Veritas Alta Backup alongside AWS Backup and Druva. These products differ in whether they emphasize cloud-native workloads, SaaS applications, appliances, managed service providers or broad enterprise data protection.

Many are quote-based. The comparison identifies workload, stored capacity and retention as common pricing drivers and includes example starting figures for an AWS warm-storage tier and a per-user CloudAlly offer. Those examples may be incomplete, stale, limited to a particular Region or based on a different definition of protected data. Do not use them as a like-for-like price table. Ask each supplier to price the normalized scenario described below.

How BaaS pricing is actually calculated

A realistic estimate combines several meters. The same service can be inexpensive for a small, slowly changing dataset and costly for a large, frequently restored environment with cross-Region copies.

Pricing driver What to measure Why it changes the bill
Protected source capacity Size of VMs, databases, files, SaaS mailboxes, endpoints, identities and CRM records under policy. Some services license users or front-end capacity even when deduplication reduces stored bytes.
Stored backup capacity Logical and physical retained data after compression, deduplication and incremental chains. Storage tiers and retention length determine how many copies remain billable.
Change rate and frequency Daily changed data and backup interval. Higher change rates create more backup data, transfer and processing activity.
Retention and archive Daily, monthly and annual copy counts; cold or archive tiers. Long retention can lower storage rates but add retrieval or management charges.
Restores Number, size, destination and frequency of file, VM, database and SaaS restores. Recovered data and outbound transfer may be charged separately from storage.
Restore tests Recovery points and storage restored during validation exercises. Automated testing can create recurring operation and temporary-storage charges.
Replication and egress Cross-Region copies, downloads and traffic to another cloud or data center. Transfer often has its own meter and can dominate a large disaster recovery.
Management and licensing Protected front-end capacity, users, appliances, agents, API requests and support. A broad platform may charge for administration independently of stored bytes.
Minimums and commitments Required subscriptions, reserved capacity, minimum users or contract terms. A low unit rate may require a commitment that does not fit a small or seasonal environment.

A repeatable method for comparing quotes

  1. Inventory workloads. Record cloud VMs, databases, object and file storage, SaaS applications, endpoints, identity directories, CRM systems and on-premises or hybrid systems. Mark unsupported or partially supported workloads.
  2. Assign an RPO and RTO to each workload. Include acceptable restore granularity and whether a clean-room or isolated recovery is required.
  3. Normalize geography. Specify the country or Region, data-residency requirement, vault location, secondary copy location and any cross-border restrictions.
  4. Measure the source. Provide protected capacity, daily change rate, backup frequency, compression assumptions and expected user count. Do not let each vendor choose a different definition of capacity.
  5. Define retention by tier. State the number of daily, weekly, monthly and annual copies, plus archive or cold-storage rules and deletion timing.
  6. Define recovery activity. Give the expected number and size of production restores, annual disaster-recovery exercises, test restores and cross-Region downloads.
  7. Separate line items. Require distinct prices for management or licenses, primary storage, archive storage, transfer, restores, testing, support and any appliance or agent.
  8. Request a three-year view. Show current cost, expected growth, one-time migration or seeding charges, renewal increases and the effect of a major recovery event.
  9. Validate assumptions in a proof of concept. Test a representative VM, database, SaaS account and file set. Measure whether the promised restore granularity and RTO are achievable in your network and identity architecture.
  10. Recheck volatile terms. Vendor pricing, supported workloads, Regions and service features change. Verify the final rate card and contract immediately before purchase.

Security and control requirements

Backup copies are a high-value target because they can bypass production controls during ransomware or account compromise. Evaluate the architecture, not merely the word “encrypted.”

  • Isolation: use vaults or accounts separated from production identities, with a break-glass process that is monitored.
  • Immutability: determine whether retention locks prevent an administrator or compromised API credential from deleting recovery points.
  • Encryption: document encryption in transit and at rest, key ownership, rotation and what happens when a key is unavailable.
  • Access control: require least-privilege roles, multifactor authentication, dual approval for destructive actions and separate backup administration from production administration.
  • Auditability: retain logs for policy changes, failed jobs, deletions, restores and access to backup data.
  • Residency and compliance: verify Region availability, retention controls and regulatory mappings for the markets in which you operate.

AWS documents encrypted vaults, policy controls and audit reporting. For every other service, request equivalent evidence rather than assuming the controls are identical.

Daily and weekly checks

  • Review failed, skipped and partially completed jobs, not just the overall success percentage.
  • Check that newly created resources and users are automatically enrolled in policy.
  • Look for retention or immutability changes and confirm that alerts reach an independently managed channel.
  • Verify that backup accounts, vaults and encryption keys remain accessible during a production identity outage.

Test restores on a schedule

Restore representative files, databases, virtual machines and SaaS records into an isolated environment. Measure the elapsed time from authorization to usable service, validate application consistency and record the data loss against the target RPO. Include a cross-Region or cross-account exercise when the design depends on one. AWS restore testing can itself incur charges based on tested recovery points and restored storage, so include that activity in the budget rather than skipping it.

Common BaaS selection mistakes

  • Comparing only dollars per gigabyte: management, licensing, transfer, restore and audit meters can be material.
  • Using logical data size as the whole estimate: billing may use protected front-end capacity, users or indexed objects.
  • Ignoring SaaS and identity: a cloud VM backup does not automatically protect mailboxes, collaboration data, directories or CRM records.
  • Assuming retention is free after protection stops: Google Cloud documentation describes long-term retention management charges for retained data that is no longer actively protected.
  • Skipping restore tests: an apparently successful job can still produce an unusable application restore.
  • Accepting different assumptions from each bidder: normalize Region, capacity, change rate, retention, restore volume and support before comparing totals.
  • Treating a secondary price as current: quote-based offers and regional terms change; verify every number with the provider.
  • Forgetting the management boundary: clarify who patches agents, operates appliances, handles failed jobs, authorizes restores and responds during an incident.

Choosing by workload pattern

Mostly one public cloud

A native service such as AWS Backup or Google Cloud Backup and DR may reduce integration work when your resources already live in that cloud. Confirm that every required resource type is supported, then model the provider’s separate storage, management, transfer and restore meters.

Mixed cloud, data center and SaaS

A broad platform such as Druva or another enterprise BaaS candidate may reduce the number of consoles and policies. Compare its user or capacity licensing with the cost of operating several specialized services, and verify recovery consistency across each workload family.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Strict isolation or regulated retention

Prioritize immutable copies, separated administration, residency, retention locks, audit evidence and tested recovery. A lower storage rate is not a saving if the design cannot satisfy the regulator or survive a compromised production account.

Small team with limited backup expertise

Favor a service with clear policy templates, automatic enrollment, useful failure alerts, guided restores and a support model that states who responds outside business hours. Confirm whether the provider or your staff performs the actual recovery steps.

Bottom line: compare recovery outcomes, then total cost

There is no universally cheapest or best BaaS tool. AWS Backup is centered on policy-based protection for AWS and selected hybrid resources, with several operation-based charges. Google Cloud Backup and DR separates storage, management and transfer and requires careful Region and workload normalization. Druva emphasizes broad cloud, SaaS, endpoint, identity and CRM coverage with a per-user pooled-storage option. Other enterprise platforms are commonly quote-based.

Build one workload and recovery scenario, send it unchanged to every provider, require every cost category on the quote and test representative restores before signing. That process produces a meaningful 2026 comparison; a single storage price does not.
