Check both the transcript and the generated summary before relying on important decisions, commitments, owners, or deadlines.
Why a good-looking recap can still be wrong
A meeting summary is not a direct record of everything said. It is generated from source material—often a transcript—and can inherit transcription errors or introduce mistakes when selecting and condensing information. A misspelled name may assign work to the wrong person; a misheard number or date can change a commitment; a missing “not” can reverse a decision. Speaker-label errors can make an individual appear to have agreed to something they did not say.
Summary quality has several separate dimensions: factual accuracy, completeness, relevance, clarity, action-item fidelity, recognition of people and other entities, and whether the system adds unsupported content. A concise, polished recap can still omit a qualifying detail or turn an inference into an apparent agreement.
Check the transcript and the recap separately
Start with the source transcript
Before accepting the recap, inspect the transcript—or listen to the relevant part of the recording where available—for names, numbers, technical terms, dates, speaker labels, negations, and overlapping speech. These are distinct failure points, not one generic accuracy problem. Zoom’s 2025 AI Performance Report, for example, reports on word error rates, recognition of rare words, and speaker-label accuracy as separate measures. Read the Zoom AI Performance Report 2025.

Then compare the recap with what was actually agreed
Check whether the summary faithfully covers decisions, commitments, owners, deadlines, and action items. Look for missing conditions or qualifications, an action assigned to the wrong person, or wording that presents a suggestion as an agreed task. If the recap makes a consequential claim, trace it back to the transcript, recording, or meeting participants rather than treating fluent wording as proof.
What vendor benchmark results do—and do not—show
Benchmarks can help identify what a vendor measured, but their conclusions depend on the products, versions, languages, settings, meeting conditions, and evaluation method. Zoom’s 2025 report says it commissioned an evaluation of Google Meet, Microsoft Teams, Otter.ai, and Zoom. It assessed transcription and captions in English, Spanish, French, and Japanese, along with translation and meeting summaries; the report describes measures including summary completeness and accuracy, hallucinations, action items, and entity recognition.

According to Zoom’s own findings, Zoom had the best word-error-rate results in the tested real-meeting scenarios and strong results for rare-word recognition, captions, and several translated-caption comparisons. For summaries, Zoom says Microsoft was slightly higher in overall comprehensiveness, while Zoom performed well on action-item detection and entity recognition. These are vendor-reported findings from a vendor-commissioned comparison, not an independent or universal ranking.
The method also narrows what can be inferred. Zoom says each scenario was run five times, summaries used platform default settings, and only English meeting summaries were tested. The setup included specified computer, operating-system, application, and browser versions, virtual audio routing, and simulated multi-participant playback. Results may differ with other versions, devices, languages, accents, terminology, noise, overlapping speech, meeting structures, or workflows. The report provides methodological counts and versions, but no general cross-vendor figure establishes that meeting assistants are a particular percentage accurate.

Questions to ask when reading a comparison
- Who commissioned it? A vendor-commissioned report is useful evidence about its stated test, but its results should be attributed to that vendor.
- Which products and versions were tested? A result applies to the tested configurations, not automatically to every current version or setting.
- What meetings and languages were included? Accent, overlap, noise, terminology, meeting size, and language can change performance.
- What was measured? Transcription errors, speaker attribution, summary completeness, action-item quality, and unsupported additions are different outcomes.
- Can the method be examined or independently replicated? Treat a broad claim cautiously when conditions or evaluation details are missing.
Put a person in charge of consequential use
For decisions or commitments that matter, designate someone to review the generated record before it is circulated or acted on. That person should verify high-impact claims against meeting evidence, correct errors, and resolve ambiguity with participants when the source does not make the answer clear.
NIST’s Generative Artificial Intelligence Profile defines confabulation as “the production of confidently stated but erroneous or false content (known colloquially as ‘hallucinations’ or ‘fabrications’) by which users may be misled or deceived.” This general risk applies to meeting recaps when plausible-sounding text is mistaken for an agreed fact. NIST also discusses privacy and human-AI configuration risks, including over-reliance. See NIST AI 600-1.

NIST describes its AI Risk Management Framework as voluntary guidance for incorporating trustworthiness into AI design, development, use, and evaluation; its Generative AI Profile was released July 26, 2024. Meeting records can contain sensitive personal or organizational information. Organizations should understand who can enable recording and transcription, who can access the resulting records, how calendar access works, and how the tool handles stored meeting information. Make access intentional and limit unnecessary exposure; accurate notes are not well-governed if they are available to people who should not see them.

Product workflows can affect what gets captured. Otter describes automatic joining through connected Google or Microsoft calendars and creating notes, action items, and summaries for Zoom meetings. That makes calendar access and automatic attendance settings worth reviewing deliberately. The product page describes a workflow; it is not independent evidence of summary quality. Investigate incomplete recaps at the source
Missing content may reflect the transcript or configuration rather than a summary-writing failure alone. Microsoft’s Teams Intelligent Recap documentation says some chapters may fail to generate because of transcription quality or technical issues. Microsoft Support also says meeting audio recap requires transcription to be enabled, and that administrators can manage transcription policies. When a recap is incomplete, check whether transcription was active and whether the source transcript captured the relevant discussion; do not assume the same failure mode applies to every assistant.

- Transcript fidelity: Check names, numbers, domain-specific terms, and speaker attribution.
- Summary fidelity: Check correctness, completeness, decisions, owners, deadlines, action items, and unsupported additions.
- Coverage: Ask whether evaluation reflects your languages, accents, meeting size, overlap, noise, devices, and application versions.
- Controls: Confirm who can record, transcribe, invite an assistant through calendar access, review, and access meeting records.
- Evidence quality: Identify the test sponsor, inspect the stated methods and versions, and distinguish vendor-reported results from independent replication.
